4 PREFACE WELCOME TO MICROMD EMR From all of us here at Henry Schein Medical Systems, Inc., thank you for selecting MicroMD EMR, the definitive Electronic Medical Records (EMR) solution. This manual is a quick reference to all of the newest features of MicroMD EMR. This manual does not cover hardware setup, networking, or installation of the program. HOW THIS GUIDE IS ORGANIZED We have organized this guide according to the modules within MicroMD EMR. The discussion consists mainly of the new features within the modules. You can find in-depth information about the entire module in the MicroMD EMR User s Reference Manual located in the Help menu of MicroMD EMR. UNDERSTANDING TYPOGRAPHICAL CONVENTIONS Before using this manual, it is important to understand the typographical conventions used to identify and describe information. Cross-References Cross-references to chapters, sections, page numbers, headings, etc. are shown in an italic typeface. e.g., Refer to Understanding Typographical Conventions on page i. Text You Type Using the Keyboard Text that you type using the keyboard is shown in a Courier typeface. e.g., Type Anthony Smith in the Name field. Keys You Press and Buttons You Click Keys that you press on the keyboard and buttons/icons that you click with the mouse are shown in a bold sans-serif typeface. e.g., Press Enter. e.g., Click OK to continue. 6 GENERAL CHANGES CHAPTER 1 PRESCRIPTION OPTIONS IN PROFILE GRAPHS When creating a Profile Graph in the Clinical Profile Wizard (Tools > Profile Graphs ), the system allows you to select multiple prescription groups without closing the Reference List Viewer window. MICROMD EMR INSTALLATION When changing servers, practices can now manually modify the database paths, including the backup path and MicroMD EMR Client installation path. To change these paths through the MicroMD EMR Manager, follow these steps: Procedure Details 1. In the MicroMD EMR Manager, click the System Settings button. 2. Click the Directories tab (Figure 1.1). 3. From the list, select the directory path you want to change. 4. Click Edit. The Edit Directory window opens. 5. Enter the correct path and click OK. General Changes Home Health Options Figure 1.1 Server Paths in MicroMD EMR Manager HOME HEALTH OPTIONS In MicroMD EMR Version 7.7, you can use Home Health as an option for classifying a provider s specialty or for identifying and importing templates. The Home Health specialty can be set in the following locations: Users and Facilities Manager in the MicroMD EMR Manager: (MicroMD EMR Manager> Users & Facilities button > Professional tab> Edit button) Specialist Manager (Figure 1.2): (Tools > Contact Managers > Provider / Specialist Manager) Template Import: (Administration section of Desktop > Administration > Template Import button > Set Specialty button) 1.2 MicroMD EMR Update Guide Version 7.7

10 DESKTOP CHAPTER 2 COMBINED AREA FOR UNIDENTIFIED ITEMS To increase the usability of MicroMD EMR Version 7.7, all unidentified items are located in one section of the Desktop, including unidentified labs, prescriptions, and transcriptions. Figure 2.1 Manage Unidentified Items Combined Unidentified Items on the Desktop Practices can also identify which categories of unidentified items a user will have available to them. To specify which items a user can see on his or her Desktop, follow these steps: Procedure Details 1. In the MicroMD EMR Manager, click the Users & Facilities button and make sure you have the Users tab highlighted. MicroMD EMR Update Guide Version
11 Chapter 2. Desktop Printing Referral List Procedure Details 2. Select the appropriate user from the System Users section. 3. Click the Edit button. The User Roles and Functions window opens. 4. Click the Unidentified Items checkbox. A drop-down screen appears (Figure 2.2) 5. Place a check mark in each category that you want the selected user to have access to. 6. Click the OK button. Figure 2.2 Options for Unidentified Items on the Desktop PRINTING REFERRAL LIST The system now includes data from the Schedule On column when you print the Referral List from the Referrals Out section of the Desktop Navigator. ATTACHMENT DETAILS When viewing attachments from the Desktop or patient chart, the system displays the Service Date of the selected attachment in the detail section at the bottom of the application workspace (Figure 2.3). 2.2 MicroMD EMR Update Guide Version 7.7
