Chapter 1 Overview of AlphaQuiz SmartApplet System Introducing AlphaQuiz The AlphaQuiz system automates the administration of classroom quizzes, allowing you to design and store quizzes on a PC or Macintosh, administer the quizzes on a classroom set of AlphaSmart 3000s, and retrieve the results for automatic grading and reporting. Because teachers and students use different components of the system, AlphaQuiz operates on both a desktop computer and on AlphaSmart 3000s. The task of creating, administering, and managing quizzes goes as follows: Teacher creates quizzes using a desktop computer (PC or Macintosh), then downloads a selected quiz into students AlphaSmarts Students take the quiz Teacher uploads quiz responses to the desktop computer, then grades them and prints reports AlphaQuiz Software The software you ll use to write, give, grade, and manage tests is divided into three functions, as follows: QuizDesigner TM AlphaQuiz SmartApplet TM QuizManager TM Used to compose quizzes Quiz-taking program in students AlphaSmart 3000s Used to download quizzes, retrieve and grade responses, assign question points, compile statistics, and print reports. 1

AlphaQuiz Work Flow In general, you ll follow a logical series of tasks in order to create, administer, and grade quizzes. Once you re comfortable with AlphaQuiz, you can jump into the process at any point, but the list below summarizes the entire process from beginning to end. How to create, administer, and grade a quiz: 1. Use QuizDesigner on desktop computer to create and save a new quiz 2. Connect powered-on AlphaSmarts to AlphaHub (or connect one at a time to desktop computer via direct USB cable) 3. Use QuizManager on desktop computer to select desired quiz 4. Set quiz access password (if desired) 5. Send quiz to student AlphaSmarts 6. Students take quiz using their AlphaSmarts 7. When finished, students connect powered-on AlphaSmarts to AlphaHub (or to computer one at a time via direct USB cable) 8. Use QuizManager on desktop computer to retrieve student responses 9. Create a new response set document, or integrate student responses into an existing response set, and save the document 10. QuizManager automatically grades True/False, Multiple Choice, and Short Answer questions (Short Answer questions will not be auto-graded unless one or more correct answers are entered when the quiz is created) 11. Grade Essay questions and any other ungraded questions manually: onscreen, or using a printed Grading Sheet, available on the Reports option 12. Enter scores for manually-graded questions into QuizManager 13. Print Corrected Quiz reports; hand out to students 14. Print a Quiz Summary report for teacher records 15. Print a Statistics report for teacher records 16. Don t forget to save your response set document early and often 2 Chapter 1

AlphaQuiz Terminology The test-creation, test-administration, and test-management functions of AlphaQuiz software, as well as the AlphaSmart and desktop computer applications all have their own names. Sorting out this terminology will simplify the task of learning and using the software. Icons and Conventions Used in This Book Icons Icon What It Means You might want to think twice before doing this; proceed with caution You can find out more information by looking elsewhere Additional note or detailed information 4 Chapter 1 bold text Mac PC Screen shots Name of window, field, button, or keystroke AlphaQuiz was designed with very few differences between Macintosh and PC platforms. Where there are differences (such as keystrokes), the designation Mac or PC will show you which to use. Since Macintosh and PC screens are very similar, this book alternates screens throughout. Where there are platform differences, both screens are shown.

Creating Quizzes You can use AlphaQuiz to create a quiz in any subject. For example, you can design math quizzes with calculation or reasoning questions, science quizzes with multiple choice or short answer questions, and history and English quizzes with essay questions. Quizzes or tests can be short or long, simple or complex, written for any student who can use a keyboard from grade school to high school. You ll be able to reuse them for more than one class, revise them for future use, share them with other teachers, and edit them later or as you go along. You create quizzes at your desktop computer using QuizDesigner, part of the AlphaQuiz system. Quizzes are stored in your computer until you release them for student use. In the course of designing a quiz, you have the option of defining a password to maintain test-taking security within the classroom and from class to class. Applying Controls As you create quizzes, you may want to put restrictions on how your students use their AlphaSmarts during the quiz. QuizDesigner provides a number of ways to do this: You can prevent students from using the Calculator SmartApplet during a quiz You can prevent students from using AlphaWord s spell-checking function during a quiz You can require use of an access password and student passwords to maintain test security and make sure that only assigned students take the quiz Editing Questions QuizDesigner uses familiar word processing editing functions to help you edit questions as you compose (such as cut, copy, paste, undo, etc.). You can also open a saved quiz for editing. (See the caution note on page 21 about saving over existing quiz files.) In addition, you can export the text of any quiz (both questions and possible answers) into your desktop computer s word processing program for more elaborate editing, such as spell-checking and grammar-checking. Overview of AlphaQuiz SmartApplet System 5 Overview

