3 3 INTRODUCTION The Graphic Import Java function allows clinics to attach scanned images,, faxes, or other documentation to a patient s chart and send that informationn to specified recipients. If you already have Java SE 8 Update 25 or higher installed you may skip to the Using Graphic Import Java section to begin using Graphic Import Java. SYSTEM REQUIREMENTS The following items are required to run Graphic Import: Operating System 1 Internet Browser Windows 8 Professional Windows 7 Professional or Windows 7 Ultimate Note 1. Mac OS and hardware are not supported. 2. If running multiple CGM applications, see other CGM application requirements for compatibility acceptance. Microsoft Internet Explorer version 9, 10 or 11 with 128 bit Encryption. Only 32 bit versions of Microsoft Internet Explorer are supported. Additional Software and Hardware JAVAA SE v8 (JRE1.8u25) or higherr Working scanner installed locallyy with TWAIN compliant drivers. Network scanners are not supported. INSTALLING AND CONFIGURING JAVA Before you begin using Graphic Import Java you must install the most recent version of Java SE. This section outlines the steps necessary to install and configure Java SE. Afterr you have completed the instructions in this section you can skip to the Using Graphic Import section for detailed instructionss on using Graphic Import Java. Downloading Javaa To download the most recent version of Java SE visit the link below: Note the below images are used for reference only and may slightly differr depending on which operating system and internet browser you are running. Note The 32 bit version of Internet Explorer must be used with Graphic Import. 1 Both 32 bit and 64 bit operating systems are supported.

4 4 In the New Downloads section click the link for latest version of Java SE 8. After clicking the link, scroll down in the page to locate the correct version of Java to download. Version numbers change frequently, at the time this document was written the current version was Java 8 SE 8u25. Click the JDK downloadd link.

5 5 After clicking the Download link, again scroll down the page and locate the correct version of the Java SE Development Kit. Be sure to select Accept License Agreement and then locate the Windows x86 version and click the link to begin the download. This is the 32 bit version of Java. The file will begin downloading. After the file has completed download, close all Internet Explorer windows before installing Java.

6 6 Installing Java Locate the file that was downloaded and double click to begin installation. Installation is straight forward and you will be able to select the default settings throughout the installation without having to change anything. The installation process is outlined below. Click Next. Click Next.

7 7 Click Next. Click Close. Java is now installed. After Java has been installed a few configurations need to be made to Java to run Graphic Import.

8 8 Configuring Java Open Windows Control Panel by clicking the windows buttonn Select Control Panel from the menu. at the bottom left of the task bar. Be sure to change the and click. View by from Categories to either Small icons or Large icons. Locate the Java icon

9 9 The Java control panel will open with the General tab selected. Click the Java tab. This tab is used to make sure View. the correct version of Javaa is installed and selected. Click

10 10 Verify that the most recent version of Java is selected (in thiss case we are looking for 1.8.0_25) and clear the other checkboxes. Click OK. If you do not see the most recent version of Javaa (in this casee we are looking for ), click Find. Click Next. Navigate to C:\Progam Files (x86), if your computer is runningg 64 bit Windows, otherwise navigate to C:\Program Files if your computer is running 32 bit Windows. Select the Java folder and click Next

11 11 Select the JDK1.8.0_25 folder and click Next. Click Finish.

12 12 Verify that the most recent version of Java is selected and clear the other checkboxes. Click OK. Next click the Security tab and verfiy that the Enable Java content in the browser is selected. Change the Security level to High.

13 13 Click the Edit Site List button to addd CGM webehr to the Exception Site List. Type and click Add. Next, type and click Add. You should see both items in the Location box now. Click OK to close the window.

14 14 You should now see the web addresses in the Exception Site List box. Next click the Advanced tab and select the Show applet lifecycle exceptions option. Click OK to save changes and exit. Close the Java Control Panel as well as the Windows Control Panel. To complete the remaining Java SE initializion steps log in to CGM webehr and open Graphic Import.

15 15 A Security Warning window will open, click Run.

16 16 Select I accept the risk and want to run this application and click Run. You may see an additional security warning message. Alwayss choose allow.

17 17 Graphic Import will now open.

18 18 USING GRAPHIC IMPORT JAVA To Import a saved or scanned file you must first select the image. The selected image can be an image that is scanned directly from a scanner, or it can be a previously saved or scanned image located on the computer. After the image is selected, choose a patient by performing a patient search. Once the image and patient are selected a recipient must be chosen to complete import. Each step is outlined in the sections below. To access the Graphic Import Java function, select Graphic Import Java from the Notes menu. Note You may see a security warning message when you launch Graphicc Import Java. Always click Allow to continue on to Graphic Import Java.

19 19 Once Graphic Import Java is open, images can be imported using either Scan New Document or Select Directory to attach a previously saved image. Scan New Image The first time you launch Graphic Import Java you will need to select the scanner you will be using to scan documents into CGM webehr. The scanner must be previously installed on the local computer and operational. Selecting a scanner Click Scan New Document on the Graphic Import window.

20 20 If the Select scan source: field is blank, click Source. The Select Source windoww will open allowing you to select the scanner you want to use. Select your scanner and click Select. If you have previously selected a scanner to use, you can simply click the down arrow to select the scanner you want to use. If you have previously selected a scanner to use, you can simplyclick the down arrow to select the scanner you want to use.

21 21 Once the scanner has been selected you are ready to scan documents. Place the document in/on your scanner and click Scan. The document is scanned and an image is placed in window. You can use the tools in the bottom left area of the window to rotate or crop the scanned image. The middle set of tools located at the bottom, allow you to navigate through multiple pages of a scanned document. If you want to rescan the document, clickk the red x to start over. Once you are satisfied with the scanned image click the greenn checkmark to save the scanned document. The Windows Save Image dialog box will open allowing you to save your file to a location on your computer.

22 22 Select the location Type your file name (ex. yourfilename.tiff Save. ), including the.tiff file extension and click Note You must include the.tiff at the end of your filename, it is not automatically added to the filename. If you want to attach the newly scanned document to a patient or send the image to a provider seee the Patient Search and Send To sections below. Select Directory To attach a previously scanned image, you click Select Directory from the Graphic Import window.

23 23 The windows Select dialog box will open. Navigate to the directory where your previously saved images are stored and click Open. The available.tiff images will be listed in the top portion of the Graphic Import window.

24 24 Select the image you want to attach to a patient s file. The scanned image will appear in the grey box below. The Import button located at the bottom right hand side of the window will be unavailable until a patient is selected.

25 25 Patient Search Click the Patient Search tab at the top right hand side of the window to search for the patient you want. Using the Search box on the left side of thee page, type the patient s name and click Search. Once the list of patient s displays select a patient by clicking a name in the list. The patient is now selected.

26 26 Click the Select File tab after the patientt has been selected. The Import button will now be available. Complete the image information in the section above the scanned image and click Import to attach this image to the patient s file.

27 27 The image will display in the patient s Note List with a blue swoosh icon next to the item.

28 28 Send To Scanned or previously stored images can also be sentt to a provider. Select the Send To tab and select the provider(s) you want to send the image to.. To add additional providers, click on a provider s name in the Selected Recipients list. To remove a selected provider, click on the provider s name in the Selected Recipients list and the provider will no longer be selected. The Assignedd Provider cannot be removed from the Selected Recipients list.

29 29 Next click the Patient Search tab to select a patient to associate the image with. After the patient and provider(s) have been selected,, click the Select File tab to choose the file to be sent.

30 30 After the Import has completed the image will appear in the providers Inbox located on the Dashboard. The item will have a blue swoosh next too it indicating there is an attached image.
