4 Getting Started What is GiftGuide? GiftGuide is set of web pages and online interactive tools designed to expand and enhance the planned giving section of an organization's web site. GiftGuide includes descriptions of the common planned gift vehicles and non-cash gift assets, GiftStory multi-media presentations, the GiftCalcs online calculator, and an interactive Q&A feature that guides a visitor toward the gift plan that best matches his or her preferences. What is GiftStory? GiftStory is a selection of computer-based slideshow presentations on common gift planning situations designed to educate and motivate prospects. Each presentation can be customized by you with organization and prospect information. Presentations that discuss a single gift vehicle also include a personal illustration based on prospect-specific data. GiftStory comes in two implementations. Staff-facing There is a staff-facing implementation that is designed to be run by the gift planner and which includes a variety of ways for a planner to show or send presentations to his or her prospects. Web There also is a web implementation that is designed to be placed on an organization's web site. This implementation can be made available to site visitors who are interested in learning more about gift planning opportunities. The web implementation has a simplified interface. It allows the visitor to run presentations for himself or herself, but does not allow the visitor to send presentations to others. What is GiftCalcs? GiftCalcs is an online planned gift deduction calculator. It can compute deductions for all common planned gift vehicles, as well as the taxation profile of gift annuity payments. GiftCalcs is designed to make it easy for visitors to an organization's web site to run planned gift calculations for themselves based on information of their own choosing. GiftGuide/GiftStory/GiftCalcs run best on high-speed internet connection GiftGuide, GiftStory, and GiftCalcs are web-based applications that reside at PG Calc. You must have an active internet connection to run any of them. We strongly recommend that you have a high-speed internet connection, such as DSL, cable, or a T1 line, when running these applications. Note: Though you need an internet connection to create GiftStory presentations, you can use GiftStory's download and print features to run or deliver completed GiftStory presentations without an internet connection. How to set up your copy of GiftGuide/GiftStory/GiftCalcs It is very important that your copy of GiftGuide, GiftStory, or GiftCalcs be set up the way you want it before you make it available to your web site visitors or use it yourself. Set up is essential in order to ensure that presentations: match your organization s gift acceptance policies reflect your organization s branding You will only need to revisit these settings occasionally once you have set them up initially. 5 There are many ways you can customize your PG Calc software in our Client Center. Selections you make in the Client Center will determine: which GiftCalcs gift types, GiftStory presentations, and GiftGuide descriptions are available the organization information and officer information that can appear in your presentations limitations on what data can be entered for the calculations included in your presentations font size, screen colors, and other appearance settings. Some of the settings chosen will apply to GiftGuide, GiftStory, and GiftCalcs, while others will apply to a subset of these products. To customize your copy of GiftGuide/GiftStory/GiftCalcs: 1. Open the Client Center login screen by going to 2. Enter a valid login ID and password. Choose all the settings you want applied to your copy of GiftGuide, GiftStory, or GiftCalcs. 3. You can confirm that you have chosen your settings properly by running any of your PG Calc online applications from within the Client Center. Click the Run GiftGuide, Run GiftStory, or Run Calculator button in the navigation bar on the left of your screen, as appropriate. Click Refresh on your browser toolbar to apply your selections. If you still don t see your changes, exit and login again. How to create a GiftStory presentation To gain access to GiftStory: 1. If you have a GiftStory shortcut on your desktop, double-click it. If not, open the GiftStory login screen by going to TIP! You can save this link in your browser's Favorites menu for convenient access to GiftStory. If you don't have a GiftStory shortcut on your desktop and would like one, run the installation file that came with your GiftStory setup or contact support@pgcalc.com for instructions. If starting from the Client Center, click the Run GiftStory button on the left navigation bar to run the staff-facing implementation or click the Web GiftStory button to run the web implementation. 2. Enter a valid login ID and password. 3. Fill in the Select Your Presentation window. Choose the presentation you wish to create. Select organization name and officer name to appear in the presentation. Staff-facing implementation only: Enter name of donor for whom you are creating the presentation. 4. Fill in the Calculations window (some presentations skip this step). Enter all of the data on which calculations that appear in the presentation will be based. At this point, the web implementation of GiftStory will produce the selected presentation on screen. The staff-facing implementation requires the additional step below. 7 GiftGuide/GiftStory/GiftCalcs Setup Taking the time to set up your software correctly will save you time later. Your software is for use both by staff and by visitors to your web site, so keep donors in mind when selecting your settings. My Account Settings Destination of Reports Enter the address of the person to whom you want calculation notifications sent. In the case of GiftStory, these notifications are sent only for the GiftStory presentations that include personalized calculations, such as Meet Your Goals with a Gift Annuity. Password Enter the password to be used when logging onto your account. Activity The Activity page displays a grid of all of the GiftCalcs calculations and GiftStory presentations that have been created in your organization's account to date. To search the grid To search for a specific group of presentations or calculations, enter your search criteria in the top section of the page, then click Find. To sort the grid You can sort the records in the grid by the values in any of its columns. Just click the column name. Click the same column again to reverse the sort order. To sort by GiftStory presentation name, for example, click Presentation at the top of the Presentation column. GiftGuide/GiftStory/GiftCalcs User Reference Manual PG Calc

8 Click the View button to the left of a GiftStory presentation record in the grid to recreate the presentation using all of the data entered to create the original. You will be brought to the standard GiftStory window where you can view, print, download, or the presentation. Similarly, click the View button to the left of a GiftCalcs calculation record in the grid to recreate the calculation using all of the data entered to create the original. You will be brought to the standard GiftCalcs data entry window Links Click the Delete button to the right of a record in the grid to delete the record. The Links page displays the web addresses of all of the GiftCalcs, GiftStory, and GiftGuide pages that can be linked to from outside pages. For example, you can use the Calculator Link for the Gift Annuity to embed a link for performing gift annuity calculations in a page elsewhere on your organization s website. Only the links relevant to the products for which your organization has an active license are displayed. Link addresses are unique to each client account. The ones for your organization will differ from the ones pictured above. To apply a link, simply highlight and copy it from the Links page to the page where you want to embed it. Product Links These links go the index page of each of PG Calc s respective online tools for which your organization has an active license: GiftCalcs, GiftStory, and/or GiftGuide. Calculator Links These links go to the data entry page of the GiftCalcs online calculator. The specific link you choose determines the default selection in the Gift Type menu at the top of the data entry page. For example, the Deferred Gift Annuity link will open the GiftCalcs data entry page with Deferred Gift Annuity selected as the Gift Type. Presentation Links These links go to the data entry page of the corresponding GiftStory presentation. If the GiftStory presentation doesn t require a data entry page, the link opens the presentation itself. For example, the Meet Your Goals with a Bequest to Charity link will open the data entry page for this presentation if GiftStory is set up to request donor information. Otherwise, it will start the Meet Your Goals with a Bequest to Charity presentation itself. Asset Description Links These links go to the Overview page of the corresponding Asset Description in GiftGuide. For GiftGuide/GiftStory/GiftCalcs User Reference Manual PG Calc