Viewing Questions as Displayed on the AlphaSmart As you compose a test, QuizDesigner allows you to see exactly how your questions will look to your students as they view them on their AlphaSmarts (see the example on page 37.) This is useful for getting a sense of how questions flow and how your questions and possible answers will appear on the display. Administering, Grading, and Managing Quizzes QuizManager is the most sophisticated portion of the AlphaQuiz software. This is where you ll control the release of quizzes, and retrieve and track student responses. QuizManager makes the grading process speedy and automated. You can assign different point values to questions if desired. The program also allows you to compile statistics such as averages, means, most frequently missed questions, and score distributions. Sending Quizzes to the Students AlphaSmarts Because quizzes are composed and stored on your desktop computer, you ll need to send a quiz to your students AlphaSmarts before they can take it. This is a quick process using the AlphaHub, which allows you to connect up to 30 AlphaSmarts at once to your desktop computer. You may also connect to AlphaSmarts one at a time using a direct USB cable. When the AlphaSmarts are connected to your computer, the QuizManager Control window allows you to send quizzes to the AlphaSmarts, remove quizzes from them, retrieve or delete student answers, and turn off the AlphaSmarts. Administering Quizzes Once a quiz has been sent to your students AlphaSmarts, the students can use the AlphaQuiz SmartApplet to take the quiz. Students will select the correct quiz from a list of available quizzes, enter their names and the passwords and information you ve required, and proceed through the questions. True/False questions require students to type in a T or F. Multiple Choice questions require students to type in the letter corresponding to the correct answer. Short Answer questions allow students to type in a response of 18 characters or fewer. Essay questions allow students to write a prose response to the question. You will set a maximum allowable number of words. 6 Chapter 1

Printing and Saving Quizzes At the end of a quiz, students can print the quiz and their responses, or export them to a file in AlphaWord. Both of these options are controlled by teacher settings within the quiz. Retrieving Students Responses When students finish a quiz, they again connect their AlphaSmarts to the AlphaHub or direct USB cable, and their responses can be retrieved to the teacher s desktop computer. Once a class has finished taking the test, you can administer it to other classes, revise it, or archive it for future use. Viewing a Response Set The Student Response window in QuizManager lists your students by name and class for a given quiz, and shows each student s score and whether the student s responses have all been graded. Grading Quizzes QuizManager lets you grade tests quickly and accurately, and True/False, Multiple Choice, and Short Answer questions can all be graded automatically. The Grading window lists student names for a given quiz. You ll be able to view summary results for selected students, as well as the full text of each question, the correct answer (if one was entered when the quiz was created), question remarks, and student response. Using the Tab key to skip between data fields allows you to rapidly grade student responses, and a Comments field provides a space for your notes to the student regarding each question. Assigning Points If you want to change the number of points assigned to questions, QuizManager allows you to do so. The Question Points window lets you scroll through the text of all the questions on a selected quiz and enter points for each question. The program automatically converts that to percent of total points. Overview of AlphaQuiz SmartApplet System 7 Overview

