1 Family Important Reminders Hancock County District Fair entries are accepted from May 16 th to July 3 rd, then the system will re-open on July 4 th and will be open until July 21 st to accept entries with a $25 late fee. Be sure to complete your entry (including the final Submit step) prior to the cut-off date. Recommended browsers: Google Chrome or Mozilla Firefox. Older versions of Internet Explorer may cause unexpected results. Register all entries for each exhibitor in the family before proceeding to the Payment section. Be sure to click the Submit button when you have completed your entries. Entries are not final until they have been submitted. Check your inbox for a confirmation with a list of your entries and any related fees. You will receive a second when your entries have been approved by your fair. Log-In 1. Go to hancockdf.fairentry.com. 2. If you are a 4-H member or if there is a 4-H member in your family, log-in using your 4-H Online log-in and password, and proceed to step 7. If you are not a 4-H member or don t have a 4-H member in your family (only FFA, Pre 4-H or district) move to step 3 in the Log- In section. Note: District 4-H exhibitors who use Fair for their fair, must create a separate Fair log-in to enter for the Hancock County District Fair. RegistrationMax LLC

2 3. If you are an FFA, Pre 4-H or district exhibitor (not a 4-H member or no 4-H member in your family) click on the link to create a Fair Account. (After that, if you are logging back in, enter the & password that you created and click the Sign in link.) 4. Enter your address twice and click Create Account. IMPORTANT: This must be a valid address, so that you can receive the necessary confirmation messages. 5. On the Account Creation page, enter information into the fields (all are required). Account Name, Phone, Password (enter twice to confirm). 6. Click Continue. 7. Click Begin Registration Exhibitor Information If your fair is configured to accept both individual and team entries, click on the appropriate choice for your entry. Some fairs may only be configured for individual entries. NOTE: HANCOCK COUNTY DISTRICT FAIR ONLY ACCEPTS INDIVIDUAL ENTRIES RegistrationMax LLC

3 4-H Exhibitors Select an exhibitor and proceed to step #4 FFA/Pre 4-H/District Exhibitors Proceed to step #1 to begin adding an exhibitor Exhibitor Information 1. Enter the information into the four fields all fields are required. Click Continue when all information is entered. 00/00/0000 (can be typed) 2. (If you entered/spelled something incorrectly on the previous screen, you have the option to Delete this Exhibitor on this screen.) Enter the information on the Contact Info screen the only required field is the top Home Phone Number. You can use the same address that you used to create the account, or an alternate one. If you wish to receive text messages, enter your cell phone number and carrier. That number can be the same as the Home Phone Number entered above, or different. Click Continue when you are finished entering data. RegistrationMax LLC

4 3. Enter your mailing address. All fields, except Address continued, are required. As the on-screen help states, the address entered here will be used for mailing premium checks, etc. Click Continue when all information is entered correctly. 4. If your fair set up custom fields/questions for you to answer, those will be step 4 on the progress bar at the top. Answer any questions, and click Continue. 5. Review your exhibitor information. If any information is incorrect, click the green Edit button in the appropriate group to change it. When all information is correct, click Continue to Entries. Creating Livestock Entries Note: Each exhibitor can have multiple entries. One entry must be made for each item, animal, class, etc. For example, if an exhibitor is bringing 2 breeding heifers, two entries into the breeding beef class must be created. If an exhibitor is showing one horse in 5 events, five class entries must be created. Once all entries have been created for the first exhibitor, you have the choice of creating another exhibitor in this family (and entries) or proceeding to check-out (submitting the entries, whether or not fees are charged). 5 Divisions 1. Click Add an beside the correct exhibitor (if more than one has been created). 2. Click Select beside the first department you wish to enter. Any departments that are not available for entry will be noted as Not Available with a short explanation. Click Select. 3. After you select a department, you will see a list of divisions to select from, and then a list of available classes. Click Select. 4. After you have selected the department and division, click the green Choose button. Also notice that there are blue Change links in case you mistakenly select an incorrect department, division, or class. RegistrationMax LLC

