1 HRIS Address Guidelines (last modified: ) The following document lists some of the internal rules that are being applied to generate an employee s mailing address. Departments may choose to record additional address information, but should keep in mind that their action may cause a change in the address that is being generated for mailing purposes. For the Pay atement address (address subtype 8) the selection is as follows: For all staff on leave of absence and the following non-appointed staff groups: UP 3902 Teaching Assistants UP 3902, Unit 3 UP 3907 Graduate Assistants UP 1230 asual udent/ Fellows asual (non-union, monthly and biweekly) xternal Non-Appointed The Home address is selected. For all others, i.e. all appointed staff, temporary and L3261 casual unions, one of the following addresses is selected: address (address subtype H) o For guidelines please see below. If there is no hospital address: Physical Location address (address subtype 7) o For guidelines please see below. If there is no physical location address: Department address (in Organisational Management) o This is the departmental default address for the Org.Unit shown on the current Organisational Assignment screen (IT0001). Address Guidelines AMS is going to apply the following hospital address rules. To help you with the update of hospital addresses on Infotype 0006, please refer to the outline below. On the Maintain HR Master Data screen, select the hospital code from the pick list. All hospital address subtypes start with H.

Michael s 30 Bond 4-Victoria Wing, Dermatology *optional if entered M5B 1W8 Some General omments for Maintaining Addresses There should only be one active hospital address. For a list of available hospital addresses, please go to Addresses section of the document. Do not enter the hospital name in any of the fields! The name is generated by the system based on the address subtype. When a new hospital address is created, an existing hospital address with a different subtype is not automatically delimited. Please end the previous hospital address by either selecting change and changing the end date, or by selecting delimit and entering the start of the delimit period. If more than one active hospital address exists, the highest hospital subtype code will be selected for the Pay atement address. If you enter the code on the Maintain HR Master Data screen, the hospital address will be proposed on the reate Address screen. ntering or changing the

When the hospital address (subtype H) is copied to the Pay atement address (subtype 8), the c/o line in the Pay atement address is filled with the hospital name, that is, the hospital code translation. Physical Location Address Guidelines reate a Physical Location address for appointed staff who are not located in the department or hospital of their primary appointment. This address should be a address. Physical location addresses are only selected if there is no active hospital address. Do not create a physical location address which duplicates the departmental address. Do not create a physical location address for an employee in one of the non-appointed staff groups. To ensure address consistency, please create a hospital address rather than a physical location address, if the address is at a hospital.
