1 Accessing Your TREB from the Web In this article, you will learn how to check your from the Web using two Websites: Mail2Web.com and Anywhere.com. While either site can be used to access your Trebnet account, each has its advantages. After reading how to use both, you can make your own decision about which one to use. Using Setting up the link One of the great features of TorontoMLS is that it is web-based, i.e., it s easy for you to access from anywhere, as long as you have an Internet connection and Internet Explorer 5.5 or 6.0. But did you know that you can also use the Internet to check your TREB ? Several Internet websites can access servers, making it easy for you to check your when you re on the road. Most retrieval websites will request your password in order to retrieve . TREB cannot verify security levels at these sites. In this article we ll show you how to check your through a website called For easy access to this website, we ll set up a link in the Info Centre that will take you directly to TIP: When you check your in Outlook or Outlook Express, the messages that you viewed previously on the mail2web.com site will be downloaded to your computer (for more information on setting up your in Outlook or Outlook Express, click the Tips & Tricks link on the TorontoMLS Info Centre page, then click More Tips & Tricks/Computer Eaze). TIP: There is another remote site that is more feature-rich than mail2web.com. Go to to explore this site. You may also read the section on how to use this site starting on page 12. To set up your link in TorontoMLS: 1. From the Info Centre page, click the Customize My TMLS link. Computer Eaze 1

2 Customize My TMLS 2. Scroll down the page to the section entitled: Enter Four Web Addresses (URL s) To Include On Your Info Centre Page. Name URL 3. For Link 1, type in the URL field. 4. In the corresponding Name of Web Site field, type the words that you want to appear as the link on your Info Centre page. In our example, we typed Mail 2 Web. 5. Scroll down and click the Save button at the bottom of the screen. The Info Centre screen appears with the Mail 2 Web link in the My Links section. 2 Computer Eaze

3 Link Accessing your mail To access your from TorontoMLS: 1. On the Info Centre page, go to the My Links section and click the link that you created for the mail2web.com website (in our example, we called the link Mail 2 Web). The mail2web.com website appears. Computer Eaze 3

5 TIP: If you do not know your password for your Trebnet account, contact the Help Desk at (416) NOTE: The password is case sensitive. 4. Click the Check Mail button. 5. If an AutoComplete dialogue box appears, do one of the following: a.to have Windows remember the password, click Yes (this option is NOT recommended if you are checking your from a PC that you share with others). b.if you do not want Windows to remember the password, click No. Tip: If you do not want the AutoComplete dialogue box to appear in the future, click the box beside Don t Offer To Remember Any More Passwords before clicking Yes or No. A one-line summary of your new messages appears. 6. If the screen does not show all of the messages, do one of the following: a.to view the next set of messages, click the Next link. b.to view all messages, click the List All Messages link. 6 Reading your Inbox 7. To check for new mail at any time, click the Check for new mail link. To open an 1. From the one-line summary screen, click the subject line of the that you want to read. 8 Forwarding an Forward 4. When you are ready to send your reply, click the Send button. To forward an message: 1. From the one-line summary screen, open the by clicking its Subject line. 2. Click the Forward link. 3. Click in the To field and enter the fowarding address. Send To 4. 9 5. When you are ready to send the , click the Send button. Deleting a message NOTE: Deleting messages when using the mail2web application will actually delete those selected messages from your mail server. These deleted messages are not retrievable after they have been deleted. If you are unsure, wait until you are using your regular client before deleting the message. To delete a message: 1. From the one-line summary screen, click the selection box beside the message that you want to delete so that a check mark appears. Selected message Delete selected Delete all 2. Click the Delete selected s button. A confirmation message appears, as shown in the following screen capture. TIP: If you would like to delete all messages, instead of selecting each message and clicking Delete selected s, simply click the Delete all s in this folder line. Yes 3. 10 4. To return to the Inbox, after deleting messages, click Check for new mail. Check for new mail Sending an message To create a new message: 1. From the one-line summary screen, click the New Message link. New Message 2. In the To field, type the address of the recipient. To Subject Send a copy to myself 3. In the Subject field, type the subject of the Computer Eaze

11 4. If you would like a copy of the , click the box beside Send A Copy To Myself. 5. To attach a file: a.click the Browse button. Browse b.click the down arrow beside the Look In field and locate the file that you want to attach. Look in c.click the desired file to select it. The file name should appear in the File Name field. d.click the Open button. The file name appears in the Attachments field. Computer Eaze 11

