Deployment - Business Partner Setup Business Partner Profile Data Information about Business Partners is maintained in four systems: PartnerWorld Profiling System (PPS) BPDB CRM GPP/PRM The master data resides in PPS. The data flows from PPS to BPDB to CRM and from PPS to GPP/PRM. Note that the data jobs that migrate opportunities between GPP and CRM require that the data from these two systems must be appropriately in sync. Therefore, for a Business Partner to have a status of Active in CRM, the Business Partner status must first be active in PPS and then in BPDB. Also, the Business Partner must have an Active status in CRM before the BP Enabled flag can be checked. For Business Partners to be OM Enabled in CRM, they must first be upgraded to e-channel in BPDB. OM enablement is a prerequisite for the BP Enabled flag to be checked. Identifying Business Partner companies for deployment to GPP end-to-end opportunity management Each geography has a unique and different situation regarding their BP companies and what tool they are using today for Opportunity Management (OM). In addition, business priorities may influence the groups of BP companies that each geography would like to pursue for deployment. Since one of the overall design points for end-to-end OM for GPP is to eventually retire PartnerWorld Lead Management (PWLM), the recommendation provided in this guide supports this overall design point. Essentially, data needs to be collected to identify Business Partners that are: Existing GPP users Existing PWLM users Have open opportunities on CRM Siebel (managed by the BP users via PWLM) 1

2 The following sample is sorted by the largest-to-the-smallest number of open opportunities for BPs who is using both PWLM and GPP. These are sample reports/queries that can be used to identify the various groups of BPs. The following are groups of BPs to be considered for deployment (listed by the largest number of open opportunities in each application): Business Partners using PWLM and GPP Business Partners using GPP only Business Partners using PWLM only Business Partners not using PWLM or GPP After the Business Partner completes the GPP OM Registration form and submits it, the form is routed to the corresponding geography GPP Operations Team to complete the registration process in GPP. Routing of the OM Registration form will be based on the Login ID who has signed in and submitted the form. If the Business Partner has multiple agreements that span across the geographies, the GPP OM Registration form will be routed to all three BOTs. See the section entitled BOT team addresses in Document 1: Overview for the addresses of the GPP Operations Team for each geography. Note: If the Business Partner is not a member of PartnerWorld, they cannot start the GPP enablement process. They must be directed to register for PartnerWorld and have a IBM ID and Password to access the GPP OM Registration form. Identifying the Opportunity Focal Point When a Business Partner is setup for OM GPP enablement, they must establish an Opportunity Focal Point in GPP. The Opportunity Focal Point is expected to manage the opportunities coming in from CRM or Business Partners. The Opportunity Focal Point can be either the current GPP BP Admin (if the Business Partner is already deployed on GPP for SVI or BCC programs) or a new individual. The BP user is asked to identify these individuals when they complete the GPP OM registration form on Partnerworld. 2

3 Sending an to the GPP BP Contact This is done by different people, depending on the Geo. For a Business Partner to become GPP OM Enabled, the Business sponsor first applies the following guidelines to determine how communications will be handled: Determines to whom at the Business Partner company will receive the following communications Ensures that appropriate spokesperson from the BP Company completes the registration form o This spokesperson could be one of the existing GPP BP users from the BP Company who has the BP Administrator responsibility in GPP After the Business sponsor correctly identifies the spokesperson to handle these communications, then proceed to the next steps in this process. 1. The GPP BP Contact clicks the URL in this communication to access the GPP OM Registration Form. Once the form has been completed by the Business Partner and submitted, the form is routed to the appropriate geography for handling. 3

5 2. Business Partners use their IBM ID and password to access the GPP OM Registration form. 3. Business Partner's login information is recognized when they sign-in and the Business Partner information is already populated on the form. 4. If the Business Partner s login is United States they are shown the question on doing business in Federal accounts. 5. Business Partners completes all the fields with a red asterisk (*). 6. Business Partners click Submit when completed. 5

7 If the Oppty Focal point is also the BP admin, select Yes and you are done. If you select No, the form expands, which allows you to enter the BP Admin information. 7

8 Figure 3: Sample OM Registration Form, continued 7. The Business Partners are given a confirmation message that contains the number assigned to their form. 8. Based on the Business Partner s Login ID, for example, the Americas, the form will be sent to the GPP Operations Team e- mail address for handling. Validating the Business Partner OM registration form The Opportunity Focal Point (if a different or a new employee) handles the following responsibility (by Data Job 10479) as follows: They will no longer see multiple BP IDs for the Business Partner. In GPP, each BP firm must have at least one and not more than two BP employees assigned to the role of the Opportunity Focal Point. This individual can be their current BP Admin or the Opportunity Focal (if different employee) or a new employee they wish to designate to handle this responsibility adding the special Opportunity Focal Point position name. Execute the following steps for each OM enrollment form sent to the GPP Operations Team by the BP user. The registration form begins to build the OM driver file needed for end-to-end OM enablement on GPP. Completing the validation process The GPP Operations Team performs the following steps to complete the validation process. Determine if BP company is already registered in GPP 1. Log in to the PartnerWorld Profile System (PPS) and query the BP user who completed the registration form for the BP company using their IBM ID. 2. Click the blue hyperlinks to access the Country Enterprise record in PPS - note the CE ID. 3. Utilize the steps in the IBM Administrator s guide to validate if the Business Partner Company is already registered in GPP. See the section entitled Make sure the Business Partner is not already loaded in the system by querying for the Business Partner Company on Global Partner Portal. In the IBM Administrator s guide, see the section called Adding a new Business Partner Company profile Step A. 4. If the BP company is not in GPP, then follow the steps in the IBM Administrator's guide to add the BP company record Note: Do not make them a member of SVI. In the IBM Administrator s guide see the section called Adding a new Business Partner Company profile Step B. 8