Printing Reports One of the most powerful functions of AlphaQuiz is its ability to print reports and compile test information. In addition to printing corrected quizzes, you can find out the average, mean, and high and low scores. You can see how many times students missed a given question (very useful for critiquing your own tests). Report types include: Grading sheet (enables you to grade quizzes on hard copy) Corrected quiz report (lists questions, correct answers, and scores for handing back to students) Quiz summary report (lists student names and scores) Statistical report (shows averages, means, high-low scores, etc.) Exporting Quiz Scores QuizManager allows you to export quiz scores for use in a computer-based grade book application. You ll be able to create a text file containing one student name and quiz score on each line. If desired, QuizManager will match the names entered by your students to a roster of names exported from your grade book application. Technical and System Requirements The AlphaQuiz System has less stringent requirements to run the QuizDesigner application than to run QuizManager, which requires a computer with a USB port. This gives you the flexibility to design quizzes on a wider range of computers. To run QuizDesigner on your desktop computer, you will need the following: Mac OS or later, OR Windows 95, 98, 98se, Me, NT, or 2000 To run QuizManager on your desktop computer, you will need the following: Mac OS 8.6 or later, OR Windows 98, 98se, Me, or 2000 An available USB port 8 Chapter 1

Creating a Quiz The Quiz Questions window keeps track of questions as you create them. It numbers each question, shows the question type, and displays as much of the question text as possible. Quiz Questions Window The Quiz Capacity indicator bar at the bottom of the screen shows you how much space is left in the quiz. It reflects the type, number, and length of questions you compose. To create a new quiz: 1. Launch the QuizDesigner application. 2. The Quiz Options window will appear, with the Basic tab selected. Type in a name for the quiz; this is the quiz title that will be listed on your students AlphaSmarts, and is a required entry. If you do not enter a name for the quiz on the Quiz Options Basic tab, it will be listed on the AlphaQuiz quiz menu as Untitled. Be sure to give your quizzes names that will be meaningful to your students. 18 Chapter 2

Type in your name. To preserve the security of student answers, and prevent unauthorized removal of the quiz from AlphaSmarts, enter an administrative password of six characters or fewer. The administrative password, or admin password, also controls access to AlphaQuiz administrative functions on each individual AlphaSmart (see page 51), and can be used to override a student-created password for the quiz in the event the student must exit and re-enter the quiz, but forgets the password he has created; in this case, the teacher may use the admin password to complete the student s login to the quiz. In addition, the admin password will override the quiz access password to allow entry to the quiz. Finally, enter any notes or comments about the quiz. Click OK when you re finished. 26 Composing Questions Once you ve named a quiz, you can begin writing the quiz questions. Once you have composed and saved your questions, we will return to Quiz Options to explore the Advanced Options tab (page 29) and the Prompts tab (page 33). There is no fixed maximum number of questions, though there are limits to the overall size of each quiz determined by the number of questions, the length of question text, the length of answer text, and the maximum length setting for essay question responses. The Quiz Capacity indicator bar provides an indication of how much space remains for quiz questions. Each question has three main parts: Question text: use this field at the top of each question window to type in the text of your question Question-specific selections: use this mid-screen section to refine the parameters of your question Question Remarks: Question Remarks may include reminders, notes, or references about a question. You may want to enter the expected correct answer, acceptable alternate answers, or references to a text (scene and line of a play, for example). Your students will not see these remarks during the quiz, but they may be included on the Corrected Quiz reports. There are four types of questions, as follows: Types of Questions Question Type True/False Multiple Choice Short Answer Essay When to Use This Question Type Use this when you want to compose questions whose statements are unequivocally right or wrong. Use this when you want to compose questions with brief, defined possible answers, one or more of which is correct. Use this if you want students to answer with a brief word or phrase. This question type allows students a maximum of 18 characters in their answers. Use this when you want students to write a response of one or more paragraphs. 20 Chapter 2

