2 Final Bar Code Inventory Procedures 10/02/2010 Page 2 Setting up the bar code gun Important Note: Items: 1-16 must be performed prior to the starting any inventory. Once set and confirmed these Base Parameters are stored into memory and saved. 1. Power on the gun using the BLUE On/Off button O M D Inventory should display on the screen, if not, press the BLUE END button until it does. 2. Press the Red ENTER/YES key, located in the lower right corner of the keypad. 3. The screen will change to display the first menu: Physical Entry, Receipts, Transfers, Transmission

To navigate the menus, it sometimes helps to refer to the menu option shown on the screen as a YES or NO question. The cursor > is pointed at the Adjust Volume option. Press the ENTER/YES button to change the Volume. 5. Press the white NO button, located on the lower left corner of the keypad, to move the cursor > this will move you to the next item displayed on the menu. 6. Pressing the BLUE END key upper right, will end current menu screen and take you to the previous menu. 7. Adjust the volume and contrast as needed. 8. Press the White NO button until the cursor reaches the Barcode Select option. Then press the RED ENTER/YES button. 9. The screen will change and to display the currently selected barcode types that the gun will scan. If no barcode options have been selected, the screen only display: Change? YES/NO
4 Final Bar Code Inventory Procedures 10/02/2010 Page 4 The Telxon PTC-960 can be programmed to read 2 different types of bar codes at one time. Press the RED ENTER/YES key. 10. The screen will now display 3 of the 6 barcode styles that can be programmed. We need to select CODE 39 and CODE Press the RED ENTER/YES key to select CODE 39 The display will change to add a * in front of CODE 39 to indicate that you have selected that option. The cursor will advance to the next line. Press the WHITE NO button for CODABAR Press the WHITE NO button for UPC/A&E 12. The screen will change to display the next 3 barcode fonts that we can select. Press the WHITE NO button for 2 of 5 Press the WHITE NO button for CODE 11 Press the RED ENTER/YES key to select CODE The screen will change and will show display your selections. Press the WHITE NO button to return to the previous menu. 14. The cursor is now set to the Set DATE/TIME option. The date is not used in the TelxonConnect tool, but if you select the date use a 2009 date since the clock has expired. Example of a date Oct set as 10/01/09. It will follow leap years and exn of months for the next several years. Press the RED ENTER/YES key
5 Final Bar Code Inventory Procedures 10/02/2010 Page The screen will change to display the available memory, an option to erase any scanned data currently stored, and will display the date and time. 16. To change the date, press the BLUE CLEAR key. Using the numeric keypad enter the current date using the format MM DD YY Press the RED ENTER/YES key 17. Press the BLUE CLEAR key and perform the same steps to enter the current time (military time). 18. To erase any stored scan data, with the cursor at the DATE field, press the WHITE A (left arrow) button. The cursor will move up to the Erase Invt Y/N field. Press the RED ENTER/YES key twice to erase the memory. NOTE: There is no way to recover erased data!