9 example, the Publicly-Traded Securities link will open the Overview page of the Publicly-Traded Securities description in GiftGuide. Gift Description Links These links go to the Overview page of the corresponding Gift Description in GiftGuide. For example, the Bequest link will open the Overview page of Bequest description in GiftGuide. Gift Options Gift Types The Gift Type Options page displays a grid of all of the gift vehicles for which GiftCalcs can perform calculations and the current settings assigned to each vehicle. You can set various limitations for each gift vehicle, such as minimum beneficiary age and minimum gift amount, as well as whether the gift vehicle should be available at all. TIP! Review your organization s planned gift acceptance policies when setting up your gift options to make sure you can accept any gift a web site visitor might illustrate for himself. To edit the settings for a gift vehicle, click the Edit button to the left of the gift vehicle in the grid. When done editing settings for a gift vehicle, click Save, then click Close to return to the Gift Options grid. To change the order in which a gift vehicle appears in the Gift Type menu in GiftCalcs, click the up arrow to move the gift vehicle up one position or the down arrow to move it down one position. Click the Calculation Enabled box to disable a gift vehicle so that it is no longer available in the Gift Type menu in GiftCalcs. A red "X" will appear in the box. 10 Settings Values Min Gift Amount Enter the minimum acceptable gift amount for the gift vehicle, in dollars. Web site visitors will not be able to enter a gift amount for this gift vehicle that is less than the value you enter here. Max Gift Amount Enter the maximum acceptable gift amount for the gift vehicle, in dollars. Web site visitors will not be able to enter a gift amount for this gift vehicle that is more than the value you enter here. Default Payout Rate Enter the percentage payout rate that this gift vehicle should have unless the user changes it when creating a presentation or calculation. Min Pay Rate Enter the minimum acceptable percentage payout rate for the gift vehicle. Web site visitors will not be able to enter a payout rate for this gift vehicle that is less than the value you enter here. Max Pay Rate Enter the maximum acceptable percentage payout rate for the gift vehicle. Web site visitors will not be able to enter a payout rate for this gift vehicle that is more than the value you enter here. Min Beneficiary Age Enter the minimum acceptable beneficiary age for the gift vehicle. Web site visitors will not be able to enter a beneficiary age for this gift vehicle that is less than the value you enter here. Max Beneficiary Age Enter the maximum acceptable beneficiary age for the gift vehicle. Web site visitors will not be able to enter a beneficiary age for this gift vehicle that is more than the value you enter here. Payout Frequency Choose the payment frequency that the gift vehicle should have unless the web site visitor changes it. If you choose to suppress this question under Gift Options Calculations, the payment frequency you choose here will be used in presentations and calculations automatically. Payout Timing Choose the payment timing that the gift vehicle should have unless the web site visitor changes it. The vast majority of gifts use End of period payment timing. If you choose to suppress this question under Gift Options Calculations, the payment timing you choose here will be used in presentations and calculations automatically. Term Type Choose the term type that the gift vehicle should have unless the web site visitor changes it. Gift Type Description Enter the name of the gift vehicle as you want it to appear in the Gift Type menu in GiftCalcs. This name is also used to identify the gift vehicle if you choose to display Gift Types Help on the GiftCalcs data input page. Gift Description Text Enter the gift vehicle description that you want displayed if you choose to display Gift Types Help on the GiftCalcs data input page. Presentations This grid affects the presentations available in GiftStory and when a visitor chooses Watch a Presentation in GiftGuide. GiftGuide/GiftStory/GiftCalcs User Reference Manual PG Calc

11 To change the order in which a presentation appears in the Presentation menu in GiftStory, click the up arrow to move the presentation up one position or the down arrow to move it down one position. Click the Presentation Enabled box to disable a presentation so that it is no longer available in the Presentation menu in GiftStory. A red "X" will appear in the box. Click the box again to enable a presentation so that it once again is available in the Presentation menu. Gift Descriptions This grid affects the descriptions available in GiftGuide under when a visitor chooses Read About Gifts. GiftGuide/GiftStory/GiftCalcs User Reference Manual PG Calc

12 To edit the settings for a description, click the Edit button to the left of the description title in the grid. When done editing settings for a description, click Save, then click Close to return to the Gift Options grid. Settings Values Description Title This is the default title of the description provided by PG Calc. Custom Title Enter the description title that you want to appear on the Read About Gifts or Read About Assets page in GiftGuide. 13 Description Enabled This is the current status of the description. If "Yes," the description is available in GiftGuide. If "No," the description is not available in GiftGuide. The status of the description can be changed by clicking on the Description Enabled box in the Descriptions grid (see previous page). Custom Text Last Edited This is the date and time on which the text in the Custom Text box below this label was last edited. "Not Edited" will appear if the default text for the description has never been edited or exactly matches the text in the Custom Text box. Description Text to Display Choose the text to display when the description is selected. PG Calc Text Choose this option to display the PG Calc default text for the description. Custom Text Choose this option to display the custom text and formatting that is generated from the HTML code contained in the Custom Text box below. Custom Text box Enter the text and HTML code for creating a custom version of the description. When the Description Text to Display above is set to Custom Text, this text will be displayed whenever the description is selected in GiftGuide. If you just want to modify specific elements of the PG Calc version of the description, start by clicking the Restore PG Calc Text button to the right of the box. This action will populate the box with the complete HTML code for creating the PG Calc version of the description. Restore PG Calc Text button Click this button to populate the Custom Text box with the complete