1 STUDENT AFFAIRS How to Update Your Student Affairs Signature (August 2018 to appear across all devices & preview panes) Step 1 Click on this link: Step 2 Check all of the social media accounts you want to feature. The icons will link to Temoc s social media page by default. See Step 9b to change to your account. Step 3 Click the button: Copy Signature Step 4 Open a new message
2 /Users/scott/Sites/Student Affairs/sub-pages/Student Affairs Marketing/-code/sa-esig.htmlStep 5 From the Message tab, choose Signature > Signatures Step 6 This will open up the Signatures and Stationery pop-up box (below) Step 7 Under Select signature to edit, choose the New button, and in the New Signature box (below), type a name for your signature and click OK. 3 Step 8 In the white box under Edit signature, (Ctrl-V) to paste your new signature block into the blank space Step 9 a) Select all the type and change the Font to Calibri (Body) size 10 b) Right click on the social media icon and select Hyperlink. a. In the Address field, paste the link to your area s social media and click OK. Note: The social media icons are to market your area s social media accounts, not your personal social media accounts. Step 10 Edit the rest of the text to match your personal information: From: To: Note: Please avoid individualizing your signature with bold, color, italics, etc., as we are going for a consistent look and format throughout Student Affairs Note: Cell, Fax and Mail Stop are optional Note: There should always be a space before and after the and characters Note: Hyperlinks and links will no longer be used Step 11 Once you have double-checked your personal information, spelling & font once more, click the Save button (do not click OK yet) Step 12 While still in the Signatures and Stationery pop-up box, under Choose default signature -> New messages, select your new signature from the drop-down menu, then click the OK button Step 13 For the final step, close the current , then verify your new signature is working by opening a new Note: Please make sure your signature font is showing up as Calibri (Body) size 10 Note: If your font keeps defaulting to another type when you open a new , make sure that, in the process of creating your signature, you are Saving your block 1 st, before you hit OK (if that still doesn t work, try Restarting your computer) Page 3 of 5
4 Editing Your Block in the Future When you go back to edit your signature in the future, such as to fix an error or adjust your information, it is likely to appear squished, which can be a challenge to update: The easiest way to update it is to simply start the process over from the beginning by creating an entirely new signature block, then delete the old block. Or, you can try the following: a) In the white box under Edit signature, scroll all the way down to the bottom, then (highlight) all the way up within the box, until the entire block is selected b) (Ctrl-C) to copy it, then (Ctrl-V) to paste it into a new Word doc, like below: c) Make your changes, highlight the new block and (Ctrl-C) to copy the new version d) Then, follow the same original steps as above (Steps 3-12) to create a new signature e) Once it is updated, you will most likely want to delete the old block Replies/Forwards (Optional) Most people do not need to have their entire signature re-posted each and every time they reply to or forward an . If you do want to provide your signature in a reply only in certain circumstances, such as to an outside party who might need your contact info, it can be done on a case-by-case basis: Page 4 of 5
5 a) In your response, first put your cursor where you want the signature block to appear b) On the Message tab, in the Include section, click on the Signature drop-down box and select your most current signature block that s it! If you do want to permanently enable your signature for each reply/forward, in the Signatures and Stationery pop-up box, under Choose default signature -> Replies/Forwards, select your new signature from the drop-down menu and click the OK button. Otherwise, leave the option as (none). Page 5 of 5
