1 Patient and Family Education Services Quick Guide to UWMC s Intranet Step-by-step instructions and helpful tips Welcome to UWMC s Intranet a special resource by and for UWMC staff where you can surf the Web with confidence and success. Getting good at navigating on the Intranet helps you help our patients. Use this step-by-step self-directed tutorial to become Intranet savvy. UWMC s Health On-Line (HOL) is the example site we use to show you how to navigate, use and benefit from the Intranet. HOL will also come in handy in your clinical work, since it is an on-line database managed by Patient and Family Education Services (PFES). It provides titles, abstracts and department locations for patient education materials used throughout the medical center some of which are available on-line for viewing and printing full-text. The Intranet is easy to access from computers linked to the IRIS system, Windows-based PCs, and MINDscape, making it possible to print many patient teaching materials from HOL and to avoid reinventing the wheel by finding out what s already out there. There are many benefits to clinicians from UWMC s Intranet: 1. Save time locating clinic information, instructions, pricing, patient education documents, policies, etc. 2. Discuss vital information and issues available from other clinics/departments 3. Keep informed about UWMC and UW If you re already a whiz, you ll find the listing of Intranet sites helpful. And, maybe you can take a few minutes to help a coworker get on board. If you re new to this or need a review, the step-by-step instructions will have you surfing on the Intranet in no time. A sample tutorial to test your skills is offered on page 9. Version 3.2
2 Page 2 Patient and Family Education Services INTERNET BASICS BROWSERS HOME PAGE ACCESS TO OTHER SITES SEARCHING PRINTABLE DOCUMENTS BOOKMARKING LINKS BACK BUTTON If you are skilled at using the Internet, go to page 3 for the HOL Tutorial. The Internet is accessed through a software program called a browser. There are two main browsers used at UWMC: Netscape Navigator or Microsoft s Internet Explorer. Generally, launch the Internet by clicking the browser s icon on your desktop (see page 3). Once on the Internet, a home page will appear. Many UWMC computers will have the UW Home Page or the Academic Medical Center (AMC) as their homepage. These sites help direct you to additional information about UW or UWMC through menus, toolbars, tabs or search mechanisms. You can make any Web page your homepage (see your browser s help instructions). (Tip: When loading a page, wait until you see the word Done on the bottom of the screen.) To select a site other than the home page, type the address for the site (URL), typically beginning with in the address or location box in the menu line and select the enter key on the keypad. Search engines such as Yahoo!, Lycos, Alta Vista, and Infoseek locate sites for the criteria you select. Click Search on your browser s menu line for a list of search engines. Many Web sites also offer ways to search for information within their site. HOL has internal search mechanisms for searching its database. Often, documents are available on line for printing. There are a variety of ways documents can be accessed. Some are html files and will appear on the Web page and can be printed directly from it. Other files may be offered as MS Word or text files for downloading using your computer s programs. Still other printable documents are created as Adobe PDF files. These are viewable and printable using the Adobe Reader program, available as a free download from the adobe.com Web site. Full-text documents in HOL are available in Adobe PDF format. The Internet browsers also offer a standard feature allowing users to mark sites for easy future access, much like creating a personal address book (see page 5 for step-by-step instructions). Links allow access to other pages of the site, or to other sites. Typically, the link is underlined, a different color, a button, or designated in some way. The pointer will turn into a hand when it is on a link. Click the link to access it. The HOL Links tab has links to other health sites. Use the back button on your browser s toolbar to return to previous pages or sites. (Tip: When accessing some links, the back button will be grayed out and not accessible. In this case, close the site to return to the previous page.)
3 Patient and Family Education Services Page 3 STARTING PC IRIS 1. Select your Netscape Navigator or Microsoft Internet Explorer icon. 2. In the Location or Address box, enter the HOL URL: The next page will be the HOL Quick Search home page. 1. Start in the MINDscape Log-in window, 2. Click the HealthLinks button near the top of the page to access the Care Provider Tool Kit. 3. On the Tool Kit page, under Patient Education, click on UWMC Health On-Line. The next page will be the HOL Quick Search home page. SEARCHING BASICS (PCs and IRIS) VIEWING AND PRINTING FULL-TEXT (PDF) DOCUMENTS AUTHORED BY UWMC Most Web sites have features that help you locate the specific information you need using search functions. 1. Type in a topic in the search box or make a selection from General Topics on the right and click on Go. 2. A list of documents available at UWMC for your search request will appear ( Search Results page). Full-text documents for one or more languages may be available for printing. 1. A PDF is a document that has been created by Adobe Acrobat into a non-modifiable, easy-to-view and print format. 2. Any citation with a blue language button after it has a corresponding PDF document (ready-to-print) in the language stated. For instance, in the example below, some documents have English versions available and some have other languages as well.