There are four ways to add a question to a quiz: Use the Add Question button on the Quiz Questions window Select the appropriate Add... item from the Question pull-down menu Use the appropriate keyboard shortcut. Click the desired question type on the QuizDesigner toolbar (PC only) Saving Your Quiz You should handle a quiz document like any other computer document save your work at regular intervals. The first time you save a quiz document, you will be prompted to give the created file a name. This name, while it may be the same as the name you assigned on the Basic Options tab above, will not be seen by your students. It will be the name of the file of type.qzz in which the quiz questions and options are stored, and would be the name by which you refer to the quiz if you exchange quiz documents with other teachers. If a quiz is currently downloaded to one or more AlphaSmarts, you should not Save over the file containing that quiz until all student responses have been retrieved. If you need to modify a quiz that has been downloaded to the AlphaSmarts, be sure to use Save As to create a file with a new name. QuizDesigner will prompt you to do this. If you open a quiz document that you saved previously and make changes to it, when you try to save the document you will see the following warning displayed: Unless you are sure that this quiz is not in use on one or more AlphaSmarts, you should select Save As to create a new file containing your modified quiz document. 38 Controlling Student Password Requirements There are two types of student passwords that apply to a quiz. One prevents unauthorized students from opening a quiz; the second provides privacy for a student s responses. You control the application of these passwords from the Advanced tab of the Quiz Options window. Password Assignments Type Where It Appears Protection it Offers How to Require This Password Access password When student first opens a quiz Only those students with the password for that quiz can open it Check the box in Quiz Options labeled: Require students to enter quiz access password and type password entry Student password After student types in first and last name Prevents other students from seeing a student s quiz responses Check the box in Quiz Options labeled: Require students to create a student password for their quiz answers. Protecting the Integrity of a Quiz During certain quizzes, you may want to prevent your students from using other programs on the AlphaSmart. For example: You may want to lock out all other AlphaSmart programs until students complete a given quiz During a math quiz, you may not want your students to be able to use the Calculator SmartApplet During a spelling or essay-writing quiz, you may not want your students to be able to access AlphaWord s Spell Check feature You can set these limits by checking the appropriate boxes on the Advanced tab of the Quiz Options window. 32 Chapter 2

Modifying Quiz Prompts Marking a Quiz as Finished In order to provide the above options, AlphaQuiz SmartApplet must know when a quiz is in progress. This also provides a further tool to protect the test-taking procedure. If, when designing a quiz, you specify that the quiz must be marked finished, student answers cannot be changed after the quiz is completed. This is useful in the following instances: If time is up and students must turn in the quiz, but some students have left certain questions unanswered. Marking the quiz finished prevents these students from declaring later that their unanswered questions were unintentional. If a student hands in a quiz, leaves the classroom, and tries to re-enter the quiz later to fill in or change answers, marking a quiz as finished will prevent these changes. You can set this limit by checking the Require students to mark quiz as finished box in the Advanced window of the Quiz Options screen. AlphaQuiz provides the ability for you to customize the prompts that will be displayed for quiz questions. 1. Click the Prompts tab on the Quiz Options window. The Prompts window entries define the text your students will see as a prompt for each type of quiz question. Use the default entries (these can be restored by clicking the Defaults button) or customize. Quiz Options Window, Prompts Tab Creating Quizzes 33 QuizDesigner

The default entries are as follows: Prompts Default Entries Question Type Default Prompt How It Is Used True/False T or F Used to prompt students to type either T for True or F for false Note: Regardless of the text used in the prompt, only T or F will be accepted as responses Multiple Choice Short Answer Essay Select 1 Select all that apply Short Answer: Essay, press tab to answer: Used when there s only one right answer Used when there is more than one correct answer Used to cue students for fill in the blank -type questions (18 characters or fewer in answer) Used to cue students to tab to blank screen to type in paragraphs Text Length Limit 31 characters 21 characters 23 characters 13 characters 31 characters 2. Click OK when you re done. You can view the prompt for a question as it will appear on the AlphaSmart display by clicking Show AlphaSmart View on the Question pull-down menu. Spell-Checking a Quiz QuizDesigner does not have a built-in capability to spell check quizzes. Be sure your students AlphaSmarts are powered on before connecting them to the AlphaHub or USB cable. 43

