3 1. Using the Archivematica dashboard The Archivematica dashboard is the primary interface the archivist uses to manage the process of moving a Submission Information Package (SIP) through ingest, packaging it as an Archival Information Package (AIP), moving the AIP into archival storage and uploading a Dissemination Information Package (DIP) to the public access system. In the virtual machine version of Archivematica, the dashboard is located at When opened, the dashboard looks something like this: 1.1 Ingest tab The Ingest tab lists SIPs in various stages of processing: The SIP with the bell icon (Special_projects) is waiting for the archivist to approve a microservice The SIPs with checkmarks (eg Planning projects-jul-dec-94) have been fully processed from ingest to access The SIP with an x next to it (Planning Projects-Jan-Jun-94) has had a micro-service fail The SIP with the stop button (Zoning hearings) has had its processing terminated by the archivist 3
4 To view a SIP in more detail, hover the cursor over it. The SIP will be highlighted and two icons, a spyglass and a delete icon, will appear on the right-hand side: Clicking on the delete icon will remove the SIP from the dashboard (but not from the Archivematica filesystem or from archival storage). Clicking the spyglass (or anywhere else on the highlighed SIP) will open up a list of microservices completed or awaiting approval, as well as more menu options: Clicking Tasks will open a list of tasks completed as part of the micro-service; if all or part of the micro-service fails the list will include error messages. See Appendix 1, Normalization failures, for an example of when this might be used. Clicking Browse will open up the SIP contents in the browser. The user can view folders and files but cannot edit any content or delete objects or other files. Clicking Approve will move the SIP into the next stage of processing. Clicking Reject will stop processing and move the SIP into the rejected folder in the file browser. 4
5 [?] Hovering your cursor over the blue question mark next to the micro-service name will open a help text box explaining the current task. Clicking the Micro-Services menu again will close the list of micro-services. 1.2 Archival storage tab The Archival storage tab shows all AIPs in archival storage and is the primary interface for retrieving and viewing AIPs. Clicking the grey arrows at the top of the columns will sort the table alphanumerically or by date. Note that the total AIP storage is calculated at the bottom of the Size column. 5
6 1.3 Preservation planning tab The Preservation planning tab shows the default normalization paths for ingested digital objects. These are grouped by Media type (eg Audio); clicking on the name of the media type opens the relevant preservation plan on Archivematica's wiki. Clicking on "Show" in the Command column shows the script used to normalize the object. Clicking on "Show advanced details" shows further information about the type of normalization command, and also displays a statistical summary of normalization tasks that have been completed on a per-format basis (see next page). 6
7 Shows percentage of successful normalization attempts Shows percentage of unsuccessful normalization attempts Shows any instances where the system froze while attempting to normalize Hovering your cursor over a percentage will show the number of objects passing or failing and the total number of objects of each type. 2. Using the file browser The dashboard is used in conjunction with the file browser. To start processing a SIP, the user moves the SIP into the folder receivesip; the SIP can be opened, viewed and modified at various processing stages; a micro-service failure will send the SIP to a specified folder (failed or failednormalization); and rejecting the SIP in the dashboard will drop the SIP into the rejected folder. You will find it useful to keep the dashboard and the file browser open at the same time, preferably in side-by-side windows if your screen is wide enough. 7
8 3. Prepare SIP for ingest Now that you have become familiarized with the Archivematica user interface, it is time to ingest a SIP. 3.1 In the file browser, navigate to a folder containing digital objects. The folder can reside anywhere so long as it is accessible via your file browser. If you are using the virtual machine version of Archivematica, you can find test SIPs in your sampledata/standardsips folder. If you are ingesting any of the test SIPs in the sampledata/standardsips folder (ImagesSIP, MultimediaSIP, OfficeDocsSIP, rawcamerasip or _test), you don't need to complete step 3.2. If you are using the virtual machine version of Archivematica and would like to ingest SIPs from your host computer, see "Import files into virtual appliance (optional)" at Format the folder for ingest by right-clicking on the folder and selecting "SIP - Do All". This will create a folder structure that is required by Archivematica and will add a checksum file and a blank Dublin Core metadata template. Note that only the folder structure is required for ingest into Archivematica; the checksum file and the Dublin Core template are optional. Do not do this step if you are ingesting one of the test SIPs in the sampledata/standardsips folder; they are already formatted for ingest. 8
