This guide will help you make important decisions about smartpen ownership, distribution, and management. 7 1 Introduction The Livescribe smartpen is an advanced paper-based computer, providing both audio and visual feedback, powerful processing capabilities, and substantial built-in storage. The smartpen integrates several components and technologies. It also uses firmware and application software to support the interaction of all of its components and to enable built-in handwriting recognition, and applications such as Paper Replay, among many others. This document will help guide you to set up your Livescribe environment, including making important decisions about smartpen ownership, distribution, and management. How Will You Use Livescribe Smartpens? First, let s clarify how you will use Livescribe smartpens. Which of the following fits your intended use most closely? I am using smartpens for administrative purposes, such as taking notes in meetings with teachers and other administrators, and possibly sharing the information with others. If this describes you, please follow the instructions here: Set Up for Administrative Use on page 2. I am using smartpens in my classroom to help my students learn. If this is true for you, follow the steps in Set Up for Instructional Use on page 3. I have been using smartpens in my classroom and need to prepare for the next academic session. 8 2 Set Up for Administrative Use Administrative use refers to staff, and other personnel, using the Livescribe smartpen as part of their daily routine. A key distinguishing point is smartpens are not shared with others. Each smartpen is assigned to a specific person. To set up for administrative use, follow these steps: 1. Install Livescribe Desktop on your work computer from 2. During installation, dock your smartpen to your computer to associate the smartpen to that computer. 3. Launch Livescribe Desktop. When prompted, register the smartpen. During this process, you will create an individual Livescribe account. You should use your education address and the institution s mailing address when registering. 4. Use Livescribe Desktop to name your smartpen using your own name. 5. Attach a printed label with the your name to your smartpen so it can be identified in the office or if lost. Consider including a phone number on the label as well. 6. Label each Livescribe notebook with your name and/or the name of your smartpen. This will help preserve the pairing of the smartpen and notebooks it is used on, and avoid accidental use of different notebook. Livescribe Smartpen K-12 Setup Guide 2

9 3 Set Up for Instructional Use Livescribe smartpens are ideal for instructional use. Students can use smartpens to capture written and audio content, access this information, and even share it with other students. Smartpen Ownership There are two basic ownership models for smartpens in the classroom. Each student is assigned their own smartpen that they use exclusively for the quarter. semester, or school year for all of their classes. If this fits your classroom model, see Assigning Smartpens to Individual Students on page 3. Smartpens are assigned to a class and shared by students within a classroom. The smartpens are used by the students each time the class meets and stay in the classroom for the each set of students. If this fits your classroom model, see Assigning Smartpens to a Class on page 4. IMPORTANT: Livescribe Desktop will ask to authorize the smartpen every time it is docked to a computer with Livescribe Desktop installed, at school or at home. Do not authorize your smartpen on any machine that you want your students to dock and transfer to. Do not have the students authorize their smartpens to Livescribe Desktop. When prompted to authorize their smartpens, have them click Cancel. If they authorize their smartpen, they will only be able to transfer content to that computer. They will not be able to transfer content to a home computer or other class computer. Assigning Smartpens to Individual Students If you are assigning each student their own smartpen for their individual use only, follow the steps below: Livescribe Smartpen K-12 Setup Guide 3