12 Open e.to attach additional files, repeat the previous substeps. 6. When you are ready to send the , click the Send button. A confirmation message appears. close this window 7. To close the window, click the close this window link. Using Anywhere.com A feature-rich, Internet based client is Anywhere.com. In addition to retrieving your and allowing you to compose, forward and reply to messages, Anywhere offers the following features: create folders to organize your messages set up filters to automatically reroute incoming messages to specific folders create an address book of individuals or groups store some of your files for easy Internet access in the Briefcase check multiple accounts through a single login set personal options, such as a signature 12 Computer Eaze

13 Accessing your account create bookmarks. TIP: Although Anywhere offers many advanced features, it does not support clickable website links within an . This means that if you receive an with a link, you will have to copy and paste the link into the address bar manually. To access your account: 1. In your browser s Address bar, enter the address and press the Enter key on your keyboard. 2. In the Address field, enter your address. 3. In the Password field, enter your password. NOTE: account passwords are case-sensitive. NOTE: To learn your password for your Trebnet.com account, contact the Help Desk. 4. Click the Enter button. The main Folder Summary screen appears. Incoming messages Checking for new mail To check for new mail at any time: Click Check Mail. Computer Eaze 13

14 Reading your To read an 1. Click the folder name that contains the message that you want to read (e.g. Inbox). A message screen showing a list of messages in the one-line summary format appears. 14 Computer Eaze

15 2. Click the message s index number or subject line. The Message screen appears. 3. To view the next message, click the Next button. Next 4. To view the previous message, click the Previous button. 5. To return to the message list, click Close button. Opening attachments If there are any attachments included in an incoming message, they will appear near the bottom of the screen when you read that message. Computer Eaze 15

16 To open an attachment: 1. At the message screen, click the attachment s file name. Click to open 2. When prompted, choose either Open to open the attachment, or Save to save the attachment to disk. Reading your messages off-line 3. If you chose Save, click the down arrow in the Save In field to designate a location for the file, then click Save. Anywhere allows you to download your messages and save them to disk so that you can read them off-line. NOTE: Messages that you wish to download must be located in a folder in the Local Server section. To learn how to work with folders, see Creating a folder on page 26 and then refer to Moving messages to a folder on page Computer Eaze

17 To download messages: 1. At the Folder Summary screen, go to the Local Server section and select the folder which contains the messages that you want to download (see the note above). 2. Select the messages you wish to download by clicking in the appropriate boxes to place a check mark. 3. Click the Download button near the bottom of the screen. 4. Click OK. Computer Eaze 17

18 5. Click Save. 6. Click the down arrow in the Save In field and choose a location, then click Save. 7. To access your saved file of messages, locate the file named EAbackup-date and double click it to open. Deleting a message To delete a message, do one of the following: At the message screen, click the Delete button. The message is permanently deleted. From the message list screen, select the message, then choose the Trash folder from the drop-down and click the Move button. The 18 Computer Eaze

19 message is placed in your Trash folder and is still be retrievable. To delete it permanently, see the preceding step, or go to the Folder screen and click Empty Trash (see the second screen capture that follows). Computer Eaze 19

20 Sending messages Creating a new message To create a new message: 1. Click Compose. 2. Do one of the following: a. In the To field, enter the recipient s address. b. If the recipient s address is in your address book, click the To hyperlink, then click in the box beside the desired address and click Close. For more information on how 20 Computer Eaze

21 to create an address book, go to Creating an address book on page Click in the Subject field and enter the topic of the message. 4. If desired, enter addresses in the Cc (Carbon Copy) or Bcc (Blind Carbon Copy). 5. To add an attachment: a. Click the Browse button and locate the file. b. Click Upload. c. To add another attachment, click Upload other files; otherwise, click Close. The file to be attached appears in the Computer Eaze 21

22 Attached Files Uploaded box (see the second screen capture that follows). TIP: To delete a file, select it, then click Delete. 6. If you would like to include your signature, ensure that the check box beside Add Signature is checked. For more information on signatures, see Signature options on page To save a copy of your sent message, click the box beside Save Outgoing Message. TIP: To view your sent messages, open the Sent folder, located in the Local Server section. 8. Click in the message area and type your message. 22 Computer Eaze

23 9. When you are ready to send the , click Send. 10.Click OK. Saving and using a draft To save and use a draft: 1. At the Compose page, click Save Draft. You may now leave this screen or exit the program and Anywhere will save the draft. Computer Eaze 23

24 2. To use the draft at a later time from the Compose message screen, click Load Draft. 3. Click OK. The draft is inserted in the Message area. Replying to a message 4. Complete the as described in Creating a new message on page 20. When you reply to a message in Anywhere, the contents of the original message are quoted in the new outgoing message. To reply to an message: 1. At the message screen, click the Reply or Reply All button. 24 Computer Eaze