12 Urgent Attachments Chapter 2. Desktop Figure 2.3 Service Date in the Application Workspace URGENT ATTACHMENTS The system allows users to flag attachments on the Desktop as urgent. In the Add Attachment window, if the user places a checkmark in the URGENT field, the system adds a red exclamation mark (!) next to that entry (Figure 2.4). 14 CHART CHANGES CHAPTER 3 FETUS WEIGHT While in the Pregnancy History section of a chart, users can now include ounces when recording the weight of a fetus (Figure 3.1). The weight is added in the Fetuses section of the Add Pregnancy History window. Figure 3.1 Fetus Weight in Ounces CHART HEADER AND FOOTER The header and footer of printed charts have been updated in this version. The chart header (Figure 3.2) displays only the clinic information. The footer (Figure 3.3) includes the name of the user who printed the chart along with patient information. Chart Changes Modify Medical Information Categories MODIFY MEDICAL INFORMATION CATEGORIES MicroMD EMR version 7.7 allows practices to add, remove or edit Medical Information categories (such as Orders, Histories, etc.) located in the Chart Navigator. Practices can also add a code to the categories to further distinguish them. Version 7.7 also includes Chart Navigator templates that can be attached in the Medical Information Chart Navigator Manager window (Figure 3.6). To add Medical Information categories: Procedure Details 1. In the MicroMD EMR Manager, click the Reference Lists button. 2. Click the Customizable Lists tab. 3. Select Medical Info Category Titles from the Customizable Lists section of the window (Figure 3.4). 4. Click the Add button. The Custom List window opens. 5. Chart Changes Figure 3.4 Customizable Lists Section of the MicroMD EMR Manager Creating Chart Navigator Templates Practices can also create templates that determine which Medical Information categories appear in the Chart Navigator. To create a Chart Navigator template: Procedure 1. From the Customizable Lists section of the MicroMD EMR Manager (Figure 3.4), click the Navigator Templates button. Details The Medical Information Navigator Templates window (Figure 3.5) opens. 2. Click the New button. 3. Enter a name and description for your new template. NOTE The description appears when you hover the cursor over the template name in the Customizable List section of the window. 4. Click OK. Your new template appears in the under the Medical Info section on the left side of the window. 5. From the Available Items section, select a Medical Information option you want to include in your new template and click the Right arrow icon ( ). MicroMD EMR Update Guide Version

While in the Medical Categories pop-up window, select which category the Medical Information option will be located under. Details Repeat this step until you have all the desired options included in your template. 7. To reorder options within a category, highlight the appropriate selection and click the Up arrow icon ( ) or Down arrow icon ( ). 8. Once you have your template complete, click the Close button. Figure 3.5 Using Navigator Templates Medical Information Navigator Templates Window Once you have created Chart Navigator templates, you can then use any of them in MicroMD EMR. While in the Medical Information tab of a patient chart, click the Modify Toolbar icon to open the Medical Information Chart Navigator Manager window (Figure 3.6). Then, click the Navigator Template drop-down and select the template you want to appear in your Chart Navigator. Finally, click OK. 3.4 MicroMD EMR Update Guide Version 7.7

Chart Changes Figure 3.6 Navigator Template field in the Medical Information Chart Navigator Manager Window PATIENT IMAGE AND SCANNING Default Patient Image On the Demographics tab of a chart (Figure 3.7), the system displays a default image if there is no patient photo available. Chart Changes Patient Image and Scanning Figure 3.7 Default Patient Image in Demographics Patient Photo You can now add a patient photo while working in the Patient Monitor just as you can while working in the Demographics section of a chart. Simply double-click the patient photo to open the Edit Patient Information window and click the Set Photo button. Patient Photos and OCR Scanning To allow more flexibility when capturing a patient s picture, the patient photo module has been updated in MicroMD EMR Version 7.7. To help you identify patients you see in the office, the system provides the ability to scan and store patient pictures. You can scan a picture provided by the patient (e.g., scan their driver s license). You can also use a digital camera and retrieve the picture from the camera. 3.6 MicroMD EMR Update Guide Version 7.7

