3 Access the database Access the database This User Guide explains database functions available to third party accounts. If you don t have a Third party account on NLIS, follow steps 1 5 below. To open an account, you need Internet access and an address. Create an NLIS account 1 Go to 2 Click the button labelled 4Create a new account 3 Click 4Help tools and scroll down to Tech tips 4 Click the link for Create an account 5 Follow the instructions on the Tech tip sheet You will be issued with a user ID and password, usually within 7 days. Login to NLIS The NLIS Database may be unavailable on Thursdays between 6pm 7pm (Sydney time), for maintenance purposes. To login to NLIS at other times, go to Click 4Help tools to see Tech tips. Click 4Help to see information about database functions click 4Close to close Help screens. To protect your account, your database session ends automatically if you stay on one screen for more than 10 minutes. You may lose data you hadn t sent to NLIS. Excel files If you create an Excel file to upload, save the file in CSV (Comma Separated Values) format, for example: Transfer cattle csv Notepad files If you create a Notepad file, use commas to separate fields and save the file in TXT (Text) format, for example: Transfer cattle txt To find Notepad on your personal computer, go to: Windows Select Select Select Start menu All programs Accessories Notepad. Some users access the NLIS database via other software packages. If you do this, please consult your software vendor s guide on how to interact with the NLIS database. 1 Enter your user ID and password and click 4Login to go to the Third Party home page where you can choose what you want to do. 2 See the other topics in this User Guide for instructions on using the database. Log out of NLIS 1 After you have finished a task, click 4Home to return to the home page. 2 After you have finished a session, click 4Log out to exit the database.

4 View/edit account details View/edit account details If you change your address, you must edit your database account details. If you don t do this, your account may be locked. You can also change your NLIS password and edit your telephone, fax and mobile numbers. If you change your postal address, notify the NLIS Database Helpdesk by and they will update the address details for you. If you buy or sell a cattle property, notify the Helpdesk so they can link a new PIC to your account, or lock your account. 1 Click 4Change then click 4Continue or select View/edit my account details from the menu, click 4Go then click 4Continue 2 To change your Phone, Fax, Mobile or click 4Continue to edit details on the Profile information screen click 4Continue until the Confirmation screen appears click 4Send to proceed or click 3Back to change the details. 3 To change your Password: click 4Change password type your current password and new password retype your new password, then click 4Send 2

5 Cattle moved off/onto property Cattle moved off/onto property State regulations specify who is responsible for recording cattle movements. If cattle are bought or sold through a saleyard, or sold to an abattoir, the saleyard or abattoir notifies the database of the movement of the cattle. If your account is linked to a producer s PIC, you can record cattle movements for the producer. You should record transfers onto their property if they: purchase animals from a breeder privately and receive them on their property move cattle to a different Property Identification Code (PIC), even if they own both properties move cattle to an agistment property with a different PIC. You may record transfers off their property if they: sell cattle privately (notifying the database is the buyer s responsibility, but you may record the transfer on their behalf) find cattle dead on their property. The NLISID is the number printed on the outside of the electronic ear tag or on the management tag matching a rumen bolus. The RFID is the electronic chip number inside the ear tag or rumen bolus. Before you notify the database, you must know the NLISID or RFID numbers of the cattle being moved, the PIC they are moving from and to, the NVD or Waybill number (if there is one) and the date the cattle moved, or died on-farm. To transfer deceased cattle off the property, type DECEASED in the destination PIC field. Once you do this, the deceased animals will not appear on current holdings reports for that property. For more information, click 4Help tools to see the Recording deceased cattle Tech tip sheet. If you select Cattle moved onto my property, you can choose from two methods. If you select Cattle moved off my property, you can choose from three methods. 1 Select Cattle moved off my property or select Cattle moved onto my property, then click 4Go 2 Choose one of three options: click 4type in the details to type details on-screen see page 4. click 4upload a file to upload an existing file see page 4. click 4choose from the list to see a list of cattle and tick animals to move off see page 5.