9 The folder structure is as follows: logs logs/filemeta metadata/submissiondocumentation objects The logs folders will be empty until files are placed in them during processing. The metadata folder will contain the checksum file, the Dublin Core template and a submissiondocumentation folder. The objects folder will contain all the contents originally in the folder (i.e. the digital objects to be preserved). 3.3 Add submission documentation to the metadata/submissiondocumentation folder if desired. You can add correspondence, transfer documentation, donor forms or any related content to this folder. These records will be treated as permanent archival records: during SIP processing, the folder will be moved to the objects directory and its contents will be processed just like other objects in the SIP. Note that you can add submission documentation prior to ingest, at the Appraise SIP for submission stage and/or at the Appraise SIP for preservation stage (see sections 5 and 7, below). 4. Ingest the SIP In the file manager, place the SIP in receivesip. You can do this by cutting and pasting, copying and pasting, dragging and dropping or any other method of moving folders. Within a few seconds the SIP will disappear from the receivesip directory: this means that it is being processed by Archivematica. 5. Appraise SIP for submission 5.1 Once the SIP has been placed in receivesip it will appear in the dashboard with a bell icon next to it, indicating that the archivist needs to approve further processing. 5.2 In the dashboard, hover your cursor over the SIP and click on it to open a list of microservices. You will see that the following micro-services have been completed: Create SIP backup (creates a complete backup of the SIP and places it in the SIPbackups folder) Verify SIP compliance (checks for the required SIP folder structure described in section 3.2, above) Assign file UUIDs and checksums (assigns a unique identifier and generates a checksum for each file in the SIP) Verify metadata directory checksums (checks any checksum files that were placed in the metadata folder of the SIP). 9
10 Remove thumbs.db files (removes thumbnail caches generated by Windows Explorer which may inadvertently be included in some SIPs) Create Dublin Core template (creates a dublincore.xml file and places it in the metadata folder of the SIP, if there wasn't one there already). Set file permissions (changes file permissions on the SIP to allow the archivist to modify the SIP contents) 5.3 You may wish to review the SIP at this point, for example to confirm that it conforms to any submission agreements. In the file browser, open the folder appraisesipforsubmission and open the SIP. Delete any unwanted files or folders. 5.4 If desired, add descriptive metadata to the dublincore.xml file in the metadata directory of the SIP. 5.5 If desired, add records to the metadata/submissiondocumentation folder. 5.6 In the dashboard, click the Approve icon. 6. Remove SIP from quarantine After you have reviewed and approved the SIP for submission, the SIP is moved into quarantine for a pre-set period of time. In the virtual machine, this is a demonstration period of one minute. You can either wait for the quarantine to expire, in which case the SIP will be moved automatically to the next micro-service, or you can click the Approve icon to move it out of quarantine immediately. 7. Appraise SIP for preservation 7.1 After the SIP has been approved for submission and removed from quarantine, it appears again in the dashboard with a bell icon next to it. 10
11 7.2 You will see that the following micro-services have been completed since submission was approved: Scan for removed files post appraise SIP for submission (checks to see if any files were deleted and creates a list of them at logs/removedfilesappraisesipforsubmission.log) Place in quarantine Remove from quarantine Extract packages (extracts objects from any zipped files or other packages) Sanitize file and directory names (removes prohibited characters from file and folder names) Scan for viruses Characterize and extract metadata (format identification and validation; metadata extraction) Set file permissions (changes file permissions on the SIP to allow the archivist to modify the SIP contents) 7.3 You may wish to review the SIP again at this point and delete any more files that shouldn't be preserved. In the file directory, navigate to appraisesipforpreservation and open the SIP. Note that in future, appraisal decisions at this point will be assisted by a summary of technical information about the files (format, validation status, characteristics such as compression etc.). 7.4 If desired, add descriptive metadata to the dublincore.xml file in the metadata directory of the SIP. 7.5 If desired, add records to the metadata/submissiondocumentation folder. 7.6 In the dashboard, click the Approve icon. 11

Normalize SIP contents 8.1 After the SIP has been approved for preservation, it appears again in the dashboard with a bell icon next to it. 8.2 You will see that the following micro-services have been completed: Scan for removed files post appraise SIP for preservation (checks to see if any files were deleted and creates a list of them at logs/removedfilesappraisesipforpreservation.log) Create DIP directory (creates a directory for access copies) Normalize (creates preservation master copies and access copies of the files) Set file permissions (changes file permissions on the SIP to allow the archivist to modify the SIP contents) 8.3 To view a normalization report, click on the Report icon. A report similar to this one will appear: This report lists all the objects in the SIP and indicates whether normalization has been attempted, and, if so, whether it has failed. If no normalization was attempted, the report shows whether the object is already in a preservation or access format. The report shown above indicates that no normalization attempts failed. However, no normalization 12
