2 Step 1: Download the most current graduate and/or undergraduate curriculum package. /F l l# 1. Right click on the desired package 2. Click on Save Link as 3. Choose your desired location 4. Do not begin working from the document on the website. a. If you click on the package in Internet Explorer or Firefox, it will open and then you will have to save the document. b. If you click on the package in Chrome, most likely it will ask you to download adobe reader. Remember to pay attention to the location that you saved the document.

3 Step 2: Open the newly downloaded curriculum package Step 3: Immediately resave the file under the new name 1. In Adobe X 2. Click file 3. Click on Save as 4. Select PDF portfolio 5. Rename and pick your desired location 6. Now, any of the changes you make will be saved under this document and not under the downloaded copy.

5 Step 4: Delete all pieces of the document that you do not need in the portfolio 1. To delete the other documents in version X and XI of Adobe Pro a. You need to click on the EDIT i. Once you click EDIT it will say PREVIEW b. Then right click on the document you would like to delete and select delete. c. I do this for the course/program change form and the form instructions, not the catalog. d. Then hit save 2. To delete other documents in version 9 of Adobe Pro a. Right click on the document you would like to delete and select delete. b. Then hit save

6 Step 5: Extract the catalog document, (I do this because it is easy to maneuver and then re-insert only the pages that need to be included with this document. To Extract in Version X and XI Right click on the catalog document in the portfolio Select extract from portfolio Save it to your desired location (most likely it will be the same place you have already saved your document) You can then delete the file from your portfolio (Clicking on Edit) then right clicking on the catalog and selecting delete Hit Save You can also drag the document to the desired location. To Extract in Version 9 You can drag the document to the desired location.

7 When to use a Program vs. Course Forms Program forms Use a program form when submitting any change to the program section of catalog. Any changes to these pages requires a program change form Course forms Use a course form when submitting any changes to a specific course Both forms If adding a new course that t also adjusts the program you need to submit both forms

8 Step 6: Working on the actual forms within the portfolio. Reminders For Course Forms 1. Minor Changes a. A change that will have minimal impact on any students program and does not affect other units. See form instructions for the listed items. 2. Major Changes a. Any change not listed under minor changes or a change that affects other units. 3. Submitted by: Needs to be a faculty member not an Admin 4. Printed Catalog Course Title: a. If this is an existing course that the title is not changing, it needs to be the same title that is already reflected in Banner

9 Reminders Cont. For Course Forms 5. Enter the Course Number, make sure to double check the course numbering rules that can be found at 6. Has this course number been used in the last 10 years. a. To check if this course has been use login into Insight Production. Select University View, Then Course Tab, then CRS042 CRS Ten Years. 7. Is this course an LAC: you must have signature approval before submitting form for Academic or Graduate Dean Approval. 8. Pre/Co Requisite(s): a. Prerequisites, all courses that must be taken prior to this course b. Co-requisites, all courses that are required to be taken simultaneously c. Concurrent prerequisite, a course that could be taken either concurrently with or completed before another course 9. Equivalent to Another Course, Does this course that t is titled/numbered d differently have essentially the same content as another course?

10 Reminders Cont. For Course Forms 10. Scheduling Type, refer to the Instruction Course Types/Codes at Contact Hour ratio (is also listed in the above link). 12. Registration Restrictions (these must show up on the course description and catalog page) 13. Rationale for Change a. Be concise, but thorough. 14. Course Description 15. Organization/Assignment/Division Codes, are available via the drop down menu on the form itself. 16. CIP codes 17. Impact of Change: (this section must be completed) a. Search the PDF version of the catalog to see if the course is listed in other programs using the Find function (ctrl +F)

12 Reminders For Program Forms 1. Type of Request a. Deactivate to remove a program from the active listing b. New to add a new program c. Reactivate to reinstate an existing program that was deactivated d. Revised to make a revision to an active program 2. Assignment Codes can be found 3. Submitted by needs to be a faculty member 4. Title, if this is Deactivate, Reactivate, or Revised program change, the Title must be listed exactly as it is currently listed in Banner. 5. CIP Code (can be found at 20Program%20Website.pdf

13 Reminders Cont. For Program Forms 6. Rationale for Change, (needs to be specific and concise. 7. Approvals, make sure they have Adobe Pro ( you can request it from IT) 8. What areas of the catalog will this program reside a. List all pages, and make sure to attach all those pages to the portfolio. 9. Statewide Articulation Agreement or 60/60 Transfer guide.

14 Step 7: Editing the Catalog Pages Open the saved Current Catalog (the file you extracted or copy/pasted fromthe package download) Extract the specific pages you need from the catalog. Find the specific pg page you need to edit/extract Open the tools menu on the right hand side Under Pages, Select Extract, It will pull up a window that allows you to select the page range you would like to extract Save the file to your desired location. Save the file as page #.

15 Step 7: To make the necessary change Click on Comment on the right hand side of the adobe document To indicate that you want to delete the text to either change it or remove all together Click on the T, Highlight the text to strike through To add the new text to replace the highlighted through text Click on the Callout Tool under Drawing Markups Click on the area you would like the callout box to appear, it will allow you to adjust where your arrow will be pointing. You can always make your box bigger for the replacement text

16 Step 7: To make the necessary changes You can also use the sticky note tool. It is similar to the callout tool. Place it where you would like the text edited and insert the new text into the window. If you have a one word change Use the Textbox tool to replace the word directly over the current word Sample edited catalog pages Sample 2 edited catalog pages
