5 Banner Guide Introduction Purpose The purpose of this document is to provide guidance on how to navigate the Internet Native Banner screens of the student information system at Allan Hancock College. The Banner system contains a great deal of information about students. It is important to insure the privacy of the individuals in the database according to the guidelines of the Family Education Rights and Privacy Act of 1974 (FERPA). In general you should not share any information regarding a student with anyone other than the student unless you are sure you are within these federal guidelines. Intended audience The intended audience for this document is all Banner users at Allan Hancock who work in an office that accesses Internet Native Banner. This includes most Student Services, Administrative Services, and Academic Affairs staff. This document is not intended for faculty or most administrators who will use the Web Self-Service Banner interface accessed through the myhancock Luminis portal. Scope This document explains the terminology and navigation techniques for the Internet Native Banner interface. This interface is used to enter, update, and view objects in the Banner system. 6 Banner Guide Overview This user guide will cover the general navigation of Internet Native Banner (INB). It will provide the information needed to accurately navigate through the screens. The Banner Web interface is called Self-Service Banner (SSB). The SSB interface is used by faculty, staff, and students; and is not covered in this guide. Getting Started To access INB, log on the myhancock portal. Click on the Work Tools tab and click on the Internet Native Banner link. Banner INB is only accessible if you are on the district network. You will be presented with a log in screen. Your Oracle user name and password are assigned to you by IT Services when your administrator has approved your Student Information System User Request Form. Your INB Oracle user name/password is separate from your myhancock user name and password. IT Services will create your account using the same user name as myhancock, if possible. A default password will be given to you for your initial log in. Enter your Oracle Username and Password. The Database field should display the word PROD which stands for Production. Production is the real, live system. The rest of this guide may also show screen shots from one of the test or training environments. 7 Banner Guide Upon successful logon, you will be presented with the following screen. Figure 1 - Main Menu How to Change Your Oracle Password If this is the first time you have logged in to INB, you should change your password. Enter your initial Oracle password in the Oracle Password field. You can use the same password as myhancock, but the system does not automatically synchronous them. The Database field should be PROD. Type your new password in the New Oracle Password field and Verify Password fields. When completed, click the Apply password change icon. You also have the option to Cancel password change and exit the form by clicking on the X icon. Every form change in Banner is traced back to the user and date entered. 8 Banner Guide Display layout The following screen shot shows the location of the standard controls and message areas. menu bar toolbar title bar auto hint status line Menu Bar The menu bar is located at the top of every form and contains pull-down menus. All functions can be accessed from the menu bar. See Appendix C. The most common functions are also accessible from the toolbar. The interface also has shortcuts that can be used such as function keys. See Show Keys for more information. If a pulldown menu item is dimmed, it is currently disabled. File Menu This pull-down menu contains the standard functions. The bottom of the menu lists the last forms (up to ten) you accessed in this session. Direct Access Object Search Displays the Direct Access Form (GUAPARM) which is used to access a form by its name. Displays the Object Search Form (GUIOBJS) which is used to search with part of the name, description, or type (All, QuickFlow, Form, Jobs, or Messages). Allan Hancock College page 4 April 14, 2010

9 Banner Guide QuickFlow Select Rollback Save Refresh Print Exit Exit QuickFlow Exit Banner Return to Menu Preferences List of recently accessed forms Displays the QuickFlow form (GUAQFLW), which is used to access a QuickFlow. Quickflow automatically accesses forms that are linked in a chain. Returns you to the calling form and enters the selected value into the field that called the form. Application and inquiry forms: clears all information (except key information) and returns you to the first enterable field in the key block. Query forms: Returns you to the first enterable field on the calling form. Saves all changes entered since the last time you saved. Clears the message line. Prints the current window with the date and time in the title bar. Forms and windows: Exits you from the form or window Main Menu: Exits you from Banner Query Mode: Cancels the query and takes the form out of query mode. Exits you from a QuickFlow Exits Banner INB Returns to the main menu Displays the General User Preferences Maintenance form (GUAUPRF), which is used to customize Banner for individual users. Suggest that you check the box to display form name on menu and box to display form name on title bar. Lets you quickly re-access forms that were previously accessed in this session. Preferences You should not be changing any of your