1 DestinationWeddings.com Training Group Agreements: Adding on Airfare with Funjet Vacations Please note the following instructions are only for groups confirmed with Funjet Vacations. Process for Booking Individual Air for Guests on the Group: o To book air individually for any of the guests, you will need to contact your Group Agent directly for pricing and booking these reservations Sam: / ext Chris: / ext Karen: / ext o OR, you can the DWgroups@marktravel.com and one of our agents will price out the air and call you to confirm or apply names/payments. IF ing, please include the origin/destination, dates of travel, full legal passenger names & birthdates. If you already have a flight option, please include that as well. o Funjet will price the airfare for you and book the reservation. You will have to apply the full cost of the air within 24 hours unless the flight is Bulk, which has different payment policies. Funjet will hold a reservation for 24 hours while your clients decide if they would like to move forward, but cannot guarantee rates until a booking has a payment applied. **If you are booking an Air Reservation with us, this is made in VAX and you will need the full legal names, address & you may need the 3 digit security code for the Cardholder. If you do not have the security code, let you agent know and we will apply the payment in a different system. o If you are unable to reach your Group Agent, you may contact Sue Schmitz or Katie Cupertino on the 500 Club Desk as a backup support: To reach Katie or Sue, call , Option 2, Option 1-next: Prompt 1=Sue, Prompt 2=Katie. The 500 Club Desk hours of operation are 8:30am-6pm CST Monday-Friday. o Unfortunately at this time Funjet does not have a way for agent to search for scheduled air only on their own through VAX or AgentNet. The agent will need to call or to confirm rates and availability. o If anyone wishes to purchase Funjet s new All in One Complete Coverage, this WILL cover the airfare as long as the Group Reservation number is provided so that we can cross reference the bookings. A grid in included below with the Insurance prices. Complete Coverage should be added to the air reservation and paid for with the air. IF the customer had previous purchased and paid for Land only Complete Coverage, they will need to pay just the difference between the land only rate and the FIT rate and your Group Agent can move the other monies over to the FIT reservation from the Group to cover the full cost of the insurance.
2 Group All in One / Complete Coverage Rates Policy Hotel Only Costs Charter Air/Hotel Scheduled Air/Hotel FIT rates Adult 1-4 nights $49.99 $69.99 $89.99 Adult 5+ nights $69.99 $89.99 $ Under 1-4 nights $29.99 $49.99 $ Under 5+ nights $49.99 $69.99 $89.99 You need to send a quote to the clients for the airfare rates through the DestinationWeddings.com website so they can accept it and submit a credit card authorization form. If the quote is not accepted on the same day, then you may need Funjet to requote the airfare if the rates change. When the quote is accepted and the cc authorization form is submitted, you can move forward to make the reservations by calling Funjet back. Once you have the airfare booked with general reservations, please the reservation number to the Funjet Vacations Groups Department and ask for it to be cross-referenced into the group. Example of to dwgroups@marktravel.com: Documenting Air Information in Our Website: o In our system, go to the wedding website to note the air reservation numbers on the rooming list. Go to the Groups tab in the wedding and then click on the link labeled Rooming List.
3 o Enter in the individual booking # into the remarks section for the particular guests who have booked. If the booking was made in Quest, you can also note that. Make sure to click the Save button after making any changes. o To invoice any individual air, you need to create a separate invoice in the wedding. Do NOT include the group land and individual air on the same booking. To make the air only booking, go to the Bookings tab in the wedding and then click the link Enter a New Booking. o Fill in the booking like normal (add in passenger names and address). When you get to the Booking Details section, choose Non-Group Reservation from the Room Request drop-down box as this is an air only booking. You do not need to enter anything in the Upgrade Category box (it should say ***Not Required***). o Choose the correct wholesaler as Funjet Vacations. o Continue to fill in the booking like normal. When you get to the Hotel/Resort information, choose Other from the Destinations drop-down box. It is at the very bottom of the list under all of the United States locations.
4 o Then choose AIR ONLY for the hotel from the second drop-down box. o Continue to fill in the invoice with the payment details for the air amount only. The Confirmation code should be the confirmation number of the individual air reservation. This is important because if you did invoice the land and air together (which you should not do), you will have to fix it and separate the land and air into two separate bookings. o Click the Submit Booking button once finished and send the invoice to the client like normal. Once the invoice is sent to the client, their names will appear on the Booked Guest list. Since there are two booking for the clients now, they will show up twice on the list.
5 o You can hide the Air Only bookings if you wish to do so. Click the link labeled Switch to Agent View. o Click the blue Hide buttons next to each guest s name for the AIR ONLY reservations. o Click the link labeled Switch to Client View. The next time the clients log in, they will only see the guest names appear once with the hotel they are booked at, as the Air Only reservations have been hidden.
