3 Introduction This user guide is especially for teachers who take in charge of eclass Teacher App at schools. It provides eclass Teacher App s basic application on management level in eclass intranet, which mainly focuses on practicing the relationship between eclass platform and eclass Teacher App. 1. Login eclass Teacher App Mobile Phone Interface Open a browser and enter school s intranet website. Enter your login ID and password. Enter school intranet website Enter your login ID & password P3

4 2. Settings 2.1 Right Settings (By eclass Administrator) Before using eclass Teacher App functions, the following rights are required to set. Enter School Settings > Role. Click to add the group for adding different modules administrators, e.g. Teacher App Admin. After adding the group, click it to add relevant members. Add members P4

5 After adding members, click Module Administration to select to add relevant module rights. e.g., 1. If eclass App needs to be administered, select eclass Teacher App Admin. 2. If instant messages are required to send, select Teacher Notification (eclass App) Admin. 3. If the right of ecicular is needed, select ecicular Admin. 4. If the right of Announcement is needed, select School News Admin. 5. If the right of enotice is needed, select enotice Admin. 6. If the right of the school calendar is needed, select School Calendar. The following modules are bought exclusively. 7. If the right of eenrolment is required, select eenrolment Admin. 8. If the right of Student Attendance is required, select Student Attendance Admin. After selection, click Save. P5

6 2.2 Applicable Function Settings Schools can set up what functions teachers can view and use in eclass Teacher App (Settings at eclass App). Enter eadmin > General Management > eclass App. Enter Function Access Right under Teacher App, click Edit. Specify the functions by Edit. P6

7 2.3 School Badge and Background Picture Settings Enter Teacher App > School Image. Click Edit to upload pictures. Then, click Submit. School Badge and Background Image 2.4 Login Status Enter Teacher App > Login Status > Logged in user. Press Export / Print to obtain login users' list. Export / Print to obtain login users' list Enter Teacher App > Login Status > Not logged in user. Press Export / Print to obtain non-login users' list. 8 2.5 Advanced Setting A) Push Message Right The right allows teachers to receive push messages while log-out. Enter Teacher App > Advanced Setting > Push Message Right > Edit. B) Staff List Right Staff List allows users to view teachers' contacts. (Refer to 3.8 Staff List) Enter Teacher App > Advanced Setting > Staff List > Edit. Select Authorized Role > All Staffs or Authorized Staff > Submit. Select Able-to-view group > Enable all groups or Enable specific group(s) or Disable > Submit. P8

9 C) Student List Right Student List allows to view students' information, such as class, date of birth, contact, extracurricular activity and so on. (Refer to 3.9 Student List) Enter Teacher App > Advanced Setting > Student List > Edit. Set the access right to view all students' list, student's contact info, send push message to own class's parents and all parents. Press Submit after finish. P9

10 3. Information delivery and its procedures 3.1 Teacher Notification (eclass Teacher App) Through receiving push notification, teachers can know schools urgent information. Administrators please follow the steps below to publish eclass Teacher App Push Notification. A) Push Notification Management Enter eadmin > General Management > Message Center > Push Notification (Apps) > To Staff > New. Send Message with the Same Content Choose Same in Push Message(s), and enter Title and Message Content. Then, choose Target Teachers (All teachers or Specific teachers). Click Submit. Select "Same" Enter Title and Content Set Send Time Select Recipient (s) P10

11 Send Messages with Different Content Click different messages for different recipients (using CSV import) for different content. Click to download the sample file and enter the required information. Click Save and then Submit. Sent successfully will be shown after you send the message. Click the message title to check the status of the message. P11

12 B) View Push Message on mobile phone Teachers will receive push notification after schools send out push message. As the same time, teachers can login Teacher App to read previous messages. Push Notifications Preview Select Push Message. Push Message at the Teacher App. P12

13 3.2 eattendance(student) [Add-on module] From the card information of the ismartcard, it can record students' attendance status. eattendance can view students arrival or leaving time at eclass intranet or Teacher App. A) eattendance Management Method (1) : Taking attendance at eclass intranet. Enter ismartcard. Select Class and click on View. Once students tap their cards at schools, eattendance records their arrival time. After checking records, click on Submit for confirmation. P13

