2 WELCOME TO CARDSPOT A Card Activation System Built to Improve Your Experience ABOUT CARDSPOT CardSpot is a web-based program that allows users to activate prepaid cards. In addition to card activation, the CardSpot program also includes a variety of functions, such as: bulk activations, card locking/unlocking, balance transfers and many more. ACCESSING CARDSPOT CardSpot can be accessed at: EML requires establishing a location for each device used for activations. This will assist you in tracking sales by activating location. CardSpot utilizes existing users credentials and permissions. You will continue to use the CardSpot User Request Form to manage users. CardSpot is a web-based application that operates using your Internet connection. Any disruption in your Internet service may impact the performance of CardSpot. EML is not liable for connectivity issues between you and your service provider. If you experience difficulty connecting to the Internet, please contact your service provider. 2

4 LOGIN I. LOGIN Log into CardSpot using your unique username and password provided via by EML. To request a unique username and password, contact the property manager in charge of your prepaid program. 1. Type into your browser. 2. Enter your Username [Fig 4.1] and Password [Fig 4.2]. 3. Click on Login [Fig 4.3]. Username [Fig 4.1] Enter username. Password [Fig 4.2] Enter password to corresponding username. Login [Fig 4.3] Submit username and password to advance to the next screen

5 CONFIGURATION II. CONFIGURATION After logging into CardSpot for the first time, you will need to select your property and activating location. The Property List [Fig 5.1] is preconfigured along with your permissions when your user account is created. If you need to update your user account, navigate to the Document Repository found within the Online Resources [Fig 5.3] page and select the applicable CardSpot user form and follow the process defined in the form. Note that these settings are saved after initial log in and will need to be adjusted should the user move to a new activating location. 5.3 PROPERTY Select a property from the list below 1. Select your property from the Property List [Fig 5.1]. 2. Select your location from the Activating Location [Fig 5.2] list. ACTIVATING LOCATION EML Payments Test Location 1 Test Location 2 Test Location 3 Select a location from the list below Property List [Fig 5.1] Includes a list of property locations based on your credentials. If this list is not accurate, please contact your Customer Success Manager or client support. Activating Location [Fig 5.2] Includes all activating locations at your property. EML requires that a unique activating location be created for each computer that connects to CardSpot. This will assist you in tracking sales by activating location. A location must be selected to complete activations. If a location is not selected, CardSpot will display an error if activations are attempted. Online Resources [Fig 5.3] Includes a link to Information Center, the web based reporting suite, the Document Repository page and contact information. Add Location

6 GENERAL NAVIGATION III. GENERAL NAVIGATION General navigation for CardSpot is done through the navigation menu on the left hand side of the screen. The navigation menu displays all of the actions enabled for the current CardSpot user, with the active selection being highlighted in a blue. Below the Available Actions [Fig 6.1] are the utility actions: Tools [Fig 6.2], Online Resources [Fig 6.3] and Logout [Fig 6.4]. In the top right, CardSpot s Site Location [Fig 6.5] displays the user s current property and activating location. If the user has access to multiple properties and activating locations, clicking this will bring the user to a selection screen where they can change their property and activating location. If the user has finished using CardSpot, selecting Logout [Fig 6.4] will securely log the user out and return CardSpot to the login screen. In the bottom right, the user can access the CardSpot s Privacy Policy [Fig 6.6], Terms of use [Fig 6.7], and Language [Fig 6.8] Available Actions [Fig 6.1] All actions available to the user are listed here for quick access. Tools [Fig 6.2] Select this to access features designed to allow you to further customize the CardSpot application. 6.5 Online Resources [Fig 6.3] Select this to bring up online resources such as guides, tutorials, and other helpful information Logout [Fig 6.4] Select this to logout of CardSpot and return to the login page. Site Location [Fig 6.5] Selecting this will bring the user to a selection screen where they can change their property and activating location, depending on their permissions. Privacy Policy [Fig 6.6] Select this to view EML s Privacy Policy. Terms of Use [Fig 6.7] Select this to view EML s Terms of Use. Language [Fig 6.8] The current language will be displayed and the user will be able to change their language by clicking here

