1 Setting up the Collaboration Center for a Client Save Search 1. Starting on the search you just completed for your client, click on Save Search located above the search criteria to open the Save Search popup window. NOTE: You cannot have more than 500 results saved to a client under save search. 2. The Save Search popup window will open. Click on the Contact tab. 3. Under the Contact tab fill in the available fields. Name your Search o Create a unique and descriptive label for the Saved Search. Avoid using special characters like!*@% etc. Assign to a Contact o If you need to add a new contact, click the New Contact Button. o Fill in the appropriate information. Remember to enter a primary address. o Click Save at the top left side of the screen. Save o Click Save & Notify A new tab will open in the buyer activity page for this contact. From here you will choose the notification options for the search. 1

2 Buyer Activity Page 1. Change the Notification Option to Collab Center with Auto-Notify. This will open the Collaboration Center options for your client. 2. Click on Notification Settings to configure the auto notifications that will be sent to your client. 2

3 Notification Settings Client Options: Customize Notification Body The body of the message automatically uses your Default Message Body and Default Signature. You can customize this by clicking on the Message Body link. This customization will only affect this one notification and will be used each time a notification is sent. Notification Date Range Date Range Begin/End determines when the Auto-Notification process will start and finish. The default setting is for one year. You will receive an alert message in the Message Center Home Page Widget when the Auto-Notification is about to expire. Notification Trigger Select the notification type to trigger an based on this selection. 3

4 Client Scheduling: Choose how often the client will receive an notification. Choose immediately to have the sent every 15 minutes if there is a match. Choose recurring to set a time for a daily, weekly or monthly to be sent to the client containing all the matches to their search for the last 24 hours. Click Modify Time Frame and the Auto-Notification Recurrence modal will open. (TO:) Recipients The To field will be filled out with the contacts address as entered in the contact information tab. Notify Spouse/Secondary A spouse or secondary may also be notified by selecting this box. Subject The subject line is automatically filled in using Activity notification from your Collab Center Site; this can be changed by typing new information into the Subject field. Agent Notifications Agent Notification determines when you, the agent, are notified of any changes or messages. Collab Center Preferences This is a quick link to the main Collaboration Center preferences. Any changes made will affect ALL Collaboration Center sites. Includes: Agent Name Display Primary Phone Number Primary Phone Number Selection Display Secondary Phone Number Secondary Phone Number Selection Display Address Display Web Page Display My Story Video My Social Networks My Story Video Link Agent Image 4

5 Setup Complete Once the Notifications and Preferences have been set, click Send Link to send the Collaboration Center information to your client. Alter the body of the message as you see fit. Click Send. 5
