3 INTRODUCTION We have created this installation guide to assist you in deploying and configuring Bellefield Connect for itimekeep in TABS3 sites. The integration of itimekeep with TABS3 requires more steps than a standard itimekeep installation. However, it is still relatively simple and you should be able to complete the steps in this guide in less than 30 minutes. If you have any questions or experience any issues please do not hesitate to contact your itimekeep reseller or Bellefield directly at support@bellefield.com Before using or installing this product please read the license agreement. By installing or using this software you are agreeing to all of its terms. If you do not agree to be bound by the terms of the agreement please do not install or use the software. SUMMARY The integration between itimekeep and TABS3 requires several components that need to be installed and configured in the proper sequence. The diagram below shows these components. The components in red are specific to TABS3 installations and are the subject of this guide. The components in blue are standard itimekeep components, please make sure to read and understand the standard installation guide before continuing with this Tabs3 guide. itimekeep Bellefield Connect Service WCF Bridge ADODB Bridge User DSN (ODBC Driver) Tabs3 To install the Bellefield Connect Service please follow the instructions illustrated in the standard installation manual for Bellefield Connect (included with your installation package, or available on demand from support@bellefield.com). Important: you should simply install the Bellefield Connect service. Do not try to configure it just yet. Only after completing the steps on this guide you should go ahead and configure the Bellefield Connect Service. Once the Bellefield Connect service has been installed, we recommend that the remaining components be installed in reverse order (Ex: the User DSN should be setup and configured before the ADODB Bridge). The following sections will guide you through the installation of each component separately. Important: For these components to work together they need to be installed and run under the same administrator account. We will refer to this account as the Admin Account throughout this document. 4 In addition to these components, importing time into Tabs3 requires the creation of a Tabs3 user and the setup of mapping between the import file and Tabs3. This guide will also show you how to complete these two processes. SETTING UP THE USER DSN (ODBC DRIVER) The FairCom ODBC driver for Tabs3 is available through your Tabs3 reseller. Please contact your Tabs3 reseller for additional information on how to obtain and install the ODBC driver for Tabs3. Additional information is available from STI at this address: Once the ODBC driver is installed, you need to create a User DSN to enable the connectivity to thetabs3 database. Important: this User DSN must be created using the Admin Account on the server. You must log into the server using this account and then create a User DSN by following the steps below. From the Start Menu, select Administrative Tools and then Data Sources (ODBC) Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 4 of 19

5 Under User DSN, select Add Select FairCom 32bit ODBC Driver and press Finish Note: If the FairCom ODBC driver is not listed this indicates that the ODBC Driver is not installed properly. Please contact your itimekeep reseller or us directly at Edit the Data Source Name and Description fields and enter itimekeep on both. 6 The remaining configuration parameters must be set in accordance with your current Tabs3 installation. Once finished, press the OK button. Important: The settings displayed on the right are for illustration purposes only. Your actual settings will depend on your particular environment and Tabs3 version. Please consult with your Tabs3 reseller to determine the correct values. More information can be obtained at the link below: Later you will have an opportunity to test if the ODBC Driver and the User DSN have been configured properly. 7 INSTALLING THE ADODB BRIDGE The ADODB Bridge is a simple DLL that uses ADO to communicate with the Tabs3 database through the User DSN we setup in the previous step. The ADODB Bridge requires a simple registration as shown in the steps below: From the Start Menu, open a command window. Important: make sure you chose Run As Administrator Once on the command line, use the CD command to navigate to the folder where you installed Bellefield Connect NOTE: the default folder is: c:\bellefieldconnect\itimekeep\host Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 7 of 19

8 Now navigate to the extras folder and then to the tabs3 folder. Register the ADODBBRidge.dll by typing the following command: regsvr32 ADODBBridge.dll You should get a confirmation message like the one displayed on this image INSTALLING THE WCF BRIDGE The WCF Bridge is a console application that receives commands from the Bellefield Connect service and forwards them to the ADODB Bridge. This console application must be running at all times in order to enable access to the Tabs3 database. Important: This application must be configured to run under the same Admin Account used to setup the User DSN as explained earlier in this document. To ensure this console application is always running, Bellefield has obtained a universal license for Always Up from Core Technologies. Obtain the AlwaysUp installation package from Bellefield by contacting support@bellefield.com and install it by following the provided instructions. Important: Once installed, you need to activate AlwaysUp by copying the license file (alwaysup.dat) onto the folder where you installed AlwaysUp. This license file can be found in your Bellefield Connect installation folder under extras\alwaysup. After copying the AlwaysUp license file, follow the steps below to run the WCF Bridge: Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 8 of 19

