1 File Linking Instructions for AP (post-browser expansion on June 1, 2016) Upon rollout of expanded browser support for AMCAS School Tools on June 1 st, file linking capabilities and the way you link to and view files is changing. Specifically, this impacts the storage file path functionality that you may use to link to applicant photos, interview notes, and other documents from within the AP. The functionality will still exist, but it will work a bit differently (even if you continue to use Internet Explorer). It s changing because modern browsers don t allow the functionality to work the way it does today in order to prevent security vulnerabilities. In AP Setup for the 2017 application cycle, you will see four different folder locations that can you choose from to link up your photos, letters, transcripts, and interview notes. Note: Although School Tools will now be supported on several browsers that are Mac-compatible, the file linking functionality is not currently supported in Safari or any other browser used on a Mac. You must use IE, Firefox, or Chrome on a PC to continue to use the file linking features. The instructions below will guide you through setup of these folders and provide details for viewing your files in School Tools. Setup Your Shared Storage File Paths: First, log in to School Tools ( using IE, Firefox, or Chrome on a PC. Click the AP Setup tab. (You must have permissions to have access to the AP Setup tab contact your superuser for assistance if you should have these rights, but cannot see the tab.) Under AP Setup, you will see four separate folder directories in the Share File Storage Paths section. Below is an example of how to structure your folders. For the 2017 cycle and beyond, you should create a folder for each individual file type as seen below. The folders need to be located in a shared network location that every AP user who will need to view these files has access to. Key points for the folder structure: Each file type will have their own designated path. You may have multiple folders for each file, but the files need to be in the root folder for each document type AAMC. May not be reproduced without permission. 1

2 To Link a Photo: 1) Click Add Photograph from the Summary tab (Use Search or Filters to find and select an applicant) 2) Click Browse (In Chrome, you will click Choose File) 3) Navigate to the path you indicated in AP Setup (also shown on screen as a reminder). Select the desired file and click Save AAMC. May not be reproduced without permission. 2

3 To View a Photo: 1) From the Summary screen of an application, use your mouse to copy the file path displayed in the Applicant Photo box or click Change/Delete Photograph and highlight the path. (Press Ctrl + C or right click to copy this information.) 2) Open a new tab in your browser, then paste the link (Ctrl + V or right click) and press Enter to view the image AAMC. 4 To link a letter: 1) Click Add under Non-AMCAS Received Letters at the bottom of the Letters tab (in AP). 2) Complete the necessary information in the pop-up window and click Add in the scanned documents box. 3) Click Choose File AAMC. May not be reproduced without permission. 4

5 4) Navigate to the Letters path indicated in AP Setup, select the desired file, click Add, and then click Save. 5) Alternatively, you can upload an image to an existing entry by clicking Upload Images and following steps 3 and 4. To View a Letter: 1) Click the View Evaluation button in the Non AMCAS Letter entry: 2016 AAMC. May not be reproduced without permission. 5

6 2) Copy the path for the letter. 3) Open a new tab in your browser, then paste the link and press Enter AAMC. May not be reproduced without permission. 6

7 To link a Transcript: 1) Click OT Load from the Schools sub-tab (on the Academics tab in the AP). 2) Click Choose File. 3) Navigate to the Transcripts path indicated in AP Setup, select the correct file, click Add, and click OK. Then click the Save Changes button on the Schools sub-tab AAMC. May not be reproduced without permission. 7

8 To View a Transcript: 1) Click OT View in the Post-Secondary Institutions box on the Academics tab. 2) Highlight and copy the path for the transcript. 3) Open a new tab in your browser, then paste the link and press Enter AAMC. May not be reproduced without permission. 8

9 To Link an Image to an Interview: 1) To add a file related to Interview, click Add on the Interview tab. 2) In the Scanned Documents box, click Add, then click Load Scanned Images on an Existing Entry. 3) Click Browse and navigate to the Interview path indicated in AP Setup, select the correct file AAMC. 11 5) Enter appropriate information for Name, Interview Date/Time, and Interview Score, then click Save after adding the file. To View an Image/Document Associated with an Interview: 1) Click View Image in the Interview entry on the Interview tab. 2) Copy the path for the transcript AAMC.