From the Demographics tab of a patient s chart, select Personal Details from the Chart Navigator. 2. Click the Edit button. The Edit Patient Information window opens. 3. Click the Set Photo button. The Scan Patient Picture window opens. 4. To scan a patient s picture or retrieve the image from a digital camera, click the Acquire Image icon ( ) at the top of the window and follow the instructions from your scanner or camera. For instructions on using your scanner or camera, please refer to the reference materials provided by the manufacturer. 5. When you have the picture in the system, click the Close icon ( ). OCR Scanning With the proper hardware and software specifications, MicroMD EMR can populate some demographics into a chart when you scan a patient s driver s license. Scanning with an optical character recognition (OCR) scanner saves time and reduces potential errors when entering information. The system can also capture the photo on the license and save it as the patient picture. NOTE Contact Henry Schein Medical Systems or your local reseller for more information on OCR compliant scanners. MicroMD EMR Update Guide Version

Chart Changes Patient Image and Scanning Scanning Driver s Licenses If you click the Acquire/OCR Image icon ( ) on the Scan Patient Picture window (Figure 3.8) to scan a patients driver s license, the system populates select demographic data into the Demographics tab of the chart when you click the Update Patient Information icon ( ). The following fields may be populated if they are identified with OCR scanning: First Name Last Name Middle Name Address1 Address2 City State Zip Date of Birth Gender SSN NOTE If you use the OCR option to scan the driver s license of a patient with demographic information already saved, the system replaces some fields with information from the card. The system will not delete other demographic information not identified from the scan. Saving a Patient Photo from a Driver s License Using OCR scanning, you can save the photo from a driver s license as a patient photo. For practices with MicroMD PM + EMR, the system also saves the patient photo in MicroMD PM. To scan a patient picture from a driver s license: Procedure Details 1. From the Demographics tab of a patient s chart, select Personal Details from the Chart Navigator. 2. Click the Edit button. The Edit Patient Information window opens. 3. Click the Set Photo button. The Scan Patient Picture window opens. 4. Click the Acquire/ OCR ( ) icon on the Scan Patient Picture window. 5. Click the Update Patient Information icon ( ) to save the photo in the patient s profile. For instructions on using your scanner, please refer to the reference materials provided by the manufacturer. The system automatically saves the image for you in the path indicated in the Scan Setup window and populates the demographic data. 3.8 MicroMD EMR Update Guide Version 7.7
22 Dashboard Template Options Chapter 3. Chart Changes Procedure Details 6. When you have the card scanned the way you want, click the Close icon ( ). DASHBOARD TEMPLATE OPTIONS The system now allows users to change Dashboard Templates from the Summary tab of a patient chart. While in the Patient Overview view (Figure 3.9), click the Lookup icon ( ) next to the Dashboard Template field to open the Load Dashboard Template window. This is the same functionality as the Clinical Dashboard window (clicking the Clinical Dashboard icon). Figure 3.9 Patient Overview Template Option from Inside a Chart HOSPITALIZATION OPTIONS In version 7.7, there are a number of new options to make it easier to record a patient s hospitalization history. History in Summary Hospitalization History is included in the Chart Summary Options section of the User Preferences window. Place a checkmark in this field (Figure 3.10) to show the patient s hospitalization history in the Chart Summary. MicroMD EMR Update Guide Version

