The software consists of software options that are separately licensed. 4 Chapter 1 Before You Begin BEFORE YOU BEGIN This document is your guide to completing a software conversion (also referred to as an upgrade ) on your Eagle SSE system. If you are new to the software conversion process, or haven t done one in a while and want to refresh your knowledge, read this entire guide about a week or so before you plan to convert. Then you will be well prepared and on your way to a successful software upgrade. If you are already familiar with the software conversion process, then read chapter 2 Key New Features, about a week or so before you plan to convert. Then start with chapter 3 Pre-Steps, when you are ready to start the conversion process. Overview The following table provides an overview of each chapter in the guide. Chapter Contents 1 Before You Begin Provides an overview of the process, definition of key terms, and additional resources for information and help. 2 Key New Features This chapter alerts you to any software features that may impact your business process as soon as the conversion is complete. Always, at least a few days before you convert, read this chapter. 3 Pre-Steps Prior to the software conversion process, you need to complete some pre-step procedures. This chapter explains the things you can do anytime in the week before you convert, such as preview the What s New document and verify that you have the needed materials. This chapter also includes the pre-step procedures that you ll complete just before you install the new software (running Shutdown, backup, and the EOD reports). 4 Server Install The step-by-step procedures for installing the server software. 5 Client Install The step-by-step procedures for installing the client software. 6- Post-Steps The steps to follow after the software conversion is complete, including the following: Install the Training Browser CD Check the applications Review the What s New information A Patch Install B Questions You May Have If you received a patch diskette, Appendix A explains how to install it. 5 Additional Resources Chapter 1 Before You Begin A variety of resources are available to assist you before, during, and after the conversion process: Eagle Advice Line If you have any questions about the conversion process or are missing any materials, contact the Eagle Advice Line at 1(800) What s New information The What s New document describes all the new features and enhancements that you ll find in the new software release. What s New is an online help topic that you can display after you install the new software. Or, you can preview the What s New document before you install the software. See Chapter 3 Pre-Steps for more information. Online Help With each new software release, the online help topics are updated with information about the new features and enhancements. Access the online help as you usually do from the Eagle Browser, or any Eagle application window, click the Help button. Training Browser The Training Browser is your entry into an amazing amount of materials that can help you learn more about your Eagle system. The Training Browser is available from the Eagle Browser window. A new Training Browser CD is sometimes shipped with new Eagle software. See Chapter 6 Post-Steps for the install procedures. A web version of the Training Browser is also available, so you can access the Training Browser from any PC that has Internet access. From the Activant home page ( select Eagle from the Customer Login box. From the Quick Links list, select Eagle Training Browser. 2

6 Chapter 3 Pre-Steps THINGS YOU NEED TO KNOW NOW Your new Eagle software level contains many new features and enhancements. This chapter alerts you to any new features that may affect the way you currently run your business with your Eagle system. Do not convert to the new Eagle software level until you review this chapter carefully. This chapter does not provide a complete list of all the features and enhancements you ll find on this software level, just the key features that you need to be aware of before you convert. Offline POS not available if you re converting from a level lower than 28. When installing Release 17 (server Level 29), if your system is currently on an Eagle Server level BELOW level 28, you will not be able to run Activant Eagle Offline POS for Windows during the conversion. If this applies to you, we recommend that you do the conversion at the close of your business day, after you back up your system and print end-of-day reports. New Warning in Online POS When Offline POS Data is More Than a Day Old. You will now be warned in regular (online) POS when offline POS data is more than a day old. The new option 5024 Warn user if Offline POS data is more than this many days old controls this warning, by terminal, in both online and offline POS. This option defaults to 1 (1 day), but you can change this option to a different number of days. If you have any POS stations which are used for online POS but are no longer used for Offline POS, yet they still have an old offline POS database, set this option to 99 for those terminals. Entering 99 tells the system to NOT give the warning at all, no matter how old the offline data is. If you have POS stations which are refreshed with new offline files on a schedule other than daily, set this option appropriately for those stations. For example, if a given set of terminals are set up to receive an offline refresh every other day, set this option to 2 for those terminals. Important New or Modified Security Bits. Bit 818 Display/Enter Social Security # and Birth Date in Customer Maintenance. Due to the highly sensitive nature of this data, Activant strongly recommends that you use extreme discretion in assigning this security bit. This new bit allows a user to display/enter the customer s Social Security Number and Birth Date in Customer Maintenance. This bit also controls whether or not the Social Security Number and Birth Date columns in the Customer Viewer display data. If you set this bit to Yes for any users, you must also set bit 135 Ability to use the <Change> key to Yes. 3