6 Final Bar Code Inventory Procedures 10/02/2010 Page 6 Procedures for performing inventory counting with Bar Code gun Non-Serialized Parts, Accessories, and Supplies Scanning 1. Perform the Bar Code setup procedure to insure the bar code gun has been setup correctly. 2. Press the BLUE END button until the display shows the menu containing the PHYSICAL ENTRY option. 3. Press the RED ENTER/YES button. 4. The display will show a secondary menu. 5. Press the White NO button to move the cursor to the REVIEW DATA option. Press the RED ENTER/YES button. If this bar code gun has been setup correctly, and all previous data uploads have been processed correctly, the display should show NO RECORDS. The display will return to the previous menu in 3 seconds. 6. At the Enter Data prompt, the RED ENTER/YES button. 7. The display will prompt you for the inventory LOCATION number. Enter the location number. After you enter the 6 th character of the LOCATION number, the display will advance to the Physical Count screen. If you enter a wrong character before entering the 6 th character, you can press the BLUE CLEAR button to erase the location entry. If you enter the wrong 6 th character, and the display has advanced to the Physical Entry screen, you must press the BLUE END button to return to the ENTER DATA menu screen to restart this step. 8. The display will advance to the screen to begin scanning bar codes and entering physical counts. The top line on the screen will indicate the type of PRODUCT number you wish to enter/scan. The first line of the display should read Product picture to the right. VPN as shown in the
7 Final Bar Code Inventory Procedures 10/02/2010 Page 7 9. All GIS Barcode labels are printed with the Vendor Part Number VPN as the Barcode for Parts, Supplies, and Non-Serialized Equipment. If the display shows anything else, the gun has not been setup correctly or had previously been used to scan Serialized equipment. You will have to reset the options by pressing the K button. Detailed instructions for changing the Product number options are detailed later in this document. 10. The bar code gun is now ready to begin scanning bar codes. Point the gun at the bar code and press the trigger. The gun will scan the barcode and the screen will display the Vendor Product number and a count of 1. VERIFY that the correct VPN has been scanned 11. If the count of one is correct, you can continue simply by scanning the next bar code. If the count needs to be adjusted, you must press the BLUE CLEAR button, then enter the correct count and press the RED ENTER/YES button (so you do not need to scan multiples of the same barcode). If you scanned the wrong bar code, or the scanned number is incorrect, you should press the White A (LEFT ARROW) button next to the ON/OFF button to erase this scan. The screen will display the LOCATION number. Press the RED ENTER/YES button and resume scanning. --- Or --- Press the BLUE CLEAR key, and it will remove the count and enter a 0 zero and Press the RED ENTER/YES button to store.
8 Final Bar Code Inventory Procedures 10/02/2010 Page If the part number of the item cannot be scanned, you can enter the part number manually. Press the BLUE SHIFT button to enter the part number via the keypad. 13. After you have pressed the SHIFT button, display will change. The first character of the word PRODUCT on the top line will change from a P to You can now enter the part number via the keypad. Press the RED ENTER/YES button to store the part number, then enter the quantity and press the RED ENTER/YES button. The screen will return to the normal display to scan the next item. Continue scanning bar codes and entering counts until you are finished counting the area/section that was assigned to you. When you are finished, press the BLUE CLEAR button twice to return the gun to the main menu. Present the gun to the Inventory Coordinator at your location so that the entries can be uploaded into the OMD system.

Perform the Bar Code setup procedure to insure the bar code gun has been setup correctly. 2. Press the BLUE END button until the display shows the menu containing the PHYSICAL ENTRY option. 3. Press the RED ENTER/YES button. 4. The display will show a secondary menu. 5. Press the White NO button to move the cursor to the REVIEW DATA option. Press the RED ENTER/YES button. If this bar code gun has been setup correctly, and all previous data uploads have been processed correctly, the display should show NO RECORDS. 10 Final Bar Code Inventory Procedures 10/02/2010 Page The display will advance to the screen to begin scanning bar codes and entering physical counts. The top line on the screen will indicate the type of PRODUCT number you wish to enter/scan. The first line of the display should read Product as shown in the picture to the right. VPN 9. We will scan and count serialized equipment and accessories by scanning only the serial number bar code. The middleware will match the serial counts to We will be using a modified method to gather and reconcile (Matching) the serial numbers gathered from the Telxon Gun, to an eautomate generated count sheet. Any serial number not found will be variance to equipment and adjusted out of the system. We will be using an intentional bad VPN so it will not fully process. This bad VPN will also aid us in identification of where the counting was performed and the approximate location of where a serial number was scanned in. (or you may use bun labels) example of bad VPN: SERIAL ROW1 TOP To begin scanning we need to first manually enter or scan a bin tag. And enter a quantity of and enter. This tells the Middleware to match the (bin and location) being scanned You may also use and the software will use this as a reference only While the display is at the Product number entry point, press the BLUE SHIFT button and enter the part number type or then a space, and YOUR AREA you have 9 positions. Example: SERIAL ROW1 TOP Press the RED ENTER/YES button. The cursor will advance to the QUANTITY field, enter for the Quantity. Press the RED ENTER/YES button. 10. We are gathering the serial numbers in the place of part numbers The display will change and the gun is now ready to begin scanning the SERIAL number bar codes only. You can simply aim the gun at the proper bar code and press the trigger button.