HTML code for creating the PG Calc version of the description. This action is useful if you want to create a custom description that is a modified version of the PG Calc version. It is also useful if you make errors in your attempt to modify the PG Calc version and want to start over. Help button Click this button to review a list of values that can be substituted into a custom description and formatting classes that have been defined for use in custom descriptions. Save and Preview button Click this button to save the current contents of the Custom Text box and display these contents as they will appear in GiftGuide. This feature is very useful for confirming that custom changes you make will appear as you intend when displayed on your organization's website. PG Calc Text This scrollable box displays the text and HTML code that creates the PG Calc version of the description. This content is not editable. It is meant as a reference if you ever need to compare it with Custom Text. Asset Descriptions This grid affects the descriptions available in GiftGuide when a visitor chooses Read About Assets. It works exactly like the Gift Descriptions grid above it. The documentation on the Gift Descriptions grid immediately above applies equally to the Assets Description grid. 14 Calculations Gift Annuity Rate Table Choose the table from which you PG Calc online application should choose the gift annuity rate to include a gift annuity or deferred gift annuity presentation, based on the ages of the annuitants. For consistency, be sure to use the same table used in your gift proposal software. The table may be one published by the American Council on Gift Annuities (ACGA) or one created specifically for your organization by PG Calc. Choose acgacurrent.gar to always use whatever is the ACGA rate table currently in effect. All specific ACGA tables are named acga plus the year the table was published, such as acga2011.gar. Let user choose Payment Frequency Indicate whether or not web site visitors should be able to choose the payment frequency used in gift calculations. Check the box if you want selection of payment frequency to be available to web site visitors. Otherwise, your PG Calc online application will use the default payment frequency set under Gift Options Gift Types Payment Frequency for the specific gift type for which the visitor is performing a calculation. The choices are Annual, Semiannual, Quarterly, or Monthly. Let user choose Payout Timing Indicate whether or not web site visitors should be able to choose the payment timing used in gift calculations. Check the box if you want selection of payment timing to be available to web site visitors. Otherwise, your PG Calc online application will use the default payment timing set under Gift Options Gift Types Payment Timing. The two choices are Beginning or End of period. Let user choose estimated useful life and salvage value for Retained Life Estate Indicate whether or not your PG Calc online application should ask the visitor for Estimated useful life or Salvage value when entering values for calculating the charitable deduction for a retained life estate. 15 Check the box if you want the Estimated useful life and Salvage value questions available to web site visitors. Otherwise, your PG Calc online application will assume an Estimated useful life of 45 years, a common assumption for a private home, and a Salvage value of $0, which will minimize the deduction. Page Setup This area of the Client Center lets you control many aspects of the appearance of GiftGuide, GiftStory, and GiftCalcs. It also lets you control a variety of navigation elements, and whether selected donor information fields are optional, required, or appear at all. Values the apply to GiftGuide or GiftStory also apply to these applications when launched from within GiftGuide. Values entered in the GiftGuide Settings sections affect GiftGuide pages only. 16 GiftStory and GiftCalcs Calculation Data screen Appearance Logo Choose the image that you want to appear in the upper left corner of the GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. While you are free to choose any available image for this space, the space is intended to contain the organization's logo. See Appendix 2: Custom Image File Specifications for complete specifications. Display Mark this checkbox if you wish to display the logo you have selected on the GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. Do not mark this checkbox if you do not want a logo image to appear on these screens. Header Text Enter text that you want to appear in the upper right corner of the GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. While you are free to enter any text you wish for this space, the space is intended to contain the organization's name. Display Mark this checkbox if you wish to display the text you have entered on the GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. Do not mark this checkbox if you do not want this text to appear on these screens. Text before Calculator Enter text that you want to appear above the questions on the GiftCalcs calculation data screen. This text might contain instructions on how to fill out the questions below or encourage the visitor to contact your organization for further information on making a gift. This question affects GiftCalcs only. Text after Calculator Enter text that you want to appear below the questions on the GiftCalcs calculation data screen. This text might encourage the visitor to contact your organization for further information on making a gift or offer a disclaimer that the accuracy of the calculations will depend on the timing of the visitor's gift. 17 Page Settings The Page settings affect text and colors that appear on the GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. They are applied to the area of the screen surrounding an imaginary box within which GiftStory/GiftCalcs questions appear. Page Background Image For future use. Page Background Color Enter the hexadecimal code for the page background color. You may wish this color to match the background color used on your organization's web site, for example. If you make this background color the same as the Content Background Color (see below), the background color of the entire screen will be a single seamless field of color. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Page Text Color Enter the hexadecimal code for the page background color you wish to use. This color should contrast well with the Page Background Color (see above) against which it will appear. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Page Font Enter the font family in which page text should appear. Bold/Italics Mark the Bold checkbox if you wish the page text to be displayed in a bold font. Mark the Italics checkbox if you wish the page text to be displayed in an italics font. Page Font Size Choose the size of the page font. X-small translates to about a 12-pt. font. Page Width Enter the number of pixels wide you want the top and bottom sections of GiftStory presentation selection screens and GiftStory/GiftCalcs calculation data screens. This width dictates the width of the space in which text and images that appear at the top or bottom of these screens is formatted. If you make this width the same as the Content Width (see below), all text and images on these screens will be formatted within the same width. They will reflect full justification, in this case. Content Background Image For future use. Content Background Color Enter the hexadecimal code for the calculator background color. You may wish this color to match the background color used on your organization's web site, for example. If you make this background color the same as the Page Background Color (see above), the background color of the entire screen will be a single seamless field of color. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. 