7 INDIVIDUAL SALES IV. INDIVIDUAL SALES Prepaid cards can be activated by utilizing the individual activation method. Individual activation requires swiping each individual card and assigning a monetary amount To activate a card, select the Card Sales from the navigation menu on the left hand side of the page. 2. Select Add cards one at a time [Fig 7.1]. 3. Swipe a card. The Card Number [Fig 7.2] will populate here. 4. Click Add [Fig 7.3] to proceed to the next step. Add cards one at a time [Fig 7.1] Select this option to activate cards individually. Card Number [Fig 7.2] When a card is swiped, the card number will populate here. Note that the method of entry is permission based. Add [Fig 7.3] Confirms the entered card number and displays a tile that allows user to define the card attributes. This is only selectable if a valid card number has been entered

8 INDIVIDUAL SALES INDIVIDUAL SALES ENTER CARD SALES Once the card has been added, the user will be presented with the option to select the Card Type [Fig 9.2], Campaign [Fig 9.3], and Activation Amount [Fig 9.4]. The user may also add additional cards to the order if the customer wishes to activate multiple cards. To add cards repeat the steps presented on the previous page. As the user adds activation amounts, CardSpot will calculate the total amount and display it below. This amount is only representative of the total amount to be activated across all cards entered and does not include any additional fees. 1. If applicable, select the desired card type from the Card Type [Fig 8.2] drop down menu; determined by property management. 2. If applicable, select the campaign from the Campaign [Fig 8.3] drop down menu; determined by property management. 3. Enter the amount to be loaded on the card in the Activation Amount [Fig 8.5] field. 4. Click Add to add another card, or click Done [Fig 8.7] after all of the cards have been entered to see the transaction summary and payment options. Card Number [Fig 8.1] Displays the entered card number. This information should be used to confirm that the correct card was entered. Card Type [Fig 8.2] Drop-down list that allows the user to select the card type. Card types are set up by your property management and may include Promotional, Incentive, or Regular. This field will default to Regular, which refers to the traditional gift card. Campaign [Fig 8.3] Drop-down list that allows users to differentiate card sales based on marketing campaigns. Campaigns may include Mother s Day, Back to School, or other marketing designations. The default campaign is No Campaign, which will leave this field blank. Remove Card [Fig 8.4] Clicking the will remove the associated card from the activation process Activation Amount [Fig 8.5] Enter the amount to be loaded onto the card. This can be any denomination set forth by the parameters of each program. Remove All [Fig 8.6] Removes all cards currently entered and restarts the card activation process. Done [Fig 8.7] Allows the process to move forward and takes the user to the Sale Summary screen

9 INDIVIDUAL SALES INDIVIDUAL SALES SALE SUMMARY Once the user is done adding cards and entering the activation amount(s), the process moves forward to the Sale Summary screen. The Sale Summary screen displays the number of cards, activation amount, any fees and the total amount due. The user must Select a Payment Type [Fig 9.4] and enter the corresponding Amount [Fig 9.5]. The user may also view and edit Fees [Fig 9.1] (based on permissions), enter Customer Info [Fig 9.2] to improve data tracking, and enter Notes [Fig 9.3]. All activations require payment to be collected at the time of the transaction. A list of available payment types is determined by property management team. Available payment types are in compliance with AML regulations if thresholds are exceeded. 1. If the user has the proper permissions they can edit the fees tied to each card. Please select Fees [Fig 9.1] to view the Fees tab. 2. To enter customer information, click the Customer Info tab [Fig 9.2] 3. To enter additional information relevant to the current transaction, click the Note tab [Fig 9.3]. 4. Select the payment type from the Select Payment Type [Fig 9.4] drop down. 5. Enter the amount for the selected payment type in the Amount [Fig 9.5] field. Fees [Fig 9.1] Tab that displays any card or transaction fee as outlined by the parameters of the program. Customer Info [Fig 9.2] Tab containing fields that allows the user to input customer information. Note [Fig 9.3] Tab containing a field that allows the user to input any notes regarding the transaction Select Payment Type [Fig 9.4] Drop-down list that allows the user to select the payment type. Payment types are defined by the client in the parameters of the program. Amount [Fig 9.5] Field for entering the payment amount for the selected payment type. The full amount of the transaction will automatically populate into the amounts field. If a split-tender transaction is needed, enter in the payment type and amount for each form of payment. Edit Cards [Fig 9.6] Allows the user return to the Enter Card Sales screen and edit the current card s attributes or add another card to the transaction. 9

