1 Online Livestock Affidavits State Fair Webinar April 1, 2014

2 Online Affidavits Online form is designed to collect the same info as paper ID forms Project has been a joint effort between 4-H & FFA Benefits: Bringing data into a sortable database, easier to locate/distribute (& check for double entries) Reduce number of times paper forms change hands-electronic storage provides less chance of forms being misplaced or lost Matching the electronic process implemented in doing State Fair Livestock entries online Online Affidavits available for 2014: Market Swine Market Lambs Market Goats

3 How does this impact the 4-H Livestock Program in my County? The online livestock affidavits are being piloted this year. Participation is optional (although highly encouraged) This is designed for animals being submitted for eligibility to show at State Fair/Ak-Sar-Ben If your county would like to collect County Only entries electronically, there is a drop down box to indicate County Only or State Fair/Ak-Sar-Ben on the online forms

4 How does this impact the 4-H Livestock Program in my County? If the State 4-H Office receives paper ID forms that the exhibitor has not entered electronically, our staff will only be entering the State Fair/Ak-Sar-Ben designated animals. The State 4-H Office will not keep County Only animals in our database for State Fair/Ak-Sar-Ben.

5 Process Exhibitor will enter the form via a web link: Each exhibitor will need to enter their own form (for this year) We are working to have future forms be able to list multiple family members on one form Google Chrome browser allows all features of the form to be utilized (other browsers can also be used to successfully submit data).

6 Process State Fair/Ak-Sar-Ben eligible animals should be entered through online form. (If Counties want to collect County Only entries online the form has that function) The State 4-H Office will not keep County Only entries in our State Fair/Ak-Sar-Ben database

7 Process All Normal identification/certification rules apply. Paper forms may be utilized in the online process to collect/certify entries. (Having an ipad/laptop in a stockyard may not be feasible). Extension Staff may want to take the paper ID form to the office to make a copy for the 4-H er to utilize while making online entries. Ultimately it would be the 4-Her s responsibility to enter all animals they want to identify as going to State Fair/Ak-Sar-Ben on their own by using the online form(s).

8 Process Examples of Identification Rules: Market Swine MUST have ear notches for State Fair/Ak-Sar-Ben Ear tags are an acceptable method of identification for swine showing at the COUNTY fair level only DNA is Required for State Fair/Ak-Sar-Ben

9 Process All Normal identification/certification rules apply. Examples of Identification Rules: Market Lambs Must have 4-H tag (and location) DNA is Required for State Fair/Ak-Sar-Ben Market Goats Must have 4-H tag (and location) DNA is Required for State Fair/Ak-Sar-Ben

10 Process As always if an exhibitor is on the fence about attending State Fair/Ak-Sar-Ben please submit/send the form in! Animals not identified for State Fair/Ak- Sar-Ben on an ID Sheet will NOT be allowed to exhibit at those shows!

11 Submission of Form Once an exhibitor has submitted their animal affidavit information online, an will be sent to the county of participation via their County Address. (Ex. The will contain notification of submission & data submitted. The exhibitor also gets an confirmation of data submitted. If county staff sees an error, contact Kate Pittack:

12 Exhibitor Information: Once the exhibitor successfully fills out the contact information, they will receive a confirmation

14 Entering Animals A row of blue buttons (one for each specie) will appear. The form for each entry pops up once the button is clicked Please enter ALL of your animals before typing your name(s) and clicking the green Save Animal Information button

19 Adding Multiple Animals. Multiple animals of multiple species can all be entered at the same time. To add a form for a new animal simply click the corresponding blue button

20 Deleting an Entry If you ve added one too many animals, deleting an entry is as simple as clicking the red x