18 Content Text Color Enter the hexadecimal code for the calculator background color you wish to use. This color should contrast well with the Content Background Color (see above) against which it will appear. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Content Font Enter the font family in which calculator text should appear. Bold/Italics Mark the Bold checkbox if you wish the calculator text to be displayed in a bold font. Mark the Italics checkbox if you wish the calculator text to be displayed in an italics font. Content Font Size Choose the size of the calculator font. X-small translates to about a 12-pt. font. Content Width Enter the number of pixels wide you want GiftStory's calculation data screen to be. We suggest that you try 600 to start. If you make this width the same as the Page Width (see below), all text and images on these screens will be formatted within the same width. They will reflect full justification, in this case. Content Cell Padding Enter the number of pixels to pad around each label and each field. This padding affects the space between each label/text pair, as well as the space between lines and the left margin of labels. Content Cell Padding and Cell Spacing (see below) are cumulative. Cell Spacing Enter the number of pixels by which to separate each label and each field. This spacing affects the space between each label/text pair, as well as the space between lines and the left margin of labels. Cell Spacing and Content Cell Padding (see above) are cumulative. Required Field Indicator Color Enter the hexadecimal code for the color of the asterisk that indicates a data field requires a response. This same color is used for the "Indicates a required field" label that appears on data entry pages. We recommend choosing a color that will stand out and be noticed by visitors to the page. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Button Settings The button settings affect the appearance of the buttons that appear in GiftGuide, GiftStory presentation selection screens, and GiftStory/GiftCalcs calculation data screens. Buttons Background Color Enter the hexadecimal code for the button background color. You may wish this color to match the background color used for buttons on your organization's web site, for example. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. 19 Buttons Text Color Enter the hexadecimal code for the text color you wish to use for button labels. This color should contrast well with the Buttons Background Color (see above) against which this text will appear. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Buttons Font Enter the font family in which button labels should appear. Bold/Italics Mark the Bold checkbox if you wish button labels to be displayed in a bold font. Mark the Italics checkbox if you wish button labels to be displayed in an italics font. Buttons Font Size Choose the size of the font used in button labels. X-small translates to about a 12-pt. font. Width Enter the number of pixels wide you want each button to be. We suggest that you try 100 to start. Presentations Settings The settings in this section affect the appearance of GiftStory pages only. The contact information page appears only if GiftGuide is setup to ask for contact information. GiftGuide Settings The settings in this section affect the appearance of GiftGuide pages only. Page Header Text Color Enter the hexadecimal code of the color of text that appears in the top section of GiftGuide pages, above the ruled line. The color you choose should contrast well with your choice of Page Background Color above. Page Header Font Enter the font family in which page header text should appear, such as Arial. Bold/Italics Mark the Bold checkbox if you wish page header text to be displayed in a bold font. Content SubHead Size Choose the size of the font used for content sub-heading text. This setting governs the size of all radio button labels, as well as Overview, Details, and Example headers at the top of description pages. A typical setting for this text is Medium. Description Navigation Color Enter the hexadecimal code for the color of link text on gift/asset description pages. The color you choose should contrast well with your choice of Content Background Color above and be distinct from the color of body text and headings so that text links stand out as links. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Description Navigation Highlight Color Enter the hexadecimal code for the color of link text on gift/asset description pages when you roll over it with your mouse. The color you choose should contrast well with your choice of Content Background Color above and be distinct from the Content Navigation Color so that it is apparent when a link is highlighted. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Description Highlight Color Enter the hexadecimal code for the color of highlighted text on gift/asset description pages. This text includes the name of the gift type/asset on the Overview page and column headings in tables. 21 Navigation The settings in this setup screen allow you to display navigation links at the bottom of the Presentation Selection and Calculation Data screens of the web implementation of GiftStory, as well as on the GiftCalcs Calculation Data screen. The Back, Home, Contact Us, and links at the bottom of the screen below are examples of navigation links. Display Navigation Bar Mark this check box if you want navigation links to appear at the bottom of Web GiftStory presentation selection and GiftCalcs calculation data screens (see last line in the screen above). The destination of each link is determined by the internet addresses (URLs) that you enter below. Back URL Enter the internet address for the destination of the Back link. For example, you might enter the address of the web page where a visitor clicks a link to launch GiftStory or GiftCalcs. Start the address with If you do not want a Back link to appear, leave this field blank. Home URL Enter the internet address for the destination of the Home link. For example, you might enter the address of the top level page for the planned giving area of your organization's web site. Start the address with If you do not want a Home link to appear, leave this field blank. Logo URL Enter the internet address for the destination if you click the logo image that appears at the upper left of the screen. For example, you might enter the address of the Home Page for your organization's web site. Start the address with If you do not want clicking the logo image to open another window, leave this field blank. Contact URL Enter the internet address for the destination of the Contact Us link. For example, you might enter the address of the top level page for the planned giving area of your organization's web site. Privacy URL Enter the internet address for the destination of the Privacy Statement link. For example, you might enter the address of the page on your organization's web site that contains your organization's privacy statement. Start the address with If you do not want a Privacy Statement link to appear, leave this field blank. Link Color Enter the hexadecimal code for the color you wish to use for link text. This color should contrast well with the Page Background Color (see above) against which this text will appear. Rather than enter a hexadecimal code, you can choose a color by clicking the button that appears to the right of the field, then clicking the color you want. Link Font Enter the name of the font family in which link text should appear, such as Arial. Bold/Italics Mark the Bold checkbox if you wish link text to be displayed in a bold font. Mark the Italics checkbox if you wish link text to be displayed in an italics font. Link Font Size Choose the size of the font used in link text. X-small translates to about a 12-pt. font. GiftGuide Settings The settings in this section affect GiftGuide pages only. Menu Style Select the location of the commands for moving around within GiftGuide. Top Choose Top to locate the GiftGuide navigation commands across the