10 INDIVIDUAL SALES INDIVIDUAL SALES SALE SUMMARY After a payment is entered, the transaction summary will update to include the total for payments entered and the remaining balance. When the Total Payments is equal to the Total Amount Due, the user can complete the card activation process and proceed to the receipt page by selecting Complete Sale [Fig 10.6]. To comply with Anti-Money Laundering regulations, all Program transactions must comply with the following operational requirements. Transactions using cash as the payment method cannot exceed $500. Transactions exceeding $500 must use an authorized payment method other than cash. For transactions by individuals exceeding $1,000, must (1) check ID, (2) record purchaser name and address in CardSpot, (3) complete and remit High Value Transaction Form, available in the Online Resources tab, to EML. For transactions by business entities: Ranging in value from $1,000 - $2,999.99, must (1) check ID (2) record business entity name and address in CardSpot Ranging in value from $3,000 - $49,999.99, must (1) check ID, (2) record business entity name and address in CardSpot, (3) complete and remit High Value Transaction Form, available in the Online Resources tab, to EML. Of $50,000+, must (1) check ID, (2) record business entity name and address in CardSpot, (3) complete and remit High Value Transaction Form to EML, (4) obtain EML and issuer approval prior to completing transaction. 1. Review the payment types and payment amounts displayed in the Payments [Fig 10.1] field. Click the to Edit Payment [Fig 10.2] Click the to Remove Payment [Fig 10.3] 2. Select the sales channel from the Sales Channel [Fig 10.4] drop down. 3. Select Activation Lock [Fig 10.5] if applicable. 4. Click the Complete Sale [Fig 10.6] button upon completion of payment processing. Remaining balance must be equal to $0.00 to proceed. Payments [Fig 10.1] Displays all entered payment types and their corresponding amounts will be displayed here with the options to Edit Payment [Fig 10.2] and Remove Payment [Fig 10.3]. Edit Payment [Fig 10.2] Clicking the will allow the user to edit the corresponding payment. Remove Payment [Fig 10.3] Clicking the will remove the corresponding payment Sales Channel [Fig 10.4] Drop-down list that allows the user to select the desired Sales Channel. Sales Channel Refers to the way in which payment is received. This will default to In Person but can be changed depending on the channel in which the sale is occurring. This is based on property policy and procedures or management. Activation Lock [Fig 10.5] Allows the user to lock the card upon activation. The purpose of locking cards upon activation is to reduce the risk of use, should cards be intercepted prior to being received by the appropriate recipient. If checked, cardholder must call EML to have the card unlocked. Cards can only be activation locked once, either at the time of activation or from the information screen so long as the card does not have any activity on it. Complete Sale [Fig 10.6] Completes the sales process and advance the user to the receipt screen. 10

11 INDIVIDUAL SALES INDIVIDUAL SALES PAYMENTS TAB The payment tab allows the user to enter information for the payment collected. Follow your management guidelines for collecting the payment. Entering payment information is mandatory to complete the card activation process Select a Payment Method [Fig 11.1]. 2. Enter Amount [Fig 11.2] of payment collected and click on + to Add [Fig 11.3] the payment. If the purchaser pays with different payment types, enter a line item for each one i.e. $25 Cash, $25 MasterCard until there is no remaining balance to collect. 3. Click on to Edit Payment [Fig 11.4]. 4. Click on to Remove Payment [Fig 11.5]. 5. When there is no remaining balance, the Complete Sale button is visible and allow the user to finalize the sale. 6. Click on the other tabs: Fees, Customer Info and Notes, and enter information as applicable. Payment Method [Fig 11.1] Drop-down list that allows the user to select the payment type. Payment methods are defined by the client in the parameters of the program. Amount [Fig 11.2] Field for entering the payment amount for the selected payment type. The full amount of the transaction will automatically populate into the amounts field. If a split-tender transaction is needed, enter in the payment type and amount for each form of payment. Amount should not exceed the total transaction value. Add [Fig 11.4] Clicking the + will allow the user to add a payment type and amount. 12 INDIVIDUAL SALES INDIVIDUAL SALES FEES TAB There are two types of fees that can be applied to a card activation: Per Card Fee - is a fee applied per each card included in a transaction. In the example below, a per card fee of $1.50 is applied to the activation transaction. Transaction Fee - is a fee applied to a transaction based on the number of cards in the transaction or a dollar amount reached for a transaction. Fees are set by property management and can be adjusted by submitting a Program Parameters Change Form to client support. 1. Review the fees applied to the transaction. The fees are applied automatically to the transaction based on program set up. 2. Click on to Edit Fee [Fig 12.1]. 3. Click on to Remove Fee [Fig 12.2]. 4. Click on + to Add Transaction Fee [Fig 12.3]. Edit Fee [Fig 12.1] Clicking the will allow the user to edit the corresponding fee. Remove Fee [Fig 12.2] Clicking the will remove the corresponding fee. Add Transaction Fee [Fig 12.3] Clicking the + will allow the user to add a fee to the transaction. 