3 Catalog Search Overview: Based on customer feedback, there are 2 type of users that browse their course catalog. The first user is someone that is interested in learning what courses your company offers and the details around each course. The second user is someone that knows a specific course they are interested in, and want to find a particular session available during a specific date range, in a specific location. In order have a functioning course catalog that works for both type of user, we ve updated the course catalog with an integrated search and session display function. The integrated catalog search allows for the user that is browsing for more course information to search on delivery method, and then continue to filter down the list further based on additional search functions you have enabled. For the user that is looking for a specific set of sessions for a course, the new catalog search allows this user to search on a few keywords or select a specific course name, while then including additional filters for date range they would prefer to partake in the session, as well as specific classroom location. The following will highlight key aspects around the updated catalog search functionality, and classroom session display. Catalog Search Configuration The updated catalog search requires a few configurations to be enabled in the LTO Admin UI in order for the students to begin using. The following will highlight those configurations. 2

4 Search Page Settings The updated catalog search leverages the existing search configurations to enable what options the users will have available to filter the courses that display in the course catalog. By navigating within the LTO Admin UI to Administration -> Attendee Views -> Search Page Settings (see screenshot below), you will find the existing Search Page Settings page. We ve added 2 new configurations that can be enabled, Date Range and Time Zone. Both are used for filtering of sessions, and allow the user to search for classroom sessions between a specific date range, as well as within a specific time zone. Site Brand Configurations We ve added 3 new site branding configurations. By navigating to, Administration -> Attendee Views -> Site Branding -> [Select Brand] -> Appearance, you will find these 3 configurations (see screenshot below): 3

5 Enable New Search in Catalog: This will enable the integrated catalog search with the catalog list view Hide Course Image in Catalog Results ListView: This will hide the course image associated with a course in the list view. Show Catalog Results in ListView Based on Schedules: This enables a link in the row of a course found within the catalog that allows the users to quickly open to display available sessions for a course. Attendee View - Course Catalog Once the updated catalog search has been enabled in LTO Admin UI, a set of search functions will appear to the left of the course catalog list view as shown in the screenshot below. 4

6 A few additional highlights with the updated catalog search: When selected in the LTO Admin UI as defined in the site brand configuration section, the course image will be hidden in the catalog list view When selected in the LTO Admin UI as defined in the site brand configuration section, a Schedule & Pricing link is displayed within a course row within the catalog. Clicking this link will display all sessions available for the particular course right within the catalog. The label associated with this link is configurable within the Labels section of a site brand. The Search button is used to perform the actual search which will filter the results found in the list view. The Clear All link will reset the search upon being clicked. The search functions to the left of the catalog list view is collapsible so that once a set of courses are returned in the list view, the user can close the search functions in order to expand the columns within the list view (see screenshot below). 5

7 The catalog search has been developed in a way so that, once the Show Catalog Results in ListView Based on Schedules configuration is enabled to show classroom sessions in the catalog list view, a user has the option to perform a basic search to browse what types of courses your company offers, or a more detailed search for those that know exact course and want to find a specific set of sessions they might be interested in. Below will highlight these 2 different use cases. Basic Search For the user that is interested in browsing available courses to find out more details, below highlights a user flow in leveraging the updated catalog search. In the below screenshot, the user opens the Location Group to browse available filter options. Notice that the Location Group search feature will display about 10 filter selection options at a time, with a scroll bar so that the user can easily view all of the available filters. In the case below, the user is only interested in courses where the location group has been marked as virtual. Upon selecting this filter, the Search button highlights red to indicate that the button needs to be clicked to have the search performed. Additionally, to the right of the Clear All link will be an indicator of number of active filters for the current catalog search. After clicking the red Search button, the results in the grid will be updated based on this filter, and the Search button will be reset to green to indicate the search has been completed. The selection of filters will remain, until the Clear All link is clicked to reset the catalog results. 6

8 Since a number of courses were returned with the previous search, the user can filter the data further until they receive the results they are looking for. In the scenario found in the screenshot below, we already have the results filtered by Location Group = to Virtual in our previous search. What the screenshot below shows that we include an additional filter based on specific Course Names that have been selected. By clicking on Course Name, opens the search feature displaying the courses available for selection. In the screenshot, we select the Litmos.. courses, and then click the red Search button which will further filter down our catalog list view. Now that we have the results we re looking for, the user can click the More Information action button associated with this course to learn more, and add to their shopping cart. 7

9 Schedule & Pricing For the user that knows the course they want to take, and is interested in browsing available sessions, below highlights a user flow in leveraging the updated catalog search. In the example highlighted in the screenshot below, the user has searched for a specific course title in the Keywords search box. By doing this, a single course was returned in the catalog list view. Since the user is already familiar with the course, and is only interested in available sessions to register for, they click the Schedule & Pricing blue link found in the course row within the list view. The Schedule & Pricing blue link is a customizable label that can be updated to a value that you prefer. The sessions will appear directly in the catalog list view, just below the course row. If there are more than 5 sessions available, a scrollbar will appear so that the user can scroll through all the options. The sessions will be displayed based on date descending. The sessions list will remain open until the user clicks the blue Close link just to the right of the Schedule & Pricing <course name> header. 8