6 Classes 5. Select your class by clicking the Select button for the appropriate class 6. After you have selected the class, click the green Continue button. 7. In the Club/Chapter screen is your opportunity to select your club according to each entry. Click Continue. Note: If you are a dual exhibitor (show both 4-H and FFA) be sure to select the right club for each entry. If you sign-in through 4-H Online it will automatically default to your 4-H club. Out of county exhibitors use the District club option. 8. In the Animals screen is where you will be asked to specify which animal will be exhibited in this class. It is required to specify an animal in all entries except for swine, it is optional; and poultry entries are unable to identify a specific bird. If you are able to pick a specific animal, you will see the option to Add an animal. Click Add an animal. RegistrationMax LLC

7 9. 4-H Entries: Select the Choose an Existing Animal Record, then proceed to step 10a. (This will pull over all animals ID ed in 4-H Online to choose from.) FFA/Pre 4-H/District Entries: Select the Enter a New Animal Record, then proceed to step 10b. 10. Adding an Animal a. Adding an Animal from 4-H Online Select the appropriate animal ID to correspond with the entry. Click Select Animal. b. Adding an Animal for FFA/Pre 4-H/District : Animal Type: click the drop down arrow to select the appropriate animal type. Fill in all of the fields with information about the animal you intend to exhibit. Click Create and Add Animal when finished. RegistrationMax LLC

8 11. If the animal information was entered incorrectly, you have the option to either Remove From (creating a new animal) or Edit Animal Details. When it s correct, click Continue. 12. In the Questions section is where you answer any questions or file uploads related to entry in this class will be next. Click Continue after answering those questions or uploading documents. 13. When each class entry is complete, you have 3 choices for what to do next: a. If all class entries have been completed for one exhibitor, you can Register another Exhibitor in this family. b. If this exhibitor has more class entries to make, you can Add another for this Exhibitor. Note: To change departments or divisions click the blue change button c. If all entries for all exhibitors in the family have been completed, Continue to Payment to finalize and submit your entries. 9 Creating Static (Home Ec & SMA) Entries Note: Each exhibitor can have multiple entries. One entry must be made for each item, animal, class, etc. For example, if an exhibitor is bringing 2 photographs, two entries into the photography class must be created. Once all entries have been created for the first exhibitor, you have the choice of creating another exhibitor in this family (and entries) or proceeding to check-out (submitting the entries, whether or not fees are charged). 14. Click Add an beside the correct exhibitor (if more than one has been created). 15. Click Select beside the first department you wish to enter. 10 Classes Divisions 16. After you select a department, you will see a list of divisions to select from, and then a list of available classes. Click Select. 17. 11 21. In the Description screen is where you are asked to provide a brief description of your project for your entry tag. 22. When each class entry is complete, you have 3 choices for what to do next: a. If all class entries have been completed for one exhibitor, you can Register another Exhibitor in this family. b. If this exhibitor has more class entries to make, you can Add another for this Exhibitor. c. If all entries for all exhibitors in the family have been completed, Continue to Payment to finalize and submit your entries. Review and Payment 23. Review your entries for completeness and accuracy. Notice the Summary and Detail buttons at the top of the list on the right. If there are errors, click on the green Entries section at the top of the page. Click Continue when all information is correct. Note: To see your invoice in greater or less detail click summary or detail in invoice right corner. RegistrationMax LLC

12 24. Read the payment instructions and select your method of payment. Payment options are cash, credit card, or a check made out to Hancock County Ag Society. NOTE: Even if you owe no money (no fees are charged) you must click Continue to the last Confirm step to submit your entries. 25. Read the information in the After you Submit section. You may also have to check a box to Agree to Terms. Click Submit to finalize the entries for the exhibitors in this family. After you click Submit, no changes are possible to these entries.