7 Chapter 3 Pre-Steps PRE-STEPS Before you can convert to the new level of software, there are some pre-steps that you must complete. This chapter explains the pre-step procedures. The pre-steps are grouped into two categories: Anytime before There are pre-steps that you can do anytime before you install the software. Sometime during the days leading up to the time you plan to install the software. These pre-steps include: terminology review, preview the What s New, schedule the conversion, purge purchase history, verify the materials list, and check your current software level. Just before These are the pre-steps that you must complete just before the time you will be installing the software. These pre-steps include: run Shutdown with Backup, and check the EOD reports. Pre-Steps: Anytime Before Terminology Understand the terminology. Various terms are used during the conversion process. Review the following so that you understand the terms when they are referenced in a procedure step. Server PC This is normally your backoffice PC, the PC on which the VMware software program is installed. You may also hear this PC referred to as the Network Master PC. Client PCs These are the other PCs, in addition to the Server PC, on which you run Eagle for Windows applications. VMware icon This is the icon on your desktop that you click to open the VMware window. The VMware window can be active or not active. When the VMware window is active, you can navigate within the window and when you type on your keyboard it is reflected in that window. Also, when the VMware window is active, other areas of your PC desktop are not available, such as the Start button and task bar. Use your mouse to click anywhere inside the window to make it active. An easy way to tell that the window is not active, look for this message at the bottom of the window: If the tools not installed message displays, then the window is not active. If you need the window to be active, click anywhere inside that window, the message will no longer display and the window will then be active. Server software CD This is the CD with the Eagle programs. The title on the CD is similar to this: Activant Eagle Server Eagle OS Release 17 Server Version 29. Client software CD This is the CD with the Eagle for Windows programs. The title on the CD is similar to this: Activant Eagle for Windows Client Applications. Training Browser CD This is the CD with the latest release of the Eagle Training Browser. 4

8 What s New Chapter 3 Pre-Steps Preview the What s New information. For complete information about all the new Eagle software features, refer to the What s New information. To preview the What s New information prior to the conversion, go to the Activant web site ( From the Customers Login list, select Eagle. From the Activant Eagle Customer page, select What s New from the list of Quick Links. This information will also be available after you convert to your new Eagle software level, as one of the online help topics. To access the information, select Help from the Eagle Browser (or any Eagle applications window). Open the What s New book, then open the What s New book for the level you are converting to. When to Convert Decide when to convert. Most customers choose to do the conversion either first thing in the morning or after you back up your system and print end-of-day reports at the close of your business day. Most software conversions take from one to two hours. However, converting to Release 17 (server Level 29) could take several hours longer, depending on the speed of your system. You may want to consider doing your conversion during the week, when Activant Solutions Inc. has longer support hours to assist you with any questions or problems. You should run the conversion: after the system runs the end-of-day reports when the system is quiet this means that the system is not being used for any other processing, including Eagle applications and other Windows programs. when you have enough time. The conversion time is in addition to the time it normally takes you to run shutdown, backup, and your end-of-day reports. if you are converting to your new Eagle software level before the store opens in the morning and the system is still quiet (you have not used it for any processing since Shutdown completed), you do not have to load your EOD queues and run shutdown again Materials List Verify that you have the required materials. In the software upgrade package you received from Activant, you should have the following: Eagle Server Software CD this is the new software that you will be installing on the server Eagle for Windows update CD this is the new software that you will be installing on the clients Optional materials the software package you received may also include a new Training Browser CD and/or a Patch diskette. These materials are not always included with a software upgrade package. Install instructions are provided in this document, in case those materials were included. Materials that you already have at your store: Current software CDs you need these in case a problem arises and you have to restore your system to this level of software. The next section describes how to determine your current software level. Most recent backup CD this is important! You must have a successful backup before you start the conversion. This ensures that you have the most recent data available in case you must restore data. Be sure to keep the backup CD for 30 days. If you don t have all of the materials, contact the Eagle Advice Line at 1(800)