Chart Changes Hospitalization Options Figure 3.10 Hospitalization History in Chart Summary Options Hospitalization History in Chart MicroMD EMR includes a patient s Hospitalization History in the Summary tab of his or her chart. Default Service Facility Locations To save time, users can define default hospital locations and other service facilities in the new Service Facility Manager (Figure 3.11). These customized locations can then be used when entering information in the Add Hospitalization History window. To create customized hospital locations, follow these steps: Procedure 1. From the main menu, select Tools > Contact Managers > Service Facility Manager. Details The Service Facility Manger window opens. 2. Click Add. 3. 26 ENCOUNTER CHANGES CHAPTER 4 TEMPLATE MANAGER The new Template Managers user preference allows you to define what section of the Template Manager window opens by default. To use the Template Manager: Procedure Details 1. From the main menu, select Tools > User Preferences. 2. In the User Preferences window (Figure 4.1), verify that you have General selected in the Preference Category section. 3. Click the Open to folder drop-down to select if you want to see the personal, shared or standard template options when the Template Manager window opens. 4. Click Close. Figure 4.1 Template Manager on the User Preferences Window SIMPLIFIED PATIENT EDUCATION OPTIONS The system displays a streamlined list of Patient Education options from the Encounter Ribbon. In the Reference List Viewer window (Figure 4.2), each assessment or description has a unique entry. To help distinguish diagnoses and entries that have multiple pieces of patient education associated with them, the system includes the source of each document in parentheses. Figure 4.3 Patient Monitor on the Encounter Ribbon EXPERT SETTING USAGE When using Expert Settings (Tools > User Preferences > General), the system retains all the performance status settings from the last completed encounter, not the last reviewed encounter. 4.2 MicroMD EMR Update Guide Version 7.7
28 Prevention Tests in Encounters Chapter 4. Encounter Changes PREVENTION TESTS IN ENCOUNTERS In version 7.7, the system includes a safeguard to ensure users prioritize prevention programs when including tests or labs to an encounter. When a user performs a Plan or Visit Test item within an encounter, the system confirms if any unresolved prevention programs exist with the same CPT code. If so, the system displays a prompt (Figure 4.4) asking the user if he or she would like to fulfill the prevention program details instead of creating a separate diagnostic test. Figure 4.4 Prevention Program Prompt UNITS ON ORDERS IN AN ENCOUNTER When adding details on the Plan tab of an encounter (Figure 4.5), users can now enter a quantity greater than 10 in the Units field. Simply click the drop-down and enter the quantity in the keypad. Figure 4.5 Units on the Plan Tab of an Encounter APPOINTMENT LOCATION REQUEST FROM AN ENCOUNTER To facilitate appointment requests into MicroMD PM, the system marks the current location by default when the user creates an appointment request from inside an encounter (Figure 4.6). 30 ORDERS CHAPTER 5 PHONE AND FAX NUMBER FOR REFERRALS The system allows you to enter the phone and fax numbers for referring offices in the Referral Order window and display them on the Referral section of the Desktop. PRINTING LAB RESULTS The selection made in the Based On drop-down on the Add Laboratory Results window now displays when you print the lab result (Figure 5.1). Figure 5.1 Based On Included in Printed Lab Result USER PRINTS ON LAB ORDERS The name of the person who performed the lab order is included when you print a lab result. AOE CODES ON ORDERS To accommodate laboratories, MicroMD EMR includes AOE codes on lab requests and printouts. DELETING PROVIDER ORDERS MicroMD EMR version 7.7 allows you to manage which users can delete orders created by a provider. To give users access to this option: Procedure 1. In the MicroMD EMR Manager, click the Users & Facilities button and make sure you have the Users tab highlighted. 2. Select the proper user from the left side of the window. Details 3. 32 PRESCRIPTIONS CHAPTER 6 ALLERGY SEVERITY LEVEL To increase patient safety, users are required to enter a severity level when adding drug allergies to a patient chart. The system displays an error (Figure 6.1) if a value is not entered in the Severity field. Figure 6.1 Allergy Severity Warning COMMON LIST USAGE WITH MEDICATIONS To give added flexibility when prescribing medications, MicroMD EMR allows you to use common lists as the default list. Use the following steps to utilize this function: Procedure Details 1. From the main menu, select Tools > User Preferences > Prescriptions. 2. Select Prescriptions in the Preference Category section of the window (Figure 6.2). 3. In the Default Medication List drop-down, select Common List. 4. Click the Close button.
