2 Please turn off any pop-up blocker you may have. New Organization: Go to The Registry s website Scroll down to the Don t have an Account? box. Under Register as:, click on Organization The Organization Registration page will appear. Fill in all information requested regarding your organization. Be sure to check the Training Sponsor Organization box. 1

3 At the bottom you will click submit. Information with an asterisk (*) must be filled in completely. Your information is now under review by The Registry. This could take 1-3 days. Once your account has been approved, an will be sent with your log-in information. You will then go back to The Registry s website and this time you will log in as an organization. 2

4 You are now logged into your account and you would like to enter a training event. On the left hand side of your screen there will be a box that is labeled Organization Links. Inside this box you will click on Sponsoring Events. Because this is your first time entering events on the new website your account will not have any events listed. All events from the old system did not move over to the new system. You will need to re-enter any previously submitted courses for which you want to print barcodes or enter a roster. On this screen you will want to click New Event. 3

5 You will now see the Event Entry page. Here you see a drop down box called Select Course. If you have previously entered a course, you will see it there and you may choose that course if you want to teach that course again. If you want to add one not yet listed, choose new course. If you choose new course, you will see a version of the screen below. If you are approved to teach Entry Level courses or other courses with special qualifications, you will see them listed here. If you are entering a general training for which you want to print barcodes, click the Add Course button in the General Training section. 4

6 You will now enter the details for your training on these Event Entry pages. As well as course details, you will be asked to enter how much time will be spent on each Core Knowledge Area. You can breakdown your training into as many core knowledge areas and the amount of time in each area as you feel best fits your training. You will need to click on the box next to the Core Knowledge Area type before you can enter the number of hours. The total number of hours in the core knowledge areas must not exceed the total number of hours of the training. The next hourly breakdown is for the CDA (Child Development Associate) Content Areas. These are the content areas that those seeking a CDA need for reporting their training. Again, you can breakdown your training into as many areas and the amount of time in each area as you feel best fits your training. You will need to click on the box next to the content area before you can enter the number of hours. The total number of hours in the content area must not exceed the total number of hours of the training. Fill in the description and additional information with as much or as little as you feel necessary. 5

7 After you have completed all information, click the Save button on the bottom of the page. You will now see the Success screen that tells you the information regarding your course has been saved. Hit the Next button to continue. The next page asks for trainer details. Because this training is not a Registry Approved Training that requires a Registry Approved Trainer, you will want to click No for the approved trainer. Enter in your trainer s name and organization and qualifications. If your training has more than one trainer, click on the Add Another Trainer link. When you are finished entering all trainer information, click Next. 6

8 You now need to decide if there is an assessment piece to your training. If so, you can mark the appropriate one. If not, you can leave it unmarked. Click Next. Is this event self paced? Most events are not self paced. Leave it no and enter the date, time and registration information. Click Next. You are now on the last page. You need to enter the location of your event. The Contact Information will be auto filled with the information you submitted when setting up your account. Click Save Event. 7

9 When you save the event, you will see the Success screen. Hit the Return button to go back to see your training listed on the Event Page. The Status of your training will be Pending until it is reviewed. The review should take no more than 3 days. Once your Status reads Approved, you can then click on the link under the training title for which you want to verify attendance. 8

10 Verifying Attendance You will see the Event Detail page. Please note that you can duplicate this training (button at the top of the page) and enter new dates for the training if all details of the training are otherwise identical. Registered Barcoded Training To print the Attendance form containing the barcode number, click on the Certificate of Attendance link. You will notice that the barcode format has changed. We no longer have you print barcodes on labels. You now can print the barcode and number on a sheet of paper. This document is to be given to those that take the training such as the barcode labels were in the past. You will see the form is divided into 2 sections. The top and bottom both have training details. The student is to keep the top half for their records and send the bottom half to the Registry with their applications. Those offering Registered Barcoded Training may also enter the roster of attendance if they wish. (see Entering the Roster below). Entry Level or Tier 1, 2 or 3 Training The Enter Roster button and Attendance Form link are for those entering Entry Level courses or Registry approved Tiered courses. It is important to print the Attendance Form and distribute it to the students before the course begins. This form asks for information critical to entering students into the system. Within 1 week of the course completion, log into the account in which the training was entered either the trainers account or the agency s account. Click the Enter Roster button. 9

11 Entering the Roster You will now see a page where you will begin to enter your attendance from the Attendance Forms. Search for individuals by Registry ID, first name, last name, or address by entering one of those items in the yellow box and click on search. When a Name is Found A list of names will appear that fit the criteria you have entered. If you find the person you are looking for, click on the word Add at the end of the column. You will then see the name added to the Event Roster at the end of the page. If you want to remove the name, click the Remove link on the right. To continue to add names through the search, put another search item in the yellow box at the top and click the Search box again. Hit the Return button when your roster is complete or if you need to end the session. Your entries are automatically submitted to the Registry when you add them to the Event Roster. 10

12 When a Name is Not Found If you enter one of the search items (Registry ID, first name, last name or address) and no match is found, you will see the words No individuals found. A drop down box will appear where you are to fill in all the required fields. You should have all necessary information needed on the Attendance Form filled out by the students. If you enter one of the search items and a list is generated for which you do not find the person you are looking for, click on the Add New Student link and the drop down will appear for you to fill in the details from the Attendance Form the student filled out. When you hit Submit a record is created for that student at the Registry. Thank you for using the Registry PDAS.
