Feature changes The following section describes the feature impacts for this release. Meet Me enhancements This feature provides enhanced usability and management capabilities to the MAS Meet Me Conferencing Service. The introduction of an operator gives increased management of Meet Me conferences by allowing the operator to control the individual calls (mute, unmute, terminate). As well, the operator can control the meeting in the same manner as a chairperson. Other changes This document is new for MCS 5100 Release 4.0. MAS Meet Me Conference Operator User Guide

9 9 About this guide Audience This guide describes how conference operators interact with the MAS Meet Me Conferencing Service. Topics include: Meet Me Conferencing overview Conference management This guide is intended for administrators and MAS Meet Me Conference operators. 11 11 Meet Me Conferencing overview The Meet Me Conferencing Service provides reservationless multimedia audio and video conferencing, based upon the Media Application Server (MAS) platform. Meet Me Conferencing Service users have their own private conferencing resource available for meetings at any time. The administrator provisions the service to the conference owner, or the chairperson, who in turn controls the use of the personal conference resource. Services and features The Meet Me Conferencing Service provides these basic conferencing capabilities: audio mixing transcoding for G.711 and G.729 audio CODECs arbitrarily-sized conferences DivX Multipoint Video Conferencing premium conferencing option bearer negotiation RTCP Support QoS Support In addition, the Meet Me Conferencing Service provides the following features: the ability for an end user to configure a multimedia conference anytime, on demand, with no reservation required universal access to Meet Me conference resources by using a service dial-in number secure access to the conference session by using a private chairperson access code music on hold, advertisements, or informational audio for participants while they wait for the chairperson to start the conference MAS Meet Me Conference Operator User Guide
12 12 audio support for callers who use the Multimedia PC Client, Multimedia Office Client, Multimedia PC Client for IBM Lotus Notes, Multimedia Web Client, IP Phone 2002, IP Phone 2004, IP Phone 2007, or the public switched telephone network (PSTN) DivX video support for callers who use the Multimedia PC Client, Multimedia Office Client, and Multimedia Web Client and Lotus client the ability for the conference chairperson to initiate an instant message chat room for the conference audio entry and exit indicators to announce the arrival and departure of conference participants audio emoticon support which provides interactivity options for conference participants Attention: The administrator provides the media source files for the audio emoticons. chairperson prompts so the chairperson can activate the multimedia conference, placing all waiting participants into a multiparty, multimedia conference session start and stop an instant message chat session for the conference mute and unmute all conference participants enable and disable audio emoticon support enable and disable audio entry and exit indicators optional Instant Messages that can be sent to the chairperson announcing various events dynamically assigned pass codes that can be configured by a chairperson for a conference (participants must successfully enter the passcode to join, providing control over conference access) the ability for conference participants to mute and unmute themselves the ability for system administrators, through Provisioning Client integration, to configure the following conference attributes: access code chairperson personal identification number (PIN) conference behavior options the ability for end users, through Personal Agent integration, to view the following conference information: dial-in number NN MCS 5100 Release 4.0 Standard January 2007
13 13 access code chairperson PIN Some feature behaviors are configured on a user basis, while others are only system-wide. For example, an instant message generation event is configured globally, while the chairperson PIN is configured for each user. Conference operator The conference operator controls every aspect of a conference, including the control of the meeting, in the same manner as a chairperson. The following capabilities are available through the Provisioning Client to conference operators: Find Meet Me User by Access Code Find Active Meet Me Conference by Access Code Find Active Meet Me Conference by Domain The conference operator can also: mute, unmute, and terminate specific lines disconnect one or all ports (or lines) from the conference enable and disable conference continuation after the chairperson leaves the conference Some of the chairperson controls that the operator can handle include: enable and disable audio emoticons play audio emoticons start a chat session enable and disable audio entry and exit indicators lock and unlock the conference mute all and unmute all participants release all calls immediately MAS Meet Me Conference Operator User Guide
14 14 MAS Applications Management-only role (MAS Meet Me Operator) You must be an operator to access the MAS Meet Me audio conferencing Operator Controls. To attain Operator status, an MCS system administrator gives you the MAS Applications Management-only role. Note: Users given the MAS Applications Management-only role do not have access to other provisioning controls, such as user and service packages. 15 15 Conference management This chapter describes how to manage a conference. Conference Interaction Operators perform the following conference interactions: Find Meet Me users by access code on page 15 Find an active Meet Me conference by access code on page 16 Find Active Meet Me conferences by domain on page 17 Find Meet Me users by access code Conference operators search for conference users by access code. To access conference operator functions, use the MCS Provisioning Client, which starts from supported Web browsers including Microsoft Internet Explorer and Netscape Navigator. Procedure 1 Accessing the Provisioning Client 1 Start any supported Web browser. 2 Enter the uniform resource locator (URL) for the Provisioning Client. The URL must be similar to <IP of Prov Manager>/prov. The Provisioning Client Login window appears. 3 Enter your user name and password in the respective fields. 4 Click Log in now to log on. Upon a successful log on, the Provisioning Client Welcome page appears. Procedure 2 Searching for conference users by access code 1 From the Provisioning Client window, select Provisioning > Applications > Meet Me. 2 Select the Lookup Meet Me User submenu option. 16 16 3 Enter the user access code in the Access Code field. 4 Click Search. To search for a user by access code, the operator enters: a complete access code: which provides an exact match no access code: which provides a list of all active users a partial access code: which provides a list of all users who have access codes that start with the partial code input For example, if you enter 445, the system provides a list of users who have access codes , , and , as illustrated in the following table. Search results for Meet Me Users who have the Access Code 445 Username Domain Name Access code Meet Me Details billm mas.com bill man Meet Me Properties jillj mas.com jill jam Meet Me Properties tedn nt.com ted nan Meet Me Properties General User Details User Details User Details User Details 5 In the list of users, click User Details. 6 In the same list of users in step 5, click Meet Me Properties. Note: You can change the meeting properties and regenerate the meeting PIN from this screen. Find an active Meet Me conference by access code Use the following procedure to search for conferences by the access code. Procedure 3 Searching for active Meet Me conferences 1 Select Applications > Meet Me. 2 Select the List Active Conferences by Access Code submenu option. NN MCS 5100 Release 4.0 Standard January 2007
17 17 3 Enter the conference access code in the Access Code field. When searching for a conference by access code, the operator enters: a complete access code: results in the conference with the matching access code OR no access code: results in a list of all active conferences 4 Click List Active Conferences. Note: If your query does not find a matching conference, an empty Active Conference window appears. 5 From the list of conferences, click on the access code in the Access Code column to display the active conferences list on the Active Participants screen. Conference operators can mute individual participants or release them from the conference on this screen. See Muting, releasing, and refreshing participants on page 17. Find Active Meet Me conferences by domain Use the following procedure to search for conferences by domain. Procedure 4 Searching for conferences by domain 1 Select Applications > Meet Me. 2 Select List Active Conferences by Domain. 3 Select a domain from the Domain Name drop-down menu. 4 Click List Active Conferences. 18 18 Procedure 5 Muting and releasing participants 1 Select Applications > Meet Me. 2 Select the List Active Conferences by Access Code submenu option. 3 Enter the conference access code in the Access Code field. 4 Click List Active Conferences. 5 Click on the access code in the Access Code column to display the active conferences list on the Active Participants screen. 6 Click the Mute button in the Mute Session column to mute or unmute participants. 7 Click the Release button in the Release Session column to immediately release the participant from the conference.