25 2. Click at the top of the message area and press the Enter key on your keyboard to create a few blank lines for your message. 3. Click at the top of the message area again and enter your message. 4. When you are ready to send the , click the Send button. Forwarding a message When you forward a message through Anywhere, it is saved as an html file and attached to a new message. To forward an message: 1. At the message screen, click the Forward button. 2. In the To field, enter the recipient s address, or click the To hyperlink to use your address book. For more information on how to create an address book, see Creating an address book on page Click in the message area and enter your message. 4. 26 Working with folders Creating a folder Folders help you organize your messages for easy future reference. You can use the folders already included in the E- MailAnywhere program, or you can create your own. Anywhere also allows you to set up filters to automatically reroute incoming messages into specific folders. To create a folder: 1. Click Folders. 26 Computer Eaze

27 2. In either the POP Mail Server section, or the Local Server section, click Create Folder, as shown in the following screen capture. 3. In the New Folder Name field, enter the name of the folder. Moving messages to a folder 4. Click Create. To move messages to a folder: 1. From the message screen, select the messages that you wish to move to another folder, by clicking to place a check mark in the corresponding box, as shown in the following screen capture. 28 TIP: To select all messages, simply click the box beside Select All Messages. 2. Click the down arrow in the drop-down list of folders and choose the destination folder, then click the Move button. 3. Click OK. Creating filters Filters are tools that allow you to screen your incoming messages for certain keywords and then redirect them to folders according to the keywords detected. Filters help you to organize your messages more easily and efficiently. 28 Computer Eaze

29 To create a filter: 1. Click Options. 2. Select the Filter link. 3. In the New Filter Rule section, click the down arrow beside the If field and select the field that you want the program to search. For example, if you want the program to redirect your according to a keyword that appears in the From field of the message, you would choose From. 4. Click the down arrow in the next field to the right and select the condition. The choices are defined as follows: Contains: Keyword(s) can be found anywhere in the field. Computer Eaze 29

30 Not Contains: The field does not contain the keyword(s) at all. Equals: Keyword(s) must be an exact match. Not Equals: The field does not contain the exact keyword(s) at all. 5. In the blank field to the right, enter the keyword(s). In our example, we wanted to create a filter for ed newsletters from about.com, so we created a rule that will redirect any messages that have the word about anywhere in the From field. 6. Click the down arrow beside the Then Move To field and select the folder to which you wish to redirect the matching messages. 7. Click the Add button at the bottom of the screen. The Filter conditions appear in the list of Current Filters. 8. Add other filters as desired. 30 Computer Eaze

31 9. Once you have added all the filters that you want, click the Update button to put them into effect. Creating an address book To create an address book: 1. Click Address. 2. To right of the Individual title, click Create New. 3. In the Alias field, enter a nickname for the contact. The alias that you choose appears in the address book list. You will also be able to type this Alias in the To line when you compose a new message and Computer Eaze 31

32 Anywhere will send the to the address associated with that alias. 4. In the Name field, enter the contact s name. 5. In the Address field, enter the recipient s address. 6. Scroll down and enter any other personal information, as desired. 7. Click the Create button. Creating a group To create a group: 1. Click Addresses. 32 Computer Eaze

33 2. To the right of the Group title, click Create New. 3. In the Alias field, enter a nickname for the group. The alias that you choose appears in the address book list. You will also be able to type this Alias in the To line when you compose a new message and E- MailAnywhere will send the to all addresses associated with that alias. 4. In the Name field, enter the name of the group. 5. Click in the Address box and enter an address. You may enter one address per line. To begin a new line, press your Enter key on your keyboard. 6. Complete any other fields as desired. 7. When you have entered all addresses, click the Create button at the top or bottom of the page. Computer Eaze 33

34 Using your address book To use your address book: 1. Click the Compose button. 2. Do one of the following: Enter the address: a. Click in the To field and enter the alias (i.e., nickname that you created) of the individual or group recipient. b. If desired, click in the Cc (Carbon copy) or Bcc (Blind Carbon Copy) and repeat the preceding step. Go to your address book: a. Click the To hyperlink. Your address book appears. b. In the Select column, click to place a check mark beside the desired individual or group recipient(s), then click Close. The 34 Computer Eaze

35 alias name appears in the To, Cc or Bcc field of the that you are creating. Storing files on Anywhere If desired, repeat the preceding steps for Cc (Carbon copy) or Bcc (Blind Carbon Copy). 3. Complete the as desired. 4. When you are ready to send the , click Send. Anywhere allows you to store files online, making it easy for you to access them through the Internet. You can store as many files in the Briefcase as you wish, as long as you do not exceed the space limit of 5MB. The file size of your uploads are limited to 1MB each, to ensure quick upload times. 36 Uploading a file to the Briefcase To upload a file to the Briefcase: 1. Click Briefcase. 2. Click Upload. 3. In the window that appears, click Browse. 36 Computer Eaze

