1 May 1, 2017 Dear Exhibitor: Welcome to! As the Director of Event Planning, & primary contact for your upcoming California Naturopathic Doctors Association event, I am happy to assist you with any questions you have regarding the planning phases of this event. It is our aim to ensure everything has been organized and communicated before your arrival, to ensure this will be successful event for all parties involved. Please review the following information carefully and complete the necessary forms in full. Please be sure to fax this information back to us no later than June 1, 2017 so that we can guarantee your requests. We feel it is important to inform you of a few rules and regulations that will assist you during set-up and tear down of your exhibit. They are as follows: 1. All Packages Must be Labeled with the following information or they will not be received, processed & delivered to your booth, or shipped out after your departure: (Sample Label Templates provided) California Naturopathic Doctors Association Meeting 6/9-6/12 Vendor Name Vendor Company Booth Number Box # of boxes Approval Code (This code is provided to you by the hotel once you submit your # of boxes & Credit Card Authorization without this code Listed the Hotel will not accept any box deliveries). Package Handling Fees: Boxes $5.00 each Crates $ each Pallets $ each 72 hour storage maximum, pre- and post-convention Any packages that arrive or depart more than three days before and after the program will be charged a $10 per day holding charge per box/pallet/crate. 3. partners with FedEx for complimentary package pick up (M-F AM & PM). Should you prefer to utilize UPS, you will incur any pickup fees that will be applied, and you need to call in your packages for pickup. The Hotel will not Schedule your pickups. 4. The hotel will not provide you or assist you with packaging for your out shipment. You will need to provide your own supplies such as Tape, Boxes, and labels. 5. On the set-up day for the show, the hotel will have a specified loading area, which is the back loading dock. Large trucks will not be permitted in valet and no deliveries will be allowed through the lobby. 6. Each Vendor Table includes the following at no additional fees: (1) 6 x30 or 8 x30 (determined by event contact) Table with Black Tablecloth (2) Banquet Chairs (1) Garbage Can