top of the GiftGuide content area. This choice is typical for GiftGuide users who have integrated GiftGuide into their organization's web site and the navigation elements for their site already fill a column on the left side of the page. Left Choose Left to locate the GiftGuide navigation commands in a column to the left of the GiftGuide content area. This choice is typical for GiftGuide users who are using the Plus version of GiftGuide or who have integrated GiftGuide into their organization's web site and the navigation elements for their site already fill a row across the top of the page. None Choose None to suppress the GiftGuide navigation commands. This choice is for GiftGuide users who prefer to create links to GiftGuide strictly within their own organization's site. Nav Custom URL Enter the address of the web page to which you want your custom link at the top of the left navigation column to send visitors. The address must start with To link to your organization's main planned giving page, for example, you would enter giving page address>.htm. Top Nav Font Size Choose the size of the font used for link text in the top navigation row. A typical setting is X-small. Top Nav Text Color Enter the hexadecimal code for the color of link text in the top navigation row. The color you choose should contrast well with the Top Nav Back Color set below. 26 Reports Save Donor Information via Cookies Choose whether you want name and address information entered by a GiftGuide, GiftStory, or GiftCalcs user to be saved on their computer via cookies. Information saved this way will populate these fields automatically in subsequent runs of GiftGuide, GiftStory, or GiftCalcs conducted from the same computer. Yes Choose Yes to have user name and address information saved every time a user runs GiftGuide, GiftStory, or GiftCalcs. Ask User Choose Ask User to have user name and address information saved only if the user marks a checkbox on the Calculation Data screen next to "Please save my name and address information as they appear here". No Choose No if you do not want name and address information entered by a GiftGuide, GiftStory, or GiftCalcs user to be saved. Send Copy of Each Calculation Choose whether you want a notification sent to you (or some other designated person) each time someone creates a GiftStory presentation or runs a GiftCalcs calculation. The notification is sent to the address entered under My Account Settings Destination of Reports. It contains all of the data entered in order to create the presentation or perform the calculation, plus an optional message from the person who ran the calculation. Always Choose Always if you would like a notification ed every time a visitor runs a GiftStory/GiftCalcs calculation. If Box is Checked Choose If Box is Checked if you would like a notification ed only when a visitor marks the checkbox labeled I would like <charity name> to contact me. The user will also see a Message field where he or she can type a message. This information is included at the bottom of the notification message. Never Choose Never if you never want a notification sent to you (or some other designated person) when someone runs a GiftStory/GiftCalcs calculation. Contact Me Text Enter the text that you want used as the label of the Contact Me checkbox. This entry is relevant only if Display Contact Me Checkbox on Input Forms above is answered Yes. You can create a report that summarizes the GiftStory/GiftCalcs presentations that have been created during a specific time period. Summary Choose Summary to produce a report that summarizes the calculations or presentations that visitors have created through GiftCalcs, GiftStory, or GiftGuide during a specific time period. Choose the product, enter a Start Date and End Date for the report, then click View Report to view the report in the bottom section of the window, Print Report to print the report, or Report to the report to the address entered under My Account - Settings. The color you choose should be a color that contrasts well with the text color used on this page (see Chart Text Color below). Charity Setup This section of the Client Center lets you set up the organization information and officer information that appears in GiftStory presentations and on GiftGuide pages. 31 Choose Organizations to enter or edit information on one or more organizations whose information may appear in GiftStory presentations. If you enter information on more than one organization, users of the staff-facing implementation of GiftStory will be able to select which organization's information will appear in each presentation they create. In this case, choose as the default organization the one whose information you want included on GiftGuide pages and in Web GiftStory presentations that are created by visitors to your organization's web site. Name Enter the name of the organization as you would like it to appear on the title slide of each GiftStory presentation. This name also appears in the title bar at the top of each presentation slide and in the organization address that appears on the final slide of each presentation. In addition, it appears on the Request Information page in GiftGuide. The name is limited to 100 characters or less. See also Display Charity Name in GiftGuide under GiftGuide Settings below. Short Name Enter the name of the organization as you would like it to appear in the body of GiftStory presentation slides. The short name is limited to 20 characters or less. Legal Name Enter the legal name of the organization as you would like it to appear in a legal document, such as a donor's will. The name is limited to 1,000 characters or less. You may include line breaks and HTML formatting commands in the entry, if you wish. This name appears in the Meet Your Goals with a Bequest GiftStory presentation, and Bequest, Life Insurance and Retirement Plan Assets GiftGuide descriptions. Web Site (optional) Enter the web page address that you would like to appear on the last slide of each GiftStory presentation. Likely candidates include the home page address of your organization's web site or the planned giving page within your organization's web site. The address must be a valid web address. When the viewer of a GiftStory presentation clicks on the address, GiftStory will attempt to link to the web page identified in the link. This web address also appears on the Request Information page in GiftGuide. Street Line 1 Enter the first line of the organization's mailing address, as you would like it to appear on the last slide of each GiftStory presentation. This text also appears on the Request Information page in GiftGuide. Street Line 2 (optional) Enter the second line of the organization's mailing address, as you would like it to appear on the last slide of each GiftStory presentation. This text also appears on the Request Information page in GiftGuide. City Enter the city of the organization's mailing address, as you would like it to appear on the last slide of each GiftStory presentation. This text also appears on the Request Information page in GiftGuide. State Enter the state of the organization's mailing address, as you would like it to appear on the last slide of each GiftStory presentation. Default Org Mark this checkbox if you want this organization to be your default choice when you run the stafffacing implementation of GiftStory. The default organization also is the automatic choice for visitors running Web GiftStory on your web site and determines organization information displayed in GiftGuide. Open Presentations in Separate Window Mark this checkbox if you want GiftStory presentations to open in a new browser window whenever a visitor runs one. In this case, the visitor will close the new browser window in order to close the presentation and return to the page from which he or she launched it. Otherwise, the visitor will need to click the browser Back button to return to the page from which he or she launched the presentation. Welcome