2 Ge>ng Data From PowerSchool Log into your PowerSchool account On the screen that looks like this, select a grade level to export (Export each grade level separately. Don t export ALL students unless every student at the school is going to use STAR or AR.) Select a grade here

3 Quick Export Once you select a grade, PowerSchool will generate a list of those students. Underneath the student list it says, Select a functon for this group of students. Click on that, and select, Quick Export. Scroll down to Quick Export

4 SelecTng Data Fields Now you want to define the data fields we need for Renaissance Reading. Use the following fields: Include loginname twice You can add fields by clicking on the buyon on the boyom right of your screen or by typing them in.

5 Ge>ng Your Text File You will get a dialog box telling you it is going to create an export text file. Click OK. A difficult to read text file will appear and look something like this: You ll get a text file like this

6 Opening Your Data in Excel Click on the liyle icon by the Ttle of the text file and drag it down to the icon for Excel on your computer. Click and drag this liyle icon. Drop it on top of the Excel icon in your computer dock and it will open the file in Excel.

7 Excel Data Table An Excel file will open with all of your student data. It should look like this (only your student data won t be blacked out):

8 Renaming Data Fields to Match Renaissance Learning Now we have the data we need, but we have to rename each field to match the names that Renaissance Learning will recognize. Click on First Name in column A and rename it to Student First Name.

9 Click on Last Name in column B and rename it to Student Last Name. Click on Loginname in column C and rename it to Student User Name.

10 Click on Loginpassword in column D and rename it to Student Password. Click on Loginname in column E and change it to SID.

11 Click on Grade Level in column F and rename it to Student Grade Level. Now it gets more tricky. We have to split the teacher name into two columns, one for last name and one for first name. To begin this process we need to create a blank column to the right of column G where it lists the teacher names.

12 To Add a Column To add your blank column. Click on column H (to the right of the Teacher Name column), go to Insert on your menu bar and select Column. A new blank column H will appear. This is where the teacher s first name will go when we get finished. Click on Column here A new column H will be added here

13 Spli>ng Teacher Name Into Two Fields Now click on column G to highlight all of the teacher names. Click on Data in your menu bar, and select Text to Columns. Select Text to Columns under Data

14 A box will come up that looks like this: Click Next

15 Then you ll see this: Check Check Check Click here when done Check the boxes for Tab, Comma and Space. Then click Next.

16 Next you ll see this: Click Click Finish.

17 Now you should have the teacher names split between columns G and H. Click on Teacher Name in column G and rename it to Personnel Last Name. Click on Column H and add Ttle, Personnel First Name.

18 Click on Home Room in column I and rename it to Class. Click on the header row for column J and add a Ttle, Course.

19 Assign a course name like, reading or copy and paste the students grade level from your grade level column. Copy grade level to this column or assign your own course Ttle.

20 Save File Now you need to save this file with your new headings. Title the file with the grade level so you know which data file to select when you import it to Ren. Learn. Title with grade level NoTce where you are saving the file so you can find it later The file saves back to a text file, rather than an Excel file. This is fine.

21 Renaissance Learning Go online to the Renaissance Learning login site hyps://hosted122.renlearn.com/278977/ Log in as a Teacher/Administrator using your PowerSchool User Name and Password. Click to log in

22 Now you will see the Home Screen for managing your Renaissance Learning account. Click where it says, Personnel, Students and Parents.

23 You will get the following menu choice: Select Click on Import InformaTon.

24 Import Data Next you will be asked to select the file you want to import. Use the Browse buyon to find the text file you saved. Find the text file with your data

25 Select and open the.txt file you saved with your PowerSchool data. Select your data file Click Open Your file name will show up in the selecton box, click next. Click Next

26 The Import Wizard will open. This is just showing you how you should have your data set up and Ttled, which is what we just did. Check that your school is selected and the correct school year, then click on next. Check Check to make sure this is your school Click

27 When your data imports you need to make sure the rows and columns are properly identfied. For row validaton, make sure the first row is identfied as the Header row. Then click next. Make sure that this row is identfied as the Header. Student Data Will Appear Here Click Next

28 Next you will see Column validaton results. This is checking to make sure all of your columns are properly identfied. If you labeled everything correctly in your file, then this should be fine. If any of the headings are not correct, you can select the right heading from the pull down menu. Then click, next. Check all of your column headings.

29 Data to Import Now you will see a screen called, Data to import. All of the check boxes should be checked (Student Data, Personnel Data, and Class Data). Then click next. Make sure all of the optons are checked Click next

30 Now you will see some of your student data. Select Create a new student and Update any existng students Then click next. Select here Student Data

31 Next you will see the teacher data that was imported. Select, Create and Update Select here

32 Next you are going to review and start your import. Check that things look correct. Click on Start the Import. If everything looks ok, click here

33 Import Status Completed! Finally you will get a screen like this, which shows all of your completed imports.