To view full-text documents in HOL, click on the blue language box next to the citation title in the Search Results screen for any document language you wish (scroll down the list to view all documents). In a few moments, Adobe Reader will open the full-text (PDF) document you selected, in the language you selected (see example on previous page). 4. You may then print this document on your printer and/or bookmark it for later access. PC 1. To Print from a PC: Select File/Print, in the usual way, from the top menu. When the Print menu appears, select Print. 2. Print problems: Generally the document will print completely without problems. If the document does not print correctly on your printer, try selecting Fit to Page and/or Print Image in the print menu. IRIS 1. To Print from an IRIS terminal: Click on Print at the top of the window, and click Yes or select Proceed on any other menus that appear. Your documents should print on the same printer that your unit uses to print MCIS documents (not all IRIS terminals are set to print. Ask your manager or computer tech for assistance). Tip: Notice that the pointer becomes a hand when moving it onto one of the blue buttons, indicating a link to another document. Tip: If your computer does not have Adobe Reader, a message will appear on the screen with instructions on how to download the free upgraded Adobe Reader 4.0 program from the Internet. If your computer has a version of Adobe Reader earlier than version 4.0, you will need to download the current 4.0 version so that the documents will view and print correctly. For download instructions, select the About tab in the top menu line of the Health On-Line Web Page and click on GET ADOBE READER. BOOKMARKING OR ADDING TO FAVORITES IRIS PC IRIS terminals are not able to accept bookmarks at this time. A bookmark (Netscape) or a favorite (Internet Explorer) functions like an address book and is the Internet s way of creating easy access to sites you choose. Once a bookmark is in your browser s list, you can quickly locate the site again by selecting the bookmark, bypassing lengthy searches. The general procedure is to copy the site s address (URL) and add it to the list. Then, when you wish to access this site later, select (click on) the name in the bookmark dropdown list.
5 Patient and Family Education Services Page 5 Netscape Navigator 1. While in the Intranet page you wish to bookmark, select Bookmarks (for Netscape) or Favorites (for Explorer). (See circled item in pictures, left and right.) Tip: The URL beginning with in the Location box does not have to be highlighted. 2. A menu box will appear with some pre-set directories (see left and right). 3. Add the URL to the general bookmark or favorites list or, in Netscape, File the URL in one of the directories. 4. You may also go to Edit Bookmarks or Organize Favorites to create more directories and arrange the bookmarks as desired (see left and right). 5. Next time you want to access the document, go to the Bookmark or Favorites dropdown list on the menu of your Internet browser, and click on the bookmark you wish. 6. In Netscape, HOL PDF bookmarks will not have an automatic name that shows on the bookmark list (see left). You will need to add one. To do this, once you have bookmarked the PDF, go to Edit Bookmarks, click once on the blank bookmark to select it, click on the right mouse button to bring up a short menu, choose Bookmark Properties from this menu, and type in a name of your choice in the name box (see left). Tip: Use the name and language of the document for the bookmark name to easily locate it later. Tip: Name each HOL PDF right away after bookmarking to avoid confusing with other PDF bookmarks. 6 Page 6 Patient and Family Education Services QUICK SEARCH SEARCH RESULTS Summary Screen GENERAL TOPIC SEARCH Abstract/Title Full Record Quick Search is the home page that first comes up on HOL. To begin a search: 1. Simply type in a word or phrase. 2. Select Go or press Enter for the Search Results (see page 3). HOL has three different ways you can view your citations: This is the default view and shows the Title/Abstract/Author/Publisher. This is the shortest view and shows only the Title and Abstract. This shows expanded information including publication date, format, languages, audience, ordering information, and more. Tip: To view only some of the documents in your search in a different search view, click on the box in front of the document(s), select the view you wish from the dropdown box near the top of the page, and select View. To view ALL of the documents in a different search view, do not mark any of the boxes; instead select the view you wish and click View. General Topic Search is also located on the HOL home page. These are broad category topics. Every citation is indexed to one or more of these categories. Click on any topic to obtain the search results for all of the documents indexed to that topic.
