1 Teradata Analytics Universe Sponsor FAQs TERADATA ANALYTICS UNIVERSE 2018 LOGISTICS: Q. When/Where is the Teradata Analytics Universe 2018? A. Teradata Analytics Universe 2018 is October in Las Vegas, NV at the Mandalay Bay. --Expo Hall & Welcome reception are in the Shoreline Exhibit Hall (South Convention Center, Level 2) --Meals are in the back of the Shoreline Exhibit Hall --Registration is in lobby area of South Convention Center, level 2 --Addresses & timeframes for Advance shipping to Advance Warehouse or for shipping on-site are in the Exhibitor Kit. ERC ACCESS CREDENTIALS - HERITAGE EXPO ACCESS CREDENTIALS MANDALAY BAY EXHIBITOR SERVICES ACCESS CREDENTIALS: Q. Why do I have (4) sets of access credentials? A. You have (4) sets of access credentials - -(1) for the ERC/Exhibitor Resource Center - your resource for all sponsorship information -(2) a username/ address & login for reviewing your staff registration reports from a link within your ERC Exhibitor Details section -(3) is from Heritage Expo Services (our Expo Management Co.) and you will use that access info when placing orders for Heritage services see Exhibitor Kit for details. -(4) is from Mandalay Bay Exhibitor Services and you will use that access info when placing orders for their services, which are Electric, Internet & Booth Cleaning - see Exhibitor Kit for details. Q. If I have other people in my company that need to access either the ERC, staff registration reports, or Heritage Expo Website or Mandalay Bay Exhibitor Website, do they need their own access credentials, or do we share the same set? A. The access credentials for the ERC, staff registration reports, the Heritage Expo Website, & Mandalay Bay Exhibitor Website are by Company, so if you have multiple people accessing these, they should all use the same Company access credentials for each site. EXPO HOURS MOVE-IN MOVE-OUT: Q. What is the Sponsor/Exhibitor Move-In Schedule? A. Exhibitor Move-In Schedule: Friday, October 12 th 8:00am - 6:00pm - Diamond & Platinum Non Turn-Key Sponsors ONLY Saturday, October 13 th 8:00am - 6:00pm - All sponsors set-up Sunday, October 14 th 8:00am - 2:00pm - All sponsors set-up, everyone should be setup by 2pm Q. What are the Expo Hours? A. Expo Hours Booths must be staffed during these hours: Sunday, October 14 th 7:00pm 9:00pm - Opening Welcome Reception in Expo Hall Monday, October 15 th 11:00am - 5:00pm Tuesday, October 16 th 11:00am - 5:00pm Wednesday, October 17 th 11:00am 3:00pm 1

2 Q. What is the Sponsor/Exhibitor Move-Out Schedule? A. Exhibitor Move-Out Schedule: Wednesday, October 17 th 3:00pm - 11:00pm (All Teardown Complete) Thursday, October 18 th 8:00am - 12:00pm (Trucks report no later than 10:00am) Q. When will we have access to the Expo Hall once the Expo/Conference starts on Sunday evening? A. During the Expo hours posted above & ½ hour prior to opening & ½ hour after closing anyone with Sponsor name on their badge SPONSOR/COMPANY INFORMATION & LOGOS: Q. Our Company logo/information is not showing up on the Sponsor listing on the Conference website? A. It is critical that you have provided your company information and the (2) required logo formats through your ERC - until we have this information, sponsors do not show up on the conference website. We update the conference website with sponsor information each Monday. If you have provided this information, and you are still not showing up on the conference website, contact paula.clouse@teradata.com Q. What Logo formats are required? A. We require that all companies submit (2) logo formats for use in electronic & printed conference materials upload under the Manage Files section of your ERC: -.jpg or.gif format -.eps, vector based format CERTIFICATE OF INSURANCE: Q. Who is required to provide a Certificate of Insurance? A. If your company has a booth on the Expo Floor, we require a Certificate of Insurance. You upload this under the Manage Files section of your ERC. Please submit/upload your Certificate of Insurance (COI) no later than Sept 14 via the Manage Files section of your ERC. It should be a Standard ACORD 25 Certificate of Liability Insurance for a minimum of $2,000, It should have in the Description section: Teradata Analytics Universe October 14-18, 2018 in Las Vegas, NV hosted by Partners User Group. Mandalay Bay & Affiliated Companies are included as Additional Insured in accordance with the policy provisions of the General Liability policy & including on-site setup dates starting 10/12/ & the Certificate Holder should be: Teradata Analytics Universe 2018 Partners User Group c/o Kathy Hastings 911 Coachman Drive Waxhaw, NC USA ---NOTE: There is a link to an example COI at the top of your ERC home page. 2