9 Current Software Level Verify your current software level. Complete the following steps: Chapter 3 Pre-Steps 1. In Network Access, at the Function prompt, type PCO and press <Enter>. The Show PCO Level screen displays. 2. Check the software level in the Programs field near the top of the screen. This is the level currently installed on your system. Locate the install CDs for this software level and have those available before you begin the Server install procedure. If you can not locate the CDs, contact the Eagle Advice Line at 1(800) Press <End> to exit the screen. Pre-Steps: Just Before Shutdown with Backup This procedure backs up your data and prints the end-of-day reports. Prior to converting to your new Eagle software level, you must run a backup. This ensures that you have the most recent data available in case you have to restore the data. Be sure to keep this backup for 30 days. If you are converting to your new Eagle software level in the morning, you can use the backup from last night, as long as you have not entered any transactions or changed any data on your system since the backup was completed. If this is the case, then skip the rest of this chapter and go to the next chapter, Chapter 4 Client Install. To run Shutdown with Backup, do the following: 1. On all PCs that run Eagle for Windows, close any Eagle for Windows application windows, EXCEPT the Listener program, which must remain running to print the end-of-day reports. 2. At the Server PC, open a Network Access window and get to the Function prompt. You can click the icon on the desktop to do this (or click Start > All Programs > Eagle > Network Access). At the Function prompt, type SHUTDOWN and press <Enter>. Follow the prompts to ensure that you have the correct Backup CD in the drive, and that all expected daily queues are loaded. Press <Run> to proceed to the next screen. Answer Y to both questions in the box. The system then backs up your data and starts the EOD reports. 3. Once the backup is complete, remove the CD. Label this backup Data Before Conversion and date it. Store the CD in a safe place for 30 days. 4. At the Function prompt, type MBC and press <Enter>. Verify that the backup was successful. 6

10 End-of-Day (EOD) Reports Chapter 3 Pre-Steps Once the backup is complete, SHUTDOWN starts your EOD reports. Do not convert to your new Eagle software level until all reports have run. Complete the following steps to check the status of the EOD reports. 1. From the Eagle Browser, in the Launch bar, type QUE and press <Enter>. 2. The Report Queue Maintenance window displays, listing any active reports. Click Refresh. If the message Nothing To Display displays in window, then the EOD reports are done processing. Continue with the next step. If any reports display in the window, then wait for those reports to finish processing before you continue with the next step. You can click the Refresh button periodically to update the report status. 3. Pre-Steps are complete. Now you are ready to begin the Server install. For instructions on that process, continue with the next chapter. 7

11 Chapter 4 Server Install SERVER INSTALL You ve completed the pre-step procedures (see the previous chapter). Now you are ready to install software on the Activant Eagle server. Once the server software is installed, you will run another backup (just backup, not the EOD reports). If you received a patch diskette, you ll install that before you run backup. Install New Eagle Server Software 1. Close all programs (except VMware) and disable virus protection software to prevent installation conflicts. 2. At the Server PC, place the Eagle Server CD in the CD drive. 3. Open the VMware window on your desktop. Click anywhere in the blank window to display the Welcome to the Activant EAGLE System login screen. 4. At the Login prompt, type powerdown and press <Enter>. 5. When the message, Once started, a powerdown cannot be halted. Do you wish to start a powerdown? displays, type y and press <Enter>. As the Eagle system processes the powerdown, the window displays various stopping and shutting messages. The following graphic is an example: 8

12 Chapter 4 Server Install In a few minutes, a screen message indicates that the Eagle system is now powered off: 6. Close the VMware window. 7. From your desktop, double-click the AEagleVM icon. In a few minutes, when prompted to press <Enter> to continue, first click in the window to activate your cursor, and then press <Enter>. 8. When prompted, answer the questions about time zone and daylight savings. For example: If today is September 24, 2007, 6:30 p.m. in California, type 7 (from the list on the screen) at the time zone prompt and press <Enter>. Type Y if daylight savings is ever in effect in your area and press <Enter>. If not, type N and press <Enter>. 9. Enter your response to the message, Press <ENTER> to retain current date and time or C to change. If the date and time displayed on the screen are correct, press <Enter>. If they are not correct, type C and press <Enter>. Then follow the prompts on the screen to correct. 9