6 Cattle moved off/onto property Type in the details Leave a space after the first three RFID numbers e.g If you type numbers in the first field, press the Enter key after each device to transfer that number to the large box below. 3 Enter details in compulsory* fields: Type in or paste the NLISID numbers e.g. SA123456VBA00001 or RFID numbers e.g Select or enter the source PIC. Select or enter the destination PIC. Type or paste in the NVD/Waybill number (if applicable). Choose the date. If you already have a list of the device numbers, you can copy this list to your clipboard. To paste in the list of numbers, click in the large box and press the Ctrl and V keys. If you make a mistake, select the wrong NLISID or RFID number and press the Delete key. If cattle die on-farm, type DECEASED as the destination PIC. 4 Click 4Continue to proceed or click 3Back to change the details. 5 Follow the prompts to 4Send the information to the database. 6 Retain the Upload ID notified by the database as a record of the transaction. Upload a file 1 Create and save a file in CSV or TXT format on your computer. An Excel file to transfer two animals would look like the shaded rows: SA123456VBA00001 SA MABC /06/2007 SA123455VBA00002 SA MABC /06/2007 NLIS ID (or RFID) Source PIC Dest PIC NVD Date The Notepad file to transfer two animals would look like: SA123456VBA00001,SA123456,MABC1234, ,11/06/2007 SA123455VBA00002,SA123456,MABC1234, ,11/06/2007 If your reader software does not create the file, use Excel or Notepad the fields are the same as on the Enter the details screen above. If there is no NVD/Waybill number, leave the fourth field empty. In Notepad, use commas to separate fields. The procedure for uploading a file is the same in all cases. 2 Follow steps 1 2 on page 3, then click 4upload a file 3 Click 4Browse to find the file to upload. 4 Click 4Continue to proceed or click 4Browse again to choose a different file. 5 Follow the prompts to 4Send the information to the database. 6 Retain the Upload ID notified by the database as a record 4

7 Cattle moved off/onto property Choose from the list You can only use this option to move cattle off a property. 1 Follow steps 1 2 on page 3, then click 4choose from the list Although the responsibility for notifying the database rests with the receiver of the cattle (or the agent, saleyard or abattoir), as the consignor, you may notify the database to ensure the cattle are removed from your account. 2 Select or enter details in the fields: Choose one of three options to view. Select the PIC location of the cattle. If you select cattle moved onto or cattle bred on, select a date range. 3 Click 4Continue to proceed or click 3Back 4 Tick 4 the cattle you want to move off the property. to change the details. The 4Select all button ticks all items on the current screen. If you see a 4Next page button, there are more pages to view and select from. To search for specific items, click 4Filter by Select a field to filter by, enter the text you want to find, then click 4Apply or 4 Select Status as the field to filter by, tick the status types to include and click 4Apply To view all your cattle on one screen, select All from the Items per page box. Click 4Help for information on sorting the list. Example: Select to filter by RFID and search for After ticking all the cattle to move off the property: 5 Click 4Continue to proceed or click 3Back to change the details. 6 Type in the PIC of the property you are transferring the cattle to. 7 Choose the date the cattle moved. 8 Enter the NVD/Waybill number (if applicable). 9 Follow the prompts to 4Send the information to the database. 10 Retain the Upload ID notified by the database as a record of the transaction. 5

8 Device status Device status You can assign a status code to a device to indicate when: a non-eu Breeding animal is on your EU-accredited property (B) a device is Damaged (D1) a device was Lost after attachment to an animal (L2) a device is Inactive (IA) The Inactive status can be assigned if it is not known whether a device was lost or damaged, or whether the animal associated with the device is deceased, has strayed, or has moved off the property. Damaged, lost and inactive devices are automatically excluded from current holdings reports. If an Inactive device is transferred or slaughtered, and the transaction is recorded on NLIS, the Inactive status is automatically removed. It can also be removed manually by setting the status to Off. If you want to include any of these device status types on your current holdings reports, see page 17 Customise report results filtering results by status type. EU-accredited producers must obtain approval from EUCAS before moving breeding animals onto the property. You should also assign a Breeding status to those animals on the database. Before you notify the database, you must know the NLISID or RFID numbers of the devices, the date the status changed and the status type you want to assign, or remove. If a device becomes damaged when applied to an animal s ear, or is lost after attachment, you can record this on the database. Program code Status code Setting (ON or OFF) If your reader software does not create the file, use Excel or Notepad the fields are the same as on the Enter the details screen above. In Notepad, use commas to separate fields. The NLS program code does not appear on the screen above, but if you upload a file, you must include it. 10 PIC reconciliation PIC reconciliation The PIC reconciliation function allows you to reconcile the devices actually present on your PIC, with the devices registered to the PIC on the database. Before you use this function, you must create a list of Active devices all the devices currently attached to cattle on your PIC, plus all the devices you have purchased but have not yet applied to cattle. If you use the type in the details option to submit the list of devices to the database (Step 1), the Results screen (Step 2) will display two reports: Active devices registered to the PIC Devices not registered to the PIC The Results screen (Step 3) will also display two reports: Registered devices not submitted at Step 1 Registered devices with an Inactive status To assign or remove an Inactive device status on-screen, follow step 6 on page 9. If you use the upload a file option to submit the list, you will receive the results as file attachments to an . See the Results table on page 10, No To assign or remove an Inactive device status, use the Device status function. You can submit an unlimited number of devices using the type in the details method, but if your list has more than 300 devices, the upload a file method is more efficient. Devices with an Inactive status remain registered to your PIC, but are automatically filtered out of your current holdings reports. If Inactive devices are transferred off your PIC, or recorded as slaughtered, the status will be removed automatically. An Inactive status can also be assigned, or removed, manually via the Device status function. If the list of Active devices included devices not registered to the PIC, you can 4Export those device numbers and save them as a file on your computer. Upload that file to transfer the devices onto your PIC using the Cattle moved onto my property function. 1 Select PIC reconciliation then click 4Go to see an information screen. 2 Click 4Continue then choose one of two options: click 4type in the details to type details on-screen see page 9. click 4upload a file to upload an existing file see page 10. 8

