1 Boardroom AV 1 BASIC BOARDROOM ETIQUETTE You may want to issue an IT Service Request ahead of your meeting date to ensure that Help Desk staff can meet you in the Boardroom 15 minutes prior to your meeting to ensure you have all the technical support you need. If your meeting concludes after 4:30pm, please contact Security to ensure the Boardroom is properly locked and secured for the night. Please do not leave food or drink in the Boardroom after your meeting. There is no cleaning contract for this service so the job will be left to Executive Office. This is challenging in the middle of the day and onerous when food is left out over night. 2 Boardroom AV 2 Turning on the system. Locate the Crestron wireless touch panel. It usually lives on the counter at the side of the room. Touch the screen. You will see the Okanagan College logo. Press Display Power. Power on the projectors or monitors you want to use. Press Close Power Control.

3 Boardroom AV 3 Sending sources to displays. From the OC screen, select the source you want. Sources: VHS is the VHS player in the computer closet. DVD is the DVD player in the computer closet. Videoconferencing is the Polycom videoconference system in the computer closet. Computer leads to a submenu where you can select the computer in the computer closet (PC) or a laptop connected to the VGA port in the table top panel. Press Display Source To and select where you want that source image to appear. Press Close Send. Repeat as necessary to send various sources to various displays. You can have different sources on each of the 4 displays (2 projectors, 2 monitors). * note: try to get it right the first time the system gets confused if you change what shows where too many times and you ll have to shut down and start over.

4 Boardroom AV 4 Using the PC with the wireless keyboard and mouse. Log into the computer in the closet. Click Workstation only. Username is guest. Password field remains blank. The wireless keyboard and mouse live on the counter at the side of the room. Send PC to the displays you want.

5 Boardroom AV 5 Using a laptop. Get a VGA cable from the cabinet nearest the computer closet to connect a laptop to the hidden panel in the east side tabletop. If you need network access you can connect a network cable to the network port in the panel or use the OC wireless network. There is also an audio port in the panel. There is a Kramer VGA switch in the upper cabinet you can use to connect 2 laptops to the single VGA port and switch between them. Press Fn F7 to send the laptop image out of the VGA port on the laptop.

6 Boardroom AV 6 Playing a VHS or DVD. Turn on the VHS/DVD player in the computer closet and load your tape or disc. Send VHS or DVD to the displays you want. Once you press Close Send the touchpanel will show the controls for the device you ve selected. Adjusting audio / playing video When you select a source, the Crestron wireless touchpanel will show on screen controls for that device. After you ve sent sources to displays and pressed Close Send, you ll come back to the control screen for that source.

7 Boardroom AV 7 Videoconferencing. Select Videoconference from the OC display on the touchpanel. Select Conference Normal as the source and send it to all 4 displays. The Polycom menu will appear on projector #1 allowing you to use the touch panel arrows to access the directory and connect to another site. Within the videoconference you can also select VCR/DVD, laptop or PC to send to the remote site instead of your cameras.

8 Boardroom AV 8 Turning off the system. Press Display Source To on the Crestron touchpanel. Change everything to No Send. Press Close Send. Press Display Power on the Crestron touch panel. Press System Off. At the are you certain prompt, press Yes. Press Close Power Control. Return the Crestron touchpanel to the side counter and plug it in to recharge. Return the wireless mouse to its cradle to recharge. Return the wireless keyboard to the side counter. Return any VGA, network or audio cables to the cabinet. Shut down the computer in the closet. Make sure the drop down option says Restart.

9 Boardroom AV 9 Using the conference phone. Power on the silver mouse beside the speaker. Dial the phone number on the standard black telephone. To disconnect: press (X) on the black phone. Press power off on the silver mouse.