3 STAFF REGISTRATION & HOTEL RESERVATIONS: Q. How do I register my staff/people using our sponsorship conference passes? A. We will be using a code-based registration process for your sponsorship conference passes. --You received a registration link & a sponsor-specific code in your ERC welcome & it is included in the Exhibitor Details section of your ERC. --You need to provide this link & code to each of your staff that is registering using your sponsorship conference passes or you can use this code to register your people. --Your code will only allow the appropriate number of staff to register based on number of passes included in your sponsorship. All sponsorship conference passes are full conference passes your staff will have access to all functions and sessions except for any sponsor specific activities. Hotel reservations are part of the registration process & hotel room blocks expire on September 7. Q. How will I know who has registered? A. In the Exhibitor Details section of your ERC is a link & username/ address & password so that you can see who has registered with your code. You will click on the link & then provide the username/ address & password to see the report - this information was, also, included in your ERC welcome . Q. Someone registered for one of our passes, but I need to change/cancel that person what do I do? A. If you need to cancel/change a registration please send an to paula.clouse@teradata.com - detailing what needs to be done. Q. What if I have someone that is a Primary Speaker for a Virtual/Regular Track/Education session? A. If you have someone that is a Primary Speaker for a Virtual/Regular Track/Education Session, they will get a complimentary full conference registration & will be registered through the Speaker registration process Do not assign them one of your sponsorship conference passes. Q. What if I have someone that is a Secondary Speaker for a Virtual/Regular Track/Education session? A. If you have someone that is a Secondary Speaker for a Virtual/Regular Track/Education Session, they DO NOT get a complimentary full conference registration - you will need to either assign them one of the sponsorship conference passes or they will have to purchase a pass. Q. Are all of my sponsorship passes Full Conference passes? A. Yes - all sponsorship passes are Full Conference passes - entitling the holder to take advantage of ALL conference activities, sessions, etc. Q. Can I purchase Expo passes? A. There are no Expo passes for purchase. Q. What if I need more passes than my sponsorship allotment? A. If you need to register more people from your company than your allotted passes, you can purchase up to 5 additional passes at - by contacting: paula.clouse@teradata.com Q. Can I get a block of rooms at the hotel for my staff? A. You cannot reserve a block of rooms within the conference blocks - the only way to make a hotel reservation with the Teradata Analytics Universe hotel rate/room blocks is to make hotel reservations through the conference registration process. 3

4 Q. When will conference hotel room blocks expire? A. Conference hotel room blocks expire September 7, 2018, and may sell out sooner. Q. Someone contacted me about reserving hotel rooms for Teradata Analytics Universe should I book my hotel through them? A. NO - Hotel Room Phishing Scams are impacting some of our sponsors/customers.. The only way to make a hotel reservation using the Teradata Analytics Universe hotel room blocks is via the conference registration process. Any company or travel agency contacting you directly is not affiliated with Partners Users Group (PUG) or Teradata Analytics Universe in any way. While we may contact you for clarification once you've submitted a reservation, we will not contact you by phone, , fax, or mail to sell you a room. Entities doing so will make a variety of claims to entice you, i.e. claim they can get you rooms not available otherwise, rooms selling out quickly, they can offer better rates, Internet is included, free upgrades, and other sales pitches. Typically, guests who fall prey to such schemes arrive at their destination to find that no reservation exists, or that it had existed at one time but has been cancelled at the last minute (leaving the guest both without a room and liable for a cancellation fee) and credit card charges for the room on their credit card. MEETING ROOMS: Q. There are Meeting Rooms that are part of the some of the Sponsorship packages - where are they? A. They are in the Expo Hall & they have a number designation, ie 1, 2, for sponsors who have a Meeting Room, the meeting room assignment is in the Exhibitor details section of your ERC & were included in your sponsorship confirmation . Q. When do we have access to the Meeting rooms A. During Expo Hours Sunday, October 14 th 7:00pm 9:00pm - Opening Welcome Reception in Expo Hall Monday, October 15 th 11:00am - 5:00pm Tuesday, October 16 th 11:00am - 5:00pm Wednesday, October 17 th 11:00am 3:00pm Q. What are the Meeting Rooms equipped with? A. Each Meeting Room is 10 x 20 & will have an 8ft table & 6 chairs & Sponsor Logo sign on the door Q. Can I add carpet, furniture, electric, A/V, etc to my Meeting Room? A. Yes you would order any of these just like you would for your booth ordering info in Exhibitor Kit - but designate that it is for Meeting Room X instead of your booth # WIFI IN THE EXPO HALL: Q. Will there be WiFi in the Expo Hall? A. Yes - there is WIFI access in the Expo Hall, but if you need specific bandwidth for demos, etc. you should order hardwired internet for your booth ordering info in the Exhibitor Kit 4