13 was attempted for the file plan01.dwg because Archivematica has no default normalization paths for CAD drawings. No preservation normalization was attempted for the file oakland03.jp2 either; however, this is because Archivematica has been configured to recognize JPEG2000 as a valid preservation format. For more information on Archivematica's default normalization policies click on the Preservation planning tab (see sec. 1.3, above). 8.4 At this point, you can decide to manually normalize objects in the SIP. In the file browser, open the folder manualnormalization and normalize objects as desired. If you have manually normalized any objects, click the Manual icon in the dashboard. A pop-up screen listing all the objects in the SIP will appear. Select the file(s) that have been manually normalized, enter the name of the normalized version of the file, and add a description if desired. This causes the original file to be linked to its normalized version. For example, in the screenshot below, the user has normalized the file oakland03.jp2 to TIFF and is now linking oakland03.jp2 to oakland03.tif. When you are done, click Submit, then click the Approve icon to approve normalization. 13
14 9. Store AIP and upload DIP 9.1 After normalization has been approved, the SIP continues to move through micro-services until it reaches two further approval steps: Upload DIP and Store AIP. The SIP will again appear with bell icons next to it when these micro-services are ready for approval. You will see that the contents of the submissiondocumentation folder have been ingested and normalized through the following micro-services: Check for submission documentation Move submission documentation into objects directory Assign file UUIDs and checksums to submission documentation Extract packages in submission documentation Sanitize file and directory names in submission documentation Scan for viruses in submission documentation Characterize and extract metadata in submission documentation Normalize submission documentation In addition, the following micro-services have been completed: Remove files without PREMIS (removes any 0 byte files that were created as a result of normalization failures) Verify checksums generated on ingest (verifies the checksums created for eachfile by Archivematica to ensure that no changes to the files occurred during SIP processing) Compile METS (generates the METS file which contains all the preservation metadata for the 14
15 AIP) Add Dublin Core to METS (adds the dublincore.xml file to the METS file) Copy METS to DIP Directory Generate DIP (takes the DIP directory out of the AIP and places it in uploaddip) Set file permissions (changes file permissions on the DIP to allow the archivist to modify the DIP contents) Prepare AIP (packages the AIP in accordance with the Library of Congress Bagit specification) 9.2 You can review the AIP's contents at this time but you can't make any changes. To review the AIP, click the Browse icon in the dashboard or open the AIP in the file browser (storeaip). 9.3 In Store AIP in the dashboard, click Approve to move the AIP into archival storage. The AIP will be moved into the folder var/archivematica/www/shareddirectory/www/aipsstore in the file browser. Depending on how you have set up your Archivematica installation, AIPsStore can connect to your institution's network drive and your storage systems. To view the AIP once it is stored, click on the Archival storage tab in the dashboard (see sec. 1.2, above). 9.4 You can review the DIP and delete any files you don't wish to upload into your access system. In the file directory, go to uploaddip and open the DIP. Delete files as desired. 9.5 In Upload DIP in the dashboard, click Approve. This uploads the DIP to the access system. A backup copy of the DIP, including the deleted files, will appear in DIPbackups, and will include a list of the files that were uploaded. 10. View access copies in ICA-AtoM 10.1 Open Log in using the demo@example.com and the password demo Click on archival descriptions (under the search box) and click on the top description in the list. For more information on how to use ICA-Atom, see the ICA-AtoM user manual at Exit Archivematica Methods for closing Archivematica will vary according to how you have installed the system. If you are using the virtual machine version, see title=virtual_appliance_instructions for instructions on shutting down the virtual machine. 15
16 Appendix 1: Normalization failures Archivematica attempts to create preservation and access copies of all ingested digital objects. If normalization fails, the SIP will appear in the dashboard with a bell icon next to it and "Failed" next to the Normalize micro-service. Note that Archivematica does not attempt to normalize any objects for which there is no default normalization path. You can click on the Tasks icon in the Normalize micro-service to find out more about why objects failed normalization. The error message in grey appears right below the file that failed. This error message can prove useful in trouble-shooting normalization failures; if you are reporting normalization errors on the Archivematica discussion list or issues list, be sure to include this error message in your report. 16
17 At this point you can reject the SIP, approve it as is, or manually normalize the failed objects. See sec. 8.4, above, for instructions on manually normalizing objects in the SIP. 17