13 INDIVIDUAL SALES INDIVIDUAL SALES CUSTOMER INFO TAB The customer info tab allows the user to collect information about the purchaser of the cards, be it an individual or a company. The user can complete the transaction without entering any customer information. The customer information data entered during the card sale process will be accessible within Information Center, EML s card reporting suite, under Transaction Reports > Customer Information detail. Only customer information linked to a company is included in the report. 1. Choose Individual [Fig 13.1] or Company [Fig 13.2]. 2. Enter the customer s information into the open fields. Individual [Fig 13.1] Select this option to enter customer information for an individual. Company [Fig 13.2] Select this option to enter customer information for a company. 14 INDIVIDUAL SALES INDIVIDUAL SALES NOTES TAB The note tab allows the user to enter a note that will be associated with the activation transaction. It is necessary to enter a note in the case of an activation lock so that EML client support can match the information in the note with the information provided by the customer in order to unlock the card for the cardholder. 1. 15 INDIVIDUAL SALES INDIVIDUAL SALES SALE COMPLETE After the transaction is completed, the user will be taken to a screen that outlines the transaction and, based on settings defined by property management, offers two receipt options: Print Receipt [Fig 15.1] and Receipt [Fig 15.2]. A user may enter another sale by selecting Enter Another Sale [Fig 15.3], which will navigate the user to the Enter Card Sales screen where another transaction can begin. 1. Use Print Receipt [Fig 15.1] option to print a receipt for the purchaser via the connected printer. 2. Use Receipt [Fig 15.2] option if the purchaser would like to receive a receipt via Once complete, navigate to a new sales screen via Enter Another Sale [Fig 15.3] Print Receipt [Fig 15.1] Displays a Print Dialog box allowing the user to select the desired printer. Receipt [Fig 15.2] s a receipt to the address designated by the purchaser. Enter Another Sale [Fig 15.3] Takes the user back to the Enter Sales page. 16 GROUP SALES V. GROUP SALES The following steps are intended for a CardSpot user assisting a customer with the activation of multiple prepaid cards with the same attributes. Cards arrive in sequential order in bundles of 50 and the card numbers must be in sequential order to operate this function. For group activations, the number of cards to be activated should be counted out and remain in sequential order, as only the first and last cards are swiped for activation. It is important to verify that the activating cards are in sequential order before starting the activation process. When reading the card number, the last digit is always dropped. For example, if the last 4 digits of a card number ends in 0147, the card s identity is actually 014. Sequentially, the next card number would end in 015X (X being any number, 0-9). 1. Select Add a group of cards [Fig 13.1] on the Card Sales screen. 2. Swipe the first card number in the group. 3. Swipe the last card number in the group. 4. Click Add [Fig 13.4] Add a group of cards [Fig 13.1] Select this option to activate a sequential range of cards with the same attributes. First Card Number [Fig 13.2] Displays the first card number in the group Last Card Number [Fig 13.3] Displays the last card number in the group. Add [Fig 13.4] Confirms the entered card range and displays a tile that allows user to define the card attributes. This is only selectable if a valid card range has been entered Reset [Fig 13.5] Remove all card activations, allowing for the card activation process to be restarted. 16

17 GROUP SALES GROUP SALES CARD SALES After entering the group of cards and selecting Add Cards, CardSpot will display a tile that contains information for the card group. This tile offers an overview of the cards entered, a field to enter the Activation Amount [Fig 17.4] and the option to input information for the card group such as Card Type [Fig 17.3] and Campaign [Fig 17.5]. This information will default to the program parameters if nothing is entered If applicable, select the desired card type from the Card Type [Fig 17.3] drop down menu. 2. If applicable, select the campaign from the Campaign [Fig 17.5] drop-down menu; determined by management. 3. Enter the amount to be loaded onto the cards in the Activation Amount [Fig 17.4] field. 