11 PIC reconciliation Type in the details 3 Select or enter details in both fields (Step 1): Type or paste in the NLISID numbers e.g. SA123456VBA00001 or RFID numbers e.g of all active devices. Select the PIC you want to reconcile. If you created a list of Active device numbers, you can copy the list to your clipboard. To paste in the numbers, click in the large box and press the Ctrl and V keys. If you make a mistake, select the wrong NLISID or RFID and press the Delete key. 4 Click 4Continue to see the Results (Step 2): Active devices registered to the PIC Devices not registered to the PIC 5 Click 4Continue to see the Results (Step 3): Registered devices not submitted at Step 1 Registered devices with an Inactive status 6 To assign an Inactive status to a device in the first group, or remove an Inactive status from a device in the second group, tick 4 the relevant box. 4 7 Click 4Continue to see Confirm details (Step 4). 8 Click 4Send to proceed or click 3Back to change the details. 9

12 PIC reconciliation Upload a file 1 Create the list of Active devices using Excel or Notepad, but save the file in CSV format on your computer. Your file may contain a large number of Active devices. An Excel file for just two devices would look the shaded rows: SA SA PIC (8 characters) SA123456VBA00001 SA123456VBA00002 RFID (16 numbers) or NLISID (15 or 16 characters) A Notepad file for two devices would look like: SA123456,SA123456VBA00001 SA123456,SA123456VBA00002 If your reader software does not create the file, use Excel or Notepad the fields are in the opposite order to fields on the Enter the details screen. In Notepad, use commas to separate fields. If you submit your list using upload a file, the results will be returned to you as file attachments to an . The procedure for uploading a file is the same in all cases. 2 Follow steps 1 2 on page 8, then click 4upload a file 3 Click 4Browse file to upload. to find the 4 Click 4Continue to see the Confirm details screen. 5 Click 4Send to proceed or click 4Browse again to choose a different file. Results You will receive an message with a zip file containing up to four CSV attachments (you only receive a file if devices fall into any of four categories). Once you save the zip file to your computer, you can extract and save each file individually. CSV file contents Follow-up action recommended 1. Devices submitted that are active on PIC None 2. 13 Replaced tags Replaced tags You should only replace a device if it is lost after attachment to an animal, or becomes damaged when the device is applied to the animal s ear. To preserve any statuses associated with the animal, for example lifetime traceable (LT), the old and new device numbers must be linked on the database. If you do not know the number of the old device, the LT status will be lost. Before you notify the database, you must know the NLISID or RFID numbers of the old device you replaced, the new device numbers and the date the devices were replaced. 1 Select Replaced tags then click 4Go 2 Choose one of two options: click 4type in the details to type details on-screen see page 12. click 4upload a file to upload an existing file see page

