1 Youngstown State University Banner Brain Blitz This guide is designed to be used following attendance in the Banner 7.0 Navigation training class.
2 YSU ERP Solution YES Project Banner 7.0 Navigation Practice Exercises These exercises should be completed in Internet Native Banner SCT Training Database (TRNG) with your train id and password. Log into the system to begin working in Banner. In order to do this back at your desk, you will need four things: 1. YSU Banner ID 2. YSU Banner Password 3. Internet access 4. Internet Explorer service pack 2 or higher or Netscape 4.7 or higher NOTE: The screen resolutions may need to be adjusted on your personal computer x 768 may provide for optimal viewing. To change screen resolutions in any version of Windows: 1 Right-click a blank area of your desktop 2 Choose Properties 3 Click the Settings tab 4 Drag the slider to the right until it displays 1024 by 768 pixels 5 Click OK YSU Banner Navigation 7.0 Navigation Practice Exercises December, 2005 Page 2

5 Parts Of A Form Identify these form parts by writing the correct name in the blank boxes next to the item using the terms to the right. Fields Options Menu Information or Data Block Key block Titlebar Search Icon Next Block or Tabs NOTE: There are three types of fields: Free-format, List of Values (LOV), or Search fields. 6 Types of Banner Forms List the three types of forms you will use in Banner, on the correct line based on use. Used to enter, update and query information Used to look up existing information Application Form Inquiry/ Query Form The other types of forms include validation, maintenance, control and rule. 8 Main Menu Navigation Steps: With Banner open (Note: if the folder is open, it is already opened) 1. Double Click on the folder next The menu will expand and other to SCT Banner. folders will appear. 2. Double Click on the folder next The menu will expand and other to Financial. folders will appear. 3. Double Click on the folder next The menu will expand and other to Purchasing and Procurement. folders will appear. 4. Double Click on the folder next The menu will expand and other to Request Processing. documents will appear. 5. Double-click on Requisition The first page of Requisition form (FPAREQN). will open. 6. 9 Go To Field Or Direct Access Steps: 1. With Banner open: 2. Type PPAIDEN in the Go To The text PPAIDEN is in the Go To field. field. 3. Press Enter. PPAIDEN opens. 4. Click the Exit icon or Ctrl + q. The Main Menu will appear. Remember: Use the cursor arrow up and down keys in the Go To field to access form you have previously opened in this Banner session. Remember: Use the F5 key to activate the Direct Access or Go To field from within any form in Banner. Last 10 Forms Steps: With Banner open: 1. Remember: Only the last 10 forms used since you logged on to this Banner session will show up in the lower portion of the File Menu. 10 Accessing Banner Forms Activity 1: The three ways to access forms in Banner are: 1) 2) 3) Activity 2: For this activity, there are two parts: A) Open Banner and access the identification form SPAIDEN using the folders from the Main Menu. Click the folder once to highlight it and then press enter to open or close it. (Hint: Found on the General Person Menu.) After you have successfully opened the form, click exit to return to the main screen. B) Open the same form from the Main Menu, but this time use the Go To field. 11 Wildcards In a Search Wildcard Characters Use the wildcards, % and _ in defining the search criteria without the quotes. The % character represents any number of unspecified characters. The _ (underscore) character represents a single, unspecified character. NOTE: With experience, it becomes easier to narrow queries and get the desired results. NOTE: Be sure to enter search criteria with proper capitalization! Examples: To get these results: All entries that contain ma in the name All entries that begin with ma All entries that begin with ma but are only three characters All entries that have ma: as the last two characters All entries that have m: as the second character All entries that begin with s, but have only five characters Enter this criteria: %ma% ma% ma_ %ma _m% s Steps: 1. Open SOISBGI. Loads source background institution form. 2. Tab two times to move to the Name To display all institutions that begin with field and type A% in the Name field. the uppercase letter A. 3. 12 Perform a Query Using an Application Form Steps: 1. Open SPAPERS. Loads the General Person form. 2. Click the drop down search icon next to the ID field. The Options List dialog box appears. 3. From the Options list, select Person Search. 4. Click in the last name field and enter adam_ (w/o quotes) as the search criteria. 5. Click Execute Query on Runs the search. the toolbar, or F8 on the keyboard. Loads the SOAIDEN Person Search form. To find records with five letters that start with adam. If you get too many matches--try the rollback function and add some part of the first name. 6. 13 Query Using a Maintenance Form Steps: 1. Open form FTMVEND. The Vendor Maintenance form opens. 10. Click the drop down search icon next to the Vendor field. Loads the FTIIDEN Entity Name/ID Search form. 2. Tab to the last name field and enter %Computer% (w/o quotes) as the search criteria. 3. Press the F8 key on your keyboard or click the Execute Query icon on the toolbar. To find all matching records that contain the word Computer. The query is executed and the search results are displayed. 4. Double click the ID # for Youngstown Computer Company information Youngstown Computer is returned to the FMTVEND form. Company. 5. 14 Perform a Query from a Field Steps: 1. Open PEAEMPL. Loads the employee information form. 2. Delete any entry in the ID field and tab to the Name field. Position cursor in the field to be searched on. 3. Type jon% (w/o quotes) in the Name field and hit the Enter key. Enter executes the query. To display all entries that begin with the characters jon. Since the Search Results window contains multiple matches, we will narrow the search again by adding an additional search parameter. 4. In the Zip or Postal code field, type and then Execute Query F8. 5. Click the down-arrow next to the search results field and select the record for Jones, Robert. 6. Select Next Block using the toolbar or Ctrl + Pg Down on the keyboard. Re-executes the search against only the original matches for those who live in this area code. A single click will select and return the specific employee record back to the application form (PEAEMPL). Populates the data block fields with the applicable information. 7. 16 Using the Message Feature Steps: At the Banner Main Menu: 1. Click the View/Send Message icon from the main menu toolbar. or the Check Banner Message hyperlink from the My Links bar. (A green checkmark indicates a message is waiting.) The GUAMESG form appears with any messages you have received. If you have no messages, proceed to step Review messages. Click Complete. Marks the message as completed. 3. Click Save icon. The message no longer appears when the GUAMESG form is reopened. 4. Click cursor arrow down. Moves you to the next record for sending a new message. 5. Type Recipient ID. Identifies who will be receiving the message. 6. Press Tab. Moves you to the date field. 7. Type the Date or click the calendar Completes the data field. icon next to the date field or double click into the field to see the calendar. 8. Press Tab twice. Moves you to the message field. 9. Type Message. Provides the message to the recipient. 10. Press Tab four times. Moves you to the system field. 11.