preference settings except to select the display form name on menu. Exercise 2: Change preference to Display Form Name on Menu. 10 Banner Guide Edit Menu This pull-down menu contains the functions used to edit text items. Cut Copy Paste Edit Cuts the selected test and places it on the clipboard. Copies the selected text to the clipboard. Pastes the text from the clipboard to the spot where the cursor is located. Displays the Editor window, which is used to enter or update text. It is particularly useful in long data fields. Options Menu This pull-down menu contains navigation options. These options vary from form to form and depend on where the cursor is currently located. Block Menu This pull-down menu contains the functions used to navigate among the blocks of information on a form. Previous Next Clear Moves the cursor to the previous block that has at least one enterable field. If the previous block is in another window, that window is opened. Moves the cursor to the next block that has at least one enterable field. If the next area is in another window, that window is opened. Clears all the information from the current block. Information is not removed from any records or tables. Item Menu This pull-down menu contains the functions used to navigate among the fields or items on a form. Previous Next Clear Duplicate Moves the cursor to the previous enterable field (item) in the current block. Moves the cursor to the next enterable field (Item) in the current block. Clears all the information from the current field (item). Information is not removed from any records or tables. In a blank row of a repeating record, duplicates the contents of the same field (item) in the previous record and copies it into the new record. Allan Hancock College page 6 April 14, 2010

11 Banner Guide Record Menu This pull-down menu contains the functions used to work with records on a form. Previous Next Scroll Up Scroll Down Clear Remove Insert Duplicate Lock Moves the cursor to the first enterable field in the previous record and triggers previous record logic coded into the form. Moves the cursor to the first enterable field in the next record of the current block and triggers next record logic coded into the form. If the cursor is in the last record, a new record is created. Scrolls up the list of repeating records, putting the first displayed record near the bottom of the list. Scrolls down the list of repeating records, putting the last displayed record near the top of the list. Clears all the information from the current record. Information is not removed from any records or tables. Removes all information from the current record. When you Save, the removed information is deleted. Inserts a new blank record into the list of existing records. Duplicates the contents of all fields in the record and copies them into a new record. Temporarily locks the contents of the record so no other Banner user can update it. Save, Rollback, and Exit release the lock. Query Menu This pull-down menu contains the functions to query information in the database based on specific criteria. Enter Execute Last Criteria Cancel Count Hits Fetch Next Set Puts the form into query mode so you can enter search criteria to see what information is already in the database. Searches the database and displays the first set of records that match your search criteria. Enters the criteria from your last search. Cancels the query and takes the form our of query mode. Counts the number of records that match the search criteria and displays that number in the Auto Hint at the bottom of the window. If more records match the search criteria than fit in the window, replaces the current set of displayed records with the next set. Allan Hancock College page 7 April 14, 2010

12 Banner Guide Tools Menu This pull-down contains actions for the Banner imaging system, Xtender (not yet available), and Banner Workflow (not yet available). Help Menu This pull-down menu contains various help tools. You can also access Online Help by clicking on the Help icon Online Help Dynamic Help Query Dynamic Help Edit Help (Items Properties) Show Keys List Display Error Display ID image Calendar Calculator Extract Data with Key Extract Data no Key Technical Support Turn SQL Trace On Turn SQL Trace Off in the Toolbar or the Help Center link on the main menu. Displays online help for the current form. Displays the Dynamic Help Form (GUAHELP) in query mode which is used to display help for a field, block, or form. Displays the Dynamic Help Form (GUAHELP) in edit mode which is used to edit help for a field, block, or form. Displays the Oracle item properties window for the current field. Displays the Keys list, which lists the functions and their equivalent keystrokes available for the current form, window, and field. Displays the List of Values (LOV) for the current field if List of Values appears in the status line. If an Oracle error occurs, displays the code that is the error. If the cursor is in an ID field, displays the image associated with the ID, if available. Displays the calendar Displays the calculator Extracts Banner data for the current block, with key data, to a spreadsheet. Toolbars The toolbar contains icons that perform common functions. It is located directly under the menu bar. When the icon is dimmed, then it is disabled and cannot be clicked. 