13 Chapter 4 Server Install 10. The Installation Menu displays. Type 1 (Newsoft) and press <Enter>. 11. When the warning displays about Newsoft overwriting programs, type a Y and press <Enter>. The Newsoft process begins. A message displays, indicating that this process may take a while. 10

14 Chapter 4 Server Install 12. The Newsoft process begins, the screen changes, various messages display about Installing Packages. The following graphic is an example: 13. In about 20 minutes or so, the CD will eject automatically. Remove the CD and click OK. VMware restarts automatically. The restart process takes a few minutes. 14. When the login screen displays, type newsoft (all lower case letters) and press <Enter>. 11

15 Chapter 4 Server Install 15. When prompted, press <Enter> to select Newsoft. 16. When the Newsoft process completes successfully, the system reboots automatically, and the login screen displays. You are done installing the server software. Install Patches If you received a diskette containing one or more software patches, go to Appendix A in this document. There you will find the procedure steps to install the patch diskette. After doing that, return to this page and continue with the next section. If you did not receive a patch diskette, continue with the next section to run a Backup. Backup Back up your data now that the system is converted to the new software level. Use your next scheduled backup CD. Create a backup without running Shutdown. To back up your data, do the following: 1. At the Server PC, open a Network Access window and get to the Function prompt. You can click the icon on the desktop to do this (or click Start > All Programs > Eagle > Network Access). At the Function prompt, type BACKUP and press <Enter>. 2. Follow the prompts on the screen. 3. When backup completes, remove the CD. Label this backup set Data After Conversion and date it. You have successfully converted your Eagle server to your new Eagle software level. Continue with the next chapter to install the client software. 12

16 Chapter 5 Client Install CLIENT INSTALL You ve completed the server install, now you will do the client install. Follow the procedure steps in this chapter to do that. 1. At the Login prompt, type powerdown and press <Enter>. 2. When the message, Once started, a powerdown cannot be halted. Do you wish to start a powerdown? displays, type y and press <Enter> As the Eagle system processes the powerdown, the window displays various stopping and shutting messages. In a few minutes, a screen message indicates that the Eagle system is now powered off. 3. Close the VMware window. 4. On all PCs running Eagle for Windows, close all programs and disable virus protection software to prevent installation conflicts. 5. Insert the Activant Eagle for Windows Applications CD into the back office PC s CD-ROM drive. 6. If the contents of the CD-ROM drive do not automatically display, double-click the My Computer icon, then double-click the CD-ROM drive icon. 7. Double-click the icon for the netsetup.exe file. The icon looks like a colored house. 13

17 Chapter 5 Client Install Note If your system is set up to hide extensions for known file types, the icon may simply display as netsetup. To show the file extension, click Tools and chose Folder Options, click on the View tab and uncheck the check box in front of Hide extensions for known file types. After the client install is complete, you can check the box again to hide extensions if you prefer it that way. 8. Follow the instructions on the screen. Keep clicking Next until the Installing dialog displays. The messages in this dialog change during the install process and the status bar indicates the percent complete. The following graphic is an example: 9. When the following dialog displays, the installation is complete. Make sure a check mark displays in the check box and then click Finish. 10. The Network Installation screen displays. Follow the prompts on the screen, clicking Next. 11. If you accepted the default earlier in the installation, the PC will automatically reboot after installation. The VMware window opens and the Login screen displays. 14

18 Chapter 5 Client Install 12. When asked if you want this to be a workstation, answer Yes. If you haven t done so already, remove the Client Install CD from the drive. 13. Now you have to update your other PCs. Go to one of the other PCs that you use to run Eagle for Windows applications. Open the Eagle Browser. A message displays, telling you to upgrade your Eagle for Windows programs. 14. Click Yes, and then follow the prompts to update the PC. 15. If you have another client PC, repeat steps 13 and 14 at that PC. 15