9 Run AlwaysUp and click on Add Application In the General tab: 1) Edit the name: itimekeep WCF Bridge 2) In Application, click the browse button 3) Navigate to the location where Bellefield Connect was installed*** 4) Navigate to the extras\tabs3 folder 5) Select Tabs3WcfBridgeConsole32.exe ***the default folder is: c:\bellefieldconnect\itimekeep\host Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 9 of 19

10 In the Logon tab: 1) Check the two boxes shown in the image to the right 2) Enter the username and password for the Admin Account Important: This Admin Account should be the same one used when setting up the User DSN as explained earlier in this guide Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 10 of 19

12 On the Extras tab, uncheck the Dismiss box and check the box to have the application start minimized. Then press the Save button at the bottom. Now select the application you just added and click on the Start button. After a while you should get a confirmation message and the state should change to Running At this point all the components necessary for connecting itimekeep with Tabs3 should be in place. You can now configure Bellefield Connect for itimekeep as shown in the main installation and configuration guide. 13 SETTING UP A TABS3 USER Importing time into Tabs3 requires the use of Practice Master s import program, which is included with every Tabs3 installation. This program requires that a specific Tabs3 user with the proper permissions be setup in advance. Important: We recommend the user be named ITK and be given rights in Tabs3 to only run the import wizard. Below are the steps to setup this user in Tabs3. For additional information please contact your itimekeep reseller or us directly at support@bellefield.com First we will create an access profile with the minimum set of permissions. Under System Configuration, open User Configuration and click on Access Profiles. Create a new access profile and give it an ID of ITK and a name of itimekeep Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 13 of 19

14 This access profile should only have access to the Import Data Wizard as shown in the picture to the right. All other functions should be disallowed. Lastly, add a new user and give it the ID of ITK, make sure the user can logon and is inactive, and assign to it the ITK access profile we created in the previous steps. 15 MAPPING TIME ENTRIES TO TABS3 FIELDS Before time entries can be imported into Tabs3 you need to configure Tabs3 so that it knows how to process your import files. To achieve this you simply have to establish a mapping between the fields in the import file and the corresponding fields in Tabs3. We will save this mapping under the name ITK. To aid during the mapping process, your installation package contains a template file called itkimporttemplate.csv located in the Extras\Tabs3 folder (under the Bellefield Connect installation folder). We will use this template to map the corresponding Tabs3 fields by following the instructions below: From the main Practice Master menu, select Maintenance, them Import Data Wizard Expand Common Client Related Files and select Fee and press Next Bellefield Connect for itimekeep TABS3 Installation Guide - Version 1.5 Page 15 of 19

16 Click the Browse button and select the import file template located in the extras\tabs3 folder. The name of the file is: ITKImportTemplate.csv Note: during browsing make sure you are displaying all file types (*.*). This option can be enabled at the bottom of the browse window. After the file has been selected please press Next On the mapping screen, make sure each field on the right is matched exactly with every field on the left. Note: to select a field simply click on it on the right hand side and select the correct option from the dropdown as indicated by the arrow in the picture. Once all the fields are properly mapped simply press Next You will we asked if you would like to save the new definition. Select yes and give it a name of ITK and a description of itimekeep. 17 CONFIGURING BELLEFIELD CONNECT If you have followed all the steps on this guide you can now complete the configuration of Bellefield Connect. Below there is a screenshot showing how this configuration should look, assuming you have followed our recommendations: 1) This reflects the User DSN we created in the Setting Up the User DSN section earlier in this guide. If you choose to name the User DSN anything other than itimekeep then the correct name should be reflected here. 2) This should indicate the path to the Practice Master import wizard, which should be part of every Tabs3 installation. 3) This reflects the Tabs3 user that will be running the import process and corresponds to the ITK user described in the Setting Up a Tabs3 User section earlier in this guide. If you chose a different username then the correct username should be reflected here. 4) This refers to the ITK mapping we established in the Mapping Time Entries to Tabs3 Fields section earlier in this guide. If you chose a different name for the mapping then the correct name should be reflected here. 18 IMPORTING TIME INTO TABS3 Assuming you have followed all the steps of this guide, importing the firm s time into Tabs3 is a simple process that requires one of your administrators to run our import wizard as indicated below. The import wizard can be run as often as necessary, and each run will import all the pending time entries for all itimekeep users at the firm. Note: you can find the Import Wizard (called ImportWizard.exe) in the default installation folder for Bellefield Connect. Below you have a picture of the Import Wizard. To initiate the process simply press the Start Import button at the bottom of the screen: Once started, the wizard will download all the remaining time entries, save them into an import file, and run the Practice Master import tool (cm.exe), which will take the import file and insert the time entries into Tabs3. And that s it! NOTE: The Practice Master import tool is a standard part of Tabs3 installations, please refer to the Tabs3 documentation for additional information about this tool.
