3 > A quick introduction 1. What is Sansan? 1 You no longer need to manage your business cards yourself! All you need to do s scan them in! Change your business cards into data on a server All you need to do is run them through a scanner. Share data about your clients. 2 Centralize all your customer information! Make better use of the information inside your company by sharing it! With cloud computing, your information is secure and all in one place Mr. Sato, you know someone in A corporation. Card information is automatically updated! Receive news and personnel updates. 2. How the service works All you have to do is scan the cards, and our data entry staff will digitize your cards. 4 > A quick introduction 3. How to Log in To log in, you will need your user ID and your password or your mail address and password. A mail (with the following subject line) containing the log-in URL and your password will be sent to the address you register. Subject:[IMPORTANT] [Sansan] Notification: Business card management solution gets started. The log-in URL is also printed on the cover of this guide. You can also access the mobile site from the following QR code. 4. If you have forgotten your password... Click on Forgot password? on the log-in screen. After filling in the necessary information, you will receive an (to the address you had registered) with your new password. -P2-
5 > Basic usage 1. Scanning business cards Please scan your business cards with Sansan Scanner. If you have cards that you have already changed into data, you can import this data into Sansan. Please confirm any data import with the person in charge in your company. 1 Put cards in the scanner (you can do 20 at one time). 2 Select your user name and the date you received the cards with the Tablet PC. Please be careful when selecting the date you received the card. If you select Use Handwritten Date, the entry staff at Sansan will input the dates written on the cards. 3 Start Scanning Please press either the scan button on the scanner or Scan on the touch panel. -P3-
6 > Basic usage 2. Finding a person (Quick Search) 1 Searches are done from the search panel. You can select the parameters of the search from a pull down on the left of the panel. You can search by the persons name, company name, or address. For and searches, separate the key words by a space, and for or searches, put the word or between the different key words. 2 Search results will be displayed. If you click on the name, a personal detail screen will come up. 3 You can view both the image of the scanned business card and also the data extracted from it. By choosing Edit on the upper right, you can edit each entry, add information, and insert notes. From the icons below the entries, you can link to external services such as maps. To correct business card information, click see details under contact information to open the business card detail screen, and then do the correction there. -P4-
7 > Basic usage 3. Finding a person (Advanced Search) 1 You can choose a Advanced Search from the upper right of the search panel. Enter keywords in the different fields and then you can do the search. You can select multiple key words in the different fields. For this, click on Select Multiple on the right side of the item. On the right side of the screen you can also designate the tag or other items (e.g., phone number, notes, last contact date) for the search. 2 Here is an example of a search done with tag conditions. It is also possible to designate multiple conditions. 3 Searches can also be done for notes and contact details registered with the business card. -P5-
8 > Basic usage 4. Correcting business cards 1 Open up the business card. A: Opening this from the business card management screen From the list of business cards, enlarge the business card and click the business card button to display. B: Opening this from personal details From the business card list, click on the link of the person s name, and then accessing the personal detail screen click on see details to display. 2 Edit the business card detail screen. From the upper left of the business card detail screen, you can click edit to correct the information. If you wish to delete the business card, click delete. -P6-
9 > Basic usage 5. Making use of connections inside the company 1 From the search menu on the home screen, choose company name. (The display order of the search results will change depending on the selected format) Display:List + Card Image Display:List 2 The connections to the company you choose will be displayed as an organization tree. The department and person displayed is someone who has been contacted by someone inside your company. 3 If you click the + button to the left of the person s name, you can see who in your company has already contacted this person. -P7-
10 > Advanced usage (for individuals) 1. Classifying business cards Business cards can be grouped by the use of tags. Multiple tags can be attached to any business card (without limit). 1Add tags when cards are scanned. 2Adding a tag to one card. If you push the Tag Button on the Tablet PC, you can see the list of registered tags. If you select a card, you can add new tags, add existing tags, or remove tags from it. 3Add or remove tags from multiple cards at the same time. If you select multiple cards by checking the boxes, you can add new tags, add existing tags, or remove tags from all selected cards at the same time. For example, add a new tag. First, enter the tag name, and then you can add the tag to all the cards you selected at the same time. -P8-