10 Assigning Smartpens to a Class 1. Create and attach labels to each smartpen. On the label, print the student s name and optionally a phone number or address. This will help identify the smartpens in the classroom if they are lost. 2. Label each Livescribe notebook with the student s name and optionally a phone number or address. This will make it easier to maintain the required pairing of a smartpen to its notebooks. 3. On one or more class computers that are shared by students, download and install Livescribe Desktop from 4. Have each student create a Livescribe account using a web browser. Your students will each need an address to do this: Go to Click the Community tab. Click Sign Up and fill in the required information Have each student write down their user name ( ) and password so you can keep a record of it in case the student forgets. 5. Launch Livescribe Desktop on the class computers. 6. Have each student dock their assigned smartpen to the computers. 7. If Livescribe Desktop prompts to download and install software updates, click Yes. Assigning Smartpens to a Class If smartpens are assigned to a class and shared by students within a classroom, follow these steps: 1. Create and attach labels to each smartpen. On the label, print the student s name and optionally a phone number or address. This will help identify the smartpens in the classroom and if they are lost. 2. Label each Livescribe notebook with the student s name and optionally a phone number or address. This will make it easier to maintain the required pairing of a smartpen to its notebooks. 3. Provide students with containers to store their smartpen and accessories. 4. On one or more class computers that are shared by students, download and install Livescribe Desktop from 5. 11 Other Considerations 7. If Livescribe Desktop prompts to download and install software updates, click Yes. 8. When prompted, have each student type a name for their smartpen. We recommend they name their smartpen using their own name, like John Smith s smartpen. If necessary, students can rename the smartpen. See Renaming Smartpens on page If you want to have students share class notes using Livescribe Online, or if you will be sharing lectures and notes with your students using Livescribe Online, each student will need a Livescribe account. Have each student create a Livescribe account using any computer. Your students will each need an address to do this. Each student should: Go to Click the Community tab. Click Sign Up and fill in the required information Have each student write down their user name ( ) and password to keep a record of it in case the student forgets. IMPORTANT: If students share notebooks as well as smartpens, you should pair the smartpens with the shared notebooks. To do this, label the smartpens and notebooks with the same name and keep them together. Also, have students write their name on the pages they use to denote their pages from other students sharing the notebook. For classrooms in which each student has their own Livescribe notebook, students should always use the same smartpen in the same notebook. Make sure students write down the name of the smartpen they use so they do not forget. Other Considerations To minimize or prevent damage or loss of your smartpens, provide students with containers to store them and their accessories. At the end of each day, charge the smartpens overnight so all smartpens are ready to go for the next day. If it is not practical to charge all the smartpens at once, develop a schedule where you charge as many as possible the first night and the remainder the following night. At the end of the year or academic session, you should archive student notes and audio and prepare your smartpens for the next set of students. See End-of-Year Transition on page 6. 12 4 End-of-Year Transition At the end of the academic year or session, you should archive this year s work and prepare for next year. This section describes the steps you should take. Archiving Student Work The unique combination of Livescribe smartpen and notebook presents an opportunity to preserve the student s written and oral work. You can not only save their written work from the physical notebooks they work on, but you can also preserve notes and audio recorded by their smartpens. 1. Save the student s physical notebook in their student folder. If the notebook has a large number of unused pages, tear out the used pages and place them in the student s folder. This allows another student to reuse the notebook. 2. Run Livescribe Desktop and dock each smartpen to transfer all of the students content. This stores all of the student notes and audio in Livescribe Desktop so you can review it at a later time. 3. Use the Livescribe Desktop Archive Notebook feature to move the student notebooks out of the active area in Livescribe Desktop to the Archive area. NOTES: You can work with archived notebooks just like active notebooks. But, the smartpens used with those notebooks will no longer be associated with the physical notebook pages. This means you will not be able to tap on the pages to listen back to the recorded audio. However, as always, you can review those notes and audio in Livescribe Desktop. After you archive the original notebook, Livescribe Desktop will treat the partial notebook like a new notebook. The pages you removed pages will not appear. Instead, Livescribe Desktop will transfer and display only those pages used by the new student. Livescribe Smartpen K-12 Setup Guide 6

13 Archiving Student Work Saving Student Notes as PDF Files You can save written notes in PDF format. The notes are saved as high-resolution images of your pages, without audio. Anyone who has Adobe Reader or Preview can view and print PDF files. To export pages as a PDF file on Windows: 1. Click the Pages button in the Main Toolbar to go to Pages View. 2. Select one or more pages. For example, click the page in Thumbnail mode or double-click to open it in Single Page mode. Use Shift and Ctrl keys to multi-select pages. 3. Choose File > Export Page(s) As > PDF. 4. In the Save PDF dialog, enter the path and file name or accept the default. 5. Click Save. To export pages as a PDF file on Mac OS X: 1. Select one or more thumbnails for the pages you want to export. Use the Shift key to multi-select pages. 2. Choose File > Print, or press -P. The Print dialog opens. 3. Click the PDF button. The PDF drop-down opens, presenting you with various PDF print options. 4. Select Save as PDF option you want, and then click Print. 5. Select a destination to save to. Save the PDF name as it is, or type a new one. 6. Click Save. Your PDF file is saved to the specified location. Saving Student Recordings as Audio Files You can save the audio portion of student sessions as files to preserve them or send them to others. Using Livescribe Desktop you can easily export your audio files in order to play or share them outside of Livescribe Desktop. To export audio using Windows: 1. Click Audio or choose Navigation > Audio from the menu. 2. In Audio View, click the session in the list that you want to export as a file. 3. Right-click, or from the Menu select File > Export Audio. 4. Select the audio file format you would like to export to: Livescribe Smartpen K-12 Setup Guide 7