14 Banner Guide The following icons are standard on the toolbar. Icon Function Save Saves all the changes entered since the last time you saved. Rollback Application and inquiry forms: clears all information except the key information and returns you to the first enterable field in the key block. Select Called form: Returns you to the calling form and enters the selected value into the field that called the form. List of Values (LOV): Returns you to the calling form and enters the highlighted value into the field that called the form. The OK button has the same effect. Insert Record Remove Record Previous Record Next Record Moves the cursor to the first enterable field in the next record of the current block. 17 Banner Guide Auto Hint The bottom of the form can contain the following information for the field where the cursor is located. Brief field description Error and processing messages Keyboard equivalents, if you can access other blocks, windows, or forms from the field. Status Line The status line under the Auto Hint can contain one or more of the following: Record n/n Enter Query List of Values Number of the current record followed by the total number of records in the current block. If there are more records than fit in the window, the total appears as a question mark until you scroll to the last record in the block. Indicates the form is in query mode. 18 Banner Guide Objects and Security Banner Oracle consists of objects. These objects are: Forms Reports Jobs Tables Your access to these objects is controlled by the Banner security system. You can have: maintenance privileges (read/write) query ability (read only) or no access to an object Your access rights are based upon your job function at the college. When your job responsibilities change, your security rights may also need to be changed. Naming Conventions The unique seven- or eight- character names of Banner Objects - forms, reports, jobs, and tables - are assigned according to a set of conventions. Each name is built from the same four components: System identifier - one or two-characters that identify the primary system owning the form, report, job, or table. Module identifier - one character that identifies the module of the form, report, job, or table. Object type code - one character that identifies the type of form, report, job, or table. 19 Banner Guide What is a Form? A form is an online document where you can enter and look up information in the Banner system. There are eight types of forms used in INB. Main menu A - Application forms V - Validation forms R - Rule forms C - Control forms Q - Query forms I - Inquiry forms Wizard forms Use this form to navigate through Banner. Use these forms to enter, update, and query information. This is the most common type of form. Use these forms to define the values that can be entered in specific fields on application forms. When you look up a code or select the List function, these values appear in the List of Values (LOV) window. The validation forms were completed by the implementation team. Use these forms to define the calculations and parameters that impact processing on other forms, reports, and jobs. These forms allow us to tailor Banner to our procedural requirements. The rule forms were completed by the Banner implementation team. Use these forms to define the processing rules for application and validation forms at the system level. These were completed by the Banner implementation team. Use these forms to look up existing information. You must access these forms from another form. These forms often return information to the calling form. You cannot access them directly from the main menu, with Direct Access, or with Object Search. 20 Banner Guide Main Menu The main menu form is the starting point for navigating in Banner INB. The main menu displays the Banner products in a Windows-style hierarchical folder structure. You can use the menu structure to access a form, job, menu, or QuickFlow. You can also use Direct Access to go to a specific form if you know the form s name. To expand a folder, click on the item to highlight it and then press the Enter key. To collapse the menu, again click on the item to highlight it and then press the Enter key. You can also double click the name. Exercise 4: In the main menu, double click on the menu items Banner, Student, General Person to find the form SPAIDEN. 21 Banner Guide Links on Main Menu The main menu contains the following links: Help Center - Click on this link to access the online help subsystem which explains each object. Site Map - Click this link to open a separate window to list the top-level menus and one level below them. Menu - Click this link to refresh the menu tree Products- Click the down arrow to see the list of products. This list will match the main menu list Direct Access You can go directly to an object if you know the name or a portion of the name. You can open Direct Access from the File menu on the menu bar. You can also use the F5 key to display a navigation window on top of your screen to enter the name of a form and then navigate to it. While in the Go To field, you can use the up and down arrow keys to scroll through the list of your recently accessed forms or type in the name. Click on Object Search down arrow. Object Search If you only know a portion of the object name, you can open Object Search from the File menu on the menu bar. You type in the name, wild cards, and click on the Execute Query icon. 22 Banner Guide My Banner For the forms that you use mostly in your daily work, you can add these to My Banner for quick access. Double click on GUAPMNU to build your personal menu. You can add