3 1. Corporate Valk Account You have special corporate rate agreements at one of the Van der Valk Hotels. From now on you have the possibility to directly book a room online yourself, with a reduced rate. Before you can make your reservation, you need to create a Corporate Valk Account with the address you would like to receive your reservation conformations on. You can make, view and manage your reservations with your Valk Account. You can create a Valk Account by clicking on My Valk Account at the top of the hotel site. As the main booker, you are connected to the Corporate Profile with your address. This is the address that you need to use to register your Corporate Valk Account. Please note! Choose a Business account (see image 1). We would like to receive the names and addresses from the different main bookers so that we can connect all of them to the Corporate Profile. They also need to use this same address when they register their Corporate Valk Account. If your are the only main booker, you can skip this step. When you make reservations for one of the other Van der Valk Hotels where you do not have a corporate contract and price agreement, you can use the advantages of Valk Loyal when you make an online reservation with your Valk Account. Information about the the advantages and terms for Valk Loyal ise available on The Valk Loyal program is not applicable for Corporate reservations. Image 1. Creating a Corporate Valk Account 1
4 2. Logging in The Corporate Valk Account As soon as a Valk Account is created and we have connected it to the Corporate Account, you can log in. You will be able to find all your reservations in Corporate Valk Account. Paste /corporates behind the URL of the hotel site you would like to make a reservation on, e.g. Image 2. Loggin into the Corporate Valk Account If you logged in through the hotel site with your Valk Account, you can continue to the bookingtool by clicking on Book a room in the right upper corner of your screen. You will then able to see the corporate rates. It is also possible to log in to your Corporate Valk Account when you are already in the bookingtool. Before you select a date, you can click on Log in in the upper right corner. You will then get the option to choose between booking through your Corporate account with the agreed rates and the matching terms, or with your private account. 2 Image 3. 5 When there is a green line underneath Account in the upper right corner and the dates in the calendar have green corners, this means that you are logged in to your Corporate Valk Account and you can book the corporate rates. Date, number of rooms and travelling party When you are making a reservation, you select the check in and check out date first. Then you choose the number of rooms that you want to book for that date. There is a maximum of 5 rooms per booking. Select the travelling party per room. After this click on Show available rooms. 6 3.2. Selecting room type and accomodation For every room you have selected, you can choose between the different room types available for the agreed rate. Depending on the hotel, you will also get the possibility to make the reservation for a room with or without breakfast. Image 7. Room selection 3.3. Personal details After selecting the room, you will see an overview of your personal details. These details will automatically be copied from your Corporate Valk Account but they can be adapted if desired. In this step, you can also notify the hotel any special requests you might have and you can assign one or multiple rooms to someone else s name. Please nite! You do not need to put your company s name on the invoice (see image 8). Your Corporate Valk Account will automatically do it for you. When you do fill this in yourself, your corporate booking can t be sent to the hotel s booking system correctly. 4

8 3.3. Summary The summary show all the selections you have made. You can enter a cost centre and a reference if desired. Image 9. Overview of the booking, and the optional cost centre and reference 6
9 3.4. Select payment method Different parts of the accomodation can be chosen to be paid on account by the corporate or by the guest. It s also possible to pay the booking in advance using ideal or a credit card. Image. Selecting a payment method 3.5. Confirmation page Selecting the payment method (and possibly paying in advance) are the last steps to finalize your booking. After this you will see a conformation page with an overview of your booking. From this page you can make a new booking or go back to the hotel site. You will also get a conformation by . 7
10 4. Modifying/cancelling In your Corporate Valk Account you can see an overview of all your current, past and cancelled bookings. You can also change your personal details and modify your current bookings. As soon as you are logged in through the hotelsite with /corporates behind the URL (see 2. Logging in on page 2) you can modify, cancel or make an advance payment in Current reservations. After you click Current Reservations, you can choose Details for any reservation. A sidebar will open where you can select one of the three options. Cancelling You can cancel your reservation through your Valk Account or by calling the hotel reception. The agreed terms and conditions apply. Modifying You can change the check in date, the number of nights, the check in time, the check in name, the travelling party and the room type. 11 5. FAQ 5.1. I get an error when trying to create a Corporate Valk Account The address does not correspond to the registered address for the main booker(s). Check whether the correct address was ed to us to connect to your corporate. This is the account you can log in with. Another possibility is that a (private) Valk Account already exists on this address. It is not possible to register multiple Valk Accounts to the same address. You will need to convert your existing account from a private account to a business account (see 5.2). Of course when you already have a business account connected to the address, you do not need to create a new account. You can use the existing business account to start making your corporate bookings I accidentally created a Private Valk Account Log in to the existing account, choose Change my details and change the accounttype. 12 5.4 I m getting the wrong rates in the booking tool You might not be logged in with your Corporate Valk Account. If there is nog green line underneath Account and no green corners next to the dates, you need to log in again (follow steps of 2. Logging in on page 2). 5.5 I m not seeing any rates, the booking tool does not show availability It is possible that your session has expired. Try to log into your Corporate Valk Account again. If this does not work, please contact the hotel. They will be able to check the availability for you. 5.6 I can t select a specific date Unfortunately, there are no rooms available for the corporate rate. You can recognize this by the grey color of the box and date, and the stop sign next to your cursor. 5.7 I have to fill out all of my personal details You are not logged into your Corporate Valk Account. Try logging in again (follow the steps of 2. Log in on page 2). 5.8 I didn t receive an confirmation It is possible that something went wrong while completing the reservation. Please contact the hotel directly. They can check whether the booking was successfully completed or not, and they can send your conformation by I can t cancel my reservation You cancel your booking through your Corporate Valk Account up to 24 hours before check in (follow steps of 4. Modifying/cancelling on page 8). Contact the hotel reception if you see an error while trying to cancel your reservation. They are be able to cancel the reservation for you.
