3 How the AAPAR-APEAS II Software Works The APEAS II can be scored using either Pencil & Paper Method or Electronic Method. Paper & Pencil Method This method is available for those who have limited access to a computer, or when using a computer is cumbersome. The Performance Profile and the escoresheet can also be printed for ease of use. For example, most practitioners will print a paper Score Sheet form and use a pencil to record scores. Scores can be transferred or entered to an electronic method program at a later time. The Performance Profile will manually graph raw scores in a way that highlights standard scores for each sub-test, thus producing a profile of performance. Electronic Method The Electronic Method makes it quick and easy to interpret the test scores and to determine your student s service eligibility. The Performance Profile program highlights the standard score creating a graphic profile of the student's performance which can be printed out for reporting. The escoresheet program will automatically convert raw scores to scaled scores in a traditional style report. Hardware and Software Requirements Microsoft Windows XP or Vista AAPAR-APEAS II Software version 1.0 Microsoft Excel 97 (Version 8), 2000 (Version 9) 2002 (Version 10), 2003 (Version 11), or 2007 (Version 12). Before You Begin Download or copy the program files to your computer. Be sure the Authorized Users.xls and APEAS Software Program xxxxxx.xls are in the same folder so that the APEAS Software Program xxxxxx.xls opens unlocked in the full-featured Professional Version Mode. Otherwise it will open in the locked Demonstration Mode. Install Microsoft Excel on your computer. Many computers already have Excel installed. If you have Microsoft Office on your computer, Excel is probably already installed. Setting Macro Security (One-time Procedure if Needed) (Excel 2007 users skip and go directly to page 5) Note: If this does not appear, skip page 4-5 and go directly to page 6. This one-time procedure is only done if the Security level warning appears. The message will no longer appear once you complete the procedure on page 4. Page 3 of 12
4 1. Close Excel then re-open Excel again in a new blank workbook. Follow directions below to change security level. 2. On Excel toolbar select Tools > Macros > Security 3. Change the Security Level to Medium. 4. Click OK; then close Excel 5. Open Excel with the APEAS Software Program and skip page 5 and continue on page 6. Page 4 of 12
5 Enabling Macros and Links for MS Excel 2007 (Excel 2003 users, skip and go to page 6).. Each time you open the program in Excel 2007 you must Enable (Macro) content and Enable (Link) content. 1. Click the Security Warning Options button. 2. Select Macro Enable the content radio button. 3. Use scroll bar to scroll down. 4. Select Links Enable the content radio button. 5. Press OK. 6 When Opening the APEAS Software File Enabling Macros, Opening as Read Only and Updating Links in MS Excel 2003 (Excel 2007 Users skip and go to page 7) 1. Macros must be enabled, select Enable Macros. Note: The Macros and Visual Basic Code are guaranteed to be safe and virus free. If you select Disable Macros, you will not be able to run the AAPAR-APEAS software program. 2. This program should always be opened as read-only. Click yes. 3. Links to data sources should always be updated. Click Update. Page 6 of 12
7 What Users Must Always Do to Enter 1. Select your name from the Authorized User drop-down box. 2. Check the box acknowledging you have read the License Agreement and agree to the terms and conditions. 3. Click I AGREE Note: If your name is not located in the drop-down box, you will not be able to use this program. If your school district or institution has a License Agreement, contact your License Agreement administrator to get your name added. 8 A Hard Copy Score Sheet is Necessary When Testing This Score Sheet lists the test items in order with a brief description of the expected performance (procedure) and scoring system cues for each test item. Use a pen or pencil to record the student s raw scores on the printed copy. 1. Click to print a paper Score Sheet. 2. Use FILE>PRINT or your toolbar print icon to print hard copy. Page 8 of 12
