1 OneNote Teacher Login: Username: address Password: computer login password (Teachers and students have 5 copies of Office for laptops/desktops and 5 copies for tablets/smartphones.) Students need to save to their OneDrive (1 terabyte of space). No more studentshare or lunch # drives (H:) Getting Started To create new Notebooks and access Notebooks shared with you, go to your OneDrive. To access Notebooks that you are the owner, they will be found in your Files list of documents. To access Notebooks that you are not the owner, they will be found in the Shared with Me section (left-hand menu). To create a new Notebook, click on the New+ found in the Files left-hand menu. Select EDIT IN ONENOTE to get full features (both your Notebooks and ones shared with you). Always access Notebooks online and bring down from the Cloud.
2 You ll get a warning so check Launch Application. You can check the box for Remember my choice if that s your preference. How is OneNote different? A Virtual notebook with access online, on your computer, or network...your choice! There is no Save (only Save As) It automatically saves (and syncs) your work every 3 seconds so you never lose work. Open and close is also very different. All of the available pages are always open. Type anywhere you want on the page. Collaborative; allowing multiple users in the same document at the same time Easily share as a notebook or sections Move parts around easily Integrates all Office tools into one place Searchable document - even those imported or scanned in! Embed your files within the notebook Rotations of OneNote: Station 1- sections, section groups, pages, subpages, search Station 2- attaching files, links, screen clipping, audio/video recorder Station 3- draw tools, pen as pointer, ink to text/math Station 4- lines/grids, printing to OneNote, exporting, sharing
3 Station 1: Sections, Section Groups, Pages, Subpages, Search Creating a Section 1. Right-click any existing section tab, and then click New Section. OR 2. Click the plus sign at the end of the section list. Renaming a Section 1. Right-click on the section name and click Rename. OR 2. Double click on the section name, enter in the new title, and then press ENTER. Creating a Section Group 1. Right-click any section tab, and then select New Section Group. Type a name for the section group and then press ENTER. Creating a New Page 1. On the right side of the window, over the column of page tabs, click the New Page button. OR 2. Right-click on the current page name and click New Page. OR 3. Hover your select arrow over the current page name in the right-hand column, and then select the plus sign. Creating a Subpage 1. Once your new page is created, left click and drag the page title in the right-hand column to the right, and then let go. 2. The main page can then be collapsed by clicking on the up/down arrow beside the name to show/hide subpages. Searching 1. Enter search term into search box. By default, the search scope is set to all notebooks. If you want to change the scope, click the Search Scope arrow next to the Search box. You can set limitations to current page, section, section group, current notebook, or all notebooks. 2. Click on the search result you wish to view. OneNote will then navigate to the instance that term appeared. 3. Any files uploaded or images inserted will also be included in the search.
4 Insert a File as an Attachment Station 2: Attaching Files, Links, Screen Clipping, Audio/Video Recording 1. Click anywhere on the page where you want to insert a file. 2. Click Insert and File Attachment. 3. Choose the document you want to insert by browsing for the file and then click Insert. 4. If prompted, click Attach File. Insert a File as a Printout 1. Click anywhere on the page where you want to insert a file. 2. Click Insert and File Printout. 3. Choose the document you want to insert by browsing for the file and then click Insert. A file attachment will also appear along with a printout of the document in your notes. Additional Option to Attach Files Navigate to the file you wish to attach/printout, left-click and drag the file onto your OneNote notes section. A prompt will appear asking if you want to have it appear as an attachment or as a printout. Links-Internet Websites 1. Click Insert and Link. 2. In the pop-up box that appears, type or paste the name of the website you want to link in the Address field, and then click OK. Links-Other OneNote Notebooks/Sections/Pages 1. Click Insert and Link. 2. In the pop-up box that appears, navigate to the notebook, section, or page you want to link. 3. Click the location you want to link to, then press OK. Screen Clipping 1. Click Insert and Screen Clipping. 2. User your mouse to move the crosshairs to the very upper left of the portion of the image you want to capture. 3. Click and drag the crosshairs down and to the right until the image you want to capture appears, and then let go of the mouse button. The image now appears on your OneNote Notebook page. Audio/Video Recording 1. Click Insert and either Record Audio or Record Video. A recording starts as soon as you click the button. 2. Record using your computer s mic and/or webcam. 3. To end the recording, press Pause or Stop on the Audio & Video tab. 4. To play the recording, click the Play button. Even with no Internet connection, these recordings will still play.
5 Selecting Pen and Highlighter Color/Thickness Station 3: Draw Tools, Pen as Pointer, Ink to Text/Math 1. Select Draw and either the pen icon with the color ink of your choice, or click on Color & Thickness. 2. To select the highlighter, either click on the highlighter icon, or click on Color & Thickness and select Highlighter from the bullets at the top of the new window. 3. To return back to typing, select the Type button on the far left. Pen as Pointer 1. Select Draw and then expand the pen gallery by clicking the downward-pointing arrow in the bottom right corner of the gallery. 2. Select Pen Mode and choose Use Pen as Pointer. 3. You can now use your mouse to draw on the screen to attract your students attention and anything you draw will disappear after a couple of seconds and won t permanently mess up your notes. 4. To return to your regular pen mode, select the Type button on the far left. Ink to Text/Math 1. Select Draw, your pen s color/thickness choice, and jot down the notes you wish to convert. 2. Select Lasso Select and starting at the top of the notes you wish to convert, click and drag and circle until it surrounds your selection. 3. Select Ink to Text. 4. To convert your notes to Math, repeat steps 1 and 2, and then choose Ink to Math.
6 Station 4: Lines/Grids, Printing to OneNote, Exporting, Sharing Rule Lines and Grids 1. Select View and the down arrow under the Rule Lines button. 2. Select the rule line spacing or grid size. You also have the option of customizing the line color. 3. To remove the rule line/grid view, select the Rule Lines button again for it to disappear. 4. If you have Snap to Grid checked in the Draw tab and Shapes section, the text you type can only be placed on the lines/grids. By unselecting the Snap to Grid, you can freely move your notes around the area. Printing to OneNote 1. Select File, Print, and select Send to OneNote Choose the pages you wish to have go into a Notebook and click Print. 3. From the pop-up window, select the section or page you want to insert the printout. Exporting 1. Select File, Export, and you have the option to export a page, a section, or the entire notebook. 2. Select the file type (Word or PDF would be advantageous to put on websites or have available for people who don t have OneNote access). 3. Select the location to save the page, section, or notebook and click Save. Sharing through OneDrive 1. Once logged into Office 365 and in your OneDrive account, navigate to the Notebook you wish to share. 2. Move your mouse over the title of your Notebook and three horizontal dots will appear next to the date. Click on the three dots. 3. Select Share from the list. 4. From the pop-up window, enter in the name of the individuals you wish to share the Notebook with and assign them permission to either edit the Notebook or to just view the content. Distribution lists cannot be entered into the name/ address field. 5. Select Share after entering the name and any messages. 6. If you want to see who you ve shared it with, repeat steps 1-3 above and an option will be listed on the left-hand menu called Shared with. This gives you an option to change edit/view permissions, to stop sharing with individuals, or to stop sharing to everyone. Sharing through the OneNote Program 1. Select File and Share. 2. Enter in the names/ addresses you would like to share your Notebook with. 3. Edit permissions and optionally add messages then click Share. A list of who is allowed to view/edit your Notebook is listed on the bottom.
