How to create a Group. Part 1: Create your Group Administrator account

1 Please use these screenshots to guide you through the registration process Part 1: Create your Group Administrator account Step 1: Read the Group information and select Proceed to Group Registration
2 Step 2: Select create group account Step 3: Fill out the highlighted fields for Group Represented and Group Information Step 4: Complete the highlighted fields for Billing Information
3 Step 5: Fill out the highlighted Administrator Information fields and create your own password. The person you enter here is the leader of the group and at this time only has authorization to make changes or pick up the badges. You can later in the website, add a contact to the account if a different person will be picking up the badges. Step 6: Review your information to ensure accuracy
4 Step 7: Select a badge and meeting materials pick-up option Step 8: Select whether or not you have completed a hotel reservation (Note: There is an additional fee of $300 for each delegate if you choose not to book your hotel through the ASCO Annual Meeting Customer Service Center)
5 Step 9: Write down the login number and password and keep this information in a safe place (you will need this information to access the group registration website and to register delegates online) Part 2: Register Group Delegates Step 1: Enter your login number and password and select Sign In (this information is provided after creating the group account on the left)
6 Step 2: Select Add Registrations to Group Step 3: Type in the address or ASCO ID for the designated delegate (NOTE: Each delegate must have his/her own address ***NO DUPLICATES!)
7 Step 4: Select register next to the name of the delegate you would like to register Step 5: Enter the contact information (fields shaded in gray will display on the badge). **Information with astericks must be completed to continue**

9 Step 6: Choose whether or not you would like to purchase the Pre Annual meeting sessions
10 Step 7: Choose whether or not to purchase the ticketed session package, you can only select one extra session until April 27 th.
11 Step 8: Choose whether or not to donate to the foundation. There is a $50 dollar minimum for the shoe lace donation Step 8: Choose whether or not you would like to purchase Bistro lunch tickets
12 Step 9: Enter guest name if one is attending. Please note what the guest has access to if you do select to purchase a spouse/guest badge. Step 11: Meeting Materials information
13 Step 10: Review the registration information you just created
14 Step 11: Registration confirmation - please keep the delegate s 6-digit registration ID for your records How to get an invoice and make a payment: Step 1: Select Print Group Invoice/ Receipt...if you need a custom address on the invoice please contact ascogroupreg@spargoinc.com and provide the information needed on the invoice

16 Step 2: Select Make a Payment/ View Company Fees Step 2: Select Pay Group Fees to see all types of payment accepted and wire information. Select Fee Details to see the registrations included in your balance due. Please allow for hours from the time you make payment by credit card for the money to reflect in the individual registration records.
17 How to access the import spreadsheet and informational documents: Select Download Import Spreadsheet This will open a file with several documents containing the FAQ, import instructions, the spreadsheet, and a payment worksheet. REMINDER!! You must have 50 or more registrations on the import. It will be returned for online registration if you do not have 50 or more names.
18 How to add additional group contact to pick up badges: Select Add onsite contact/badge pick up appointment. If you selected to have your delegates pick up their own badges in the beginning of the process you will have to update and select View/Change Badge Pick Up Option first below the highlighted yellow option. ASCO policy and group policy is that we do not release badges to anyone but the listed group contact or onsite contact. If you do not add an additional person or contact us to switch the main group contact, will not release the badges to anyone but the individuals themselves.
19 Once you enter the onsite contact information, please enter the amount of estimated registrations you believe you have/or will have and then select Save Changes Select the appointment you wish to have by clicking on the time, if you do not see a time slot you wish to have, they are sold out and you must select from what s available.
20 Review your information and if you do not need to make any changes select Return to the Main Menu
21 How to cancel/modify and substitute a registration: Select the first letter of the last name of the person you would like to modify or cancel There are several options you can select from this page. -Add or Modify events, you can add sessions and bistro tickets to this record -Print Visa letter, this record must be paid for and complete before the visa letter will be accessible -Send to yourself of the records confirmation or send the confirmation to the attendee
22 -Substitute or Cancel the record (instructions below) Select Submit Cancellation Only if you do not have an new attdendee to replace them or Select Cancellation/Register Another Delegate Now if you have a new attendee to replace them.
23 You will now enter the new attendees unique address or ASCO ID. Your previous registration record for the past attendee has been canceled. If you do not continue with a new attendee registration, you may encounter a higher rate at a later date. This will now take you through the registration process again for the new attendee. *** Once you cancel a record and substitute, please allow up to 3 business days for the refund to appear in your group account and the money to be transferred to the new attendee If you select Submit Cancellation Only you will then receive this screen that the record has been cancelled and select Return to group registration main menu *** Once you cancel a record, please allow up to 3 business days for the refund to appear in your group account