5 LEAD RETRIEVAL: Q. How many Lead Retrieval units come with the booth package? A. You get (1) lead retrieval unit with your booth package. You do not order this, we will take care of ordering that unit. You only need to place a Lead Retrieval order if you want more than (1) unit in your booth. Instructions for ordering additional units is in the Exhibitor Kit. Q. Where/When can I pick up my Lead Retrieval unit/units? A. There will be a Lead Retrieval Service desk in the Expo Hall & you can pick up your units starting on Sunday, October 14. EXHIBIT SPACE & EXPO SERVICES Q. Does my exhibit space include Carpet, electric, etc? A. Your Exhibit space does not include carpet, electric, A/V, Furnishings, Floral, structures, etc. Ordering information/deadlines for all items is in the Exhibitor Kit, which you can access via the ERC x10 & 10x20 booths will have 8 back drape & side drape/rails. There will be WIFI in the Expo Hall - but it depends on your specific bandwidth needs as to whether you need hardwired internet in your booth or wifi specific to your booth if so, ordering instructions are in the Exhibitor Kit. You get (1) lead retrieval unit. Q. Are there Turnkey booths that I could order/rent? A. Yes, there are Turnkey booths for rent for all levels of sponsorship you will find all the information about the Turnkey booths in the Exhibitor Kit, which you can access via your ERC. Q. If I order a Turnkey booth, do I have to order electric, A/V, internet separately? A. You can order each of these items separately, or you can work with Heritage Expo Concierge Service & for a fee, they will order these items for your Turnkey booth more details on this in the Exhibitor Kit. Q. Can monitors be mounted in the Turnkey booths? A. Yes there are (2) kits required for each monitor - one from Heritage/Turnkey booth (TV Offset Kit) & one from etech/a/v (Wall Mount Kit) - you need to make sure both Heritage & etech are aware that you want your monitors mounted when you place your orders. Also, due to Union Jurisdiction, you will be required to have an electrician hang & plug in any wall mounted monitors this does not apply to floor or table stand monitors. Q. Where can I find the deliverable due dates/discount deadlines for ordering the various items? A. It is critical that you print out your Sponsorship level checklist from the ERC there is a link to this Checklist in the Exhibitor Details section of your ERC. This pdf/checklist details your deliverables & the various resources you need to complete that deliverable. The Exhibitor Kit is your resource for how to order various services such as carpet, electric, furnishings, etc. 5

6 RESERVED LUNCH TABLES: Q. There are Reserved Lunch tables that are part of the some of the Sponsorship packages - where are they? A. They are in the back of the Shoreline Exhibit Hall where the meals are each day - there will be table stand signs with the sponsors names on them on each of the reserved tables & we will take care of producing those signs & placing them. BAG INSERT: Q. We have a Bag Insert with our Sponsorship how many do I produce, where do I ship, etc? A. This is the process: -Bag Insert may be an item or a single page document no larger than 8 ½ x 11 -You must submit your item or document to paula.clouse@teradata.com for approval by September 21 -You will then need to produce 3500 of these items/documents & ship to the Advance Warehouse location by October 5 Your shipment must utilize the label/advance Warehouse shipping information provided in the Exhibitor Kit for Welcome Bag Inserts. -You need to send the tracking information for this shipment to paula.clouse@teradata.com so we know to look for it. VIRTUAL & REGULAR TRACK SESSIONS: Q. What is the difference between a virtual track session & a regular track session that is part of a sponsorship package? A. They are both sessions that will be part of the on-site conference program. Sponsor will get on-site attendee contact data for both kinds of sessions. Key difference is that the sponsorship virtual track sessions will also be recorded/available to the virtual audience for 45 days following the conference & sponsors will get virtual attendee contact data. Q. We had sessions that were selected through the Call for Papers will we also get attendee contact data for these. A. No. Sponsors will only get attendee contact data for sessions that are part of their sponsorship package. Q. Who is the contact for the logistics for the Virtual/regular track sessions? A. Your contact is Emily Winchell - Emily.winchell@teradata.com - she will provide you all the logistics, how to upload your session information & manage registration of your primary speaker. Q. Who do we contact about getting the on-site attendee data for our sponsorship virtual/regular track sessions? A. Paula Clouse - paula.clouse@teradata.com - is your contact for this. You will be provided this data within 48 hours of your session at the conference - it will include name, title, company, address. Q. For those of us that have Virtual Track sessions, who do we contact about getting the virtual attendee data? A. Kim Saldana will be your contact for this deliverable her is ksaldana@wilsonadv.com - All sponsors who have this deliverable as part of their sponsorship have been provided to Kim. 6

7 Sponsors with Virtual sessions and/or Virtual booths as part of their sponsorship, will receive the contact data from virtual attendees who watch their session or visit their virtual session or virtual booth during the conference or the 45 day timeframe following the conference - the contact data we will provide is name, title, company, & address. Kim will provide this data on October 31 for any activity during/following the conference & then on December 3 will be the final report. VIRTUAL BOOTH SPACE: Q. Virtual Booth Space is part of the some of the Sponsorship packages - how does this work, who do I contact with questions? A. You have the option of creating a Virtual Booth Space within the Virtual Expo for the Conference which will remain available for 45 days following the conference. It should include your logo & up to 6 links to documents, demos, etc. plus an address so that virtual attendees can ask questions or request someone to contact them. ---Kim Saldana will be your contact for this deliverable her is ksaldana@wilsonadv.com Kim will provide you instructions for creation of your Virtual Booth by August 1. You will then have until September 30 to create your Virtual Booth. --- Sponsors with Virtual sessions and/or Virtual booths as part of their sponsorship, will receive the contact data from virtual attendees who watch their session or visit their virtual session or virtual booth during the conference or the 45 day window following the conference - the contact data we will provide is name, title, company, & address.