15 Transfer correction Transfer correction Only the following transactions can be modified: Property-to-property cattle transfers Third Party property-to-property cattle transfers Saleyard transfers Mob-based transfers Transfer corrections can only be: submitted by the account that uploaded the original transfer processed if they relate to the most recent transfer recorded for the device used to correct the Transfer date, Source PIC, Destination PIC and NVD/Waybill number used to remove a transfer if the wrong device has been transferred EU-accredited producers must obtain approval from EUCAS before submitting a transfer correction. You can correct data you submitted to NLIS the database retains the original transfer details but the transaction history for the device shows the modified transfer details. You can also correct transfers to the DECEASED PIC. If you don t know the upload ID that contains the transfers you want to remove or edit, select View my transaction history from the home page, select the date you uploaded the transfer and click 4Go 1 Select Transfer correction then click 4Go 2 Enter the upload ID that contains the transfers, select Remove or Edit then click 4Continue To Edit transfers see page 14. 16 Transfer correction Edit transfers 3 To edit details for individual transfers, click the Edit item link. In the Edit item window, change the details in appropriate fields. To edit the same details for a group of transfers, tick 4 each transfer, then click 4Edit selected items In the Edit selected items window, enter details in appropriate fields. 4 4 Click 4Submit to confirm, or click 4Cancel Note: Edited transfers will be highlighted in orange. to return to the previous screen. The 4Select all button ticks all items on the current screen. You can only select 300 items at a time to edit or remove. 5 After you finish editing, click 4Continue at the bottom of the screen. If you see a 4Next page button, there are more pages to view and select from. To view all your cattle on one screen, choose All from the Items per page box. Click 4Help for information on sorting the list. 18 Text Reports introduction Generate reports This topic provides an introduction to NLIS reports. You can generate numerous reports to monitor cattle movements on and off your property and reconcile your current holdings with your database account. This is useful when someone else, for example, saleyards, abattoirs or agents, record cattle transfers on the database on behalf of the producer/consignor. After you select a report from the menu, click the 4Help button at the top right of the report screen for instructions on generating reports. If you can t see the report you want on the home page, see the View/generate all reports topic. 1 Select the report you want, then click 4Go 2 Accept On-screen, or choose another Output type. 3 Select or enter the other parameters for your report, then click 4Go 4 See page 17 for tips on customising report results. Example: View devices on my property report Click the i Information icon next to the Report name for a description of the report. On-screen and XML reports will usually be delivered in a few minutes. reports will be delivered within two hours. 16

19 Reports introduction Text Customise report results Click the 4Help button for more information on generating reports. To customise how a report looks when displayed on-screen, see the tips at the bottom of this page. After you customise the information you want to display in the report: Click 4Print preview to see what a printed report would look like. To print the report, go to the Preview File menu and choose Print. Click a column heading button e.g. RFID Click 4Next page to go forward, or 3Previous page to sort the report by that field. to go back. Accept the standard number of Items per page (20) or choose 40, 60, 80 or All. Click 4Column display then tick/untick boxes to see the columns you want. Click 4Export to export the report results to a file that can be saved on your computer, or imported into other software programs. Filtering results by fields Click 4Filter by select the field to filter by, enter the text to search by and click 4Apply Click 4Remove filter applied a filter). 20 Text Beast enquiries report Beast enquiries report If you know the NLISID number of a device and need the matching RFID number, you can use this report to find out. Provided the device numbers entered on-screen are registered to a Property Identification Code (PIC) linked to your account, the report will display the matching RFID (or NLISID), Current PIC, EU status and LT status. If the devices were previously registered to that PIC, only the RFID and NLISID will be displayed. If the device was never registered to that PIC, you will be advised You are not authorised to view information for that device. 1 Select Beast enquiries, then click 4Go 2 Accept On-screen, or choose another Output type. 3 Type or paste in the NLISIDs or RFIDs, then click 4Go 4 See page 17 for tips on customising report results. If you type the device numbers, press the Enter key after each device, to start a new line. Leave a space after the first three RFID characters e.g To paste a list of device numbers from your clipboard, click in the NLISID or RFID field, then press the Ctrl and V keys. 21 Carcase feedback query Text Carcase feedback query When an abattoir slaughters cattle, the device numbers are uploaded to the database. Depending on the State regulations, the abattoir may also upload carcase feedback (CFB) information about the condition of specific animals. This information may be incorporated into on-farm management systems, to help producers improve their breeding programs. There is also a Tech tip for this topic. After you login to NLIS click 4Help tools tools to see the tip sheet. If you want to view the CFB data, submit a query to the database. If there is a large amount of data, the query may take a few minutes to process. You will only be able to view the data if the abattoir records the PIC of consignment. If the data is incomplete or inaccurate, contact the abattoir directly. 1 Select Carcase feedback query, then click 4Go 2 Select the date range for your query. 3 Select a PIC to enquire upon, then click 4Continue 4 Select one or more lots, choose the display options you want, then click 4Continue To select more than one lot to view, click and drag down the list, or press the Ctrl key and click the lots you want. For each lot you select, the CFB data will be listed in a separate row on the query Result screen. Dentition means number of permanent incisor teeth (indicates age of animal). Fat mm (Score 1-6) means fat cover on ribs and rump. A score of 1 = very lean; 6 = very fat. The query results for the first lot in the list above are: Carcase weight is shown as HSCW (Hot Standard Carcase Weight) or LIVE (Weight of live animal). Bruise indicates bruising caused by live handling (affects carcase value). Grade indicates carcase quality. 19

