1 HOW TO JOIN AN IFA WEBINAR If you have registered for the webinar you will have already received a WebEx-generated with your registration details. Please note this is sent by the WebEx system not from the IFA If you have not received this please check your Junk Mailbox first and if it is not there please info@ifa.org.nz IMPORTANT: PLEASE LOG ON 20 MINUTES BEFORE THE ADVERTISED START TIME especially if you are a first time user!
2 STEP 1 - Using your invitation login to the webinar When you click the Join Now in the previous screen you are prompted to enter your first and last names, address and the event password will already be filled in. Click Join Now. In the event that they are not, do the following: Enter your first and last names. Enter the address to which the webinar link was sent Enter the password (if required) is 1234 Example. Click Join Now. Join Event Now First name: Last name: address: Joe Grayland joe@ifa.org.nz Event password: **** (Clear my information)
3 STEP 2 loading the webinar software When you ve clicked Join Now, and your sign in you will see the screen below. As the page loads - do not do anything with this page! (If you should inadvertently close this page and end the event for yourself, just log in again by repeating Step 1, and you ll re-join the webinar). You may be a warning message Cannot Connect to Audio or Video - as shown below select Connect Anyway option TIP don t panic when you see event in progress the webinar is open but the presenter will only start at the advertised time e.g. 11am
4 STEP 3 interacting with the presenter Then the webinar screen appears. When you see the screen below, you will have joined the webinar and the host will be able to see that you have joined. To see the presenter click on the PARTICIPANTS icon at top right of the screen To send a chat text message to the presenter click on the CHAT icon at the top right of the screen. You can write and send messages to the presenter in the small box at the bottom right of the screen and push SEND button.
5 STEP 4 TROUBLE-SHOOTING NO SOUND? The webinar uses VOIP (Voice over internet protocol) so this is sometimes delayed. To receive sound you need to check that your computer speakers and that your IT protocols allow sound. STEP 4 Adjusting Sound (Audio) If the sound is faint or you don t have any sound you need to adjust your volume / speaker settings 1. Go to the SPEAKER ICON normally on the toolbar on your computer normally at the bottom right of your screen and adjust However, if that does not work try 2. Within the webinar screen - click on the "Communicate" option from menu at the top of your screen, select "speaker/microphone Audio Test" and adjust the speaker level if required. Note you may have to select the correct speakers you are using from the drop-down box in this option If all else fails please call Feleta on for help please note the presenter cannot help with the log on issues as they are presenting the webinar.
6 TROUBLE-SHOOTING CONTINUED. I CAN T LOG ON! First step is to close any webinar screens - and go back to the webex invitations in your s and try again that often works. I STILL CAN T LOG ON!! Try the fixes on the last page below it could be your web-browser software or version, Java version, hardware or firewall. Note - some IT systems have aggressive firewalls that block any attempts by the webex system to load the webinar system and software on your computer system! An IT helpdesk or office support person will often be required to help. Sometimes these fixes take a few minutes or a few hours depending on the sophistication or issues with your network. There are myriad types of systems blocks so the IFA cannot suggest a quick fix here. However, BY LOGGING ON 20 MINUTES BEFORE THE START TIME this may ALLOW YOUR IT SUPPORT PERSON TO HELP IS THERE A RECORDING? (I LL FAIL TO LOG ON OR HAD TO LEAVE THE WEBINAR!) Yes, all IFA webinars are RECORDED. A link will be sent to you after the webinar so you can view (review) the webinar. Please note if you have trouble with the recording try these thing on the next page
7 If you are having trouble watching a webinar or recording it could be for a number of issues try these things Browser Software & Java Version Have you got Google Chrome or Mozilla Firefox as a web browser? If so - use these if you have them. If not, I suggest you download Chrome Also, it really helps that your computer has the latest JAVA applet? To check your computer version click on this link Internet Connection & Speed The webinar playback function starts by buffering the video and audio from two sources into your computer RAM buffer this can take a few minutes - before the playback works. If you are in an area of low internet connection it may timeout e.g. at a home computer around 4pm when the school kids may be seriously slowing down your local ADSL speed. Test your internet speed at Hardware and Computer Operating Systems Some older operating systems (e.g. Windows XP) and older hardware will have trouble playing back such a large file speak to your IT adviser about your system requirements Firewalls Some company networks prohibit (through firewalls) any downloading of the necessary Webex plug-ins to allow you to see the webinar i.e. the Webex video player software check your network IT adviser for a solution.