11 Final Bar Code Inventory Procedures 10/02/2010 Page 11 You should look at the displayed serial number, verify that the gun scanned the correct serial number, and then accept that entry by pressing the RED ENTER/YES button. Note: On serial numbers longer than 16 positions, we can only process serial numbers under 16 positions 11. If you scanned the wrong bar code, make a note of the number you scanned, and the location number you were assigned, your intentional bad VPN SERIAL ROW1 TOP, and give that info to the Inventory Coordinator. We will need this information in order to exclude this item from the results reports. Continue scanning all Serial number bar codes for that location until all serialized items have been scanned. 12. If items are accessorized (Hosted on a mainframe) Please scan the mainframe and then all non serial acce 13. You may also type in a serial number using the same method as a described above if needed remember to use the BLUE SHIFT button. 14. When finished with your area, and with the cursor at the blank SERIAL # field prompt, press the BLUE END button. The display will change to the serial number count verification screen. This screen will display the Quantity of serial numbers that were supposed to be scanned (the 9999 qty that you entered), will show the quantity of serial numbers actually scanned, will show the message Serial Count Off, and will prompt you, asking if you wish to Continue scanning serial numbers. Press the White NO button. The display will return to the PRODUCT Number entry screen. Press the BLUE END button twice to return to the Main Menu screen. 15. If you need to continue on another section begin the process again at step number: 8. Of the SERIALIZED Equipment Scanning 16. Do not mix serialized numbers and Non-Serialized products in the same gun. Use a separate gun to scan and post the non serialized produce codes P Codes 17. On the second gun that is set to Non-Serial mode: To aid in tracking when beginning a new section manually enter and use your bad VPN SERIAL ROW1 TOP and a quantity of 0 zero this to identify where these corresponding P codes were counted in conjunction with the gun set to count
12 Final Bar Code Inventory Procedures 10/02/2010 Page 12 Serialized Items. Scan as you would normally until area is completed. When changing areas perform this step again as needed. Present the gun to the Inventory Coordinator at your location so that the entries can be uploaded into the OMD system.
13 Final Bar Code Inventory Procedures 10/02/2010 Page 13 Tips: Start scanning. If is not reading the label sometimes holding the gun at an angle helps. Don t try to get too much in a gun, download after each completed large section. Keep the gun charged at all times. Make sure date is correct. Check the COM set up before each use. Should retain settings for rest of inventory. Number each gun. Place a counted dot on each component after it has been scanned and accounted for. Use the 4 comments lines in the transmission mode to describe the area or condition of area counted If you have a problem contact Global Imaging HQ Operations / OMD support for assistance.
14 Final Bar Code Inventory Procedures 10/02/2010 Page 14 Downloading Data from the gun 1. Connect the RJ45 cable to the gun and the serial port to the designated computer 2. Launch the Flex Connect software on your PC s desktop. Be sure there are no other devices running on the serial port. The computer sees the software as hardware and will not be able to download the data. 3 Press start session in Flex Connect program When the program starts, the Session window will display for a few seconds while the program initiates communications with the COM Serial port.
15 Final Bar Code Inventory Procedures 10/02/2010 Page 15 Once the Comm Port has been initialized, the Program Manager window will be displayed. You should keep this window in the FOREGROUND, and positioned so that it is easy to view LOG window so you can confirm the status of each upload. The PC is now ready to download the data from the Telxon Gun and send the data to the OMD server. If the Status box has this message the gun will not communicate with Flex Connect. If You receive a screen with 3 lines of info Last line Error initializing Comm Port 1 the gun will not connect with the ACT Program Manager in Flex Connect. (see troubleshooting Flex connect)
16 Final Bar Code Inventory Procedures 10/02/2010 Page Prepare the Telxon Gun for uploading. The Telxon gun should be delivered with a note or information describing: a) who performed the scans/counts, b) what OMD inventory location number was scanned/counted, c) what Bin#, Rack#, or area of that inventory location was counted, d) whether or not the Gun contains part/product scan info or Serial Numbers. 1. From the Telxon Main Menu, select the TRANSMISSION option. If the cursor is pointing to the PHYSICAL ENTRY menu selection, press the NO button at the bottom of the keypad to move the pointer to the TRANSMISSION option. Press the RED ENTER/YES button.