Audio Select the audio file that you want played when the Welcome slide is opened in each GiftStory presentation. Welcome.mp3 This is the standard welcome audio file provided by PG Calc. It uses the same voice used to record all other audio in the presentations. All other files in menu Each of these files is a custom audio file. The text and voice recorded in each of these files was dictated by the PG Calc client, not PG Calc. Title Graphic Choose the image that you want to appear on the left hand side of the title slide of each GiftStory presentation when you select the organization. While you are free to choose any available image for this space, the space is intended to contain an image that exemplifies the organization, such as a signature building or someone being helped by its charitable mission. Images that are wider than they are tall tend to work best. See Appendix 2: Custom Image File Specifications for complete specifications. If you enter information on more than one officer, users of the staff-facing implementation of GiftStory will be able to select which officer's information will appear in each presentation they create. In this case, choose as the default officer the one whose information you want included on GiftGuide pages and in Web GiftStory presentations that are created by visitors to your organization's web site. Name Enter the name of the officer as you would like it to appear on the title slide of each GiftStory presentation. This name also appears on the final slide of each presentation and on the Request Information page in GiftGuide. Title (optional) Enter the title of the officer as you would like it to appear on the title slide of each GiftStory presentation. This title also appears on the final slide of each presentation and on the Request Information page in GiftGuide. Phone (optional) Enter the telephone number of the officer as you would like it to appear on the final slide of each GiftStory presentation and on the Request Information page in GiftGuide. Calculator page The Calculator page is similar in GiftGuide, GiftStory, and GiftCalcs. It collects all the information necessary for performing a charitable deduction calculation. Except in the case of staff-facing GiftStory, this information will be entered by visitors to your organization's web site. All possible questions that can appear on this page are documented below. IRS Discount Rate (chosen for you) The IRS discount rate is an interest rate published by the IRS that is a component of most planned gift deduction calculations. Sometimes called the Applicable Federal Rate (AFR), this rate is issued monthly. Rather than ask the user to choose an IRS discount rate, GiftGuide/GiftStory/GiftCalcs automatically chooses the rate from among the three currently available (based on your computer's system date) that will yield the greatest deduction for the Gift Type indicated. For charitable remainder annuity trusts, charitable remainder unitrusts, gift annuities, and deferred gift annuities, the software chooses the highest available rate. 37 Gift Type This is the gift vehicle covered in the presentation selected on the previous page. In GiftStory, the gift type is displayed for informational purposes only. You cannot edit it, except by changing the presentation selected on the previous page. In GiftCalcs, you are able to select the gift type. Property Type Select the type of gift property you wish to illustrate. Cash Choose Cash if you wish to illustrate a gift of cash. Stock or property owned at least one year Choose Stock or property owned at least one year if you wish to illustrate a gift of long term capital gain property, such as securities or real estate. Gift Amount Enter the dollar amount of the gift. This is the current fair market value of the property being used to fund the gift. For a cash gift, simply enter the face value of the cash. For publicly traded securities, enter the average of the high and low value of the securities on the date of the gift (the "mean market value"). For real estate and tangible personal property, use figures from a qualified appraisal, if possible. If you want to illustrate a $10,000 gift, for example, enter 10,000 or Cost Basis (if Stock or property owned at least one year only) Enter the donor's adjusted cost basis in the property used to fund the gift that you wish to illustrate. A donor's adjusted cost basis equals the amount the donor paid for the property plus any adjustments to the cost basis since the donor acquired the property, such as for depreciation. If the property was a gift, the donor's cost basis equals the fair market value of the property at the time the donor acquired it plus any adjustments since then. If you want to illustrate a $5,000 cost basis, enter 5,000 or Gift Date Enter the date of that gift you wish to illustrate. Use mm/dd/yyyy format, such as 1/2/2007. The date of gift is defined as the date on which the charity gains control of the gift assets. If mailed, this is the date the envelope is postmarked. If delivered by hand, this is the date of delivery. A donor instructing his broker to send securities to a charity does not establish the gift date, however. In this case, the gift date is the date the securities are received by the charity. # of Beneficiaries Choose the number of income beneficiaries of the gift you wish to illustrate. One Choose One if you wish to illustrate a gift with one income beneficiary. Two Choose Two if you wish to illustrate a gift with two income beneficiaries. Term Based On Choose how the term of the gift you wish to illustrate should be determined. Age(s) Choose Beneficary Age(s) if the term of the gift illustrated in the presentation will be based on the lives of the beneficiaries and you wish to enter the ages of these beneficiaries. Years In Term (only if term based on term of years) Enter the number of years in the term of the gift you wish to illustrate. You may enter decimal years, such as 10.65, or an integer, such as 10. Donor/Beneficiary (gift annuities and deferred gift annuities only) Choose the relationship between the donor(s) and beneficiary(ies) of the gift annuity you wish to illustrate. Your choice will determine how capital gain must be reported by the donor. One beneficiary Donor is the beneficiary Choose Donor is the beneficiary if the donor of the gift annuity you wish to illustrate will also be the recipient of the gift annuity payments. In this case, capital gains realized by funding the gift annuity may be reported over the donor's life expectancy, which is to the donor's financial advantage. Donor is not the beneficiary Choose Donor is not the beneficiary if the recipient of the payments from the gift annuity you wish to illustrate will be someone other than the donor. In this case, the donor must report in the year of the gift all capital gains realized by funding the gift annuity. Two beneficiaries Donor is beneficiary #1 Choose Donor is beneficiary #1 if the age or birthdate that you entered as Age #1/Birthdate #1 is the age or birthdate of the donor and the donor will be a recipient of payments from the gift annuity you wish to illustrate. In this case, capital gains realized by funding the gift annuity may be reported over the donor's life expectancy, which is to the donor's financial advantage. Donor is beneficiary #2 Choose Donor is beneficiary #2 if the age or birthdate that you entered as Age #2/Birthdate #2 is the age or birthdate of the donor and the donor will be a recipient of payments from the gift annuity you wish to illustrate. In this case, capital gains realized by funding the gift annuity may be reported over the donor's life expectancy, which is to the donor's financial advantage. 