19 Chapter 6 Post-Steps POST-STEPS You are almost done with the conversion process. The Server install and the Client install are finished. Next there are a few Post-Steps to complete. This chapter provides the steps for those procedures. Updating Views The first PC on which you install new Eagle for Windows software, you will receive a prompt to update views. A view is a saved setting, which displays selected information in a grid. This process does not modify views you have previously customized and saved. Do the following to update views: 1. Click Yes when asked if you want to update views. 2. Click Update Views. 3. After a few minutes, when the status bar turns green to indicate that the views are done updating, click Close. Open the Eagle Browser Now you ll do a quick check of the Eagle applications by opening the Eagle Browser. 1. At any PC, double-click the Eagle Browser icon. The Eagle Browser window opens. 2. Click Inventory and then click Product Information to open the Inventory Maintenance window. Click Next a few times to scroll through a few item records. Then close the Inventory Maintenance window. 3. From the Eagle Browser, click Accounts Receivable and then click Customers to open the Customer Maintenance window. Click Next a few times to scroll through a few customer records. Then close the Customer Maintenance window. Checking the Printers Once you ve finished installing Eagle for Windows, follow the steps below to check the printers. 1. Check printer #1 for printouts and follow the instructions, if any. 2. Test the printer by sending a short report to the printer. From the Eagle Browser, type RTM in the Launch bar and press Enter. Set the report for printer #1, leave the From/To page blank, run the report. If the report prints, the printer check is complete. If the report doesn t print, continue with the next step. 3. If the report doesn t print, check the following: Make sure the printer has power. Look at the status panel to check that the usual indicator lights are on. Check for any indications that there is an error condition (paper out, etc.). Check the report queue for any reports that are waiting to print. In the Launch bar, type QUE and press <Enter>. Are any reports are in the queue? Evaluate those and delete them if possible. 16

20 Updating Offline POS Files Chapter 6 Post-Steps During the software install, the offline POS files on the Server are converted to the new software level. Now the Client PCs that run POS need to be refreshed with the updated offline POS files. The following procedure steps explain this process. The Scheduler program is used to refresh the files used by Offline POS. The program is set up to do this automatically on a regular basis. It is only after a software update that you need to run the process manually. Complete the process on each PC that runs POS and therefore may need to run offline POS. 1. After loading new Eagle server software, the system automatically runs COR (Create Offline Refresh). Verify that the COR has completed by doing the following: At any PC, from the Eagle Browser, click System Management > Report Management > Report Queues. In the Report Queue Maintenance window, look in the Report Name column. If COR is not listed, click Close to exit the window. If COR is listed, as in the example below, you must wait for it to finish before continuing. Click Refresh periodically to refresh the screen. When COR no longer displays, continue with the next step. 2. Click the Scheduler icon on the taskbar of a PC that normally runs POS. If Scheduler is not on your taskbar, then from the PC s desktop, click Start > Programs > Eagle Utilities > Scheduler. Then click the Scheduler icon in the taskbar. 3. In the Scheduler dialog, Click Scheduler. 17

21 Chapter 6 Post-Steps 4. Click to highlight the line that says Full Update-Offline POS Data, then click Run Now at the bottom of the window. Once the offline update to the PC is complete (in about 15 minutes), that PC is once again available for POS (both regular POS, and offline POS). 5. Repeat steps 2 through 4 on any other PCs that normally run POS. 6. IMPORTANT!! If the schedules in the top of the window are disabled, as in the following example, then your system has not been set up to automatically refresh the offline files. If this is the case, you should set up the system to do this. Refer to the online help topics in the Offline POS book for more information. 18

22 Install Training Browser CD Chapter 6 Post-Steps If you received a new Training Browser CD, install it after you have finished converting to the new software. The Training Browser contains a wealth of reference and learning materials that you can use in your business. You only install the CD once, at the Server PC, then all PCs can open the Training Browser. 1. At the Server PC, insert the Training Browser CD into the drive. 2. Click the Setup.EXE icon. 3. Indicate whether you want to install the Training Browser to your PC s hard drive, or run it from the CD-ROM, and then click NEXT. (Activant recommends you install it to your hard drive.) 4. To begin using the Training Browser, restart the Eagle Browser and select the Training link. Review the What s New The software conversion process is now complete! At any time (today, tomorrow, in the next few days, or weeks) you can find out What s New for this release. For complete information about all the new Eagle software features, refer to the What s New information. This online information is available after you convert to your new Eagle software level. To access the information, select Help from the Eagle Browser (or any Eagle applications window). Open the What s New book, then open the What s New book for the level you are converting to. The What s New information is also available online at From the Customers Login list, select Eagle. From the Activant Eagle Customer page, select What s New from the list of Quick Links. 19

