1 OffenderCHECK Settings, Configuration & Options Visitors Checking IN or OUT a visitor with OffenderCHECK is fast and easy to do. Click the Visitor button Checking IN -- Click the CHECK IN button. Offender Warning screen (display optional). Insert the visitor s driver license picture side down. School Check IN will automatically read the license and display the visitor s information and the visitor s driver license picture. Checking OUT Click the CHECK OUT button. Select the visitor s name from the list and check out. SPECIAL BUTTONS R button Repeat Visitor Button X button False Positive Button M button Manual Entry Button B button Bypass Button NOTE: The R, M and B buttons will not display until the option is set in the OffenderCHECK Settings (see p 4). 2 OffenderCHECK Settings, Configuration & Options OffenderCHECK Settings & Configuration From the Main Menu 1. Go to Admin 2. Click OffenderCHECK 3. Click Continue 4. Check the driver license scanner installed. 5. Enter your OffenderCHECK Admin Password. The default password = SUBMARINE 6. Click OK 7. Go to the OffenderCHECK Administration Page. The following addresses should be given access through your firewall. 3 7. Check the box Use OffenderCHECK For Visitors. This will reveal OffenderCHECK s Administration Menu for options and settings. 8. Enter your school s OffenderCHECK Activation Key#. 9. Register your school to obtain your Access ID#. To obtain your Activation Key#, register here: Or send an to support@schoolcheckin.com and request your Activation Key#. 10. Your Activation Key# will be ed back to you within 24hrs (M-F). 11. Test Connection -- After you enter your Activation Key#, click the Test Connection button. This test will verify that this computer can successfully perform an OffenderCHECK. OffenderCHECK Settings Setting with are recommended. Display Visitor Sex Offender Warning This setting is recommended when visitors are allowed to self check in. This warning tells visitors that individuals who are sex offenders should notify school administrators of their status. If a school employee is checking in all visitors, then this warning is not required. Allow Manual License Entry This setting allows for manual visitor data entry. This setting is recommended. There will be instances when either a visitor will not have a license and/or his license is in poor condition and cannot be scanned. Preview OffenderCHECK Results On Screen This setting should only be selected if the visitor CANNOT see the computer s screen. If a possible offender match occurs, and this option is checked, then the match results will automatically display on screen. OffenderCHECK Verification This setting forces the operator to manually verify all required data. Good Guy List This setting is recommended. The Good Guy List is used to eliminate false positives for visitors who happen to match an offender, when this visitor is NOT the offender. No OffenderCHECK will be performed for people on your Good Guy List. Test DAL Only This is for School Check IN development & testing purposes only. Fast Scan This setting can speed the check-in process. This setting should only be used on fast computers with at least 2GB of installed memory. Using this setting allows the operator to insert a license at the Main Menu (clicking the Visitor button is not required). School Check IN will detect that a license was scanned, and after the OCR process is complete, the scanned visitor data will automatically be displayed. Repeat Visitor -- This setting is recommended. The setting allows you to add frequent visitors to your Repeat Visitor List. Now, when this person enters, click the R button. Enter the Repeat Visitor Password and select this person s name from your list of Repeat Visitors. Using this option eliminates scanning their license and avoids possible OCR errors. An OffenderCHECK and Deny Access List will still be performed. Store Driver License Image This setting stores an exact copy (image) of the visitor s driver license. These images are encrypted and can only be viewed using School Check IN. This setting was requested by some law enforcement agencies. Passwords Passwords may be changed to whatever you prefer. We suggest keeping the passwords short and either all lower case or all upper case. To change a password, click on the password field. Use your Backspace key to erase the current password. Enter your new password and then click the TAB key. Do not click the Enter or Return key. Use Web Cam In Lieu of Scanned Driver License Photo -- This setting can only be used if a web cam is installed. If selected, a live web cam photo will be captured and printed on the visitor ID Badge. w w w. S c h o o l C h e c k I N. c o m Page 3 7/14/2013
4 Notification This is used to configure sending message alerts for OffenderCHECK. Text Notifications -- This is used to configure sending text message alerts for OffenderCHECK. Test Connection This test will verify that this computer can successfully perform an OffenderCHECK. Process OFF Line Visitors This is used to process visitors who may have checked in while your network and/or Internet access and no OffenderCHECK could be done. Now that your network and/or Internet access is back, these visitors can now be processed with an OffenderCHECK being done. Additional instructions on these features above are on page 5. Initialize Scanner This button verifies that the scanner is attached and is working. Calibrate Scanner The Scanshell 800 scanner needs to be calibrated at least once per week. Use the calibration card that is enclosed with your scanner. Calibration is not required for the Snapshell scanner. Test Scanning Clicking this button allows you to insert a license and perform a license scan to verify that the scanner and OCR software is working properly. No OffenderCHECK is performed for the test. Clean Scanner The Scanshell 800 scanner needs to be cleaned every month. This button allows you to clean the glass inside the scanner. A small fuzzy cleaning pad was included with your scanner. Prior to cleaning the scanner, place 4 to 5 drops of alcohol in a line across the center of the cleaning pad. Insert the pad and then click this button. This is not required for the Snapshell scanner. Deny Access List (DAL) Each school and/or district can create a list of individuals that are either not welcomed on the campus, or an administrator wants to be alerted if this person is trying to check in on