3 3-. List of root folders Biz Storage File Share allows you to share files securely with other ID owners by using the BizDrive function. Clicking BizDrive displays a list of root folders that you can access. P.3

Types of users The system administrator creates a root folder at the system administrator site in advance and determines who will be the administrative users for the root folder. 2 The administrative user adds participant users who share the files in the root folder and gives permission to each participant user. + System administrator Create a root folder Determine administrative users Administrative user Root folder Add participant users and give permission to them Eight permission levels are available for participant users: Full, Change, Change2, Change3, Change4, View, UP, and None. 6 3-4. Folder s permission level You can set permission for each participant user set in a subfolder. In the example below, a subfolder is created under a root folder. Exception: In the case of UP or None permission Root folder Root folder Change Subfolder Even if the root folder is set to Change, a higher permission level (Full) can be set in a subfolder. Full A higher permission level than the upper folder can be set in a subfolder. UP or None When the root folder is set to UP, only UP or None can be set in a subfolder. Note that the permission level that can be set in a subfolder varies depending on the setting of the upper folder. P.6

Comments can be changed only from the Web browser. *4 A user with Change3 or Change4 permission cannot create a folder. If such a user wants to upload a folder and he must create a new folder in the upload destination, he cannot upload the files in the folder. If the upload destination has a folder with the same name and the user has permission to upload, he can upload the files in the folder. *5 You may not be able to copy or move a file or folder depending on the permission given to the copy- or move-destination root folder or subfolder. *6 A folder that includes a locked file or folder cannot be locked. *7 Administrative user or Full permission can unlock a file or folder that has been locked by any other user. A user with any other permission level only can unlock a file or folder that he himself has locked. P.7

You can select multiple users by holding down the Ctrl key. 6 Click Add. 7 When you click OK, the Add user window appears again P.0

The same permission level is given to the specified users by selecting a permission from Batch selection of permission. 9 Click Add users. 8 9 P.

12 Obtain the sample download, and decompress it. 3. BizDrive Functions 3-7. Adding participant users (batch registration with a CSV file) 2 Edit the sample CSV file to create an actual CSV file. Then, click Browse, select the actual CSV file in the dialog box that opens, and click Open. 3 Determine how the user permission will be set by selecting either Set the specified authority for root folders and subfolders or Set the specified authority for root folders, and no authority for subfolders. 4 Click Register. If the CSV file is normally accepted, the List of Root Folders window appears again. Note: Because batch registration starts at 0-minute intervals, processing of a CSV file accepted by the system might not start for a maximum of 0 minutes. Before the system starts processing an accepted CSV file, the system cannot accept another CSV file with the same name. To add userregistration CSV files in a shorter period than 0 minutes, make sure that all of their names are different Because batch registration starts at 0-minute intervals, registration might not be completed soon after you click Register. Batch registration results are reported by . P.2

18 3-0. Types of Uploading Methods and Sizes of Uploadable Files You have four options to upload files and folders. Different uploading methods are supported by different web browsers. You should decide how you upload files and folders depending on your environment. Available 2 Not available Up to 2GB per file 3 4 You cannot use Internet Explorer 7/8/9 for this uploading method. 2 If the system administrator has set [None] in the [Notification of members] column, you cannot use this function. 3 This is a restriction by the system. The file size of Uploadable files may differ depending on web browsers. This function is based on the web technology and does not have any function to control retransmission etc. So, the maximum size of Uploadable files is not guaranteed. 4 You cannot upload a file if the size of the file you want to upload exceeds the free space in the Root folder. 26 3-5. Changing the root folder settings Click Edit in a list of root folders. 2 Specify the folder name, comments, upload setting, and upload notification setting. 3 Click Change. Upload setting: Overwrite If a file having the same name is uploaded, the file is overwritten. When you upload a file via a browser, no overwrite confirmation dialog is displayed. To prevent overwriting a file by mistake, set the generation of file revision. Alias If a file having the same name is to be uploaded, the newer file is uploaded with the file name appended with a serial number. When you connect as a WebDAV client, a folder whose upload setting is Alias is not displayed P.26

Clicking Batch change of permission allows you to change the permission for all the listed users. 5 Click Edit A subfolder under a folder whose permission is UP or None, the same permission level is taken over and you cannot change to another permission level. (For details, see 3-4, Folder s permission level.) 5 P.28

31 3-9. Downloading files/folders Select files or folders to be downloaded. You can select more than one file and/or folder and download them in a batch operation. Note: When you download one file, there is no limit on the size of the file. When you download multiple files, the maximum number of files you can download at one time is 300 and the total size of the files must not exceed 2GB. 2 Click Download. 2 P.3

37 3-24. Locking and unlocking files/folders Select the files you want to lock or unlock in the list of root folders or subfolders. 2 Click Lock or Unlock. A key icon is displayed beside the file name of a locked file. Placing your cursor on the key icon shows who locked the file. Only the person who locked the file can overwrite or upload the locked file or the files under the locked folder. You can unlock a locked file by overwriting it from a browser but the file remained locked if you overwrite it from WebDAV. The person who locked the file or a user with Full permission can unlock a file. 2 List of subfolders 2 List of root folders Placing your mouse on the lock icon displays the name or ID of the user who locked the file. 41 3-27. Extracting and downloading root folder information () You can extract information about root folders, and can download the extracted information as two CSV files. Permission of each user Information of all subfolders and files Flow of tasks for extracting and downloading root folder information The user selects the target root folders, and reserves a task that extracts information from them. 2 The system extracts information from the root folders (by running batch processes at 0-minute intervals), and creates a CSV file. 3 The user downloads the CSV file compressed in ZIP format using the Download Extracted Information window. Permission of each user The following 4 types of information can be extracted. Extracting and downloading root folder information (2) In the List of Root Folders window, select the root folders for which you want to extract information. 2Click Extract Root-Folder Information. When reservation for root-folder information extraction is completed, the following message appears: Extraction of information about the specified root folders was scheduled. 2 Because extraction of root-folder information can start as batch processing at 0-minute intervals, extraction might not be completed soon. P.43

Extracting and downloading root folder information (3) 3When0 minutes have passed after you reserved a root-folder information extraction task, click Download Extracted Information in the List of Root Folders window. 4When extracted root folder information is ready for downloading, click Download to download the ZIP file that contains the extracted information. 3 5The system can hold a maximum of 20 download files, including those whose status is Downloading and Failed. After you download files, delete them by clicking Delete. Note: Download files will be deleted automatically when a week (68 hours) has passed after creation. 4 5 If the total number of extraction-target lines exceeds 00,000, attempts to extract root folder information will be "Failed". If extraction fails, select fewer root folders so that the total number of extraction-target lines does not exceed 00,000, and try again. P.44