4. Click Done [Fig 17.8] to review the transaction summary and enter payment options. Quantity [Fig 17.1] This information should be used to confirm that the correct number of cards was included in the entered card range. Card Range [Fig 17.2] The first and last card numbers in the group sale will auto-populate into this field. This information should be used to confirm that the correct card range was entered. Card Type [Fig 17.3] Drop-down list that allows the user to select the Card Type. Card types are set up by your property management and may include Promotional, Incentive, or Regular. This field will default to Regular, which refers to the traditional gift card. Activation Amount [Fig 17.4] Field for entering the amount to be loaded onto each card in the card group. The list of available payment types are determined by property management and, in compliance with anti-money laundering regulations, will be selectable in the drop down menu. After a payment is entered, the transaction summary will populate on the right hand side of this page, displaying the Total Payments entered and the Remaining Balance due. Once the Total Payments is equal to the Total Amount Due, the user can complete the transaction and proceed to the receipt page by selecting Complete Sale [Fig 18.3]. 20 SUNDRY SALES VI. SUNDRY SALES The Sundry Sales tab allows CardSpot users to perform sales of miscellaneous items in a single transaction. Examples of sundries are gift wrap, stroller rental, specialty card packaging, or services provided by the program. Any sundry items active in CardSpot will be available for sale to customers. Reporting on these items will be included in Information Center under Transaction Reports. To gain access to this feature in CardSpot, please contact your EML Customer Success Manager. 1. Select Sundry Type [Fig 20.1] to add to the sale. 2. Indicate the Quantity [Fig 20.2] of sundry items to add to the sale. 3. Repeat the steps above until all the applicable sundry items have been added to the sale. Sundry Type [Fig 20.1] Drop-down list that allows the user to select the desired sundry type. Quantity [Fig 20.2] Field for entering the desired quantity for the selected sundry type. 21 SUNDRY SALES SUNDRY SALES SUNDRY SALES After entering the sundry type and selecting Add, CardSpot will display a tile that contains information for the sundry item(s). This tile offers an overview of the sundry item(s) entered, such as Unit Price [Fig 21.2] and Quantity [Fig 21.3]. The Subtotal [Fig 21.4] is displayed for ease of transaction. The user is also presented with the option to Add Cards [Fig 21.5], which will bring the user to the Enter Card Sales screen. Once all desired items have been entered, the user may select Done [Fig 21.6] to continue to the Sundry Sale Summary screen If applicable, select the desired quantity from the Quantity selection menu. 2. 22 SUNDRY SALES SUNDRY SALES SALE SUMMARY Sundry sales require payment to be collected at the time of the transaction. A list of available payment types is determined by management and will populate in the drop down menu. After a payment is entered, the transaction summary will populate on the right hand side of this page, displaying the Total Payments entered and the Remaining Balance due. Once the Total Payments is equal to the Total Amount Due, the user can complete the transaction and proceed to the receipt page by selecting Complete Sale [Fig 22.6]. 1. Select the payment type. 2. Review the payment types and payment amounts displayed in the Payments [Fig 22.1] field. Click the to Edit Payment [Fig 22.2] Click the to Remove Payment [Fig 22.3] 3. Click the Complete Sale [Fig 18.6] button upon completion of payment processing with Remaining Balance [Fig 18.4] equal to $0.00*. * if the remaining balance does not equal $0.00, the Complete Sale button will not appear Payments [Fig 22.1] Entered payment types and their corresponding amounts will be displayed here with the options to Edit Payment [Fig 22.2] and Remove Payment [Fig 22.3]. 23 SUNDRY SALES SUNDRY SALES SALE COMPLETE After the transaction is completed, the user will be taken to a screen that outlines the transaction and, based on settings defined by property management, offers two receipt options: Print Receipt [Fig 23.1] or Receipt [Fig 23.2]. A user may enter another sale by selecting the Enter Another Sale [Fig 23.3] option and they will be returned to the Enter Card Sales screen where another transaction can begin. 1. Use Print Receipt [Fig 23.1] option to print a receipt for the purchaser via the connected printer. 2. Use Receipt [Fig 23.2] option if the purchaser would like to receive a receipt via Once complete, navigate to a new sales screen via Enter Another Sale [Fig 23.3] Print Receipt [Fig 23.1] Displays Print Dialog box allowing the user to select the desired printer. Receipt [Fig 23.2] s receipt to the address designated by the purchaser. Enter Another Sale [Fig 23.3] Takes the user back to the Enter Sales page. 24 SEARCH VII. SEARCH CARDS The Search Cards tool is used most often to assist cardholders with obtaining the current balance of their card or to provide additional details regarding a specific transaction. Once a valid card is swiped or entered, a tile will appear that contains tabs for the Card Information [Fig 24.3] and Transactions [Fig 24.4]. 1. Click Search Cards from the navigation bar on the left hand side of the screen. 