14 Archiving Student Work To AAC To M4A To MOV To MP4 To WAV NOTE: The AAC, M4A, MOV, and MP4 formats are available as long as the session is recorded in mono only (using the smartpen microphone) or stereo only (using the headset microphones). A mixed session (one session recording started with the headset plugged in and the headset is removed before the recording ends, or a session started without the headset plugged in but the headset is plugged in before the recording ends) can only be saved in the WAV format. 5. Select a destination to save to. 6. Save the session name as it is, or type a new one. 7. Click Save. Your audio file is saved to the specified location and is available for listening on your computer or for export. 8. To listen to your exported file, double click the file or drag it into an audio player application that supports the file type you exported. For Mac OS X, Livescribe uses the popular Advanced Audio Coding (AAC) file format. You can play audio in AAC format on any compute with Apple QuickTime installed. You can convert AAC files to MP3 file format from itunes or another audio management application To export audio in AAC format on Mac OS X: 1. Click the Sessions option under Audio. 2. In Sessions View, click the session that you want to export as a file. 3. Choose File > Export as AAC, or press -E. The Save dialog opens. 4. Select a destination to save to. 5. Save the session name as it is, or type a new one. 6. Click Save. Your AAC file is saved to the specified location and is available for listening on your computer or for export. 7. Double-click on the item to play in QuickTime, or drag it into your itunes library or to your itunes icon to play in itunes. Livescribe Smartpen K-12 Setup Guide 8

15 Resetting Smartpens Resetting Smartpens The Education Channel can work directly with the Customer Service team to do master resets of the Livescribe smartpens at the end of the year. If you want to manually reset your smartpens, follow the steps below. Resetting smartpens does the following: Erases all notes and audio recordings from the smartpen. Removes the registration certificate from the smartpen so another student can use it. Go to one of the Knowledgebase articles below to download the latest smartpen reset utility. To reset a smartpen on Windows: 1. Go to 2. Mouse over the Support tab and select Knowledge Base. 3. In the Search field type and click Go. The article below will appear: Windows Master Reset and firmware update utility To reset a smartpen on Mac OS X: 1. Go to 2. Mouse over the Support tab and select Knowledge Base. 3. In the Search field type and click Go. The article below will appear: Mac Master Reset and firmware update utility Renaming Smartpens After Master Resetting your smartpens, you need to rename them for future students. To rename a smartpen on Windows: 1. Launch Livescribe Desktop 2. Dock the smartpen to be renamed. 3. If it is not already selected, use the smartpen selector drop down to choose the smartpen you want to rename. 4. Choose Tools > Smartpen > Rename. Livescribe Smartpen K-12 Setup Guide 9

16 Unlinking Student s from Smartpen Serial Numbers 5. Type a new name and click OK. To rename a smartpen on Mac OS X: 1. Launch Livescribe Desktop 2. Dock the smartpen to be renamed. 3. If it is not already selected, use the smartpen selector drop down to choose the smartpen you want to rename. 4. Choose File > Rename Smartpen 5. At the prompt, type the smartpen name and click Rename. Unlinking Student s from Smartpen Serial Numbers You should unlink any associations among student s and smartpen serial numbers. First, get a list of your smartpens serial numbers. Use one of the two methods: Look at the outside edge of the box the smartpen came in. The sticker will show the serial number in the format of AYE-AAA-EZH-ZD. Use the smartpen and notebook to look up the serial number on the smartpen. To look up the serial number using a notebook: 1. Turn on your smartpen. 2. Open a notebook to the inside front cover and in the Status section tap on the software version button. Part of the scrolling display will include the serial number in the format of AYE-AAA-EZH- ZD. 3. If you do not see the software version button in your notebook you can get the firmware version manually. See below. To look up the serial number using a Quick Command: 1. Activate a Quick Command by double tapping the center of a Nav Plus (the arrows at the bottom left of any notebook page) to get the Main Menu display on the smartpen (an asterisk should display to the right). 2. On your Livescribe paper write the letter V and (if scrolling text doesn t already start) version > should appear. Livescribe Smartpen K-12 Setup Guide 10

17 Storing Smartpens 3. Tap the right-arrow on your Nav Plus to check the version. Part of the scrolling display will include the serial number in the format of AYE-AAA-EZH-ZD. When you have gathered all of your smartpen serial numbers, 1. Create a spreadsheet of the serial numbers along with your school name and personal contact information. 2. the spreadsheet to schooladminsupport@livescribe.com. Livescribe will unlink the s from your smartpens. Storing Smartpens Below are some recommendations for preparing and storing smartpens when they will not be used for a long period of time, such as over the summer break. Fully charge each smartpen prior to placing them in storage. Ensure the smartpens are not stored in a location which would expose the smartpens to excessive heat or cold as this may adversely affect the battery performance. Keep the accessories with the smartpens so they are no lost. Livescribe Smartpen K-12 Setup Guide 11