14 B) View eattendance(student) on mobile phone Method (2) : Taking attendance at eclass Teacher App. Select eattendance. Select Class. Tap the photos of the students to change students' status individually. Then click on "Student Attendance" has been taken successfully. Confirm to submit. Filter Student's Status P14

15 3.3 ecircular Staff can sign ecircular via both eclass intranet and Teacher App conveniently and effectively. ecircular not only allows users to check previous ecircuar records, but also be environmental friendly. A) ecircular Management Enter eadmin > Staff Management > ecircular. Press New to insert a new ecircular. P15

16 Add New ecircular. Select recipient(s), load form template if necessary. Enter Circular Number, Title, Start Date, End Date and Content. Insert attachment if necessary. Press Edit to edit reply slip (See p. 17). Check Notify staff using Teacher App push message for push notification. Press Submit when finish. P16

17 Edit reply slip. 1. Enter Topic / Title. 2. Select Format and Options (Applicable for Multiple Choices). 3. Press Add. 4. Enter answers for True or False and Multiple Choices questions. 5. Press Save when finish. Click to move the order; click to delete; click to amend topic/ title. P17

18 B) View ecircular on mobile phone Teachers sign ecircular at the eclass Teacher App. Select ecircular. View all ecircular records and Click on Sign. Click the ecircular to sign and view the details. Sign the ecircular. Push Notifications Preview Push Message at the eclass Teacher App P18

19 3.4 imail A) imail Management imail Management is set at eclass IP Administrative Console. Enter Admin Console > Settings > Function Settings > imail Settings. Default Usage Rights and Quota: Set the default Quota (in MBytes) for different identity. User Usage Rights and Quota: Set storage capacity for individual user(s). Restricted Senders: disallow individual user(s) the function of sending imail. Prohibited Words prohibit specific words in the imail. Mail Removal by Mail Subject: delete the relevant messages by imail header P19

20 B) View imail on mobile phone Teachers can send imail on eclass Teacher App anytime and anywhere. Select imail. Click on to compose new mail. Enter Subject and Content. Click on to extend the recipient list. Select Click on to send. Recipient(s). P20

21 3.5 School News Through publishing school news, teachers can be updated on schools latest announcement. A) School News Management Method (1) : Publishing School News at the eclass platform. Enter eadmin > General Management > School News > New. Add a School News. Select Start Date and End Date. Enter Title and Description. Check Send eclass App Push Message to users for push notification. Check Public Announcement for School News. Press Submit when finish. P21

22 Method (2) : Publishing School News at the eclass Teacher App. Press + to add a School News. Select School News. Enter Start Date, End Date, Title and Description. Check Send eclass App push message to users and Public Announcement, then press Submit. P22

23 B) View School News on mobile phone Teachers can view School News at the eclass Teacher App. Select School News You can read all the School News. Click any individual School News in detail. Push Notifications Preview Push Message at the eclass Teacher App P23

24 3.6 enotice enotice is a channel which allows schools and parents communicate more effectively. Parents can sign online school notice; as the same time, teachers can check reply slips at the eclass Teacher App. A) enotice Management Enter eadmin > Student Management > enotice > Parent-signed Notice Press New. 25 Add a new enotice. Select recipient(s). Load form template if necessary. Enter Circular Number, Title, Start Date, End Date and Content. Insert attachment if necessary. Press Edit to edit reply slip (See p. 26). Check Notify staff using Teacher App push message for push notification. Press Submit when finish. P25

27 B) View enotice on mobile phone Class teachers can log in eclass Teacher App to check enotice records. Select enotice Teachers and person-incharge may read relevant enotice. Students' names in black represents that their parents have signed enotice. Filter status Click on the students' names to read their reply slip in detail. P27

28 3.7 School Calendar Electronic school calendar allows schools to add school events, holidays, group events and academic events. A) School Calendar Management Enter School Settings > School Calendar. Method (1): Click Import Holidays/ Events Method (2): Click specific date to add holiday or event. P28

29 B) View School Calendar on mobile phone Teachers can check school events, holidays, group events and academic events at the eclass Teacher App. Select School Calendar. Teachers can view school events and holidays. P29