to the list at anytime by repeating these steps. Follow these steps: Select the type Oracle Forms module type. The list of available objects is displayed. Use the scroll bar to find the objects you want to add. Double click on the object so it turns blue. Use the button to insert the selected item. You can also type in the object name and tab to see the description. It should turn blue. When the list is complete, SAVE and then exit You need to log out and back in to see your new list. 23 Banner Guide Forms Components All Banner forms are made up of three components: Blocks Fields Records Blocks A block is a section of a form or window that contains related information. There are two types of blocks, a Key Block and an Information Block. Key Block Where you start on a form Where you enter a unique code such as ID number, term code or document number Determines what is entered or displayed on the rest of the form All information on the form refers to the key block Information Block Contains information related to what was entered in key block May be enclosed in a beveled box A line may separate each information block key block information blocks Allan Hancock College page 19 April 14, 2010

24 Banner Guide Navigating blocks To navigate between blocks or tabs, you use the Next Block or Previous Block functions. These icons are located on the toolbar. You can also use the keystrokes indicated. Next Block icon or Ctrl-Page Down Previous Block icon or Ctrl-Page Up Tabs Some forms have tabs to arrange information in a meaningful way and allow you to navigate easily between groups or blocks of information. The title on the tab helps identify the contents. Option Window When you can right-click anywhere in a form (except within a field), the pop-up Option window appears. 25 Banner Guide Fields Fields are labeled space within a block. You can enter, query, change and/or display specific information within a field. A field is sometimes called an item. There is usually more than one field on a form. key block field record You may not be able to navigate to all fields within a form. On query-only forms, you may not be able to navigate to any of the fields. State Description Enabled Disabled Enterable Display Only Cursor is allowed in the field and the information is displayed in black text Cursor is not allowed in the field and the information cannot be changed. You can enter information in the field. You cannot enter information in the field. 26 Banner Guide Records A record is a set of related fields. For example, a street, city, state, and Zip code form an address record. If a block has multiple records, the records often appear in rows and columns. When you select a row, the entire record is highlighted to identify it as the current record. You can navigate to a different record in one of three ways: 1. Using the Next record or Previous Record icons in the toolbar Previous Record Next record 2. 27 Banner Guide Values Any data that is entered or displayed in a field is a value. A value can entered as follows: Type Description Example Free-Format List of Values (LOV) (Pull Down Lists) Search Field You can type in the information that is required. This field is not controlled by a previously defined validation form This field has a drop down arrow inside the field with pre-defined values from a validation form. You can click the arrow to see the entire list. Double click the desired item. The selected value appears in the field. You must click on the search icon which is located outside Street Address State codes- CA, FL, etc. ID, Last Name, First Name, etc. the field to search Refer to the Allan Hancock Data Standards Manual for acceptable data formats and characters to avoid. Use of Wildcards When searching for an item in a database, you can use a wildcard. A wildcard is a special character that represents one or more other characters. The following wildcard characters can be used with any combination of letters in any order. % (percentage sign) represents any number of characters _ (underscore) represents one occurrence of a character (cannot be used in the Name field) Example - To get these results All entries that contain ma All entries that begin with ma All entries that end with ma All entries that have m as a second character %ma% ma% %ma _m% Enter this criteria Allan Hancock College page 23 April 14, 2010

28 Banner Guide Buttons Buttons are small squares that contain an icon (picture). They represent one or more actions that can be performed for the associated field or record. Search - displays another form or window where you can search for a value or information related to the field. Calendar - displays a calendar so you can pick a date. Data - indicates that data is available for the associated field No Data - indicates that no data is available for the associated field Summary - Displays summary information for the associated record Details - Displays details for the associated record. In Process - Indicates the process has started but not yet complete Complete - Indicates the process is complete Maintenance - updates information in the database Copy - Copies the current record or records Comments - Displays a window to enter freeform text for the associated record Calculate - Performs a calculation on the data in the associated field. Approve - Indicates the process is approved Disapprove - Indicates the process is not approved Generate ID - Generates a new ID Exercise 6: Search for Roger Waite. Find his ID number and his address.
