1 Use Firefox browser and enter the URL: Exercise 1: Navigation - Position Views/Straight Updates 1a: Browse Positions/Position Details/Straight Updates 1. Click the Search tab. 2. On Position enter job code Click Advanced options and enter your unit code. 4. Click Search. 5. Click the Position ID link for a professor position in your unit. Write the Position ID. 6. View Position Details. 7. What information is listed about the position under General Information? 8. Look at the section called Position Information. 9. View Tenure Status, Emeritus (if applicable), Salary Spread Eligibility, and Recurring Code. 10. Under the section called Location Details, click edit. 11. Enter or change the phone number and save. 12. View success or error message. 13. Identify at least 5 other straight updates that can be made on this page. 1b: Incumbent View/Straight Updates 1. There are two ways to get to incumbent view: a. On the Position Details page, under the section called Position Information, click the Incumbent s EID (recommended). b. Or, click the Incumbent tab in the second-level navigation. 2. Note the navigation tabs - you are now on the Position>>Incumbent page. 3. Under the section called Incumbent Details, note any concurrent assignments. 4. What action options do you see at the top right of this page? 1c: Funding View 1. Click the Funding tab. 2. View funding for the position. 3. Is it possible to make straight updates on this page? 1
2 Exercise 2: Modify Faculty In order to complete all the Modify exercises, you will need to delete the document after completion of this exercise. 2a: Modify Faculty Start page 1. Go to Position>>Details. 2. Enter the position ID from exercise 1 and Go. 3. Click Modify at the top right of the page. 4. Check the Creator Desk information for accuracy. Change if needed by clicking the lookup tool. 5. Click Walk me through. 6. Look at the left navigation and list the sections of the document. 7. Note that the top navigation indicates you are in a document. 2b: Modify Faculty General section What attributes can you change on this page? 2c: Modify Faculty Incumbent Section Please note: Several modifications to incumbent are possible, and in the real world you would likely not do all of the modifications listed below on a single document. In the left navigation, click Incumbent. a. Example 1: Separation i. Enter an end date for the incumbent. ii. Under Reason, click the drop-down menu. iii. What options are available? iv. Select a separation reason. v. For the purposes of this exercise, clear the end date. b. Example 2: Adjustments to Base Pay i. In the section called Adjustments to Base Pay, click Add Pay Adjustment. ii. Click the drop-down menu. iii. What Adjustments to Base Pay are Possible? iv. Click undo. 2
3 c. Example 3: Additional Pay i. In the section called Additional Pay, click Add Additional Pay. ii. Click the drop-down menu,. iii. What Additional Pay selections are possible? iv. Click undo. d. Employment of Close Relatives i. Scroll to Employment of Close Relatives. ii. In the text box, enter Mother is Tina Training in Archaeology. iii. Click Save. 2d: Modify Faculty Leave Without Pay section 1. In the left navigation, click Leave Without Pay. 2. Click Add LWOP. 3. Using the drop-down menu, select Approved Leave of Absence. 4. What other selections are possible here? 5. Under Hours per Day, enter Using the calendar icons, select an Effective Date 04/20/2009 and End Date 04/20/ In Remarks, enter Doctor appointment. 8. Click Save. 2e: Modify Faculty Funding section 1. Click Funding in the left navigation. 2. If there is current funding click edit and put an end date on the funding. 3. Click save. 4. View UNFUNDED information. 5. Click Add funding. 6. Enter a valid salary account. 7. Enter a distribution of 100 and an Effective Date and no End Date. 8. Click Save. 2f: Modify Faculty Document Review 1. Click Document Review in the left navigation. 2. Click Show on all sections below the gray routing widget. 3. Review modifications to all sections. 4. Is it possible to continue making changes to each section? 3
4 Exercise 3: Assign non tenure-track incumbent to Faculty Position 3a: Browse Positions 1. Click the Search tab. 2. On Position enter job code Click Advanced options, enter your unit code and Search. 4. Click the position ID you wish to assign to. 5. View Position Details. 6. Click Assign. 3b: Assign-start page 1. Check the Creator Desk information for accuracy. Change if needed by clicking the lookup tool. 2. Click Walk me through. 3. Assign the same incumbent (listed on the right). 4. Modify document is created. 3c: Assign-Incumbent section 1. Using the calendar icon, select a Start Date. 2. Using the calendar icon, select an End Date. a. Note: End assignment dates for NTT should be 8/31 in order to continue benefits. 3. For Reason, use the drop-down menu to select End Assignment. 4. Enter 20 for Hours per Week. 5. Enter an annual rate of your choice. 6. Click Save. 3d: Assign-Funding section 1. In the left navigation, click Funding. 2. Note existing funding. Make changes if needed. 3e: Assign-Document Review section. 1. In the left navigation, click Document Review. 2. Click the Show links to display data entered on this document. 3. Review incumbent information. 4. Click Verify Document. 4
5 Optional Scenarios 1. A professor in your department is retiring at the end of the semester. What steps need to be taken in HRMS? 2. The owning unit for a professor needs to be changed. Where would you make this adjustment in HRMS? 3. A faculty member needs a courtesy position in another department. How will you accomplish this? 4.
