1 eclass Integrated Platfom (IP) 2.5 Startup Guide Introduction eclass IP 2.5 has separated into 2 main parts: Backend Frontend Administrative Console Intranet Classroom For startup the eclass IP2.5, you need to perform the setting step by step in Admin Console and Intranet: Admin Console Intranet > School Settings > Role Intranet > School Settings Intranet > different eclass module (please refer to IP25 Intranet Tools Startup Guide and other modules startup guide) This document will mainly focus on the above mentioned first 3 points, please read and perform the following procedures to start up your eclass IP 2.5. Setting in Administrative Console (Admin Console) Login to Admin Console: 1. Input Webmaster Address Settings > System Admin > Settings > Webmaster Input webmaster address. * The address is used for sending and receiving system s, for example, password retrieval Input Basic Settings Settings > System Settings > Basic Settings Input necessary information such as website, school name, organization, school phone & school address. 3. Add User Accounts Intranet > Account Mgmt > User Mgmt Centre Select Identity (Teacher/Staff, Student, Parent), and press Import. Download the sample file, and fill in necessary information. i. User login, password and English name MUST be filled in. ii. iii. Other fields can be left unfilled. Titles of the columns MUST be unmodified. p.1

2 Keep the file name as xxx.csv and save the file format as Unicode Text. Browse the file in the field Specify the file to import, and press Submit. * UserLogin in the import file should contain 'a-z' (lowercases), '0-9' and '_' ONLY. It should also be started with 'a-z'. 4. Set Admin User for School Settings in Intranet Settings > System Settings > School Settings > Set Admin User Choose user(s) and press Add to. * Chosen users can now access the School Settings in Intranet. Setting in Intranet > School Settings > Role 5. Add Role [To control the user access right and assign other user to help the different parts in School Setting if necessary] School Settings > Role Press the Add Role icon and input name (e.g. eclass Administrator, Office Admin..etc.). Press Done to complete. Click on a Role. In Member List, click New and choose users for the role. Press Add to complete. In Module Administration, check the box(es) that can be used by the role as an administer. * Users with elearning > eclass Admin right can create eclass(classroom) in the step 8. Setting in Intranet > School Settings 6. Add School Year and Term School Settings > School Calendar > School Year / Term Press the Add/Edit School Year icon Press the New School Year icon and input school year information. Press to complete. Press the Add Term icon. Input term names (Chinese & English) and dates (Start & End). Press to complete. * Caution: If TODAY (e.g ) is included in a term or a school year, both information will NOT be changeable again. 7. Add Form & Class and Fill with Class Teacher and Students School Settings > Class Click on Import Form & Class, download the sample file and fill-in the form and p.2

3 class information. Keep the file name as xxx.csv and save the file format as Unicode text. Upload the files in the field Source File, and then click Continue. Confirm and check the imported result. After create Form and Class, please prepare and upload relative files as follow. Class Student: student login with class name and number. Class Teacher: teacher login with class name. Click the corresponding import icons. Download the sample files, and fill in necessary information. Keep the file name as xxx.csv and save the file format as Unicode text. Upload the files in the field Source File, and then click Continue. Confirm and check the imported result. 8. Create Group School Settings > Group Click New and input necessary information for the group Press Submit to complete Click the number in the column No. of Members, click New to add users to the group. Press Add and Close Window to complete. Or click on, download the sample file, and fill in necessary information. Keep the file name as xxx.csv and save the files format as Unicode text and upload. You may set a user as Admin in order to manage the group. Click the number in the column No. of Members Check the box of a user Click Check the rights that the user can perform Click Submit to complete NSS (New Senior Secondary) Feature in School Settings You may also perform the following procedures to cater NSS requirements. 1. Add Subjects, Component Subjects and their Subject Groups School Settings > Subject > Subject & Subject Components Add Learning Category Press Edit Learning Category icon. Click the icon and input Learning Category information. Press to complete. Add Subject Press Add Subject icon and input Subject information, press Submit or Submit & Add More to complete. OR Click, download the sample, fill-in the details, keep the file name as xxx.csv and save the file format as Unicode text. Add Subject Component p.3

4 Click on the Subject Name. Press Add Component icon and input Subject Component information, press Submit or Submit & Add More to complete. OR click, download the sample, fill-in the details, keep the file name as xxx.csv and save the file format as Unicode text and upload. School Settings > Subject > Subject Group You may add Subject Group in a class base. Press, check the box of Selected Subject(s) and Selected Class(es). Press Submit to complete. Or you may add Subject Group with mixed class or form. In the Groups column, press Add icon, input Subject Group information, and select Group Teacher and Students, press Submit to complete. OR click on to create Subject Group, and then click to import Subject Teacher and student. 2. Add Campus School Setting > Campus Press the Add Building icon, input Building information and press to complete. Press Edit Location icon, then, click on the Add Location icon, input Floor information and press to complete. Press Add Sub-location icon, input Room information and press Submit or Submit & Add More to complete. 3. Create and Assign a Timetable School Setting > Timetable > Manage Select the School Year and Term, press Add Timetable icon. Fill in the Timetable title and select No for Copy, press Press Add Time Slot icon and input the Time Slot information and press Submit to complete 1 time slot. Press Add Cycle Day icon for add more day column for the timetable. In the Day column, click Add Lesson icon, select the Lesson information and press Submit to complete; or press Submit & Add More to add lesson in the same session. You can assign different Timetable to different Time Zone After Timetable is created, go to School Setting > School Calendar > Time Zone. Click on specific day to add Time Zone, input Start Day, End Day, select as the Time Zone as Cycle Day or Weekday, and select the timetable by the field Append Timetable. Press Submit to complete. p.4

5 * Caution: Each Time Zone is mutually exclusive, which cannot be overlapped; and each Time Zone can only append to ONE Timetable. Suggest school to set 1 term as 1 Time Zone. Other Features You may also perform the following procedures to cater your school own requirement. 1. Set Holiday/Event and Cycle Day in School Calendar Add Cycle Day (if necessary) School Setting > School Calendar > Time Zone Click on specific day to add Time Zone, input Start Day, End Day, select as Cycle Day and select school own cycle day format; press Submit to complete. Add Holiday or Event School Setting > School Calendar > Holiday/Event Click on specific day to add a holiday or event. Input the holiday/event details and press Submit to complete. 2. Targeting School Settings > Role Press the Add Role icon and input name (e.g. Student). Press Done to complete. Click on a Role. In Member List, click New and choose users for the role. Press Add to complete. In Mail-targeting, select the desired option, press Save to complete. 3. Create eclass (Classroom) elearning > eclass > eclass Management Click New and input necessary information for the eclass. Press Submit to complete. Click the number in the column # Users, click Import to add users to the eclass. (S)tudent, (T)eacher and (A)ssistant can be added to eclass with different access rights. Press Add and Close Window to complete. Friendly Reminder: All import function in eclass had provided sample file, please DO NOT modify the Field Title in first row which is for system to recognize the relative data. For your easy editing afterward, when using the import file, please kindly remember to keep the file name as xxx.csv and save the file format as Unicode text p.5