18 5 Frequently Asked Questions Recording Notes and Audio Can I capture notes without recording audio? Yes. To capture notes simply turn your smartpen on and begin writing on Livescribe dot paper. To record audio, tap the record button in your included notebook. Can I record audio without Livescribe dot paper? Yes. Press and hold the smartpen power button until you see the recording timer appear on the display. When you are done recording simply turn off the smartpen. To play back the audio, go to the smartpen s Main Menu, select Paper Replay, and then select Play session. While you are playing back the audio, you can write down notes on dot paper and the audio will automatically link to your notes. Can I add new notes to the audio that I ve already recorded? Yes. You can always listen to your recorded audio later and write additional notes. Tap on your original notes to start playing back the audio. Then write on dot paper to link your new notes to the existing audio. How do I change the audio recording quality? To adjust recording quality, go to the smartpen s Main Menu, scroll down to Settings, select Recording quality, and then choose High, Medium, or Low. Higher quality recordings will take up more space in your smartpen memory. Livescribe Smartpen K-12 Setup Guide 12

19 Smartpen Accessories Smartpen Accessories How do I replace my ink cartridge? Grab the tip of the ink cartridge with your fingers and pull it out. Once the ink cartridge is removed, slide in a new one. Sharing Notes and Recordings How do I share my notes and audio? Export pages: From Livescribe Desktop, you can save your handwritten notes or drawings as a PDF file. Export audio: From Livescribe Desktop, you can export your recorded audio to share with others or listen on other devices. Upload a pencast: Pencasts are online, interactive Flash movies of your handwritten notes and audio. When you upload notes and audio from Livescribe Desktop to your MyLivescribe account, you can share your pencasts online. How can I share Pencasts Once you register your smartpen, you can share up to 500MB through your MyLivescribe account. Private sharing: All your uploaded pencasts are set to private by default only accessible to you. You can add specific people to your Access List, giving them permission to see your private pencasts, and then send them a link to view. The people on your Access List will be required to create a Livescribe account to view pencasts. Public sharing: Once you make your pencast public, it can be accessed by anyone, even without a Livescribe account. You can send the pencast URL, share it on Facebook, or embed it on a website. 20 Livescribe Desktop Livescribe Desktop How do I get the latest software updates? Whenever you launch Livescribe Desktop, it will automatically check for updates and notify you if an update is available for your smartpen and/or Livescribe Desktop. Make sure to download and install all updates, so you ll always have the latest, greatest features. You can also manually check for updates through Livescribe Desktop. Click on the Help menu and select Check for Updates. Can I convert my handwriting into text? Yes. You can buy and download additional software called MyScript for Livescribe. It works with Livescribe Desktop to convert legible handwritten notes into editable text. For more information, go to: Can I use my smartpen with more than one computer? Yes. If you use multiple computers, make sure to connect your smartpen and transfer your data to each computer on a regular basis. Make sure you use the same MyLivescribe account for each copy of Livescribe Desktop you install. Every time you archive a notebook on one computer, be sure to archive it on your other computers as well. How do I print my own dot paper? To print your own dot paper, you need to have Livescribe Desktop version 2.0 or later and an Adobe PostScript-compatible color laser printer with a print resolution of 600 dpi or greater. 1. Within Livescribe Desktop, click on Pages so you are viewing your notes. In the menu, select Tools. 2. On a Mac, choose Print Your Own Notebook. If you are using Windows, choose Printable Notebooks. 3. Choose the notepad you would like to print, the printer you want to print to, and click Print Livescribe Smartpen K-12 Setup Guide 14