23 Appendix A Software Patch Install APPENDIX A SOFTWARE PATCH INSTALL Occasionally you will receive a software patch along with your new Activant Eagle software. Patches are sent to you on a 3½" floppy disk and must be installed on your Eagle system after you ve finished installing the new software (in the previous chapter). If you received a patch with your new software, and you are not set up to automatically receive software patches, then use the following procedure to install it. This chapter also explains how to set up your system to automatically receive future software patches, so that you can skip this chapter when performing subsequent software installations. Installing Software Patches Complete the following to install a software patch from a diskette. If your system is set up to automatically receive software updates, you do not have to install the patch from the floppy. See the next section to enable automatic setup or to check if it is already enabled. 1. Insert the Patch diskette into your Eagle Server floppy drive. 2. In Network Access at the Function prompt, type OSPREY and press <Enter>, then type AVATAR and press <Enter>. 3. At Selection, type PATCH and press <Enter>. 4. At Action, type L. The word Load displays. 5. At Patch Files, press <Enter> to leave it blank. 6. At Load Device, type F. The word Floppy displays. 7. At Delete Patch Files, press <Enter> to accept the default of No. 8. At Action, type E, and press <Enter>. The system will read the diskette and install the patch. 9. A screen will display, indicating the requested patch action has taken place. Press <End>. 10. At Selection, type PATCH again, and press <Enter>. 11. At Action, type I. The word Install displays. 12. At Patch Files, press <Enter> to leave it blank. 13. At Load Device, press <Enter> to accept the default of None. 14. At Delete Patch Files, press <Enter> to accept the default of No. 15. At Action, type E, and press <Enter>. 16. A screen will display, indicating the requested patch action has taken place. Press <Esc> in the upper left corner of the keyboard. 17. Remove the diskette from the floppy drive. 18. To verify the patch was installed, type PCO, and press <Enter> from the Function prompt. On the bottom half of the screen, you ll see SOFTWARE PATCHES. Look for the patch number you just installed (you may need to press <Next> to view subsequent pages of patches). 20

24 Appendix A Software Patch Install Set Up to Automatically Receive Software Patches You can set up your system to automatically receive software patches as they become available. Then you don t have to install them from the diskette when you do a software conversion. You only need to complete the following procedure one time. Once the set up is complete, you will automatically receive software patches as soon as they are released. 1. From the Eagle Browser, type SEQ in the Launch bar and press <Enter>. 2. Look to see if a queue called TRIT or TRIDMT is listed. If there are more than 15 report queues showing on the screen, use the down arrow key to view the rest. TRIT or TRIDMT is often near the bottom of the list. If it is not listed at all, proceed to step 4. If you find TRIT or TRIDMT in the list, continue with step Look at the setting in the Enable column. If the flag is set to N, for TRIT or TRIDMT, click the N. Type a Y over the N and click Change. The queue is now enabled. Next, you ll check MTC. If the flag is Y for either TRIT or TRIDMT, the queue is enabled. Next, you ll check MTC. Next, you need to verify that your customer number is set up in MTC. From the Eagle Browser, type MTC and press Enter. Display the TRIDMT control stream. Check that the first line that starts with SIG (usually the 4 th or 5 th line) has your 6-digit Activant customer number following the word SIGNON. If the customer number is not there, type over what is there (for example it may say "eagle") with your customer number and click Change. The setup process is now complete. As patches become available, your system will automatically receive the software patch. 4. If report queue TRIT or TRIDMT is not found in SEQ, use SETMD to build the queue. In Network Access at the Function prompt, type SETMD and press <Enter>. Fill in the fields as follows: Schedule Type set this field to T Check for Software Updates Xmission Type don t change this field, leave the default entry A for Async Time set this field to 11:00 AM Type of Phone don t change this field, leave the default entry T for Touch Tone Day of Week set the Every Day field to Y Click Add to save your work and create the queue. Now, repeat steps 1 through 3 to enable the queue and enter your customer number in MTC. 21