Taking a Quiz This section explains the quiz-taking process from the student s point of view, so you will know exactly what your students will encounter as they progress through taking a quiz. This will help you design and compose effective quizzes, as well as help you guide your students through the quiz-taking process. Included on the AlphaQuiz CD is a PDF version of a handout that gives specific student-level instructions for taking quizzes using their AlphaSmart 3000s. The AlphaSmart User s Guide will answer any questions you may have about how to use the AlphaSmart 3000 Selecting the Correct Quiz Once you have downloaded the quiz to your students AlphaSmarts, their first task will be to select the desired quiz from the list of available quizzes. Make sure the desired AlphaSmarts are powered on and connected to your desktop computer via the AlphaHub or single direct USB cable. Turn the AlphaSmarts on BEFORE connecting them. 2. Click Send Quiz on the QuizManager control bar or the Communications pull-down menu. QuizManager Control Bar Communications Pull-Down Menu 3. Select the quiz you want to download, using the Select Quiz Document window. When you re searching your desktop computer directories for quizzes, remember that they will be file type.qzz. Be sure your file type field lists this file extension on the PC. Also, if you are sharing quiz files between Macintosh and PC systems, ensure that the file name ends in.qzz before sending it to the PC. 62 Chapter 4

4. Highlight the name of the quiz you want to download and click Open. Select Quiz Document Window 5. The Send Quiz window will appear, listing the name of the quiz, its author, how many questions are in the quiz, the date the quiz was last modified, and a quiz access password field. You can, at this point, either use the quiz access password listed or type in a new password. This is the password that all students will have to use in order to begin that quiz. You can also eliminate the requirement for the students to use an access password by leaving this field blank. Changing the quiz access password here will not change the password originally entered when the quiz was created. Each time you open that quiz, the original password will be present. You can change it before downloading as many times as you want. Send Quiz Window Grading Quizzes and Printing Reports 63 QuizManager

6. When you are satisfied with the password, click Send. You ll see a message telling you that the quiz is downloading. When the download has finished, you ll see a message saying that the quiz was sent successfully. Your students can now disconnect the AlphaSmarts, and open and take the quiz. Deleting Quizzes from Connected AlphaSmarts Because the AlphaSmart has space for only four different quizzes, you ll want to delete quizzes on a regular basis to make room for new ones. To delete old quizzes from AlphaSmarts: 1. Make sure the desired AlphaSmarts are connected to your desktop computer via the AlphaHub or single direct USB cable. 2. Click Delete Quiz on the QuizManager control bar or the Communications pull-down menu. QuizManager Control Bar 64 Chapter 4 Communications Pull-Down Menu Warning: Be sure you have retrieved student responses for a quiz before deleting that quiz from student AlphaSmarts. If you simply delete the quiz without having done so, the quiz AND its associated student responses will be deleted from the AlphaSmarts. Use the Retrieve Responses button on the QuizManager control bar to upload student responses to your computer.

3. Click on the name of the quiz you want to delete on the Delete Quiz window. A check will appear in the checkbox at the left. You can use the Select All or Deselect All buttons to speed up the process. Entries in the Responses/Retrieved column will show you how many students have taken that quiz (and marked it as finished if required), and how many of those responses have already been retrieved. Even though each AlphaSmart can hold only four different quizzes at a time, there may be different sets of quizzes loaded on some of the connected AlphaSmarts. Since Remove Quiz displays the names of all of the quizzes loaded on all of the AlphaSmarts, the list could be fairly long. 4. Enter the administrative password for the selected quiz if an empty text box appears next to its name. Delete Quiz Window 5. Repeat Steps 3 and 4 for any additional quizzes you want to remove. 6. Click OK. 7. A message will appear letting you know that the selected quiz or quizzes have been successfully deleted from your students AlphaSmarts. Grading Quizzes and Printing Reports 65 QuizManager