9 Performance Profile Sheet for Paper & Pencil Method When using the Performance Profile, the user can manually graph raw scores in a way that highlights standard scores for each sub-test. The user will need to manually copy raw scores from the Score Sheet to the printed age and gender appropriate Performance Profile be able to graph standard scores. 1. Click to view and print a single page Paper Performance Profile table; click Go To Secondary PP for students 11 to 17 years of age. 2. Enter DOB and Assessment Date. 3. Use FILE>PRINT or the Excel toolbar print icon to print hard copy. 1. Click to view and print a set of paper Performance Profile table; click Go to Secondary PP button for students 11 to 17 years of age. 2. Use FILE>PRINT or Excel toolbar print icon to print hard copy of all the tables. Note: Be sure to load up your printer with paper each set is about 40 pages; one set for Elementary and another set for Secondary. 3. Use the set as a master copy. Find the table you need based on age and gender and a copying machine for that page. Use the copied page as your score sheet. Page 9 of 12
10 How to Manually Score the Performance Profile Using the Paper and Pencil Method to Manually Score the Performance Profile 1. Determine the range where the raw score falls on the test item row. In the Locomotor Skills example, for item #13 Running Form, a raw score of 3 falls between 2.59 and The range in which the student scored is Circle one or two of the numbers depending upon your reporting requirments: * To report the range in which the student scored, circle both 2.59 and * To report the score based on the lower end of the range, circle * To report the score based on the higher end of the range, circle Standard Score z-score / Standard Deviation Percentile Rank < > < >99 Locomotor Skills Score Mean SD 13 Running Form Jumping Form Hopping Form Galloping Form Skipping Form Note: The Performance Profile determines a range of scaled scores for each test item which at times can appear ambiguous. If exact mathematical scaled scores are required, use the Electronic escoresheet Method. Page 10 of 12
11 The Electronic Methods Use these methods when you have easy access to a computer. If you have already entered raw scores into the paper Score Sheet form, you can manually input the scores into one of two programs now. The Performance Profile program highlights the standard score creating a graphic profile of the student's performance which can be printed out for reporting. The escoresheet program will automatically convert raw scores to scaled scores in a traditional style report. 1. Select either Performance Profile or escoresheet. If the student is older than 12 years, choose Secondary. 2. Enter Raw Scores. The Performance Profile and escoresheet are essentially the same for entering the raw scores from the Score Sheet. For more specific instructions, click Hide/Show Instructions. 3. Transfer Raw Scores from PP or Transfer Raw Scores from ES If raw scores have already been entered into one of the electronic programs the scores can be automatically transferred by clicking Transfer Raw Scores from PP or Transfer Raw Scores from ES. Example: If you have already entered scores in the Performance Profile, click Go to ES. Now, click Transfer Raw Scores from PP. The raw scores from the PP will automatically appear on the es. 4. Digitally Save Report in PDF format. You must have an add-on program such as Adobe Acrobat that converts Excel files to PDF. (Note that Adobe Acrobat is not the same as the free program Acrobat Reader that allows you read and print PDF files). For more information on converting files to PDF format, select the HELP tab on the bottom of the page then the Related Links button. Note: An alternative is to Copy and Paste it to a MS word document. The advantage of using a picture file is that it can easily be moved or shaped to any desired size. See next page Copy and Paste from Excel to Word Document using Picture file. 5. Print the Report. Use File > Print or the Excel toolbar print icon. Page 11 of 12
12 Cut and Paste picture file to a Word Document A picture file will look exactly as selected on the screen and can easily be moved or shaped to any desired size. 1. In Excel, select the worksheet data that you want to copy to a Word document; right click and select Copy. Note: You will not be able to CUT and PASTE, but you can COPY and PASTE. 2. In the MS Word Document, cursor to the place on document where you want to insert clipboard worksheet data; select Paste Special In MS Word 2007 select: Home > Paste > Paste Special In Word 2003 select: Edit > Paste Special Note: Do not use the Right Click Button for the Paste action. Paste Special will not appear. Use Word Toolbar command buttons (ribbon tabs). 3. When either of the two windows will appears, select Picture (Windows Metafile) or Device Independent Bitmap. This will insert a picture file exactly as selected on the screen in Excel. Page 12 of 12
