1 Quick Guide to Subscribing to an Alert Introduction This document provides a quick guide explaining how to subscribe to an Alert in the One Network System. Throughout the day, many events occur within the One Network System. Users can subscribe to alerts triggered by these events, ensuring the user is aware of business critical activities occurring or not occurring in the system. For example, a transportation user may want to receive alerts for shipment events such as updates, departures, delays and deliveries. Specific events trigger alerts these are referred to as event-based alerts. A shipment being tendered is an example of an event-based alert the event is the tendering activity. An alert can also be initiated if an event does not occur within a specified time threshold - these are referred to as time-based alerts. For example, Tender In Jeopardy alerts are time-based. Users can subscribe to this alert and then specify a threshold time indicating when to generate an alert for an expiring tender. Subscribing to an Alert 1. Login to the One Network System. 2. Select Tools -> Alerts Subscriptions: 3. The Alerts Subscriptions screen is displayed with a list of current alert subscriptions. To subscribe to a new alert, press the Add Alert Subscription button: Quick Guide to Subscribing to an Alert Version 1.0Page 1
2 Note: To view or edit the details for an alert subscription, select the Alert Subscription Name link on the screen. 4. After pressing the Add Alert Subscription button, the New Alert Subscription screen is displayed. This screen is divided into 3 sections: Alert Information, Alert Type, and Alert Filters. The Alert Filters section will change depending on what type of alert is selected in the Alert Information section: 5. Enter and select information in the Alert Information section of the screen: Note: Required fields are marked with an asterisk symbol (*). Subscription Name field - enter a name for the alert - SPOT BID Category field - select one of the available categories from the Category drop-down field. To subscribe to an alert based on the Movement or Shipment, select the Movement or Shipment category options. MOVEMENT Quick Guide to Subscribing to an Alert Version 1.0Page 2
3 Alert Type field select a Category option to display the list of corresponding Alert Types. Select one of the available alert types from the Alert Type drop-down field. The Shipment Category includes specific alerts such as Shipment Not Delivered or general alerts such as Shipment Event Alert (note - specify the event for this alert in the Alert Filters section). Movement event alert 6. Enter information in the Alert Type section. This section provides the capability to send this alert to multiple addresses as well as send the alert to the system to enable application level visibility: For the field, select one of the options from the drop down list None, , or Alternate Note If you select the option from the drop down list, it will default to the address specified for the current username. The Alternate option from the drop down list allows any other valid address. For the Mobile field, select one of the options from the drop down list None, , or Alternate Select the checkbox next to the System Delivery field to allow the alert to be seen in the application under the Alert Inbox Quick Guide to Subscribing to an Alert Version 1.0Page 3
4 7. Enter information in the Alert Filters section of the screen to specify certain filter criteria for this alert. For example, the Alert Filters section may include a Ship From Site field (depending on the selected alert type). If a Ship From Site is specified, the system will only generate alerts of this type for Shipments that contain this Ship From Site. 8. Once all the information has been entered on the New Alert Subscription screen, press the Save button on the bottom of the screen. The system displays a message indicating the alert was successfully created. Once an alert is triggered, the system generates message(s) for the address(es) specified on the alert plus the alert will be sent to the system if this option is specified. 5 9. To view alerts sent to the system, select Tools -> Alerts Inbox: 10. The Alert Inbox screen displays a list of alerts that were sent to the system (Note this list only includes alert types with this option specified). The list includes the date the alert was sent as well as the alert name. Filter and search for specific alerts by selecting the Filters (edit) link, enter filter information and press the Search link. 11. On the Alert Inbox screen, mark an alert as read by selecting the envelope symbol for the alert. The envelope symbol changes to an open envelope to signify the alert has been read and acknowledged. 6 12. To delete alert messages, select the checkboxes next to the alert messages, press the Actions button and select Delete Checked: 13. Another way to view alerts sent to the system is to add the Transaction Alert Summary portlet to the Dashboard. This Alert Summary portlet lists the name of the alert and the count or number of each alert type the count is displayed under the New Alerts column and the Total Alerts column. The New Alerts column will displays a count of the alerts you have not marked as read while the Total Alerts column displays the total number of this alert (i.e. read and not read).