Retrieving Student Responses The Retrieve Responses function in QuizManager allows you to upload quiz responses from your students AlphaSmarts to your desktop computer for grading and printing quiz reports. If need be, you can retrieve quiz responses multiple times for the same quiz (this might occur if some students did not complete the quiz before the end of class). To retrieve student responses: 1. Make sure the desired AlphaSmarts are powered on and connected to your desktop computer via the AlphaHub or single direct USB cable. 2. Click Retrieve Responses on the QuizManager control bar or the Communications pull-down menu. QuizManager Control Bar 3. In the Select Quiz Document window, highlight the name of the quiz for which you want to retrieve answers. (QuizManager needs the information stored in the quiz document in order to identify, and organize the data from, the copy of the quiz that resides on the AlphaSmarts.) 66 Chapter 4 Select Quiz Document Window

4. Highlight the name of the quiz for which you re retrieving student responses and click Open. 5. The Retrieve Responses window will appear as shown below, containing the information described in the table that follows. Make sure a check mark appears next to the name of each student whose answers you want to retrieve. QuizManager automatically selects any responses that have not yet been retrieved. However, you may select or omit any responses you wish. To omit any student s responses, click on the checkbox to uncheck it. Or, click Select All to retrieve the responses of all students listed. 7. If desired, use the up and down arrows in the Date Quiz Was Administered field to select the correct date for that quiz. 68 Chapter 4

8. Click the desired radio button to Create a new document (if you ve never retrieved these quiz answers before or are starting over) or Merge into an existing document (if you ve previously retrieved and saved some students responses for this quiz). 9. Click OK. 10. Each student s name will be displayed as that student s responses are retrieved. 11. When retrieval is complete, the student responses window will open and you will be ready to grade the quiz and report on students results. See the section Grading Quizzes on page 74 for more information on the grading process. Deleting Students Responses Once you have retrieved and saved your students responses, you can use the Delete Responses function in QuizManager to clear students quiz responses from their AlphaSmarts. The quiz itself will remain in the AlphaSmarts. You can use this function to prepare for administering the quiz to another set of classes. To delete student responses: 1. Make sure the desired AlphaSmarts are powered on and connected to your desktop computer via the AlphaHub or single direct USB cable. 2. Click Delete Responses on the QuizManager control bar or the Communications pull-down menu. QuizManager Control Bar Grading Quizzes and Printing Reports 69 QuizManager

3. QuizManager will search for quizzes on the connected AlphaSmarts, then display the Delete Responses window. Delete Responses Window 4. Enter the Admin Password for any quiz that requires one for response deletion. 5. Click OK. 6. A message will appear saying that the selected responses were deleted. Turning On Power to AlphaSmarts If the connected AlphaSmarts have been powered off by either quitting QuizManager or clicking the Power Off button (see below), you can turn power back on to all of them at once. To turn on AlphaSmarts: 1. Click Power On AlphaSmarts on the QuizManager control bar. 2. The Power On button will become deactivated and the Power Off button will activate. This indicates that the AlphaSmarts are on. 70 Chapter 4

Turning Off Power to AlphaSmarts Connected AlphaSmarts are automatically turned off when you quit/exit QuizManager. You may also want to turn off power to the AlphaSmarts connected to your computer when QuizManager is running. To turn off AlphaSmarts: 1. Click Power Off AlphaSmarts on the QuizManager control bar. 2. The Power Off and Power On buttons will change appearance and all connected AlphaSmarts will turn off. Assigning Question Points QuizManager gives you the option of assigning points (or weights) to individual questions. The default point assignment for each question created in QuizDesigner is 1 point. You can use these point assignments in two ways: Use the default of 1 point per question when grading quizzes, adjusting point values after grading only as necessary for fairness (if, for example, you notice that one question is overly difficult for your students, and you wish to reduce its value in the quiz). Assign point values before grading the quiz. You must retrieve student responses to your desktop computer BEFORE assigning points. The assigning points function is only available when working on a student response document. Grading Quizzes and Printing Reports 71 QuizManager

To assign points: 1. Either Retrieve Responses or click Open on the File menu to open a quiz response document. 2. The Student Response window will appear, with a listing of responses for that quiz. Student Response Window 3. Click Points at the bottom of the window. 72 Chapter 4

4. The Question Points window will appear, listing questions for that quiz in numerical order, along with active Points fields and percentages showing how much each question is worth in context of the whole quiz.
