This booklet provides you with instructions on how to interpret and navigate through the new screens, including entering points and printing out your activities. Hopefully this new look portal will help you keep track of your CPD activities and aid your compliance with the college program. 4 How to access your CPD Dashboard The new College website is best viewed using the Google Chrome Internet Browser. Once you have logged into the members area, there are several ways in which you can access your CPD Dashboard: 1. Personal Drop down Navigation Bar. This is in the top right-hand corner of the College website. a. Click the downwards arrow. b. From the drop down menu, select My CPD. c. Your CPD Dashboard should now open 2. One -click access area a. From the homepage of the member s area, scroll down the page and select Your CPD Dashboard. b. Your CPD Dashboard should now open 4

6 How to Interpret the CPD Dashboard The new College website is best viewed using the Google Chrome Internet Browser. The CPD Dashboard is divided into different sections. At the top is the Target and Performance Chart. This section includes the Actual Points Total Bar. The Actual Points Total Bar indicates how many points you currently have entered. A small circle with a downwards triangle indicates the Recommended Monthly Target for the current CPD period. The Recommended Monthly Target is a guide to help keep you on track to achieve the points target. It is calculated by dividing the Points Target by the number of months in a CPD period. If the Actual Points Bar is green, you are meeting the recommended monthly target or ahead of the recommended monthly target. If the Actual Points Bar is red, then you are not meeting the recommended monthly target. 6
7 This is also indicated by the green tick or red cross on the left hand side of the screen under the Actual Points Bar. A table titled Points Summary puts the information from the Actual Points Bar into a table form. On the right under the Points Bar is another box that will have a green or red tick. This mark indicates your CPD compliance with the other aspects of the program other than points. The CPD Minimum Requirements table outlines the compliance requirements. The table is broken into the Categories and Levels of the program. The areas that are compliant will have a green tick, the sections that are not compliant will have a red cross. Sections with a grey dash indicate that no compliance is required in this section. To see more details about your compliance or non-compliance, click on the magnifying glass. This will bring up a table called Detailed CPD Compliance Report. 7
8 The Detailed CPD Compliance Report shows all submitted points. It also indicates if there is a minimum or a cap on the activity, subcategory, level or category. A Minimum indicates that a particular number of points must be entered in order to satisfy compliance. A Cap is the maximum number of points that will be counted towards your actual points total. A cap can be placed on a Category, Level, Subcategory or activity. You may enter more points but they will not be counted towards your Actual Points Total. You can navigate through the different levels by clicking on the minus and plus signs next to the levels. A list of icon and their meanings are on the next page 8
9 Definitions: Actual Points are the points gained from all activities entered excluding any points entered over a maximum or "Cap" Submitted Points are the points gained from all activities entered including any points entered over a maximum or "Cap" Points Target is the minimum number of points required over the CPD period in order to meet compliance. Recommended Monthly Target/Recommended Target to date is a guide to help keep you on track to achieve the points target. It is calculated by dividing the points target by the number of months in a CPD period. Cap is the maximum number of points that will be counted towards your actual points total. A cap can be placed on a Category, Level, Subcategory or activity. You may enter more points but they will not be counted towards your Actual Points Total. Min is the minimum number of points that must be submitted for you to be compliant. A minimum can be placed on a Category, Level, Subcategory or activity. 9
10 Underneath the Points Summary Table is the Points Per Category Summary table. This table shows your Actual Points compared with your Submitted Points by category and in total. The bottom section of the CPD Dashboard is the CPD Points Earned Per Year. This section indicates how many points have been earned per year. 10
11 How to access the Submit CPD Activity Page Once you have logged into the members area of the College website, you can access the Submit CPD Activity page from your homepage. 1. Select the Submit CPD Points button. The submit CPD points page will now open. You can also access the submit CPD Activity Page from your CPD Dashboard. 2. From your Dashboard select the CPD Dashboard drop down menu. a. Select Submit CPD Activity b. The Submit CPD Activity page will open. 11