9 5. If the Business Partner is already in GPP, click the hyperlink to go to this step: Verify if the user who is listed as the BP Oppty Focal Point in the OM Registration Form is already in GPP. Verify that the Business Partner company has the PWLM-enabled field checked in CRM 1. Log in to CRM Siebel and click the Entitled Business Partners tab. 2. Query for the BP Company and to ensure that the BP Enabled flag is checked. If the BP is not PWLM enabled be sure to put an N in the BPDB deployment spreadsheet indicating that the BP is not PWLM enabled. Then perform the steps below in CRM to ensure that the BP company has been deployed using the BPDB legacy adapter on CRM Siebel a. Log in to CRM and navigate to Group Administration Divisions b. Query for the BP company by entering the BP ID (SUSE#) in the Division field c. If the Parent Division is US Non-eChannel Enabled BP Org then the BPDB legacy adapter has not been run for this Business Partner company. You need to contact the BPDB team to get the BP company deployed to your CRM system using the BPDB Legacy Adapter. Note: Beginning November 2007, non-pwlm enabled BPs will be automatically enabled (via CM-10981) a few days before the normal GPP OM enablement jobs are run. Note: You may not have to perform this task manually. The GPP Operations Team runs a data job that produces a report that informs them if there are errors. Refer to the document Validation Queries. Verify if the user who is listed as the BP Oppty Focal Point in the OM Registration Form is already in GPP 1. Query for the user in GPP by last name or IBM ID. a. In GPP, click Administration --> User, and then click Org Employees. 2. If the user is already in GPP, go to step Validate the BP Oppty Focal point user information on the form. 3. If the user is not in GPP, check the OM Registration form if the user is supposed to be the BP Opportunity Focal point. If yes, then go to step Validate the BP user information on the form. See the section Validate the BP Opportunity Focal point user information on the form in this document. 4. If the user is not in GPP and not the BP Opportunity Focal Point, check if the user who submitted the form should be the BP Admin user. If yes, then go to step Validate the BP Admin user information on the form. 9

10 5. If the user who submitted the form is not in GPP, not the BP Oppty Focal nor the BP Admin, check to ensure the BP Opportunity Focal point and BP Admin users have been filled out. Contact the submitter of the form if this information is missing. Validate the BP Opportunity Focal point user information on the form 1. Utilizing the IBM ID for the BP Oppty Focal Point, query PPS to ensure that the user information is complete. Note: It is critical that the address for the Business Partner Opportunity Focal point has been populated. 2. If the BP Opportunity Focal is not in PPS under the company name, or the address for the BP Opportunity Focal is missing, contact the user who submitted the form for correct information. The BP must update PPS first with the correct information so that it can be copied down into GPP. 3. If the BP Opportunity Focal is in PPS, then query for the BP Opportunity Focal point user entered on the form in GPP. In GPP, click Administration --> User, and then click Org Employees. 4. Ensure that there is not more than two BP Opportunity Focal points per BP. a. If the BP is a large BP, there can be an exception for more BP Opportunity Focal points. b. The BP needs to have an easy process to distinguish which Opportunity Focal Points are managing which opportunities. 5. If the user is already in GPP, go to the IBM Administrator s guide to set up the user as a BP Opportunity Focal point. See the IBM Administrator s guide section titled Setting up the BP Admin/BP Oppty Focal Point User step B. If the user is already in GPP, be sure to modify the position name do not create a new position. 6. If the user is already in GPP, in GPP click Administration User, and then Org Employees to query for the BP user record. Add the BP Oppty Focal Point responsibility to the user. 7. If the user is not in GPP, go to the IBM Administrator's guide to set up the BP Opportunity Focal point as a new user, but do not 'invite' the user. The new user will need to be 'invited' at the time the OM enablement jobs are run monthly. Validate the BP Admin user information on the form 1. Utilizing the IBM ID for the BP Admin, query in PPS to ensure the user information is complete 2. If the BP Admin is not in PPS under the company name, contact the user who submitted the form to correct the information on PPS for the BP Admin user or provide a different user for BP Admin 3. Query for the BP Admin user entered on the form in GPP. In GPP, click Administration User, and then click Org Employees. 4. Ensure that there is a maximum of two users with the BP Admin responsibility for a given BP company. 10

11 5. If the user is already in GPP, go to the step to Obtaining BPDB data Excel based procedures in the Create Driver File document to set up all of the BP Establishment IDs. 6. If the user is not in GPP, go to the IBM Administrator's guide to set up the BP Admin as a new user, but do not 'invite' the user. The new user will need to be 'invited' at the time the OM enablement jobs are run monthly. In the IBM Administrator s guide see section titled Setting up the BP Admin/BP Oppty Focal Point User Step B. If all the data is verified for the Business Partner who submitted the OM Registration Form, send the BP user an acknowledgement , using the assigned stationery in Lotus Notes, if the stationery is available at your location. This confirmation message alerts the BP when they can expect to manage all of their open opportunities on GPP, based upon scheduled runs of the OM Enablement jobs. Send an acknowledgement to the Business Partner who submitted the OM Registration Form: a. Validate the results from the BPDB query job b. Send a confirmation using the assigned stationery 11
