1 XactPRM Users Guide

2 Review of this Xactware Users Guide is voluntary This material is provided free of charge to independent contractor vendors. XactPRM may be used, in accordance with this guide, when providing bids to lenders/servicers requiring the use of a Cost Estimator. 2

3 Creating a New Project Sign in or create a new account at 3

4 Creating a New Project From the main dashboard select + to begin a new project or select an existing project. 4

5 Adding a Project Enter both the Project Name and File # as the AFS Bid #. 5

6 Profile Selection Select the appropriate Profile based on the following: AFAS-WELLS/FHA - For ALL Wells Fargo and ALL FHA AFAS For ALL other clients AFAS-WELLS/FHA Prices shown in bid are CLIENT prices AFAS Prices shown in bid are VENDOR prices 6

7 Address Input Home Quality No input required. Address Insert proper address. (pricing parameters are based on Zip Code) An address verification box will appear. 7

8 Estimate Details Edit Type of Estimate Select a specific service or Preservation as a generic entry. 8

9 Estimate Details There is no need to enter any information in the Home Quality, Header, Opening Statement, or Closing Statement fields. 9

10 Contact Information Complete the necessary Contact Information for the Estimator. Secondary Contact information is not required. 10

11 Estimate Progress and Notes Job Began date will auto populate. There is no need to fill in Job Completed date. Project Notes are not required. 11

12 Adding Groups Select Estimate from the left side toolbar. This will open an Add Group window. Group Name has no specific parameters, it can be a specific service (Lawn Maintenance) or generic (Preservation) No input is necessary in the Dimension field. 12

13 Selecting group Types Multiple groups can be created to segregate specific services such as a Roof group and a Lawn Maintenance group. This aids in the creation and editing of segments that may have multiple line items. Type can be left <None>, or a specific item may be selected. The item selected will change the image on the main bid creation screen which is used to assist in searching. 13

14 Search Options The bid screen will show a searchable image based on your Group Type selection as well as a Search bar. Hover over the image to select various items. The image can be changed at any time by editing the Group and selecting a different Type. 14

15 Quick Estimate and Line Item Search Search results will show a Quick Estimate as well as Search Results. Quick Estimate items contain multiple line items applicable to the description that can be added to the bid all at one time. Search Results show individual line items that can be added to the bid one by one. 15

16 Line Item Definitions Clicking the Price on any line item will open a window providing a Definition of what services and/or materials are included in the specified price. Selecting the Blue circle will add the selected line item to the bid. 16

17 Revising Quantities Selected bid items are shown in the Added Items section. Select the Calc column associated with the line item to edit the quantity. The Calc column can also be used to Calculate the quantity based on input formulas as shown. 17

18 Revising the Actions Performed The Act, or Activity column describes the action being taken on a specific line item. There are no individual line items to perform services such as Remove Drywall, Replace Drywall. Revising the Act code will revise the pricing according to the actions being performed. 18

19 Adding Notes Notes should be added to each line item to justify the bid by selecting the paperclip associated with each line item. Details should include What, Where, Why. 19

20 Deleting Line Items and Saving Files To delete a line item or multiple line items select the box adjacent to the item and select Delete items(s). XactPRM automatically saves your file as you input data. There is no undo or restore feature. 20

21 Completing a Project After reviewing the bid for accuracy and completeness, select Complete in the left side tool bar. This will open an Estimate Overview window. If there are errors present in the Project Information, they will be highlighted in red and can be corrected by clicking the highlighted areas and making any necessary revisions. 21

22 Completing a Project Once any errors are corrected, you need to select the Change Status tab in the lower right corner to change the status from In Progress to Complete. In order to make any further revisions to the bid you will need to change the status back to In Progress. 22

23 Printing Select the Tools tab and then the Print option to open the print screen. Select Category Totals under Select a Report. Maintain the PDF Format selection. 23

24 Printing A preview copy of the bid is generated that needs to be saved to your computer. Selecting Save will creates PDF file with the filename starting with Category Totals, the generation date, and indexing numbers as shown. Category Totals T pdf The file should be renamed to a naming convention you will be able to locate easily, such as the work order number and date. 24

25 Printing The completed bid will have the input line items arranged in categories and will show the notes that were added. 25

26 Attaching Bid to Work Order Locate the specific work order in FAStrack and select the Attachments tab and then Add Attachment. 26

27 Attaching Bid to Work Order The Title can should be the work order number. The Description field can be left blank. The Category Client Operations should be selected from the pull down options. Select Choose file to browse for the file you created and select the Upload tab. 27