17 Final Bar Code Inventory Procedures 10/02/2010 Page The TRANSMIT COMM SETUP screen is displayed. 3. Press the NO button the pointer to the COMM SETUP menu option. Press the RED ENTER/YES button. The CONNECTION screen is displayed. Press the BLUE RIGHT-ARROW button to move the pointer to the DIRECT connection option. Press the RED ENTER/YES button. 4. The SELECT BAUDRATE screen is displayed. Press the BLUE RIGHT-ARROW button 3 times to move the pointer to select the 9600 baud option. Press the RED ENTER/YES button.
18 Final Bar Code Inventory Procedures 10/02/2010 Page The BLOCK SIZE screen is displayed. Press the BLUE RIGHT-ARROW button 2 times to move the pointer to select the 1024 option. Press the RED ENTER/YES button. 6. The DATA BIT - PARITY screen is displayed. Press the BLUE RIGHT-ARROW button 3 times to move the pointer to select the 8 bit option. We will accept the default PARITY setting of NONE. Press the RED ENTER/YES button twice. Settings: 1 Direct 2 Baudrate Block Size Data Bit 8 5 Parity NONE 7. The TRANSMIT COMM SETUP screen is displayed with the pointer selecting the TRANSMIT option. Press the RED ENTER/YES button. 8. Control Number can be any number you chose, prefer to be the OMD employee number of the person that did the counting, for quality control purposes. Example: 10AD22 Or for the Parts Room or Supply Warehouse this should be a BIN number, RACK Number, ROW Number, etc. For a Technician s inventory this value should be the name of the individual that scanned the car stock. For equipment serial numbers, this value should reflect the area of the building where the scans were obtained.
19 Final Bar Code Inventory Procedures 10/02/2010 Page After the 6 character it will advance to rep number 10. Enter rep number Example: or 10TE01 etc. 11. Verify correct date and time. The time does not have to be exact just close to actual time the date is very important If incorrect go back to Setting Up The Bar Code Gun Press the Red Enter key, to get past the date and time 12. Press the Red Enter key, to get to the comments field 13. There are 4 lines if no comments are entered press enter 4 times. Press the RED ENTER/YES button 3 times or add comments This is a good area to describe your area counted or any other things you feel should be called out. This prints in the Heading of the Error Report. 14. After the last line of comments the screen will now display the communication settings for a few seconds and then display WAITING CONNECT Please make sure that the cable connector is inserted fully and securely into the Telxon gun. Set the Telxon gun down on a stable table surface so that the gun and the cable are not disturbed during the upload. Data errors will occur if the cable is loose, or the cable/connection is moved or stressed during data transfer. 15. The data upload process should proceed automatically from this point. 16. Watch the information displayed in the ACT PROGRAM MANAGER Log window. The log will show the status of the upload and will indicate when the data upload is complete.
20 Final Bar Code Inventory Procedures 10/02/2010 Page In the background, the data from the gun is recorded into a file named INVT.A and saved in the C:\omdtelxon\data folder, and copied to the C:\omdtelxon\HOLD folder. This INVT.A file is sent via an FTP session to the OMD Server. The OMD Server will automatically process this file and enter the part numbers and quantities into the OMD physical inventory file. After a successful upload, the data in the Telxon gun will be erased and the gun is ready to be used again to scan inventory. 18. After the OMD Server has processed the scan data (usually within 6 minutes after the upload) an Upload Results file will be saved in the /home/telxon/print folder on the OMD Server. There will be one results file for each scan data upload. It is VERY IMPORTANT that this file be reviewed to determine if the data was uploaded correctly and if the OMD Server detected any problems with the data. 19. If the data upload process from the gun encounters a problem, the data can probably be resubmitted. You should turn off the gun, turn it back on, then attempt to resubmit the data. 20. The screen will display Logging on then Receiving Data then Process Complete then Logging off 21. If the data successfully transfers from the gun to the PC, flex connect sends a message to the gun to clear the scan data from the gun so it is ready to be used again.
