1 1 CPS Benefits Administration System Annual Compensation Report Spreadsheet Upload Process Please note: Do not make any adjustments to worker hours or indicate a new hire or termination on the ACR spreadsheet. Those changes can be made in the new Benefits Administration System starting 1/1/2019. Any such changes for 2018 should be completed on paper CPS forms. If you are an administrator for more than one employer, the spreadsheet you download in this process will include workers for all ministries you represent. You can choose to divide the spreadsheet out for the separate employer groups and submit multiple files, or submit the entire report as one file. 1. Log in to the CPS employer portal from This is where the Benefits Administration System and ACR upload process can be accessed. 2. On the employer Portal home page, click Quick Links.

2 2 3. Click the Benefits Administration System link. 4. Once in the Benefits Administration System, click Eligibility Reports.

3 3 5. Click Run New Report 6. Select ACR Tracking Report from the list of available reports 7. Assign a name for the report, then click on Schedule Report.

4 4 8. The system will display a message indicating the report has been submitted. The status of the report can be viewed from this screen by refreshing the browser. The system will also send an confirmation when the report is finished processing. 9. To view the completed report, click on the view icon (the magnifying glass). The report will download to your computer. Depending on the browser and spreadsheet software being used, the downloaded report may appear at the bottom of the screen.

5 5 10. Click on the report name to open the file in Microsoft Excel format. The report will show information to identify each employee and their current salary information reported to CPS. After downloading the file, your work in the Benefits Administration System is complete for this process. The remaining work will be done in Microsoft Excel and a CPS upload tool. 11. The columns below need to be updated for each employee to complete ACR reporting for If the base salary has not changed, you must still enter that base salary amount for If some fields are not applicable, enter 0. a) 2019 Total ACR (this should be the total of the amounts in the four items below) b) Base Annual Salary as of 1/1/2019 c) Annual Cash Housing Allowance (enter 0 if not applicable) d) Home Provided Amount (enter 0 if not applicable) e) Annual Cash Utility Allowance (enter 0 if not applicable) When completing the file, please note: Scroll to the right on the Excel file to view the columns you will need to change. Do not change the order of these columns or the prepopulated text in any other column. If a column is not applicable to a worker, such as cash housing allowance for a lay worker, enter 0.

6 6 12. Save the file in Microsoft Excel format. When uploading the completed file, only Excel formats (.xls or.xlsx) are accepted 13. To submit the file to CPS for processing, please go to the CPS employer Portal home page for a link to the upload tool. You must be logged in to the CPS Portal to gain access to this page.

7 7 14. The file upload page will be displayed in a new internet browser window. There are three steps to complete in the process. i. Select the correct employer, as some administrators may be responsible for more than one employer. In most cases, there will be only one employer to choose. ii. Select the file with the ACR data for This will require navigating to where the file is saved. The file must be in Microsoft Excel format (.xls or.xlsx). Other file types are not accepted.

8 8 iii. Click Submit. If the file is uploaded successfully, a message will be displayed: When the upload process is successful the system will send an confirmation. If the file being uploaded is not Microsoft Excel (.xls or.xlsx) the following error message will be displayed. This message will also be displayed if there are other types of errors. The process can be repeated but if the error message continues to display it is best to contact CPS as shown in the text of the error message. 15. After the file has been uploaded, it is best to close the browser to end the process. This is also best practice for security purposes. After closing this browser page, the CPS Portal page should still be available.