39 Joint donors are joint beneficiaries Choose Joint donors are joint beneficiaries if both ages/birthdates that you entered are the ages/birthdates of the donors and 1) The gift annuity you wish to illustrate will be funded with joint property or community property (spousal gifts made in community property states), and 2) The donors will also be joint and survivor annuitants of the gift annuity. Select this option to report capital gains over the joint life expectancy of both donors, which is even more financially advantageous to the donors than reporting the capital gains over just one of their life expectancies. Donor is not a beneficiary Choose Donor is not a beneficiary if the donor will not be a recipient of payments from the gift annuity you wish to illustrate. In this case, the donor must report in the year of the gift all capital gains realized by funding the gift annuity. Payment Rate (%) (chosen automatically for gift annuities and deferred gift annuities) Enter the percentage payout rate of the gift you wish to illustrate. For example, enter 5.5 for a 5.5% payout rate. For gift annuities and annuity trusts, the annual amount distributed will equal the percentage entered multiplied by the gift amount; for unitrusts, the amount distributed will vary annually with the then value of the trust principal. Payment Frequency (only if set to be asked under Gift Options Calculations) Choose the payment frequency of the gift you wish to illustrate. Your selection will affect slightly the charitable deduction available to the donor. Annual Choose Annual if the gift will make payments in annual installments. Semiannual Choose Semiannual if the gift will make payments in semi-annual installments of one-half the annual amount. Quarterly Choose Quarterly if the gift will make payments in quarterly installments of one-quarter the annual amount. Monthly Choose Monthly if the gift will make payments in monthly installments of one-twelfth the annual amount. Payment Timing (only if set to be asked under Gift Options Calculations) Choose the timing of the payments of the gift you wish to illustrate. For the great majority of gifts, End is the right choice. Beginning Choose Beginning if the gift you wish to illustrate will make payments on the first day of each payment period. For gift annuities and charitable remainder annuity trusts, this choice is appropriate if the gift makes a pro rata beneficiary payment on the date of gift and a full beneficiary payment on the first day of each subsequent payment period. For charitable remainder unitrusts, this choice is appropriate if the gift makes a regular beneficiary payment within one month of its annual valuation date. 40 End Choose End if the gift you wish to illustrate will make payments on the last day of each payment period. For gift annuities, this choice also is appropriate if the gift makes a pro rata beneficiary payment on the last day of the short first payment period and a full beneficiary payment on the last day of each subsequent payment period. For charitable remainder unitrusts, this choice is appropriate if the gift makes a regular beneficiary payment a full payment period after its annual valuation date. If a unitrust pays quarterly, for example, and is valued on the first business day of each year, this choice is appropriate if the unitrust makes its first payment of each year on March 31. Value of Building(s) (retained life estate only) For the gift that you wish to illustrate, enter a dollar amount equal to that portion of the property's fair market value that is considered depreciable. Generally, structures are considered depreciable and land is not. Condominiums are often considered 100% depreciable, while other residential properties are commonly considered about two-thirds depreciable. The lower the value of the depreciable portion, the higher the deduction calculated. Salvage Value of Building(s) (retained life estate only) For the gift that you wish to illustrate, enter a dollar amount equal to the estimated value of the property's depreciable portion after it has been fully depreciated. Typically, this is the estimated value of the building(s) after they've been fully depreciated. This value rarely falls to zero and a dollar amount equal to 25% of the current value of the depreciable portion is a common estimate. If asked, an appraiser should be able to supply this number. The greater the salvage value, the higher the deduction calculated. Estimated Useful Life of Building(s) (retained life estate only) For the gift that you wish to illustrate, enter the number of years you estimate it will take the depreciable portion of the property (typically the building(s)) to reach its salvage value. 45 years is commonly used for residential properties. If asked, an appraiser should be able to supply this number. The greater the estimated useful life, the higher the deduction calculated. See 1.170A-12(b)(3) and 1.170A-12(c) in the IRS regulations for two examples using an estimated useful life of 45 years for personal residences. See 1.170A-12(d) for the estimated useful life definition. This definition includes a statement that the donor has the option to select as the estimated useful life an asset depreciation period that is within the permissible range for the relevant asset guideline class under IRS Publication 946. To print the presentation, click the Print button within the presentation once it is open on your screen. Select Landscape Orientation for best results. View/Print audio script Click the View button to the left of View Audio Script to open a script of the audio portion of the presentation you have just created. The presentation is in PDF format and requires Adobe Reader to open. Once open, you can print the script by choosing File Print in the Adobe Reader Menu Bar. 44 Download tab Click this tab if you wish to download the GiftStory presentation you have just created to a folder on your local hard drive or a network drive. Once downloaded, you will be able to run the presentation any time without needing an internet connection. You can also load the downloaded presentation onto a CD for sending to a prospect. Downloaded presentations may be run on Windows computers only; they will not run on a Macintosh. To download the full presentation, you must download the presentation files into the same folder. Files downloaded into a folder that already contains a GiftStory presentation will overwrite the previously downloaded files. To avoid this issue, we recommend that you create a new folder each time you download a presentation. 1. Click the Download Presentation File button. 2. Save the file into a new folder. 3. Save the Data File, Logo File, Title Image File, Welcome Audio File, Welcome Graphic File, and Diagram Graphics File into the same folder as the Presentation File. 45 4. If you wish, you may also save the optional Autorun File and/or Script File. 5. To run the presentation, open the folder where you have saved the files and double-click the file with the.exe extension. This file usually displays the Macromedia Flash icon, which looks like this: Download Presentation File This file contains the body of the presentation you have just created: all slide text, images, and audio. The file ends with the extension.exe. Download Data File This file contains all of the data used in the presentation: organization information, officer information, and all data entered for use in the personal illustration. The file ends with the extension.xml. You can view or edit this file directly using a text editor, such as Notepad or WordPad, although ordinarily this shouldn't be necessary. Download Logo File This file contains the logo image that will appear on each slide of the presentation you just created. This is the logo associated with the organization you selected when creating the presentation. Download Title Image File This file contains the title image that will appear on the left hand side of the title slide of the presentation you just created. This is the title image associated with the organization you selected when creating the presentation. Download Welcome Audio File This file contains the audio that will be played on the Welcome slide of the presentation you have just created. This is the Welcome audio associated