25 Appendix B Questions You May Have APPENDIX B QUESTIONS YOU MAY HAVE If you are new to the software conversion process, you might find it helpful to review the questions and answers in this section before you complete the conversion. If you need additional information or have questions, call the Eagle Advice Line at 1(800) Will my current business procedures change after I convert? Possibly. Converting to your new Eagle software level may affect the way you currently run your business with your Eagle system. Before you convert to your new Eagle software level, review the Important New Features section of this chapter. You may need to complete some important steps before you begin the conversion. You can read about all the new features and enhancements in the What s New online information. How do I receive my What s New information? For complete information about all the new Eagle software features, refer to the What s New information. This online information is available after you convert to your new Eagle software level. To access the information, select Help from the Eagle Browser (or any Eagle applications window).open the What s New book, then open the What s New book for the level you are converting to. Or, if you want to preview the What s New information prior to the conversion, it is available at From the Customers Login list, select Eagle. From the Activant Eagle Customer page, select What s New from the list of Quick Links Can I use the backup CDs, used immediately before and after the conversion, for regular backups? You should save the pre-conversion backup CD for 30 days. However, you do not need to save the post-conversion backup CD. I m converting to the new Eagle software level before I open in the morning. Do I have to run another backup prior to the conversion? No, as long as the system is still quiet (you have not used it for any processing since shutdown completed) and you checked Function MBC (from a Network Access window) to confirm that the backup was successful. Run a backup (not Shutdown) immediately following a successful conversion so that you have a backup of your data on your new Eagle software level. Keep in mind that Automated End-of-Day will not run Shutdown more than once a day; therefore, your system will not automatically run Shutdown tonight if you manually run it earlier in the day. Automated End-of-Day, however, will return to normal the following day. You may run another manual backup in the evening and not affect tomorrow s Automated End-of- Day. To manually perform a backup, type BACKUP at the Function prompt (in a Network Access window) and press <Enter>. Follow the prompts on the screen. Only perform a backup when the system is quiet and has no other activity, such as POS, occurring. Do I keep the new Eagle software level software CD-ROMs? Yes. This is your copy of the new software. Store the CDs in a safe place at your store. Make sure all key personnel who operate the system know where the CDs are kept. They may be needed in the future should software need to be reinstalled on your system. The CDs are 22

26 Appendix B Questions You May Have important to the ongoing support of your Eagle system. Activant Solutions Inc. recommends you do not take them home. I have some old software CDs. What should I do with them? Keep them separate from your new software CDs. Give them to your Local Platform Specialist the next time that he or she is in your store. This prevents someone from reinstalling old software on your system. If I start the conversion and then leave for the evening, will the conversion finish on its own? No! There are several steps during the conversion that require you to type or confirm information for the conversion to continue. Once the conversion is complete, it is also necessary to make a backup of your system. You should not leave the conversion running unattended. I have Automated End-of-Day (Auto EOD or Autopilot) and will be manually running Shutdown with backup early, just after I close my store to run the conversion. However, my Automated End-of-Day is scheduled to run later in the evening. What should I do? You do not need to do anything. If you run Shutdown with backup more than once on the same day, the system will only process the automated queues and run backup once. In addition, Automated End-of-Day cannot occur during the conversion process. The Automated End-of-Day will then resume normal operation the following day. Can I run a few transactions at POS after Shutdown and the EOD reports are done, but before I start the conversion? No! Do not start POS or process any transactions at point-of-sale after Shutdown/EOD completes. After the conversion is done, then POS will be available again. Are there any tips that will help me make the conversion a success? Here are a few things to keep in mind as you complete the process: Follow this guide and complete each step of the conversion process in the order presented. Type slowly and carefully. Verify what you type before you press <Enter>. Do not press <Backspace> to delete an incorrect character or entry. Instead, press <Enter> and retype the information when prompted again. There may be a delay as the system processes the information that you enter. Be sure to wait for the prompt. Do not type any information or press any keys until you are prompted. If you get an error message while completing the conversion, write it down and call the Eagle Advice Line at 1(800)
