1 XPLAN DIY Marketing Campaigns A How-To Guide for running your own marketing campaigns To get started, log into XPLAN to begin setting up your marketing campaigns using the client letter templates created by MLC. There are four End of Financial Year (EOFY) campaigns that have been loaded into XPLAN: 1. EOFY Client Campaign - Cap Less than 75% 2. EOFY Client Campaign - Cap between 75% - 100% 3. EOFY Client Campaign - Cap Over 100% 4. EOFY Client Campaign - TTR (55-64) Setting up a marketing campaign in XPlan will only take approx. 5-10mins each. Follow the steps below to start: Step 1 Click Home, then scroll down to Administration Functions>Campaigns and click on Campaigns. Step 2 Under the Campaigns heading on the left hand column, select Campaigns and then click Add.

2 Step 3 Within the Campaign Template section, click on the drop down box, scroll down and select one of the four campaigns. Step 4 When the Primary tab pops up, the title will pre-populate with the selected campaign name. You will also need to add your practice name after the standard campaign name. So the title box displays the following, for example: EOFY Client Campaign MLC FP.

3 Step 5 Once complete, click Save located in the top right hand corner. Note: The above steps 1 to 5 will need to be completed for each of the four EOFY campaigns listed in XPLAN. Step 6 Click Advanced located in the top right hand corner. You will find four pre-loaded advanced search lists that correlate with the four EOFY campaigns loaded into XPLAN. These are called: 1. Clients with super contribution cap below 75% 2. Clients with super contribution cap between 75%-100% 3. Clients with super contribution cap over 100% 4. Clients Prospective TTR aged Note: Each of the four searches has a particular campaign and client letter template assigned to use for the clients appearing in each respective search. The table below shows each search and the associated campaign name. At this stage the searches are a basic guide only, and will therefore require you to go through the client lists and select those that meet the campaign criteria specified. 4 Step 7 Once the client list is generated, you have the option to either the client letters or mail merge for direct mail via post. To clients, 1. select the tick box next to each client name, 2. scroll back to the top of the list of clients and select the drop down box next to the first client, 3. then select and then Send to client. Step 8 The screen below will appear. As identified earlier, each search list is associated with a specific client letter (see step 6 - Search list matching communication templates ). Select the relevant letter template as shown below. Note: If you wish to send these communications via mail to your clients, simply use the mail merge process. To do this, go to the Templates section under EOFY DIY Marketing Campaign.

5 Step 9 Using the same client list, you will need to assign all of the clients listed to the campaign. The campaigns also have a specific list associated to them (please see the first table within step 6). To do this you will need to select all the clients in the list by clicking the top check box which will automatically select all clients listed, as seen below. Step 10 Click on the drop down box located on the left hand side of the first client. This will open a drop down box as shown below. Scroll up and select Add Campaign to All.

6 Step 11 The following screen will appear Step 12 Click the drop down arrow on the right hand side (shown below) and select the relevant campaign from the four options you have set up. To recall, these are: 1. EOFY Client Campaign - Cap Less than 75% 2. EOFY Client Campaign - Cap between 75% - 100% 3. EOFY Client Campaign Cap Over 100% 4. EOFY Client Campaign - TTR (55-64) Once you have selected the correct Campaign from the drop down list select OK. Step 13 Within the Outcome field, select Invited and click Save in the top right corner.

7 Step 14 As the client progresses through each campaign stage, you will need to return to the campaigns and update the outcomes. To do this, find the client within XPLAN then click on the Marketing tab on the left hand side, then select the Campaigns tab. The below screen will appear. Click on the Outcome drop down box and select the outcome option relating to the stage the client is at in the campaign. Step 15 Once the campaign process for each client is completed, record the results using a file note. You can do this by finding the client within XPLAN and selecting Notes on the left hand tab. Step 16 The below screen will appear. To load this template, select the Templates tab in the top right corner.

8 Step 17 The below screen will appear. Select the EOFY DIY Marketing Campaign Results template. Step 18 The template will populate.