21 Smartpen Shortcuts Can I change the date and time format? Yes. You can set your smartpen to display the time in 12- or 24-hour format, and the date in any of several formats. You can find format options on your smartpen under: Main Menu> Settings> Time Format or Main Menu> Settings> Date Format. Smartpen Shortcuts Whether you are a beginning, intermediate or advanced user, the following shortcuts will help you get the most out of your smartpen. Double-tap When the smartpen asks you for input (like drawing a button, or writing a word for translation), to signal you are finished writing, rapidly tap twice in the same spot on dot paper. Draw your own Nav Plus Draw a plus with two lines about an inch long, then double-tap the center quickly. You should see Main Menu on the smartpen display. Tap on the Nav Plus to view and select menu items. Flick and scrub (quickly scroll through menu items) On dot paper, press the tip of your smartpen down for half a second until you hear a short beep. Then, without lifting your smartpen tip off the paper, draw a horizontal or vertical line. Your smartpen will automatically recognize this line as a flick and scrub control. Retrace the line anytime to scroll through menu items or display text. Quick launch (jump to an application and quickly launch it) Double-tap on the center of the Nav Plus control. Then start writing the first few letters of the application name, continuing until you see the name appear on the display. Tap the right arrow of your Nav Plus to launch the application. 22 6 Glossary Refer to the list below for Livescribe terms and their definitions. 3-D recording headset. Earphones with embedded microphones that capture multi-directional, farfield audio and place objects in the sound landscape surrounding you. active ink. Notes, drawings, or other markings made by a Livescribe smartpen on Livescribe dot paper that are associated to recorded audio. By default, active ink is displayed as green in Livescribe Desktop. See inactive ink.see inactive ink. archiving. The process of moving your notes and audio for a Livescribe dot paper product into an Archived Notebooks folder in the Navigation Pane. This process also deletes your notes (ink data) and audio from the Livescribe smartpen. Because of this, the Livescribe smartpen will no longer interact with the physical Livescribe dot paper product that you archived. audio. Sound of any kind that is captured by the Livescribe smartpen microphone. Audio (or Sessions) view. Sessions presented as a list of files with details about each. browsing. Paging through a notebook s pages. docking. Connecting a Livescribe smartpen to a personal computer by inserting the smartpen into its charging cradle, which is connected to the computer by a USB cable. downloading. Receiving data from a remote location. Echo smartpen. A model of smartpen manufactured by Livescribe Inc. firmware. Software that manages the internal operations of a smartpen. flash storage. 23 flick and scrub. Flick and Scrub is a feature that enables fast scrolling through menu items and other displayed text on the Livescribe smartpen. This feature is useful when text presented by an application is longer than the display can show horizontally or when multiple menus, options, or items are available vertically. inactive ink. Notes, drawings, or other markings made by a Livescribe smartpen on Livescribe dot paper that are not associated to recorded audio. By default, inactive ink is displayed as black in Livescribe Desktop. See active ink ink. The markings of the Livescribe smartpen ballpoint on dot paper. See active ink and inactive ink. linking. Associating a Livescribe smartpen to an instance of Livescribe Desktop. Livescribe Desktop. The computer component of the Livescribe platform. Livescribe Desktop allows you to transfer, store, search, and replay notes from your computer. You can also upload your content to the Web, and manage applications and content on the Livescribe smartpen. Livescribe dot paper. Plain paper printed with a microdot pattern. Invented by Anoto AB, and used under license by Livescribe. The microdots are nearly invisible to the human eye. The microdots enable the Livescribe smartpen to recognize areas on a page, like a printed record button for Paper Replay, and associate handwritten notes with recorded audio. Livescribe Online. Livescribe Web community. Livescribe smartpen owners have free membership in Livescribe Online, where members can store up to 500 MB of their sessions. In addition, members can share sessions with others and participate in user forums. microdot. The basic unit of Livescribe s dot paper: a small, light-gray circular marking that is arranged with others like it into millions of patterns. These are printed on Livescribe paper products for use with the Livescribe smartpen. mylivescribe profile. 500 MB of personal space a Livescribe smartpen user is allotted at Livescribe Online to store and share notes. Nav Plus. A pre-printed or hand-drawn plus sign that lets you navigate the Livescribe smartpen applications and files. notebook. A generic term used in this guide that represents any Livescribe dot paper type: Lined Notebook, Lined Black Journal, Unlined Black Journal, or Unlined Red journal. notebook status label. An elliptical paper seal that prevents a Livescribe paper product from being opened until detached by the owner. This label defines the product s status (paper type and series Livescribe Smartpen K-12 Setup Guide 17

24 number), so you can be aware of potential conflict with paper products of the same status that are already in use. notes. Anything written or drawn on dot paper. Mac OS X: 1. Hold the keyboard control key down and in Livescribe Desktop, go to Tools > Customer Support > Debug Logs. 2. Save the data to your computer so you can send it to Customer Service if requested. Returning Livescribe Products If you need to return the Livescribe smartpen or other Livescribe product, follow the instructions below. Items Purchased Directly from Livescribe Items purchased directly from Livescribe will have the following return timeframe to qualify for a refund. Items returned after this timeframe will not be accepted or credited: Hardware: 30 days.