22 Text View devices on my property report View devices on my property report This report downloads a list of devices registered to your Property Identification Code (PIC). You can choose from eight options for this report. The report can be viewed on-screen, or saved as a CSV (Comma Separated Values) file. You can also export the report data to your on-farm software or data collectors, or manipulate the report data using the Excel spreadsheet program. The LT (Lifetime traceable) status is Yes or No. Click the icon i next to the Report name for a description of the report. There is also a Tech tip sheet explaining the LT reason for loss codes click 4Help tools to see it. 1 Select View devices on my property, then click 4Go 2 Accept On-screen, or choose another Output type. 3 Select the PIC for which you want the report. 4 Select one of the eight Report types. 5 Select the From Date and To Date, if applicable. 6 Click 4Go to generate the report. EU (European Union) status codes are: Y EU eligible N Not EU eligible B Non-EU breeding animal D Deceased animal Filtering by device status The report will look like the example below: The results for this report automatically exclude any devices with a status of inactive, lost, stolen, lost after attachment, or replaced. Stolen or lost cattle are also excluded. If you want to include any of these devices: Click 4Filter by select Status, tick the status types to include and click 4Apply 20

23 View large report results Text View large report results As some reports contain a large volume of data, they may take a while to process on the database if your report is too large to display on-screen, you will be notified by message when the report is ready to view. Large report results are stored for seven days and then removed. If you are logged on to the database when the message arrives, you can click a hyperlink within the message to see the report. If you are not logged on when the message arrives, the link will not be active. 1 When you are notified that the report is ready to view, click on the hyperlink in the message to open the report. 2 If the link doesn t display the report, login to NLIS. 3 Select View large report results, then click 4Go 4 Click the Report name hyperlink for the report you want to view. If you did not request any large reports, or your report is not complete, there will be no results to view. 5 When the File download screen appears: click Open to view the report, or click Save to save the file on your computer. 21

24 View my transaction history report View my transaction history report To ensure that files were processed successfully, you should view your transaction history after every database session. After you submit transactions to the database, you will see a Receipt screen. You can click the 4View my transaction history button on that screen, or generate the report from the home page menu, as explained below. This report lists all the transactions submitted to the database for your account, the dates they occurred and the Upload status. A COMPLETE status indicates the files were processed successfully. A WARNING status may not require follow-up action an ERROR usually does. 1 Select View my transaction history, then click 4Go 2 Select the date range, then click 4Continue 3 See page 17 for tips on customising report results. The report will look like the example below. Note the Upload ID of a transaction, so you can follow it up with the NLIS Helpdesk if necessary. Click the User file name hyperlink to view the file contents. Click the Upload status hyperlink to find out about ERRORs or WARNINGs. Click 4Help tools then see Tech tip sheets on: Common WARNING or ERROR messages Upload status categories. 22

25 View/generate all reports View/generate all reports If you can t see the report you want in the Reports menu on the home page, select View/generate all reports to choose from a list of supplementary reports. 1 Select View/generate all reports, then click 4Go to see the menu below. 2 Select the report you want, then click 4Go 3 Accept On-screen as the Output type, or choose another type. 4 Select or enter the other parameters for your report, then click 4Go 5 See page 17 for tips on customising report results. After you select a report from the menu, click the Information icon i next to the Report name for a description of the report. If this is the report you want, click 4Go to generate the report. You can also choose the Reports available for this account option, then click 4Go to see a description of all the reports you can run. 23

26 Text View/generate all reports Search the PIC register Search the PIC register Property Identification Code (PIC) registers maintained by the States are uploaded to the NLIS Database to create a National PIC register. You can search the register to find information about other properties. For example, you may know the PIC number, but not the name of the owner or business associated with that PIC. State privacy laws specify what information may be disclosed, and to whom. If you are permitted to view the information, any records matching the details you typed in the search fields will be displayed. You cannot select this report directly from the home page. It is only accessible via the View/generate all reports option. 1 Select View/generate all reports, then click 4Go 2 Select Search the PIC register, then click 4Go 3 Accept On-screen, or choose another Output type. 4 Type information in one or more fields, then click 4Go The report returns the contact details for a PIC, or the PIC associated with a trading name or location.