37 4. Click the down arrow beside the Look In field and locate the file. 5. Once you have located the file, select it and click Open. 6. Click Upload. 7. To upload another file, click Upload other files; otherwise, click Close. Computer Eaze 37

38 Accessing a file in the Briefcase To access a file in the Briefcase: 1. Click Briefcase. 2. Click the name of the file. 3. To open the file, click Open. To save the file to disk, click Save. 38 Computer Eaze

39 Deleting files from your Briefcase To delete files from your Briefcase: 1. Click Briefcase. 2. Click the Delete link that corresponds to the file that you wish to remove. 3. Click OK. Computer Eaze 39

40 Checking multiple accounts Creating a new account folder Anywhere allows you to check multiple POP-based accounts through a single log on. This saves you time because you won t need to log on to each account separately. To check other POP-based accounts, you must first create a new folder as described in the following steps. To create a new folder: 1. Create a new folder by going to the Folders page and clicking the Create link, located beside POP Mail. 2. Click in the New Account Name field and enter a name for the account. 3. Click in the Username field and enter your username. For example, if your address is echli@trebnet.com, then your username is echli. 4. Click in the Password field and enter your password. 40 Computer Eaze

41 NOTE: account passwords are case-sensitive. NOTE: To learn your password for your Trebnet.com account, contact the Help Desk. Checking another account 5. Click in the POP Server field and enter the address of your POP Server. For trebnet.com accounts, the POP Server address is mail.trebnet.com, as shown in the screen capture above. 6. To ensure that no messages are deleted from your POP server, click to place a check mark beside Keep On Server. You will be able to download all messages with another client later, if you wish. 7. Click Create. To check multiple accounts, you must first create a new account folder, as described in the preceding section. To check another account: 1. On the Folders page, click the down arrow beside the POP Mail field and select the account that you wish to view. 2. Click Download. Computer Eaze 41

42 3. Click OK. 4. When the download is complete, you will see the folder name in the Local Server section. The number of messages appears in the Message column. Click the folder name hyperlink to view them in detail. Editing an account To edit an account: 1. On the Folders screen, click the down arrow beside POP Mail and select the desired account. 42 Computer Eaze

43 2. Click the Edit link. 3. Make any edits as desired, then click Edit. Deleting an account To delete an account: 1. On the Folders screen, click the down arrow beside POP Mail and select the desired account. 2. Click the Delete link. Computer Eaze 43

44 Setting personal options User options The User options page allows you to change the name and the reply address that appear on all of your outgoing messages. To set user options: 1. Click Options. 2. If you would like to change your name as it appears in all of your outgoing messages, click in the User Name field and enter the desired name. 3. If you wish to change the reply address as it appears in all of your outgoing messages, click in the Reply Address field and enter the desired address. 44 Computer Eaze

45 4. When you are finished, click Update. 5. Click OK. Signature options A signature is a text file that appears at the end of an message. It typically contains the following types of information: contact name contact position name of organization address phone and fax numbers return address. It may also contain any other text that you desire (e.g. your favourite quote). Computer Eaze 45

46 To set signature options: 1. Click Options. 2. Click Signature. 3. Click in the box and enter the information that would like to appear in your signature. To create a new line, press your Enter key on your keyboard. 4. Click Update. 46 Computer Eaze

47 5. Click OK. Adding/removing a signature to outgoing messages Once you ve created a signature, you can decide whether you wish to include it in your 1. On the Compose Message screen, the box beside Add Signature will appear with a check mark in it. If you would like your message to include the signature, leave the check mark in the box. If you would not like to include the signature, click the check mark to remove it. 2. Complete the as described in Sending messages on page 20. Computer Eaze 47

48 Working with bookmarks Creating bookmarks To create a bookmark: 1. Click Bookmarks. 2. Click in the Name field and enter a name for the website that you wish to bookmark. 3. Click in the URL Link field and enter the website address for the website that you wish to bookmark. 4. Click New. 5. Repeat for any other bookmarks that you wish to create. 48 Computer Eaze

49 Using bookmarks To use a bookmark: 1. Click Bookmarks. 2. Click the URL link of the bookmark you wish to access. The bookmarked website appears in a pop-up window. 3. To return to Anywhere, close the pop-up window of the bookmarked website. Computer Eaze 49