10 In the above scenario, too many sessions were returned so the user wants to filter down the list to only those sessions available after a specific date. In the screenshot below, the user opens the Date Range search feature, which will filter sessions based on a defined dates inputted. In the case below, we ve inputted a From Date of 10/27/2017 as we only want to view sessions from 10/27/2017 and after. After clicking the red Search button, the results are updated so that user has a much smaller set of sessions to review, and then click the Register button to add that session to their shopping cart. As mentioned, the purpose of the updated catalog search is to consolidated search with the catalog list view, giving users the availability to filter down the data to either specific courses or specific sessions from a single view. 9

11 New Labels Below highlights the new labels that have been added to the attendee view as part of updated catalog search. These labels will be available within the Labels section found within the Site Brand in LTO Admin UI. 12 Featured Courses Overview: Featured Courses are a customer driven selection of up to 5 courses that are displayed within a Recommended Courses banner above the catalog results as well as within the student portal. These courses can be any available course, and as an example, would be courses a customer is either pushing to fill seats, or might be a new course offering. The featured courses can be different per customer site brand, and can be changed as often as the customer admin so chooses. The following will highlight key aspects around the new Featured Courses feature. Site Brand Configuration With this new feature, we ve added a number of new configurations within LTO Admin UI. If you navigate to Administration -> Attendee Views -> Site Branding -> [Select Brand] -> Appearance, you will find 2 new configurations, along with where you can define the set of Featured Courses. The screenshot below highlights these new configurations. 11

13 Enable Best Seller and Trending Course Catalog : By selecting this configuration, courses deemed as best seller and trending will appear within the banner found above the catalog results and within the student portal. Best Seller: Those courses with the most registrations over last 365 days per brand Trending: Those courses with the most registrations over last 7 days per brand Enabled Featured Courses in Catalog : By selecting this configuration, the LTO administrator will have the ability to select up to 5 courses that will be labeled as Featured and appear in the banner found above the catalog results and within the student portal. Featured Courses : Each box listed allows the LTO administrator to search across courses available in a brand to select as a featured course. Featured Courses Once selecting the Enabled Featured Courses in Catalog, the LTO administrator has the ability to search for courses to mark as featured. To do this, simply type in either part of, or a full course name in one of the Featured Courses textboxes, then click the blue magnify glass. A search will be performed with a pop up displaying the results as shown in the screenshot below. Simply click the blue arrow next to the course you d like to select, which will then populate the particular Featured Courses textbox. The values found in these textboxes can be updated as frequently as you d like. You will need to repeat these steps for each brand you have enabled as we have given the flexibility to have different featured courses per brand. 12

14 Once all 5 Featured Courses have been selected, the textboxes will look similar to the screenshot below. Attendee View Based on the configuration settings in LTO Admin UI, a scrollable Recommended Courses banner will be displayed above the catalog results, as well as within the student portal. The Recommended Courses banner will display the 5 featured courses, along with up to 5 best seller, and 5 trending courses. The banner has arrows at each end that become enabled when there are more than 5 courses that can be displayed. These arrows allow the user to scroll through Featured Courses, Best Selling courses, and Trending courses. 13

15 Course Catalog As previously mentioned, the Recommended Courses banner containing the highlighted courses will appear just above the course catalog results. Each of the courses displayed will contain the defined image for the course, or the default image. Image size will match that of the tile view with a 190x100 size for best quality. Clicking on a course within the banner will direct the user into the course detail page to review, and then add the particular session to their shopping cart for purchase. The course detail page contains a back button if the user wishes to navigate back to the course catalog. Student Portal Similar to the course catalog, the student portal will also contain the Recommended Courses banner. This banner will function the same as within the course catalog. Once clicking on a course within the banner, the user will be redirected into the course catalog for navigation. 14

16 New Labels Below highlights the new labels that have been added to the attendee view as part of the new featured courses banner. These labels will be available within the Labels section found within the Site Brand in LTO Admin UI. 17 The pre-paid agreements grace period feature allows a LTO administrator to define if a particular credit agreement key or monetary agreement key can be used by either the attendee or admin past the expiration date a specific number of days. This means that if the expiration date of a credit key was 10/11/2017, however, this credit key has an admin defined grace period days of 10, the admin can purchase courses on behalf of a user with this expired credit key until 10/21/2017, ie, 10 days past the expiration date. If the grace period days for the attendee on this same credit key was set at 0, the attendee would not be able to purchase a course with this credit key past 10/11/2017. The same logic has also been implemented for monetary agreement keys. At a global level, the grace period number of days for attendee and admin can be defined so that for every credit agreement key or monetary agreement key created will have default grace period values. The LTO administrator can then update the grace periods on individual keys as they wish. The credit agreement key or monetary agreement key grace period was added so that for those keys that have expired, but yet have value, it gives you the flexibility to continue to use the expired keys until the key has no more value. The following will highlight key aspects around the new Pre-Paid Agreements Grace Period feature. Pre-Paid Agreement Settings In order to set the default grace period days for the attendee and admin on pre-paid credit keys, navigate to Extras -> Pre-paid agreement -> Settings -> Pre-Paid Credit Settings within LTO Admin UI. As shown in the screenshot below, there will be 4 configuration fields. Number of Grace Period Days - Attendee : Default value for credit keys added Update existing agreement records when input day changed? (Attendee) : When this is checked, all active credit keys will be updated with the day value inputted in the grace period days field for attendee upon clicking save. Number of Grace Period Days - Admin : Default value for credit keys added Update existing agreement records when input day changed? (Admin) : When this is checked, all active credit keys will be updated with the day value inputted in the grace period days field for admin upon clicking save. 16