2. Manually enter the card number or swipe the card. 3. Click Search [Fig 24.2] 4. For each card search, the Card Information [Fig 20.3] and Transactions [Fig 20.4] will appear in the middle of the screen. Card Number [Fig 24.1] Swipe a card or enter the card number here. Search [Fig 24.2] Executes a search for the card number entered. Card Information [Fig 24.3] Displays all available card information of the searched card. 25 SEARCH SEARCH CARDS CARD INFORMATION Card Number - 16-digit card number used to identify the card. Client Tracking ID - Card unique identifier generated by clients who utilize web services API or batch file activation process. Card Type - This field displays the card type associated to the card at the time of activation. Commonly displayed as Regular. Reloadable - Identifies if the card is reloadable. If yes, the card may be funded multiple times. All cards activated via CardSpot are non-reloadable. Purchaser - The name of the purchaser. This field is populated with purchaser data captured at the time of a sales transaction. Cardholder - The name of the cardholder. This information will not populate unless a cardholder has gone online to register their card. This information is not searchable in the Search Customers screen. Sales Channel - This field displays the Sales Channel selected at the time of the sales transaction. Campaign - This field displays the campaign associated to the card at the time of the sales transaction. Program - This field displays the EML program associated to the card. Status - The current real-time status of the card. Status may include Active, Inactive and Locked. Current Balance - The current balance left on the card not including any pending transactions. Available Balance - The current balance on the card, pending transactions included. User may transfer funds if they have permissions. Distribution Type - This field displays EML s method for distributing the card to the designated party. Commonly displayed as Standard StoreFinancial Distribution. Plastic Expiration - The date the card plastic will expire. Account Expiration - This is the date that funds on an expiry card expire. This field will be blank for a regular card because regular card funds do not expire. Maintenance Fee Start Date - The date when maintenance fees will start to be applied, if applicable. Maintenance Fee Next Date - The next date the maintenance fee will be taken from the card, if applicable Info [Fig 25.1] Displays information related to the card activation Card Lock [Fig 25.2] Lock the card. 27 SEARCH VIII. SEARCH CUSTOMERS The Search Customers tool is used for looking up information based on First Name [Fig 27.4], Last Name [Fig 27.4] and/or Phone Number [Fig 27.4]. After selecting a customer from the results tile, CardSpot will display all available customer information and all available cards purchased by that specific customer. The customer s information must be collected during card activation for Search Customers to work. Search Customers does not search for information presented in the Cardholder field Click Search Customers from the navigation bar on the left hand side of the screen. 2. Select Individual or Company as the Search Type [Fig 27.6]. 3. Enter known information in the provided fields. 4. Click Search [Fig 27.6] 5. From the customer search results, the user will see the customer information as well as the cards purchased by that specific customer Search Type [Fig 23.1] Customer search may be performed for either an individual or a company. 28 SEARCH SEARCH CUSTOMERS RESULTS CardSpot will display a list of Customer Search Results [Fig 28.1] that match the search values entered in the Search Customer fields. After selecting a customer, all information associated with that customer will populate below. STEP BY STEP 1. Select the desired customer from the Customer Search Results [Fig 28.1]. 2. Click the Card Number [Fig 28.4] to access the Card Information page (see pg 24). 3. Click the Activation Transaction ID [Fig 28.6] to access the Transaction Detail page (see pg. 25). Customer Search Results [Fig 28.1] Displays purchaser data entered at the time of a sales transaction. Edit Customer Info [Fig 28.2] Edit the Customer Information [Fig 28.3] displayed below (see pg. 13). Customer Information [Fig 28.3] Displays customer information that was entered in the Customer Info field when the card was purchased. Card Number [Fig 28.4] Displays a list of card numbers purchased by the selected customer. 29 SEARCH IX. SEARCH SALES The Search Sales tool is used to search for a transaction by using the transaction ID. The transaction ID is a unique identifier for each sale that is found on the receipt of the card purchased. The transaction ID allows the user to look up cards with only the receipt. 1. Select Search Sales from the navigation bar on the left hand side of the screen. 2. Enter the transaction ID in the Enter Transaction ID [Fig 29.3] field. 3. Click the Search [Fig 29.3] button to perform the search. Enter Transaction ID [Fig 25.2] Enter the transaction ID here. 30 SEARCH SEARCH SALES RESULTS CardSpot will display the Transaction Detail as shown below and allow the user to void the card, activation lock the card or print a new receipt. STEP BY STEP 1. Transaction Detail includes the information presented below. 2. Click on Void [Fig 26.1] to reverse the card activation. 3. Click on Activation Lock [Fig 26.2] to lock the card. 4. Click on Print receipt [Fig 26.3] to print an additional receipt. Void [Fig 30.1] Allows the user to reverse the card activation. Void functionality is available based on program parameters. Activation Lock [Fig 30.2] Allows the user to lock the card upon activation. The purpose of locking cards upon activation is to reduce the risk of use, should cards be intercepted prior to being received by the appropriate recipient. If checked, cardholder must call EML to have the card unlocked. Cards can only be activation locked once, either at the time of activation or any time afterwards from the information screen so long as the card does not have any activity on it. Print Receipt [Fig 30.3] Allows the user to reprint a receipt based on property settings determined by property management Test Program 1 30

