1 G/TIMS STAN/EVAL MANAGEMENT CHECKLIST PART I Overview This two-part checklist provides a method for managing aircrew G/TIMS Stan/Eval processes. Together the checklists cover managing an aircrew member s Flight Evaluation Folder, their Quals, Waivers, and Certifications as well as Memos for Record and the Stan/Eval Management Audit Log. Application Access On the G/TIMS Browser (left) confirm you have the All G/TIMS tab highlighted at the bottom of the Browser application menu. From the application menu, under Administration, select Ops Manager. This opens the Ops Manager window (below). a From the Toolbox area in Ops Manager, select Stan/Eval Management. a Alternatively, from the Ribbon select the Stan/Eval Management icon. NOTE: When first opening this application, the Person Picker window (below) appears. Enter search criteria in any of the filters to narrow the search for the desired aircrew member and click Find (). Highlight the desired aircrew member s name. 7 Either double-click the highlighted name or else click OK to open the aircrew member s Stan/Eval Management window. NOTE: When subsequently opened, Stan/ Eval Management opens to the aircrew member the user last viewed. Always ensure that the Stan/Eval Management window (next page) opens to the correct aircrew member. 7

2 Application Usage The top section of the Stan/Eval Management application (below) contains the selected person s rank, name, organization and crew position(s). To the right are three buttons: the Change Person button reopens the Person Picker dialog box, discussed above; for additional information about the View/Export All, and View 9 buttons, see Section O FEF Controls on Pages -7 in Part II of this checklist. The Stan/Eval Management application is comprised of three tabs described in two checklists. This first checklist deals with the Quals/Waivers/Certs/MFRs tab () used to: assign and manage the aircrew member s Quals and Certifications; and create and manage any Waivers they might have, as well as to add Memos for Record to the Stan/Eval Management application. It also covers the Audit Log tab (), a record of entries for when certain actions are taken regarding the aircrew s FEF. The second Stan/Eval Management checklist deals with the Flight Evaluation Folder tab () that contains all of an aircrew member s Forms 8 and AF Form 9 entries that are in the G/TIMS system. 3 A. Manually Assigning a Qual (Tab ): Select the Add button to open the Qualification Details dialog box (below). Select the Qual from the Qualification menu. Toggle off the Match Scope icon to view all Quals. Uncheck the Initial Qual box if applicable this makes step possible. Dates for Last Accomplished and Expires must be entered. NOTE: An INSTR Qual is non-expiring, i.e., it does not have an Expires date. Set the Status using the drop-down menu (left). Once all values are entered, select OK. NOTE: Verify the Last Accomplished Date and Expires Date from the latest Form 8 associated with the assigned Qual. If the Qual has associated ARMS activities for the aircrew member, the Expiration Date will automatically populate. B. Editing an Existing Qual (Tab ): Highlight and then double-click the desired Qual or Click the icon to the right of the qual. The Qualification Details dialog box (below) displays the appropriate information which can then be modified. Once all values are entered, select OK. Checking the Show All Quals container (the default is unchecked, i.e., Withdrawn Quals are hidden) allows Withdrawn Quals to be displayed. NOTE: If the user preference is to hide withdrawn Quals (i.e., unchecked) and a Qual is subsequently withdrawn, it will remain displayed until either the record is closed and subsequently re-opened, or the refresh icon on the Ops Manager toolbar is selected. NOTE: The Show All Quals button also affects the display of Quals in the Stan/Eval Status application. However, a Qual withdrawn in Stan/Eval Management is hidden on the Stan/Eval Status display when an automatic G/TIMS system update runs, or else the refresh icon on the page is selected.

4 C. Deleting an Existing Qual (Tab ): Highlight the desired Qual and then click the Delete icon. A dialog box (below, left) opens to confirm the action. NOTE: This action cannot be undone. NOTE: A qualification with an associated Form 8 cannot be deleted. Attempting to delete a Qual with an associated Form 8 will open a dialog box (below, right) asking if you would like to Withdraw the Qual instead. See Editing a Qual (above). D. Waiving an Existing Qual (Tab ): Click the Add button in the Waivers pane. The Qual Waiver Details dialog box opens (below). a b c From the Qual drop-down menu, select the Qual to be waived. Enter the expiration month. NOTE: The default expiration is the 7 end of the month following the original expiration date. From the drop-down menu, select a Waiver Type. Enter text in the Comments area or else select a template (a) and click the Insert Template button (b) to enter and edit a template. Toggle Off the (left to right) Match Quals, Match Scope, or Match Type icons (c) to expand the template menu. Click the icon in the Attachments area to attach a file. NOTE: Highlight an existing attachment and select the icon to open it and the icon to delete it. 7 When finished, click OK. E. Editing/Deleting an Existing Waiver (Tab ): Functionality is the same as when Editing/Deleting a Qual (Sections B and C). F. Adding, Editing, and Deleting Certifications (Tab ): Functionality is similar to Adding/Editing/Deleting a Qual (Sections A, B and C).

5 G. Adding Memos for Record (Tab ): Click the Add button in the Memos For Record pane. The Memo For Record dialog box opens Enter the Date (default is the current date). Added By defaults to the current user. Signed By defaults to the person whose CAC is in the reader. Selecting the Sign button opens a User Authentication dialog (right) to digitally sign the MFR. Enter a Title (required). 7 Enter a Description (required). Enter desired text or select a template (8) from the drop-down menu and click the Insert Template button (9). Modify the template as necessary. NOTE: Toggle Off the Match Scope (left) and Match (right) Type buttons (0) to expand the template menu. Click the icon in the Attachments area to attach a file. NOTE: Highlight an existing attachment and select the icon to open it and the icon to delete it. When finished, click OK. H. Editing/Deleting an existing MFR (Tab ): Functionality is the same as when Editing/Deleting a Waiver (Section E).

6 I. Audit Log (Tab ): The G/TIMS system automatically opens an Audit Log window to be completed when a triggering action is made by the user. See below for a list of the triggering actions. NOTE: Audit Log entries are a permanent record in the Stan/Eval Management window, i.e., once submitted, they cannot be deleted or modified. Highlight an entry on the Audit Log tab (below) to view additional information in the Audit Log Details section at the bottom of the screen. Audit Log entries are created when: A qualification or certification date is modified. A grade is modified. A Form 8/8 is submitted. A Form 8/8 is signed. A change is made to a submitted Form 8/8. A Form 8/8 is unsubmitted. A Manual 9/0 entry is created. A Manual 9/0 entry is edited. A Manual 9/0 entry is deleted. A Form 8/8 is finalized before all digital signatures are in place. The digital signature requirement is removed after submission. Clear All Digital Signatures has been selected. A Manual 0 entry is added that is not the latest entry on that 0.