7 Patient and Family Education Services Page 7 ADVANCED SEARCH Advanced Search features allow you to tailor your search to a specific document or group of documents. 1. Click the Advanced Search tab in the menu line. 2. The Advanced Search page (above) will appear with options for searches for a variety of search combinations. Tip: The whole page may not show on your screen. You may need to scroll down to see the Submit button. 3. Enter text in the fill-in boxes (blank box) for the first three rows and/or select from any dropdown box for field you wish and click on Submit. A Search Results page will appear with the titles and other information for the documents available (see page 3). Tip: Dropdown boxes are a standard feature on Web pages. A downpointing arrow indicates that there are other selections that you can choose. For instance, the down arrow after the box contains indicates other choices; in this case the other choice is does not contain. Tip: The first three dropdown boxes in the Advanced Search are called: title, author and publisher. However, these defaults can be modified in any way allowed by the dropdown fields selections. For instance, you can select publisher as the first box; search on publication dates, select title for all three boxes to narrow the title search parameters, etc. Tip: To search on the publication date, choose this field in one of the first three dropdown boxes, and type the 4-digit year in the box.
8 Page 8 Patient and Family Education Services TABS, TOOLBARS OR MENUS News Page About Page Links Page Translations Page Most Web sites will have tabs, toolbars, or menus on the top or side of the page (often the left side). These tabs indicate there are other pages with additional information and clicking on a selection will route the user to another page. The Health On-Line menu line connects users to pages with information that is general to health education or specific to UWMC PFES. Provides news about PFES and health education in general including: Culture Clues - links to printable full-text documents with detailed information about communicating with patients from other cultures Easy Writer 2.0 Worksheets - links to worksheets used in the Easy Writer 2.0 workbook Patient Education Classes - links to patient education classes sponsored by UWMC: Has general information about Health On-Line including: Information and instructions on Health On-Line search processes and features, submitting documents, etc. Instructions for downloading Adobe Reader (GET ADOBE READER) Provides links to Internet health sites of interest to clinicians, both UW and national sites. Provides an up-to-date list of all translations available on HOL and serves as PFES translations catalog.
9 Patient and Family Education Services Page 9 HEALTH ON-LINE SAMPLE TUTORIAL 1. Is the UWMC publication Making Decisions About Your Health Care available in Braille? Tip: You do not have to type the entire title; typing only a distinctive part of the title will save time. Also, this box is not case sensitive, so no need to capitalize. Answer: Yes. Go to Advanced Search, type a distinctive portion of the title (such as making decis ), choose Submit, and double click the title in the Search Results page to reach the full record list of languages available. 2. Can the patient education brochure titled Arthritis Answers be printed in a full-text version in English? Tip: In the Advanced Search screen, use the clear button to clear out previous criteria before entering the new search. Answer: No. Go to Advanced Search, type a distinctive portion of title in the title box and select Submit. In the Search Results page, there is no blue language button after the title indicating fulltext availability. 3. You want to create a handout about advance directives. (a) Does a UW document already exist? (b) What is its PFES citation number to obtain a photocopy from PFES? Tip: To locate only UWMC-authored documents, in the Advanced Search Publisher box, type University of Washington Medical Center or a distinctive consecutive portion of the name (such as sity of Wa ); you do not need to type the entire name. (Note: We hope to have this modified to allow typing UWMC also.) Tip: Try both Advanced Search and Quick Search for this one. Answer (a): Yes, A Decision for Dignity. (1) Select Quick Search and type advance directives in the box OR (2) Select Advanced Search, identify publisher as in tip above; and select an appropriate word from the Specific Subject keyword dropdown box. (Note: Advance Directives is not listed as a keyword, but Patient Rights is listed.) Answer (b): #248. In the Search Results screen, click on the document title to obtain the Full Record (see page 6). Locate the PFES citation number in the To order section (last field of each citation). 4. (a) How many full-text UWMC-authored documents are available for Maternity and Infant Center? (b) How many Korean documents are available for all departments authored by UWMC? Tip: Full-text documents are all UWMC-authored, so no selection needs to be made in the Publisher box to specify UWMC. Answer (a): 1) 41. Go to Advanced Search; in the Any Departments box, select Maternity and Infant Center ; select the Full-text button and Submit. The number of documents will appear in the Search Results menu line. Answer (b): 2) 12. Go back to Advanced Search, select clear button to clear previous criteria; select Korean in the language box; select Full-text button (to eliminate other documents that may also have Korean translations) and Submit. Note: Leave Any Departments selected to search all UWMC departments. 1. Select a full-text document that you would like to bookmark or add to favorites. Add it (see pages 4-5). Did it work? Tip: Be sure to select the Full-Text button to view only those citations. Tip: The document s Web address should automatically appear in the Favorites dropdown box of Internet Explorer; however, for Netscape Navigator, a blank listing will appear and you will need to add a name (see pages 4-5). Answer: If this worked, give yourself a pat on the back. If not, go back and review pages 3 (Viewing and Printing Full-Text Documents) and 4-5 (Bookmarking or Adding to Favorites).
