2 Setting Up Netmeeting Netmeeting is our Standard Online Conferencing software that comes pre-installed from Microsoft on all new computers. 1. Click on Start Programs, Accessories, Communications, NetMeeting. 2. If you don t have NetMeeting installed on your computer, go to the following address to download it. 3. Select Run this Program from its current location and accept all the defaults to install the program. If you come across any problems, please contact your local IT/TS Support person. ftp://intranet.pbsj.com/public/software/microsoft/netmeeting 3.0/NM30.exe 4. Click next from the initial NetMeeting window. Page 2
3 5. Enter your information; Net meeting will use this information to list you on the directory server. 6. On the next screen, enter the directory server to log into: ILS_Miami is our Internal ILS Server. Use this directory server when located at a PBS&J office. Only PBS&J Employees within our network can access this server. PBSJInternetMeeting is our External ILS Server. This server sits outside the firewall and it is intended to be used with outside clients. Page 3

6 Find Someone in the Directory Server Listing To find an address using directories or address books 1. Click the Find Someone in a Directory button. 2. In Select a directory, click an address book or directory. 3. Type the name of the person you want to call, or select it from the list. 4. Click Call. In the Select a directory type or select PBSJInternetMeeting to access the PBS&J External ILS Server. (To use in Netmeetings with outside clients) In the Select a directory type or select ILS_Miami to access the Internal ILS Server. (To use in Netmeetings within the PBS&J Network) Page 6
7 Call Status Icons File Transfer Window To send a file 1. Click the Transfer Files button. 2. In the File Transfer dialog box, click the Add File button, and select the files you want to send. 3. Click the name of the person you want to send the file to, or click All to send it to everyone in the meeting. 4. Click the Send All button. Notes To cancel a file transfer before it is complete, click the Cancel Transfer button. To remove a file from the list, click the Remove File button. You can send a listed file only once. To resend it, click the Add Files button and select the file again. Page 7
8 If a file is created while working on a shared program, only the person who shared the program can distribute the file. If you are accessing the computer from a remote location, on the desktop of the computer being accessed, right-click the NetMeeting icon in the status area, and then click Send Files. To receive a file Notes Click Accept to receive the file and close the dialog box. If the Accept button is not clicked during file transmission, it changes to Close after the file is received. Click Close to close the dialog box. To reject the file, click Delete. NetMeeting places the file in the NetMeeting\Received Files folder on your hard disk. To specify where to save received files Note 1. Click the Transfer Files button to open the File Transfer dialog box. 2. On the File menu, click Change Folder, and then click the folder where you want NetMeeting to save received files. By default, your files are saved in the NetMeeting\Received Files folder on your hard disk. Transfer File Buttons Page 8
9 Chat Overview Meeting participants can talk to each other simultaneously using Chat. Since only two people can have an audio or video connection, Chat is useful in a group meeting because everyone can participate. When someone sends you a Chat message, the message appears in the Chat window. Whiteboard Overview Whiteboard allows everyone in a meeting to draw and type simultaneously. You can add and delete Whiteboard pages, draw shapes, type text, and emphasize an item using the Highlighter or the Remote Pointer. You can copy and paste items between the Whiteboard and other programs, and from windows and areas of your desktop to the Whiteboard. Then, you can use Whiteboard's tools to further illustrate the objects. Other meeting participants can see your work without having access to your desktop. Synchronization allows everyone to automatically view the same Whiteboard page. If you want to work on a page privately, you can remove synchronization to stop the page from displaying automatically, however, other participants can still open the page by navigating to it manually. Removing synchronization does not affect other participant's view of the current page. Page 9