with the organization you selected when creating the presentation. Download Welcome Graphic File This file contains the image that will be displayed on the Welcome slide of the presentation you have just created. This is the Welcome image associated with the organization you selected when creating the presentation. Download Diagram Graphics File This file contains the image that will be displayed in the charity position of any gift diagram that appears in the presentation you have just created. This is the Diagram Logo image associated with the organization you selected when creating the presentation. Download the Autorun File for optional CD creation This file will cause the presentation to run automatically from a CD on which it has been copied. You do not need to download this file if you plan to run the presentation from your local hard drive or a network drive. Download Script File for optional text of audio This file that contains a script of the audio portion of the presentation you have just created. Either a Copy Link button or a Select Link button will be visible, depending on your browser. These buttons facilitate copying a link to the GiftStory presentation into your message. Copy Link (Microsoft Internet Explorer only) To copy a link to your presentation into an using Copy Link: Click the Copy Link button to copy the link to your GiftStory presentation. Open the message in which to insert the link. Click the spot in the message where you want the link to appear. Choose Paste in your software or press [Ctrl] [v] to paste the link. Select Link (all browsers other than Microsoft Internet Explorer) To copy a link to your presentation into an using Select Link: Click the Select Link button to highlight the link to your GiftStory presentation. 47 Send Template tab Click this tab if you wish to send GiftStory's template message with a link to the GiftStory presentation you have just created to one or more people. You can import a list of names and addresses from a file, if you wish. The template is formatted in HTML so that it can include your organization's logo and attractive formatting. Most software can read HTML messages, but not all. To send a Template 1. Enter or upload recipient information using the instructions below. For one or just a few names, enter information under the Enter Recipient Info heading. For a larger group, enter information under the Upload a List of Recipients heading. 2. Enter a custom first paragraph into the template message, if you wish. 3. Click the Send button at the bottom of the window. Enter Recipient Info Enter recipient information under this heading if you intend to enter this information manually. To add information for more than one recipient, repeat the entry process for each recipient. First Name This text will appear after "Dear" in the salutation of the template . Last Name (optional) This text will appear after "Dear [First Name] " in the salutation of the template . If you leave this field blank, the salutation will be "Dear [First Name],". 48 Enter the recipient's address. Be careful to enter the address correctly. Once you hit Send, the will be delivered to the good addresses, but not to the bad ones. You may or may not receive notification of the messages that could not be delivered, depending on a variety of factors. Add Recipient button Once you have entered the above information for a recipient, click the Add Recipient button to add the recipient to the list of people who will be sent the template . The recipient will now appear in the list that is displayed just below the Add Recipient button. List of recipients Clear List Click Clear List to delete all information from the list of recipients. Clearing the list makes sense when you want to start over building your list of recipients from scratch. Edit Click Edit to change any of the recipient information displayed on the line. Delete Click Delete to delete the recipient information displayed on the line. Upload a List of Recipients Use the upload function under this heading to upload recipient information from a file. This is a convenient way to send GiftStory presentations to a group of recipients. (See Appendix 1: Template Upload File Specifications for instructions on creating an upload file.) To upload a list of recipients from a file: 1. Enter the file name or browse to the file from which to upload recipient information. 2. Click Upload File. 3. Map GiftStory's First Name, Last Name, and fields to fields in the uploaded file. 4. Click Confirm. Enter file name Enter the full path name and file name of the upload file. See Browse below for how to locate the file using a standard Choose File window. Browse Click Browse to open a standard Choose File window. Find the upload file, then click it and click Open. 49 Map File Values This grid allows you to select which values in the uploaded file correspond to the first name, last name, and address of each recipient. The Source is the list you uploaded. The Destination is the list GiftStory will use. In brief, all you need to do is look at the value in the Source Field column and find the best match from the drop down list in the Destination column. The Destination only needs First Name, Last Name and , so select Skip for anything else. Destination Field for Indicate how you want to map the field in the uploaded file to the fields in your recipient list. To help you identify the contents of the field you are mapping, the Source Field for column shows the name assigned to the field in the uploaded file and the Sample Data column shows the contents of the field in the first record of the uploaded file. The First Name, Last Name, and destination fields must be assigned to exactly one upload file field each. Skip Click Skip if the field does not contain values that you want to appear in your recipient list. First Name Click First Name if the field contains the values that you want to appear after "Dear " at the top of the template . The First Name and Last Name values appear in order separated by a space after "Dear" at the top of GiftStory's template . This design facilitates the use of salutation data that is divided between two separate fields. If your salutation data is divided between fname and lname fields, for example, map fname values to First Name. If your salutation data is divided between title (Mr., Mrs., Dr., etc.) and lname fields, map title values to First Name. Last Name Click Last Name if the field contains the values that you want to appear after "Dear [First Name] " at the top of the template . If your salutation data is divided between fname and lname fields, for example, map lname values to Last Name. If your file contains a single salutation field and a blank field, map the blank field to Last Name. Mapping a single salutation field If you have values in a single salutation field in your upload file that you want to appear after "Dear", you can accomplish this by including the salutation field in your upload file along with a separate blank field. 50 Click if the field contains the address of each recipient. Confirm Click Confirm to generate a list of recipients using the field values you have selected in the Map File Values grid. Cancel Click Cancel to close the Map File Values grid and either upload a file of recipient information again or enter recipient information by hand. Generated list This is the list of people to whom the template will be sent. The list is generated from the fields in the uploaded file that you mapped to the First Name, Last Name, and fields in GiftStory. Clear List Click Clear List to delete all information from the generated list. Clearing the list makes sense when you want to start over building your list of recipients from scratch. Edit Click Edit to edit the information displayed on the line. Delete Click Delete to delete the information displayed on the line. Enter own first paragraph If you wish to start the template message with a custom paragraph of your own, type the paragraph in here.