13 How to Submit a CPD Activity The new College website is best viewed using the Google Chrome Internet Browser. To submit a CPD Activity go to the Submit CPD Activity page. You can search for your activity in two ways: 1. Search by Activity Code a. Search the Activity Code by typing straight into the field. b. Once you have found your code, select it from the list c. Click the select button Doing this will prefill the category, subcategory and activity drop downs. A list of activity codes can be found in the CPD Handbook 13
14 2. Select your activity by using the category, subcategory and activity drop down menus. a. Select the category from the first drop down field From Category. b. Select the sub-category from the second drop down field From Sub Category. c. Select the activity from the third drop down field Activity. 3. Once your activity has been selected you will notice the Number of Hours field appear. The award rate has already been applied, so you only need to enter the number of hours the activity took you. 4. Select the Date the activity took place using the date picker. 14
15 5. Add an activity description and any relevant comments in the activity description/ comments field. 6. You now have the option to attach any relevant documents to the CPD activity, if required. a. Click the Attach Document button b. Select Choose File This will open your file browser to search and select your document. c. Select the Add Documents button. 7. If this is a group activity you can also enter other members by using the Add Member button found on the top right side of the form. a. Click the Add Member button b. Place your cursor in the name search field and type the name of the Fellow for whom you are looking. 15
16 c. Select the name from the drop down list 8. Once you have finished your entry, click the Submit button. If a required field has been left incomplete the field will be highlighted in red and need to be completed before the CPD submission can be submitted. 9. Confirm your submission by pressing the submit button. The green message will appear if your submission was successful. 16
17 How to view your submitted activities and points To see your submitted activities and points start from your CPD Dashboard 1. Click on the CPD Dashboard button on your CPD Dashboard page. 2. Select Submitted CPD Activities from the drop down menu. The Submitted CPD Activities Page will appear. 3. Select the CPD Period that you wish to look at from the drop down menu. By default the current period will already be selected. 4. Select the categories you would like to view by clicking in the check boxes. To see all categories select ALL. 5. Select the sub-categories you would like to view by clicking in the check boxes. To see all sub-categories select ALL. 6. Select the year you would like to view by clicking in the check boxes. To see all years select ALL. 7. Click on the Submit button in the bottom right hand corner. A table with all your activities will appear. 17

19 How to edit your activities after they have been submitted You will now have the capability to edit or delete your activities yourself. Please note that you are not able to individually change any entries that were made as a group entry. You will need to contact Susannah at College on susannah@dermcoll.edu.au or to make changes to these activities. 1. Start at the table with your submitted activities To Edit i. Click Edit beside the activity you need to change. ii. You will be taken to the Submit CPD Activity page where you will be able to change any of the details of the activity. See How to Submit a CPD Activity for details To Delete i. Click Remove beside the activity you want to delete. ii. Click Confirm Removal button if you want to delete. 19
20 How to Print your CPD Report 1. Start at the table with your submitted activities 2. Click on the Submit button in the bottom right hand corner. A table with all your activities will appear. 3. At the bottom of your table of submitted activities there are two buttons: Download CPD Activities Report Download CPD Activities CSV Both buttons will download your CPD Activities Report however Report 1 will download the report to a pdf while Report 2 will download into an excel spreadsheet. To download your CPD Activities Report, click on the button for the format you require. You can then save or print your report. 20
21 How to access the previous CPD Cycle Now that the Triennium Cycle is completed your CPD records will automatically roll over to the new period ( Cycle). To access the Cycle you will need to change the period in the following situations: Assessing your completion/compliance with the cycle using the CPD Dashboard Entering CPD points that are valid for the cycle using the Submit My CPD Activity screen Accessing the list of submitted activities for the cycle using the My Submitted CPD Activities page In each situation you will need to change the CPD Period being accessed to the CPD Period required. This can be done by using the drop down menu as shown in the following situations. In each situation, click on the small black arrow as highlighted in each picture. 21