30 3.8 Staff List Staff List allows teachers to send imail and call other teachers more conveniently. A) Staff List Management Enter eadmin > Account Management > Staff Account > Account. Click teachers' names and enter contact numbers. P30

31 B) View Staff List on mobile phone Teachers can call users and compose imail at eclass Teacher App. Select Staff List. You can navigate staff's profile and search by users' names. Click on or to call users to compose an imail. Call user Send imail P31

32 3.9 Student List Teachers can navigate students' profile, call students and compose imail at eclass Teacher App. A) Student List Management Enter eadmin > Account Management > Student Account > Account. Click students' names and enter contact numbers. P32

33 B) View Student List on mobile phone Teachers can navigate student status at the eclass Teacher App. Select Student List. Class Teachers can click on to view students' profile. Click on to view all attendance status of the students and their personal data. Click on to call and to compose imail. P33

34 Class teachers can send push message to parents at the Student List. Select Student List. Class Teachers can click on to send push messages to parents. Enter Title and Content, then press Send. P34

35 3.10 eenrolment [Add-on module] Teachers can use eclass Teacher App to eenrolment to take students attendance. A) eenrolment Management Enter eadmin > Student Management > eenrolment > Management > Club. Select Person-in-charge. Click on calendar to schedule. Teachers will find their responsible societies and activities at eclass Teacher App. Please refer to eenrolment Management for eenrolment settings. P35

36 B) View eenrolment on mobile phone Teachers can use eclass Teacher App to take attendance for eenrolment. Select eenrolment. Select Club or Activity and Date. Check the status of the students and take Attendance in eenrolment has been taken successfully. attendance. Press Select All in order to change students' status. Press Confirm to submit. P36

37 3.11 Student Performance Teachers can score and comment their students' performance in the class. Student Performance can improve the participation of the students, and also facilitate teachers to record continuous assessment grades of ones. A) Student Performance Management Enter School Settings > Subjects > Subject Group > Edit This Group. Select Group Teacher > Submit. P37

38 B) View Student Performance on mobile phone Select Student Performance. Select Class. Select Student. Tap the score and enter comments. Then press Submit. P38

39 Select Score. Click on Cumulative Score. Give comments for previous score and View previous comments. click Submit. P39

40 3.12 Group Message (This feature is applied to both eclass App and eclass Teacher App) Both teachers and parents can send and receive group message. Group Message builds a communication channels for group members to keep in touch with each other. A) Group Message Management Enter eadmin > General Management > eclass App. Enter Common Function > Group Message > New. Enter group Code and Name (Eng and Chi). P40

41 Click the group member number to add member. Then Select member from the user list and click Add. Then click on Submit. Check the box to edit if necessary. P41

42 B) View Group Message on mobile phone Teachers can send text, photo, recording and video to communicate with other users. Select Group Message. Select Group. Enter message, then press Send or >. Press Group Info or (or the menu button on the Android phone) to view member list. P42

43 3.13 School Info (This feature is applied to both eclass App and eclass Teacher App) Schools can customize the contents of School Info, such as school profiles, contact information, admission and so on. Teacher can access eclass Teacher app to check School Info to enhance the schools' images. A) School Info Management Enter eadmin > General Management > eclass App. Enter Common Function > School Info > New. School Info can be classified into Structure and Type. Structure: item, sub-item Type: Menu, item School can customize contents of School Info. Please create item (menu) first, then sub-item (item). For example, 1 School information (Item) 3 Student's Support (Menu) 2 School Profile (Menu) 3.1 Career Guidance (Menu) 2.1 School Information (Item) Members (Item) 2.2 Mission (Item) Vision (Item) 2.3 Principal's Message (Item) P43

44 Insert a new item: enter Title (Eng and Chi), select Status, Icon and Type. Press Submit to finish. Click Num of sub-items to create sub-items. P44

47 3.14 Staff Attendance [Add-on module] Teacher can check attendance record at eclass Teacher App. A) View Staff Attendance on mobile phone Arrival and Leaving times can be checked at eclass Teacher App. P47

48 4. Others: How to install eclass Teacher App Please follow the steps to install eclass Teacher App. Installation (Android) Enter school name, teacher account and password. Press Login. Installation (ios) Enter school name, teacher account and password. Press Login.