31 ADDITIONAL FUNCTIONS X. ADDITIONAL CARDSPOT FUNCTIONS USED IN A SUPPORT ROLE TRANSFER A CARD Transfer a card balance from one card to another using the Transfer [Fig 31.3] function. Once a transfer is complete, the original card s status changes to Closed. The user can then toggle between the transferred from card and the transferred to card. 1. Click on Search Cards [Fig 27.1]. 2. Enter the Card Number [Fig 27.2]. 3. Click on Transfer [Fig 27.3] icon. Search Cards [Fig 31.1] Allows the user to search for the card that they will be transferring funds from. Card Number [Fig 31.2] Swipe a card or enter the card number here. Transfer [Fig 31.3] Transfer the available balance to a new card NOTE Two or more card balances cannot be transferred to a single card. It is a one to one relationship. A locked card cannot be transferred. Any pending activity on the original card is transferred to the new card and will be posted to the new card accordingly. This includes authorizations, purchases, and credits Test Program 1 31

32 ADDITIONAL FUNCTIONS TRANSFER CARD DETAILS STEP BY STEP A user can transfer a card balance to a different card by following the step by step instructions on this page. 1. Swipe or enter To Card Number [Fig 28.1] for the new card to which funds will be transferred. 2. Provide a mandatory Reason [Fig 28.2] for the transfer. 3. Remove or keep the transfer Transaction Fee [Fig 28.3] as applicable. 4. Select Payment Type [Fig 28.5] for the transfer fee. If the fee is deducted from the card balance, select Gift Card Account. Any other payment types must be collected separately. 5. Click on Complete Transfer [Fig 28.8]. 6. Print or receipt as applicable. To Card Number [Fig 32.1] Field for entering the card number that the balance will be transferred to. Reason [Fig 32.2] Field for enter the reason of the card transfer. Transaction Fee [Fig 32.3] Displays the transaction fee associated with the card transfer. This defaults to the fee set forth by the program parameters Payment Type [Fig 32.4] Drop-down list that allows the user to selecte the payment type used to pay for the transaction fee. Note the user can get back to this screen by using the Search Card function and search with the transferred to card. 1. Click on the Card Number on the Left [Fig 29.1] to see card information of card transferred to. 2. Click on the Card Number on the Right [Fig 29.2] to see card information of card transferred from. LOCK CARD Reason: -- Select a Reason Click on Search Cards [Fig 30.1] and enter the card number of the card to lock. 2. Click on the Lock Icon [Fig 30.2] next to the card status which will open the Lock card dialog box. 3. Select the Reason [Fig 30.3] for locking the card. This is mandatory to be able to lock the card. 4. Enter a mandatory Note [Fig 30.4]. 5. Click on the Lock Button [Fig 30.5] Search Cards [Fig 34.1] Allows the user to search for a card. Lock Icon [Fig 34.2] Click on this icon to lock the card and prevent activity on the card. Reason [Fig 34.3] Select reason for locking the card from the drop down menu. Note [Fig 34.4] Provides additional information surrounding the void. Please note that this information is mandatory. Click on the Unock Button [Fig 35.4] Search Cards [Fig 35.1] Allows the user to search for a card. Unlock Icon [Fig 35.2] Clicking the unlocks the card and allows the card to be used again. 36 ADDITIONAL FUNCTIONS VOID ACTIVATION STEP BY STEP The Void Transaction function allows the user to undo a card activation and the card reverts to an inactive status. Once the void is complete, the voided cards can be re-activated. A void activation can only be performed if: The activation date is the current date The transaction status is active No card in the transaction has been transferred No card in the transaction has ever been used Void Transaction 1. Click on Search Sales [Fig 36.1] and enter the card number of the card to void. 2. Click on the Void [Fig 36.2] which will open the void transaction dialog box. 3. Enter a mandatory Note [Fig 36.3]. 4. Click on the Void Confirmation Button [Fig 36.4]. Search Sales [Fig 36.1] Allows the user to search for the transaction that needs to be voided. Void [Fig 36.2] Click on this button to open the Void Transaction dialog box. Note [Fig 36.3] Provides additional information surrounding the void. Please note that this information is mandatory. 