18 In order to set the default grace period days for the attendee and admin on pre-paid monetary keys, navigate to Extras -> Pre-paid agreement -> Settings -> Pre-Paid Monetary Settings within LTO Admin UI. As shown in the screenshot below, there will be 4 configuration fields. (Attendee) : When this is checked, all active monetary keys will be updated with the day value inputted in the grace period days field for attendee upon clicking save. Number of Grace Period Days - Admin : Default value for monetary keys added Update existing agreement records when input day changed? (Admin) : When this is checked, all active monetary keys will be updated with the day value inputted in the grace period days field for admin upon clicking save. 17

19 Individual Company Keys In the case where you want to update the default grace periods of a specific credit key, you will want to navigate to Extras -> Pre-paid agreement -> Companies-> {Search Company} -> Credits within LTO Admin UI. Once on this screen, as shown in the screenshot below, you can override the attendee and admin grace period days for this individual credit key. The values found on this screen will be used to determine the true expiration date of a particular credit key, ie, number of days beyond the credit key's expiration date that this key can continue to be used (Grace Period Days). 18

20 In the case where you want to update the default grace periods of a specific monetary key, you will want to navigate to Extras -> Pre-paid agreement -> Companies-> {Search Company} -> Monetary within LTO Admin UI. Once on this screen, as shown in the screenshot below, you can override the attendee and admin grace period days for this individual monetary key. The values found on this screen will be used to determine the true expiration date of a particular monetary key, ie, number of days beyond the monetary key's expiration date that this key can continue to be used (Grace Period Days). 19

21 All pre-paid agreement keys will begin with default grace period days for admin and attendee of 0, which means that the defined expiration date of all active keys will be what is defined in the expiration date field on the individual credit keys. In regards to user experience for both attendee and admin when purchasing a course using a pre-paid agreement, they will notice no difference. Upon attempting to use a key, a calculation will be done to determine true expiration date (expiration date + grace period days = true expiration date), and as long as the current date is before this value, the user will be able to complete the purchase as normal. If the current date is outside of the true expiration date, then a notification to the user will appear as normal that the key is no longer valid. 20

22 Minor Improvement & Bug Fixes 1) - GetRegistration API call now allows to pull data based on RegistrationId 2) - Correction so that when a LTO attendee s first name, last name, and address is updated, that this same information is updated on those Litmos elearning courses as well 3) - Update to 1-click registration URL so that each time link clicked from customer website, a new registration is created with the elearning or Replay course launching with this new registration 4) - Included the Discount/Uplift RecordId in the Attendee Group export template table. This field can now be included in exports 5) - The Badgeville Connector now includes the AttendeeId which will then populate Badgeville with this information 6) - The missing Link Source field has been added to the GetRegistrations rest API call, under attribute link_source 7) - The full description field that is included in the Purchase Credit Activity will now display multi-byte characters correctly 8) - The LTO Online Meeting Provider Attendance report will now be populated with details from a hosted WebEx meeting 9) - Fixed issue so that launch link will now not appear after max number of launches or access expiration 10) - Now when a student updates their profile in LTO, a call to the Badgeville connector is made so that the player record in Badgeville is also updated with the same information 11) - As part of revenue recognition set up, support was added to use the attendance date for recognizing registration revenue 12) - When a student record is merged while having Badgeville badges associated to it, the badges will be moved to the destination student. Additionally, on the merge of attendee's, the source attendee registrations will be moved to the destination attendee. Under the following conditions, moved registrations will result in activity creation in badgeville: Registrations - cancelled and active. No activity creation for master bulk registration. No activity creation for main bundle registration. No activity creation for subscription purchase ( only for registrations for subscription courses). If marked completed the activity creation will be for both enroll_course and course_completion. Once the Badgeville job runs, it will use the destination attendee's player_id to create the activities or if none exists, it will use the id of the destination attendee to create the activities and update the player id. 21

23 During merge we have a Source Attendee and a Destination Attendee. At the end of the merge the Source Attendee record is deleted. All the registrations from the source attendee are moved to the destination attendee. Since all the registrations are moved, all the badges will also be associated with the destination attendee. All the registrations including cancelled ones will be sent over to badgeville. Main subscription, bundle and bulk reg will not be sent.the activities (course completion and enroll course) will be sent to the badgeville job queue only if the badgeville integration is turned on and active. 22
