1 Account Information The Account Information screen is used to view summary account information. Authorized users may add or change account information on this screen. Account Information: Account Summary The summary section of the screen looks as follows: The summary data fields are as follows. All of the fields are populated and cannot be changed. Account Summary Billed Balance Unbilled Purchases Last Statement Date Last Statement Balance Last Payment Date Last Payment Amount Balance owed on the account that has already been billed. Purchases made but not yet billed. Date the last statement was issued. Amount of the last statement. To view the last statement as a PDF file, click the link. The last date a payment was made on the account. The amount paid on the Last Payment Date. Account Summary: Aging Information Current [Days in first billing cycle] [Days in second billing cycle] [Days in third billing cycle] Total Amount due for the current statement. Amount that is at least 1 billing cycle (but less than 2 billing cycles) past due. Amount that is at least 2 billing cycles (but less than 3 billing cycles) past due. Amount that is at least 3 billing cycles past due. Total billed amount owed by the customer (Current + all other outstanding amounts). Account Information 1

2 Account Summary: Activity Since Last Statement Type Date Amount Type of adjustment made since the last statement (if any). Date the adjustment was made. Amount of the adjustment. Account Information: Account Detail The detail section of the screen looks as follows: The data fields are as follows: Account Detail Account Number Numerical identifier of the account. This is the billing number that is needed on payments that are sent with Remit To coupons. Contact Company Address Line 1 Name of the billing contact for the account. Name of the account. Street address where the Contact receives billing information. Account Information 2

3 Address Line 2 City/State/Zip Stmt Method Office Cell Fax Continued street address of the Contact (for example, a suite number). City, State, and Zip where the Contact receives billing information. How the account s statements are delivered (populated). Office phone number of the Contact. Cell phone number of the Contact. Fax number of the Contact. address of the Contact. To send a confirmation to this address, click the button ( to the field. ) next Card/Report Delivery Address Check if Same as Contact Fleet Name Address Line 1 Address Line 2 City/State/Zip Country Office Cell Fax A check indicates that card and reports are delivered to the same address as statements. Name of the Fleet contact for the account. Name of the fleet with which the cards or reports are associated. Street address where the Contact receives cards. Continued street address of the Contact (for example, a suite number). City, State, and Zip where the Contact receives cards. Country where the Contact receives cards. Office phone number of the Fleet Contact. Cell phone number of the Fleet Contact. Fax number of the Fleet Contact. address of the Fleet Contact. To send a confirmation to this address, click the button ( to the field. ) next The detail button functions are as follows: BUTTON Opens a separate window, in which recent changes to the account are displayed (if any). Opens this help file. Allows users to send an to the address next to the blue box. Allows authorized users to make changes to the account. Account Information 3

4 BUTTON Allows authorized users to save changes to the account. Note: This button appears only after you click the button. Allows authorized users to cancel pending changes to the account. Note: This button appears only after you click the button. Opens a screen on which you can pay online. Opens a Contact Us window that you can use to request a credit increase. Editing Account Information Note: Only authorized users may edit accounts. 1. To change an existing account, click the button. 2. Contact Enter the name of the account s billing contact. 3. Company The Company name can only be changed by Client Services. 4. Address Line 1 Enter the billing Contact s street address. 5. Address Line 2 Optionally, enter more of the street address (such as a suite number). 6. City Enter the billing Contact s city. 7. State Select the 2-letter abbreviation of the billing Contact s state. 8. Zip Enter the billing Contact s ZIP code. 9. Stmt Method This field indicates how the account s statements are delivered. This field can only be changed by Customer Service. 10. Office Enter the billing Contact s office phone number. 11. Cell Optionally, enter the billing Contact s cell phone number. 12. Fax Enter the billing Contact s fax number Enter the billing Contact s address. Account Information 4

5 14. Check if Same as If the address for card and report delivery is the same as the billing address, check this box. Otherwise, repeat steps 2-13 for the card/report delivery address. 15. To save your changes, click the button at the bottom of the screen. Otherwise, click the button. No change will be made. Account Information 5