campus. Possible candidates for your DAL might be ex-employees, parents with court orders, etc.. Repeat Visitor List This button allows you to edit and/or delete your Repeat Visitor List. Good Guy List This button allows you to manually add individuals to your Good Guy List. The match for a Good Guy is based on the driver license # (DL#). The driver license # MUST BE entered exactly as printed on the license. If the DL# is printed as P , then it must be entered exactly as P and not as P If the DL# is entered incorrectly and/or the scanned DL# is wrong, then no Good Guy match will be made, and then an OffenderCHECK will be performed for this person. People on the Good Guy List are still checked against the DAL. Only people where a false positive occurred should be added to your Good Guy List. A person may be added to the Good Guy List for up to a maximum of one (1) year. A false positive occurs when a visitor checks in and a match with an offender is made and this visitor is NOT a sex offender. Only people that are frequent visitors and/or likely to visit the school again should be added to your Good Guy list. One time visitors that generate a false positive should NOT be added to your Good Guy List. In these instances, use the B button (Bypass button). Proxy Settings Please contact School Check IN support (support@schoolcheckin.com) for assistance. This feature is used only for schools and/or districts that use proxy servers and the School Check IN computer is running through the proxy server. Volunteer OffenderCHECK This button will allow you to do bulk OffenderCHECK searches on volunteers in the volunteer list. To use this feature, each volunteer record MUST HAVE the DOB (Date of Birth) and Gender for each volunteer. No OffenderCHECK will be performed for any records that are missing the DOB. w w w. 5 OffenderCHECK Alert Notification Check with your network administrator to determine what information is required. SMTP Host Check with your network administrator to obtain this information. From Address Enter the sender s address. It is recommended that a new address be created and used. New Address Click this button to add new recipient addresses and click OK. Click the TEST button to verify that the recipient will receive the alert. An alert can be sent as either an or a text message (cell phone or PDA). Text messages are instantly received, where an may take upwards of 20 minutes to be received. The recipient s alert message contains a link that displays a report showing the visitor s information and picture and all matching offenders and images (if the offender image is available). Authorization Type Check with your network administrator to determine if this is required or to obtain this information. Use SSL -- Check with your network administrator to determine if this is required or to obtain this information. OffenderCHECK Text Alert Notification Text Messages are a faster notification. Text Messages work much like dialing a phone # -- the call goes through instantly. Enter the receipient s first name. Enter the receipient s last name. Enter the receipient s cell phone #. Click the [TEST] button to insure that the message is sent. Check with the receipient to insure they received the test message. Text Message alerts can only be sent to cell phones that have a text message plan. 6 Good Guy List Good Guy List The Good Guy List was designed to reduce OffenderCHECK False Positives that may occur when a visitor checks in and this visitor is flagged as a possible offender. Once this visitor is cleared, he/she can be added to the Good Guy List so that upon their next visit, they are admitted. Visitors can be added to the Good Guy List for up to a maximum of one (1) year. Scan Drivers License Clicking this button allows people to be added to your Good Guy List by scanning a driver s license. The DAL is used to alert you when certain individuals, like parents with court orders, or ex-employees, etc attempt to check in at the school. Add Single Entry Clicking this button allows you to add new individuals to your Deny Access List. The person s First Name, Last Name, Date of Birth, Gender and State are required. It is important that the information entered here exactly matches the information printed on this person s driver license. Do Not include a maiden name, or middle name in the Last Name Field. If the person s name is Mary Smith Jones, then enter Mary Smith for the First Name and Jones as the Last Name. Do not include any quotation marks. Quotation marks are used here to identify the names. 7 Repeat Visitor List Adding Visitor to the Repeat Visitor List on the CLIENT (check in computer) Repeat Visitors can be added at the check in station immediately after they check in. Adding the visitor after they have checked in via the license scan process will include all data from the license including the visitor s photo. The data and photo captured from the visitor s first visit will be used again for subsequent visits. Visitors can be added to the RVL for up to a maximum of one (1) year. 1. From the Main Menu, click the Visitor button. 2. Click the R button. 3. Enter the Repeat Visitor password. 4. This displays the current list of people in your Repeat Visitor List. (This is a list of your Repeat Visitors that have NOT yet checked in Repeat Visitors who have already checked in are not displayed here.) 5. To check in a person on your Repeat Visitor List, select a name. 6. Click the Next button. 7. Follow the on-screen prompts and check them in. 8. 8 6. The R+ list will display a list of visitors that can be added to the Repeat Visitor List. The list of visitor names presented here will show all of today s visitors and visitors for the past four (4) days (calendar days). 7. Check the length of time for each person to be added to the Repeat Visitor List. 8. Click the Done button. Added visitors will now appear in your Repeat Visitor List and can now be checked in. NOTE: People who have just been checked via a license scan and that are immediately added to the Repeat Visitor List, will NOT show in your Repeat Visitor List until they check out. People in the R+ list who have NOT checked and who are added to the Repeat Visitor List will now display in the Repeat Visitor List. The Repeat Visitor List is a shrinking list, meaning that as a person is selected from the list and is checked in, their name will not reappear in the Repeat Visitor List until they check out. w w w.