37 GLOSSARY Account Maintenance Fee (AMF) a fee which is automatically deducted from the remaining card balance after a pre-determined amount of time, as allowed by law. Please see the card back and card agreement for fee amount and schedule. Activity includes any actions performed on or with the card. This can include card activation and card usage details. Authorization Request is a type of card activity where a merchant has swiped the prepaid card through a register terminal or POS system. This will result in an approval or a decline. Approved authorization request amounts are held off of the customer s available balance until a matching settlement is received or the authorization expires. Card Type allows users to sell different types of cards. The card type is captured at the time of activation and shows on Information Center. The card types available in CardSpot are determined by merchant group management. Regular is always the default and may be the only choice. Campaign is any label affixed to a card sale; for example, it could be a name of a promotional campaign, the name of an event during which the card was sold, or label associated with the method of sale. This function allows the tracking and reporting of prepaid card promotions. Compliance Signage is signage provided by EML that must be displayed at each point of purchase. The signage covers the basic terms of the prepaid card including fees and any account expiration. If you require additional signage, please EML at support@emlpayments.com. Corporate Sale is any card activation where the purchaser/customer name is entered as a Company. Group is a consecutive set of cards. Group card sales are designed to make selling a large number of cards easier by requiring the user to swipe only the first and last cards in the group. For help reading card numbers, see Troubleshooting. Location Name is the place where the card activity occurred. For activity performed by users, like card status changes, this is the work station name. For purchase activity, this is the merchant name. Location Name can be anything of your choosing, but the same location name should not be used for more than one work station at any merchant group. If there are two computers at the customer service desk, the location names could be Cust Serv 1 and Cust Serv 2, for example. Any user can login at any location. Activating location names are an available reporting option. Lock is used to render a card unusable for purchases. A lock may be performed on a card due to loss or theft, for example. The system may place a lock on a card for suspected fraud. Merchant Group is typically synonymous with property. EML uses the term Merchant Group to encompass all groups of merchants - which includes not only shopping centers, but also shopping or commercial districts which are not physically located in a shopping center as well as dealers and store-level retailers. Per Card Fees are fees that are charged on each card in a transaction. The fee amount is multiplied by the number of cards to arrive at the per card fee subtotal. Plastic Expiration Date is the date the plastic expires. The plastic expiration date will be checked to validate the date has not passed. If a card plastic expires but funds are still available, those funds may be transferred to a new card. Purchase is a type of card activity where the merchant has settled a transaction usually after receiving an approval on an Authorization Request. The date and time reported for a purchase is the date/time when EML receives the transaction from the international credit card processing system and may not reflect the date/time that the card was used at the merchant. Sales Channel refers to the sale method (in person, online, or phone) for card activations. The sales channel is selectable per activation transaction or may be set to a default. Tracking the specific sales channel will allow users to report activations by sales channel. Settlements are transactions that a merchant has submitted for processing and payment. Merchants typically settle transactions at least once per day and it typically takes 2 3 business days for settled transactions to process through the international credit card clearing system. Status describes the current state of the card. Cards can be: Active card has been activated with funds and is usable for purchases Inactive card has not been activated Locked card has been activated with funds, but is currently unusable for purchases Closed card has been transferred Activation Locked card has been activated in a transaction that is currently locked Transaction Fees are fees that are charged at a flat amount on an entire transaction. Transaction ID is a system-generated number unique to each transaction. It appears on the transaction receipt and in most card detail views in CardSpot and CardSpot reports. Transfer takes the current balance of a card and transfers it to a new card. Unlock renders a previously locked card usable and active again. 37

38 Void reverses an activation transaction. Once the void is complete, the cards are like new and can be reactivated. An activation may only be voided if all of the following criteria are met: The activation date is the current date The transaction status is active No card in the transaction has been transferred No card in the transaction has been used. 38