11 > Advanced usage (for individuals) 2. Downloading card data 1 Downloading selected data from the result of a search on Sansan. Put checks in the boxes next to the business cards that you want to download from the search result list. If you wish to download all items, put a check in the box marked in red above and all cards will be selected. After choosing the cards, click on Download and then on Download Selected Cards. Adjust the settings of the file name and the file format to your needs and then press the OK button. You can download by either pushing the download button or by clicking on the file name 2 Downloading all your data at once When downloading all of your data at once, the extracted items will follow the template to be set by going from Settings to Download Settings to use pre-fixed format. -P9-

Some useful things you can do with Sansan1 1 Contact a client from his or her business card! 1Find out how to get there before visiting! 2You can input the address in three seconds! 3Check your clients homepages! 2 Downloading all your data at once You don t need to carry your business cards with you anymore. You can see all the information from your mobile! My train is late. What should I do? I don t have the company s phone number. Access from a QR code -P10-
13 > Advanced usage (for individuals) 4. Some useful things you can do with Sansan2 3 Change your main page to your liking! The Sansan main page can be displayed in the following three styles, and you can change between these by following the steps on the right. Click on Settings on the top right of the screen. Display:List + Card Image Display:List On Home Screen Settings inside Display Settings, you can set what your main screen is (the page shown after log-in) and also the number of items displayed after a search is done. You can hide the company news and personnel change news. (All news items are in Japanese only) Click on Settings on the top right of the screen. On Home Screen Settings inside Display Settings, please uncheck Show Topics. -P11-
14 > Advanced usage (for individuals) 5. Some useful things you can do with Sansan3 4 You can also register people who you were unable to exchange business cards with! If you want to register a person into Sansan whom you have not exchanged business cards with, you can manually create a business card entry for this person. From the main screen, choose Other, and then Create Card. From the Create Card screen, please enter the necessary data. At the very least you must input their person s family name and company name. -P12-
15 > Advanced usage (for organizations) 1. Sending group mailings With this function, you can all at once send out s to everyone from your sales reps address. By using this, you may get a new opportunity from clients you have lost touch with or prospects who didn t make an order last time. Ways of approaching a prospect Mailing system Advantages Disadvantages Sending individual s Regular software The clients are happy because they feel they are getting an sent just to them. It takes a lot of time and effort to send mails to each client, thus making your sales reps inefficient. It is difficult to keep track of what information you have sent to which people. One to One mails Sansan The clients are happy because they feel they are getting an sent just to them. You can send out to a lot of people in a small amount of time, and thus share information without too much effort. - Sending mass s Mail magazines Step mail You can send out to a lot of people in a small amount of time, and thus share information without too much effort. Often the people who receive these s feel they are getting information they are not at all interested in, and that the same is being sent to a million other people anyway. 16 > Advanced usage (for organizations) 2. Storing and sharing notes This is the first step in not allowing business cards to just be contact information. The history of your contacts with you clients will be a resource for your future business! Management Sales reps Management can keep an eye what actions are being taken and on contacts with clients By observing the follow-ups, managers can see what actions sales reps are taking. Knowing this, they can give advice to the sales reps in real time. Sales reps can review their actions, plan their next steps, and share information with each other At any time they can see the history of conversations had with past potential clients,. They can check what their predecessors had done with this account. They can also visualize and share with each other the connections between clients, coworkers, and bosses. They can follow what actions other sales reps are taking, learning from their successes and sharing knowledge. Managing business opportunities Executives Management Sales reps Executives can get an overview of the business situation, and plan their next directives In real time they can view all the different projects going on in the organization. By analyzing failed efforts, they can find new ideas that can work. Management can give instructions to their teams to move the business in the right direction. By accurately understanding what the situation is, they can give out appropriate instructions. They can share these ideas with their teams in real time. Sales reps can get hints and ideas on how to best achieve their goals. They can completely understand all the different projects they are working on. From the main screen of Sansan, they can get information about their prospects (e.g., corporate news, personnel changes, contact information sharing) and put it to use to make the sale.
